Introduction We would like to thank you for taking the time to explore the newest functionalities available in the latest TriSys Recruitment Software platform This document covers only the most recently added features to TriSys for Microsoft Windows.
Why Software Updates? All software requires ongoing maintenance and updates, ensuring maximum performance and functionality. TriSys has been delivering automated updates which deploy each time you open TriSys CRM, hence ensuring a fantastic end-user experience where each day new functionality is added. All the updates explained in this document are already in place on your installation (if you are running the latest TriSys version). Other than this, the only new functionality requiring manual intervention is the new Microsoft Outlook integration (simply uninstall the current version and install the new version, however only do this if your team is already running the very latest TriSys Recruitment CRM Software).
Introducing the New Support Portal Using the TriSys API, we have redeveloped the online customer portal, allowing you to manage support issues, request training, view pre-recorded online training videos and guides, explore documentation, blogs and newsletters, check your orders, download and pay invoices and much more. Check your TriSys version The new functionality described in this document is only available on the latest version of TriSys for Microsoft Windows. TriSys CRM will always automatically update itself as long as your computer has the necessary security configuration in place to allow automatically updating the TriSys CRM applications.
How to Upgrade to the Newest TriSys CRM Version If you are running TriSys V10 at present, the upgrade is completely free of charge for all out of the box installations, and will bring your version up to the latest edition. You can simply install the newest version from www.trisys.co.uk and start using the newest version of TriSys right away, as it only requires the reinstallation of the new end user TriSys application, without any changes whatsoever to the actual database engine (whether you are running TriSys onsite or as a cloud service) therefore ensuring total upgrade

transparency. Furthermore, the new version of TriSys can coexist with a previous V10 version, so you may install the newer version side by side with the current version and, when fully confident with the new version, simply uninstall V10 from your computers/network.
Customised TriSys V10 and Customised TriSys V8 Deployments Customised installations of TriSys V10 and also customised installations prior to V10, such as for example TriSys V8, may require some consultancy work to have their changes migrated over to the newest edition).
Is the New TriSys User Interface Different from TriSys V10? No. There are some new side panels and some new buttons on the ribbon bar at the top, all designed to enhance productivity and make your user experience even more seamless. No fundamentals have been changed when compared with TriSys V10 (only TriSys V8 users will notice key differences as they will be optionally upgrading to a new codebase and a new visual user interface/framework).

Login Screen The login window has been redesigned. Onsite customers will continue to login as usual, whereas cloud
hosted customers now login with their E-mail and password (cloud customers using TriSys within a remote
desktop will also use their e-mail address and password to connect to the remote desktop service).
This change allows cloud hosted customers to use a single set of credentials to login to all TriSys cloud
services.
Quick Lookup Area Located at the top right of the TriSys window, allows opening any contact, company, requirement and
placement with a single click. This eliminates the need to click “Contacts” “Companies” “Requirements” or
“Placements” and then use the filters, instead you simply type text in the quick lookup text box and click
once on the desired result to open the corresponding record, saving you clicks and time.

You can use the quick lookup field to locate:

You can also quickly locate a specific contact at a specific company, by combining the name of the person
with the company (you can use partial text) as shown below:
“Isaac * Opus” returns the contact “Isaac Newton” who is the Account Director at “Opus Laboris
Recruitment”. This speeds up accessing records even further.

Consultant Summary Dashboard You can select individual consultants, time ranges, you can also click the individual metrics to pop-up a screen
with further details. You can select any user, any date range and also drill-down into each specific KPI across
Permanent, Contract and Temporary Recruitment as well as view an overall KPI summary if activity.

