Commonly Used NSCS Acronyms

Here are some terms you’ll see mentioned throughout this handbook and when you’re working on NSCS-related projects.

PACE: Planning to Achieve Collegiate Excellence. This is one of NSCS’ three signature programs, which focuses on connecting high-achieving NSCS members with local middle school students in their community to mentor and encourage these students to attend college.

DHM: Distinguished Honorary Members. These are talented and noteworthy members of the community who have had an impact on your chapter or community, whom you’d like to honor for their outstanding contributions. Your chapter will typically be asked to provide this to NSCS’ national offi ce during the summer.

IAP: Invitation Approval Packet. This is an online form that you complete at the start of each school year. It requires proof that your chapter is registered with your school as a student organization, as well as a list of names, titles, and contact information for your entire offi cer board. Doing this sets you up for a great year with NSCS.

EMI: Eligible Member Information. This is the list of students who are eligible to be invited to join your chapter. The NSCS national offi ce typically works with your advisor to acquire this list.

ME: Member Engagement. NSCS staff who work with chapter offi cers and advisors to ensure chapters' success in engaging and elevating NSCS members.

NLC: National Leadership Council. The National Leadership Council (NLC) is a special opportunity for a select number of members to serve as an advisory board to the NSCS national staff and Board of Directors. Your ME Manager and members of The National Leadership Council serve as a resource to you.

FAQsHere are some of the most commonly asked questions you’ll

hear from prospective and current NSCS members.

How is NSCS different from other honor societies? NSCS is the only interdisciplinary honor society inviting fi rst and second-year college students, providing leadership opportunities, scholarships and other benefi ts that support members early in their college career and beyond. NSCS offers benefi ts both on the national level and local level. Nationally, NSCS offers $1,000,000 each year in undergraduate scholarships and resources, more than any other honor society. Scholarships are available for all member types — 4-year, 2-year, online, alumni, and international. In addition, membership is more than just an academic achievement or a line on a resume. Active chapters provide members opportunities to participate in community service and social activities, as well as professional and personal development opportunities.

What are the benefi ts of joining NSCS? In addition to recognition, networking, career resources, leadership development, and community service opportunities, members can apply for exclusive scholarships and awards, attend special NSCS programs throughout the country, and are often recruited by major employers. NSCS membership also offers members discounts and deals on the things they'll need most, like car insurance, laptops, and more.

Where does my membership fee go? The $95 membership fee is used to provide a variety of benefi ts and services to you as a member. These include funding for chapter activities, a personalized diploma and Induction Ceremony, networking and career resources, scholarships, awards, and events. The fee also helps offset NSCS’ administrative costs. NSCS is a nonprofi t, which means that all funds coming into NSCS go back into NSCS initiatives and operational costs. Please keep in mind that the membership fee is a one-time fee to maintain lifetime NSCS membership.

What happens after I join NSCS? The national offi ce will send you a confi rmation e-mail immediately after your membership confi rmation has been processed. You’ll receive login information to the NSCS portal so you can access your benefi ts and begin applying for scholarships. You’ll also begin receiving the Scholar Connection, NSCS’ weekly e-newsletter, which is full of the latest scholarships and benefi ts. About four to six weeks after we confi rm your membership, you’ll receive your membership diploma and a press release for you to share with local media at your permanent address.

How involved do I have to be as a member? We don’t maintain any involvement or academic requirements for our members once they join. We realize that with classes, internships, jobs, and extracurricular activities, college students are busy. We don’t want to burden you with additional requirements that you might not be able to meet. That said, if you want NSCS to be more than a line on your resume, you should seize the benefi ts and opportunities we share with you, whether it’s a scholarship, campus activity, or career opportunity.

Budgets & FinancesDeveloping and maintaining a budget sets you up for a successful year. The NSCS national offi ce provides your chapter funds to host programs and events on campus. You must develop and maintain a budget highlighting how the funds will be allocated throughout both the fall and spring. The entire offi cer board must work together on this to identify spending priorities — this isn’t just an exercise for the President or Treasurer!