You may wish to view these metrics for individual consultants and also for multiple consultants (for multiple
consultants, simply add the system setting Dashboard: Consultant Metric Single User = True (system settings
are added by your TriSys CRM Administrator user).
The “Tools” button in the new dashboard allows you to reorder the dashboard tiles
You can drag/drop to move the dashboard tile names left/right as needed, a minor improvement, however
the key functionality / productivity updates are covered next. You can also drag and drop any visible items
to adjust the layout of the dashboard according to your preferences.
Contact Preview Docking Panel As you select a contact, the new “Candidate Summary” docking pane (available on the vertical bar on the
right hand side of the TriSys application) can be shown/hidden to reveal key details about the contact,
eliminating the need to drill-down into the contact record in most cases, allowing you to View and Edit
Contact info, View, Add/Edit Skills on the fly, view Requirements, Placements, Notes and Tasks for the
contact, all within the contact preview pane, which can also be undocked to a second display/monitor. Map
location is also included. You will find that this contact preview is the same also available in the new Outlook
integration panel.

The vertical tabs, when clicked, show more info about the contact, eliminating the need to open the contact
record to complete most tasks:

You can also open the company directly from the summary area, view social network links, contact type, save
the contact edit changed, open the CV and open the actual contact record should you need.
The new contact preview panel reduces number of clicks needed to find information about a contact and is
also extremely useful when you are looking at Search results and also Longlists/Shortlists and wish to see all
the details about each candidate without having to take focus away from the shortlist view…simply use the
docking panel. The productivity gains are also equally applicable inside Microsoft Outlook.
If you also turn on the CV Preview Panel, you get all of the above plus a very useful CV Preview –especially
helpful in search results and shortlists when you are looking at search results and the search criteria incudes
keywords in the CV which will be highlighted as you scroll through the candidate list/results.

choose from a variety of visual themes)

Microsoft Outlook Contact Preview Panel By installing the newest edition of the Outlook plugin, you will see full details of any contact simply by clicking
an email message. This allows you to streamline your productivity even further.
After installing the new integration, the “TriSys” tab at the top of your Outlook inbox will show a new “Panel”
button.
When you click this button, the side panel opens (it should open by default and remain open after the initial
installation, if not simply enable the Panel as shown above).
Maximised Panel (ideal view) Each time you click an email in your Inbox or any other folder, the integration will automatically show the information associated with the sender/receiver of the email you have selected. Subsequently you have dozens of new functionalities which bring even more information directly into your inbox. If a contact is not yet on the database, simply add the contact or parse a CV. There are at least 20 new operations within the new Outlook integration, each designed to streamline your productivity.
Minimised Panel This is how the integration shows when minimised. If not visible at all, use the “TriSys” tab at the top of the screen and then enable the “Panel”

previously available (please note the new Outlook integration will not work with TriSys V8).

Our new Outlook integration is essentially the most powerful integration to date, with a spectacular feature
set, empowering your teams even further:
Add Contact from Outlook When you receive an email and the sender is not yet in the TriSys database (i.e. no information shown about
the contact within the TriSys Plug-In window for Outlook) you can simply click “Create Contact Record” and
this starts the process of adding the new contact to Outlook.

Add Documents from Outlook to Contact Record Within Microsoft Outlook you can now preview any document stored against the Document Library for any
contact record:

You can also add any document directly from Outlook against any contact record, by clicking “Add”:
- When you click “Add New Item” you will be prompted to find a file on your PC
- When you click “Download email from Outlook” this will add the outlook attachment(s) against the
record, directly from within outlook

Alternative Contact Record Layout Important Note: the existing layout you have been using so far is STILL available (View > Contact > Select
“Standard Contact) as per image below. By default, the new version of TriSys used the new contact record.

Here is the new view for a contact record after you have selected it as per previous step, essentially quite
different in layout when compared to the current one, and designed for more productivity and less clicks.
You will immediately see everything has been readjusted in a contact record, we have merged the “Personal”
and “Employment” tab into a single “Contact Info” tab, and have made some further adjustments in the
contact record as well. This reduces clicks and allows you to do more in less time.
You can always revert to the original contact record layout, using the “View” menu and choosing the
corresponding layout.
You can hide the contact photo through the following system setting (if not in place, ask your TriSys CRM
administrator to add the system setting: CONTACT: Display Google Maps = True/False.
Google Maps Integration Whenever you see a map within the TriSys application or within the Outlook integration, you can scroll the
map, zoom in and zoom out, as well as open the Google Maps integration to automatically determine travel
distances, traffic conditions and transportation options, hence bringing the power of Google Maps and TriSys
together:

the magnifying glass icon or the google icon – each will exhibit a specific behaviour:

LinkedIn Integration In addition to the TriSys Browser Extension already available on the Chrome Extension Store, a new LinkedIn
integration is also available within the desktop CRM application, under “Social Network Search”
The Social Network Search allows browsing LinkedIn and exporting a contact either as a Client or as a
Candidate (using the “Import” button) – this immediately imports the contact and shows the imported
summary on the left hand side of the screen:

This area can also have direct automatic cursor focus by using the keyboard combination CRTL + Q
LinkedIn/Twitter/Facebook docking panel Note how the overlaying of the social networks docking panel allows you to navigate the 3 social networks
and enjoy full LinkedIn/Twitter/Facebook functionality, within TriSys itself.
Note: you can zoom in/out by pressing the CTRL Key and simultaneously move your mouse wheel
forward/backward to zoom in/out as per your preference.

New LinkedIn Contact Import The LinkedIn contact import functionality has also been updated, now allowing a faster import of contacts
from LinkedIn, where you are able to visit a contact profile on LinkedIn, click “Import” and the imported
contact is then presented on the left side of the screen, confirming the import has been successful, allowing
you to maximise your LinkedIn productivity, directly from within TriSys
References A new “References” tab is now available in contact records, allowing you to capture reference information
as part of your workflow. You can also run “Reference Request” actions by using the “Actions” menu available
on all contact records.

Automatic Outlook Calendar Invite Generation When running Actions in TriSys (such as Candidate/Client Interview and Candidate/Client Meeting) you are
now offered the option to automatically generate the corresponding Outlook calendar invite, which means
you will be able to track accepts/rejects for the calendar invite, directly within Outlook.
The generation of the Outlook calendar invite is controlled through the Action Template window, where you
tick the box “Generate Outlook Calendar”
When you run the Action, an Outlook calendar invite is automatically generated, ready to be sent – all
attendees will therefore be able to accept/decline the calendar invite.

One-Off Template Editing You are now able to edit an action template as a one-off edit without the need to change the centralised
template normally used for that action.
For example, if you want to run a Mail Merge action, you can now create a one-off template edit which allows
you do deviate from the standard merge templates implemented by your system administrator, therefore
giving you the flexibility to edit the template for added personalisation (without this edit affecting company-
wide centralised templates which are designed to enforce consistency of processes).
Automatic Telephone Calling within TriSys and Outlook Within TriSys and also within Microsoft Outlook, you are now able to automatically place telephone calls at
the click of a button. This only requires that you have a Voice over IP solution in place, which includes a
software application designed to capture specific clicks on telephone number buttons/fields within TriSys
and within the TriSys Outlook Integration.
You can try this by installing Skype, Skype for Business, BT Cloud Phone/RingCentral as well as a variety of
other VoIP systems available on the market.

Faster Boolean Searching & Faster Boolean Query Building You can now create your Boolean searches faster, by taking advantage of the automatic pop-up of search
criteria, which saves you on the amount of clicks and helps you by revealing where you must provide input:
In the example below, as soon as you select the search field (Job Title) the pop-up is displayed to the right,
with an automatic expansion of the multiple options available as search parameters for that field (in this
case, you select “Job Title” and then you only need to select the actual job title, no need to click anywhere
else to display the search criteria.
Add to Longlist/Shortlist from CV Parser You can immediately add a parsed CV / candidate to an existing requirement, by selecting the requirement
into which the candidate should be shortlisted/longlisted once the parsing completes:

Automatic Trimming upon CV Parsing The TriSys CV Parser now removes blank leading and trailing characters from fields such as name, telephone,
etc. This means blank characters, which are invisible to the eye, will no longer creep in and interfere with
your searches lookups, delivering better search/lookup experiences.
Import & Parse Candidates from Job Boards In addition to the current integration with multiple job boards, TriSys now allows you to specify whether
candidates should be imported directly into either the Longlist or Shortlist of a given requirement.
In a requirement record, click the “Shortlist” or “Longlist” tabs, then use either option:

Colour Themes You can now change the colour of the application user interface, allowing you to set colours which place less
strain on your eyes and also allow you to navigate the user interface with more precision. The colour mixer
is used in combination with the multiple visual themes already included in TriSys (such as Office 2016, etc.)