Visit the portal to download the budget form or check in with your ME Manager for a copy. Your ME Manager will also notify you of how much you’ll receive in chapter funds.

When you begin developing a budget, set realistic goals and plan according to the events you have in mind for the semester. Based on the funds amount that you will receive, fi ll out the “Projected” column of your budget form. Throughout the semester, continue to update the “Actual” column to refl ect how much your chapter actually used. You will not be required to send your Actual Budget at the end of the Fall and Spring unless you apply for Platinum Star Status. The Budget form is simply a tool used to be a resource for your chapter.

On your budget form you’ll see a list of pre-fi lled expenses. Expenses include any funds the chapter plans to spend throughout the course of the semester. Project expenses for all planned events, regardless of size, and be sure to consider and include potential costs for supplies, promotional materials, etc. Additional expenses can be added as needed. The Treasurer must maintain and update the budget and ensure it aligns with the projected budget.

This is an example of a budget form which the “projected” expenses completed for a chapter, which you’ll share and develop for your own chapter with your ME Manager.

Officer Recruitment

Being an active NSCS offi cer is one of the most valuable ways to build leadership abilities, expand professional relationships, extend program management skills, and develop and

incorporate integrity into one’s daily life. Finding the right offi cer(s) to help achieve chapter goals is instrumental to your chapter’s success.

Here’s how to identify and recruit the right offi cer board. Ideal Offi cer Candidates have the following qualities:

• Active NSCS member

• Goal-oriented

• Team-focused

• Organized

• Strong time-management skills

24

Advisor Recruitment Finding the right advisor can help your chapter have a successful year. A great advisor helps you fi nd resources for your chapter, introduces you and your chapter’s activities to university offi cials,

helps the board set short-term and long-term goals, problem-solves with you, and helps you develop leadership skills. If you don’t have an advisor or your current advisor wishes to retire from

the position, begin looking for new advisor candidates as early as possible.

Here’s how to identify and fi nd the ideal advisor for your chapter: Ideal Candidate

• Full-time faculty/staff member at your institution

• Readily accessible

• Works on campus

• Interested in being an active part of the chapter

• Respected by the institution, faculty, staff, and students

• Serves as a mentor as well as a source of technical assistance

• Has interests in common with you and/or supports your interest in the organization’s pillars of Scholarship, Leadership, and Service

• Has successfully worked with students in the past

• Someone you know, like, and admire

How to Find an Advisor

• Here are some sources of good advisor candidates: - Look at your mentors or favorite professors who meet the above criteria. - Talk to other students/members about various advisor candidates. - Get advice from faculty members whom you respect or from the graduate offi ce of your department.

• Be prepared! Advisors will want to know the scope of their responsibilities. Make sure to read through the advisor section of this handbook and speak with your ME Manager so you can clearly articulate the responsibilities and benefi ts of being an advisor.

• Here’s how to reach out to advisors: - Send an email using the NSCS Advisor Recruitment Template (located in NSCS portal). - Visit potential advisor in-person (by appointment or during offi ce hours) to discuss chapter happenings and/or advisor duties. - Invite potential advisors to an upcoming chapter event or attend seminar talks/presentations they give.

• Once you have a good candidate, ask that person to be your advisor. Don’t be discouraged by a “no” — try a different candidate. Your initial list should have given you enough good choices to fi nd the right fi t.

Member Recruitment

NSCS member recruitment events are essential to raising awareness on campus, expanding the NSCS family, and reaching those students on campus who are interested in joining NSCS. It is

important to make sure that there is NSCS visibility all around campus to give eligible students the opportunity to ask questions or attend events prior to making the decision to join. Recruitment events are usually led by your Vice President of Public Relations & Recruitment and should take

place in both the fall and spring semesters, with a heavy emphasis during the spring semester. The fall semester should focus on being a part of the campus student activities fair.

Here are some of the events you could host to promote your chapter on campus:

• Informational Session

• Tabling

• Student Organization Fair

• Pizza Party

• Game Night

• Community Service Activity open to non-members

• Educational Workshop (such as a resume workshop) open to non-members

Here are some other ways to promote your chapter:

• Post fl yers around campus and dorms

• Post frequently on your chapter Facebook page

• Invite friends to a General Body Meeting

• Partner with other student organizations

• Place an ad in your campus paper

• Make announcements in class

• Make a “Wear NSCS Shirt to Class Day”

Chapter Communication

How to Run an Effective Chapter Meeting:Successful meetings help your chapter boost engagement with your members and increase turnout to your events. Here’s our three step process for planning, conducting, and following up on your meeting.

Plan the Meeting

• Choose a date, time, & place

• Include an ice breaker that allows everyone to get to know each other a little better – ask your ME Manager if you need ideas!

• Establish a meeting pattern/outline (consider duplicate meetings in a week on alternate days if needed)

• Organize the meeting in a way that makes sense – for example, introductions, old business/follow up, new business, assign tasks (don’t be scared to delegate responsibilities), reminders, close

• Establish priorities – goals for members and the chapter to reach

• Print copies of the agenda for distribution to all who will be attending

• Keep in mind that members attend meetings in order to be informed, share ideas, and to be heard – be mindful of the meeting length and encourage participation

Conduct the Meeting

• Start the meeting on time

• Review the agenda

- Inform members of the roles and responsibilities of the current offi cers to include roles that need to be fi lled - Allow everyone to speak and participate in the meeting who wants to

• Encourage participation

- Provide snacks and treats – everyone loves free food! - Have sign-up sheets for projects and activities – get their names and contact information - Focus on a quality experience – make it worth their time and discuss relevant topics, give them tasks (small service project) - Spice it up – play music, have a raffl e, have a fun activity, get people talking - Ask members to bring a friend who is also a member – it will help make it a more comfortable and social environment, and it spreads the word about NSCS! - Thank people for attending and encourage each member to bring a member to the next meeting

Page 30: The National Society of Collegiate Scholars Officer ... Congratulations on your role as an NSCS offi cer! You are taking on the responsibility of leading, motivating, and engaging

30

Follow-up on the Meeting

• Distribute a summary of the decisions, commitments, and any other pertinentinformation discussed during the meeting as soon as possible

• Be sure to upload the meeting minutes to the chapter Facebook page – minutes must be available to all members

• Follow up with anyone who expressed concerns, ideas, or requests during the general meeting

Chapter Email CommunicationThe NSCS Member Portal allows all offi cers to easily send emails to chapter members, new members, and alumni. Our system updates your member list in real-time, meaning as soon as new members join your NSCS chapter, they will be automatically added to your chapter roster. From there, you’ll just need to follow the instructions on the portal. The messages you send will be in HTML format. All you’ll need to worry about is writing your message, formatting, and hitting the send button!

Every chapter should keep in constant contact with its offi cers and members. The NSCS Member Portal allows you to do so!

Publicity & Social MediaWhile maintaining the chapter Facebook page is primarily the duty of the VP, Social Media, all chapter offi cers are responsible for maintaining and regularly contributing to their chapter’s NSCS Facebook page.

Twitter, Instagram and Snapchat accounts are optional.

General Expectations:

• Chapter events and meetings should be posted on a regular basis - Scheduling posts makes keeping up with chapter/school news easy! Take a day a week to schedule out all your posts for the week.

• Comments and questions should be responded to in a timely manner – ideally, within 48 hours or less

• Use the Facebook wall to post announcements to supplement your chapter emails

• Upload pictures, videos, and selfi es during and after chapter events and meetings!

• Post meeting minutes within 48 hours for the benefi t of members who couldn’t attend

• Follow @NSCS, your ME Manager, the @NSCSNLC and other chapters!