Office 2016 Visual Themes Adding to the already available visual themes, Office 2016 Colourful and Office 2016 Dark are now available.
Document Expiry Date Tracking You can now set an expiry date on any document added to the Document Library, on any record type
(Contact, Company, Requirement, Placement, Timesheet, etc.)
Search across a Document Library When running a search, you are now able to specify which document types to also search for in a document
library (this will search based on the “Type” field which is specified by the user when adding a document to
the document library, such as for example ‘Credit Check’) – therefore of importance when considering
compliance validations and other key operations

Update Existing Record with New CV + Archive Old CV When parsing a CV, if the associated candidate is already on the system, you have two new options at the
top of the screen “Save New CV” and “Archive Existing CV” – this saves the new CV against the existing record
and also archives the current CV in the contacts’ “Document Library” tab.
Rate Card Auto-Populate When adding a new requirement and the requirement type is either “Contract” or “Temporary” any existing
rate cards associated with the corresponding company, for the selected site address and job title, can be
automatically added as the rate cards for the requirement:

Mouse Scroll Wheel
All records now support mouse wheel scrolling, hence you can scroll records, lists of records and everything
else on the system.
Conditional Formatting
Although already available in previous versions, it is worth highlighting the power of grid conditional
formatting, allowing you to make quick decisions based on visual cues such as font size, cell colour and much
more.
A few examples:
Conditional formatting is configured individually for each user, can also be pushed out to all users in a group
or organisation and each user can have full control of their own visual preferences, allowing maximum

Client-Specific Template
Within the Action Template Editor, you are now able to specify for which client company the template will
be the default template – hence this template will always load by default when you are running the action
within that specific company/client record.
Quick Cloning of Boolean Search Criteria
You can now quickly duplicate/clone search criteria, by using the new button within any Boolean search
area (whenever clicked, this will copy the search criteria into a new search criteria line, hence a convenient
time saving when adding multiple search criteria where slight variations of the criteria are to be used in the
Boolean search:
Automated Mass Skilling of Contacts You are now able to skill multiple contacts at once, from within a contact record or a grid of contacts, via the
new Action “Assign Attributes”. This tab will open a window allowing you to choose one or more
skills/attributes. You can also add a note against the records if necessary, to register the operation.

Add Documents to Document Library using Drag & Drop
You can now select one or more documents located on folders outside the system and drag the selected
documents into the Document Library tab of any contact record, which saves you from having to add
documents individually. You can then classify each document type and set expiry dates, all on a per
document basis.

Total Candidate Interviews & Total Shortlisted Candidates
You are now able to see the number of interviews and shortlisted candidates, through two new columns in
the requirements grid (these columns must be added through consultancy work for all existing customers,
as doing so through an automatic upgrade would imply resetting any custom grid layouts to their defaults,
hence for convenience the new columns are added only upon request)
Requirement Earliest Start Date
System setting in order to set a default value on the requirement “Earliest Start Date” field, hence preventing
the situation where the field is left blank: Requirement: Earliest Start Date Default (default value is 28).
Parse CV Imported Directly from Job Boards
When importing applicants directly from job boards into requirements, you now have a new checkbox “Use
CV Auto-Recognition” which takes the candidate CV through the CV parser before importing the candidate.
This allows you to perform a more complete candidate contact record creation, as opposed to only
populating name, surname, e-mail and other basic details returned by the job board itself, hence allowing
you to extract more value from each applicant CV, also maximising the search-ability of each applicant.