What to Post:

• Upcoming chapter events (i.e. Induction, meetings, community service, socials, professional development)

• National offi ce events/initiatives

• Scholarship openings

• Member benefi ts

Page 31: The National Society of Collegiate Scholars Officer ... Congratulations on your role as an NSCS offi cer! You are taking on the responsibility of leading, motivating, and engaging

31

• Alumni networking events in the area

• News from your school

• Meeting minutes

• Changes in plans (e.g. a new room/time for your meeting)

Photos/Videos:

• Photos/videos of events should be posted on a regular basis! There should be pictures from at least one meeting and for all chapter events & NSCS signature programs (Induction, PACE, Integrity Week)

• Upload photos and bio information for all offi cers! Each offi cer should be tagged

Page 32: The National Society of Collegiate Scholars Officer ... Congratulations on your role as an NSCS offi cer! You are taking on the responsibility of leading, motivating, and engaging

32

BrandingYour NSCS chapter is one of the largest student organizations on campus. To highlight your presence, make sure to wear and use NSCS gear at meetings, during events, and when tabling.

Your NSCS Chapter can order shirts from the national offi ce that are customized for your chapter. These shirts can be ordered in bulk and given to members at meetings, provided at service events as a thank you, or customized to be exclusively for your chapter offi cers. To order these shirts, visit nscs.org/order. Also check in about group discounts for other items available at nscs.org/store.

Chapter shirts are also a great way to raise funds. By ordering your shirts in bulk from the national offi ce at a low price, your chapter can sell custom chapter shirts to members as a fundraiser. In addition, ordering from the NSCS national offi ce means that your shirts will always be on brand.

In terms of printed materials, make sure to use materials found in your Offi cer Resources on the Portal — whether it’s fl yers or our logo, start with our content as the base, so that you’re staying consistent.

33

Creative Ideas for Chapter Engagement & Campus Collaboration

• Collaborate with other honor societies or your honors department

• Collaborate with nearby NSCS Chapters

• Utilize the NLC• Poll your members: Create a survey and blast it out to your members via email and

social media. Keep it short and sweet but ask members to give their input about events. “What events would you like to see at our chapter?” “Would you like to help plan events?” You might even provide a list of some ideas for events and have them vote on them.

• Use/Refi ne a point system:

-Use points to keep members active

-Incentivize them with chapter scholarships, gift cards, free/discounted cords, discounts to the bookstore, other things that resonate with your chapter members

-Give members a variety of ways to earn points (or have different categories for points)

-Facebook post/activity

-Attending meetings/events

-Becoming a part of a committee

-Applying for a scholarship

-Helping to co-sponsor an event with another campus group

-Helping with prep, setup, or management of events

• Create committees for some offi cer positions (community service, PACE, PR, etc.):

-Elect or select active/interested members to serve as committee members

-Create clear expectations (holding meetings, communication, etc.)

-Have the offi cer be responsible for the committee, overseeing their progress and helping to delegate work and keep everyone on task, while the members making up the committee do the majority of the “leg-work”

-This builds up leadership skills for both offi cers and members (let members know that joining a committee is a great way to build their professional development experience) and alleviates some of the burdens on the offi cers

Page 34: The National Society of Collegiate Scholars Officer ... Congratulations on your role as an NSCS offi cer! You are taking on the responsibility of leading, motivating, and engaging

34

• Hold meetings at events, not separately

-Members want to feel invested. If they’re already attending an event, keep them informed by hosting a quick check-in before or afterwards to update them on other chapter activities and opportunities.

-If you can simply email details out and don’t need to hold a meeting, it might not always be benefi cial to hold a formal meeting

• Co-sponsorship/campus initiatives

- Seek out “high-profi le” groups on campus that have a large and active membership base to co-sponsor events with (co-sponsor one of theirs too!)

- Find big initiatives that campus departments host for students (welcome week, campus-wide service day, barbecues/socials, panels/speakers, etc.) and join them

• Freshman orientation

- Get involved in “welcome week” videos talking about the benefi ts of being active on campus, especially an organization like NSCS that recognizes students in their fi rst two years.

- Become a part of welcome week activities and events as representatives of NSCS

InductionThe New Member Induction Ceremony is the most important event in a chapter’s year as it is members’ fi rst formal introduction and welcome into the Society. Family and friends often attend Induction to recognize and support members’ achievements. Inductions usually take place in the fall and are typically the fi rst time a member meets offi cers and other NSCS members face-to-face. Induction demonstrates the value of membership and encourages new members to participate in future events.

Many Induction Ceremonies also recognize outstanding members of the community as Distinguished Honorary Members (DHMs). Chapter offi cers typically nominate DHMs in the summer before the Induction, so that DHMs can be invited, accept, and when possible, participate in Induction.

Induction gives chapter offi cers and engaged members a chance to develop their leadership, presentation, delegation, networking and event planning skills. Offi cers can access all needed materials in the Offi cer Resources section of the NSCS portal, including the Induction PowerPoint (PC and Mac) with videos, script, signage, template letters, sample programs, and a complete manual.

How to host a great Induction:Offi cers Involved: All Offi cers + Advisor

• Schedule your Induction Ceremony for late September or early October: This gives you enough time to plan.

• Book a formal room/hall big enough for parents and new members: Work with your ME Manager to estimate how many people may attend.

• Find a keynote speaker: Select someone notable within your community or university.

• Share changes with your ME Manager: If there are ANY changes to your Induction date, time, or location, inform your ME Manager immediately.

• Utilize the presentation resources on the portal: It’s an easy way to make your ceremony more offi cial.

• Open your Induction Box immediately: Count your new member pins and name cards and compare to your Induction attendee list provided by your ME Manager.

• Promote your Induction Ceremony through social media: The NSCS national offi ce will make sure to email members about Induction.

• Post-Induction, make sure to share the attendee list with your ME Manager: This is critical for ensuring that these students can apply for the Induction Recognition Award.Recognition Award.

PACE (Planning to Achieve Collegiate Excellence)PACE is our national service initiative. This program serves to increase the awareness of collegiate opportunities among middle school students in low income areas so that they are more likely to pursue a college education. The PACE program has three components; each chapter can choose to concentrate their PACE program on one particular area or incorporate all three.

• Mentoring & Tutoring: Establish a relationship with students to guide them through their year and help them make educational decisions.

• Assemblies: Host an event at a middle school where you encourage students to apply to college and inform them about what they can do to prepare for college.

• March to College™ Day: Typically, the national offi ce hosts a National March to College™ Day in the fi rst week of March, in which students from a local middle school “march” to a nearby university to experience a day in the life of a college student. Your chapter is encouraged to host a local March to College™ Day by inviting the students of your PACE Program to experience college life fi rst-hand on your campus.

How to set up an outstanding PACE programOffi cers Involved: VP of PACE, VP of Community Service, EVP (VP of Events)

• Review the PACE Resources on the member portal: Whether you’re starting from scratch or building on an existing program, our resources give you everything from background knowledge to email templates and content to share with students.

• Talk to your ME Manager: Discussing what type of program you want to build will set you up for success.

• Locate a middle school in your university’s area: This will serve as your base for mentorship, assemblies, or March to College Day™.

• Call the school: Inquire about existing tutoring/mentoring programs or if they would be interested in creating a mentoring or tutoring partnership with your chapter. Also consider presenting at the middle school about the benefi ts of attending college.

Integrity Week

Each year during the second week of February, NSCS chapters around the nation host Integrity Week. NSCS’ integrity initiative was inspired by a national ethics project created by The Association of College Honor Societies, which serves as an accrediting agency for honor societies. Integrity is at the core of who we are and what we represent as an honor society and the reach of NSCS’s annual integrity initiative spreads campus-wide. NSCS also awards “Inspire Integrity” Awards to on-campus faculty and students who nominate faculty and are committed to Integrity.

How to set up an outstanding Integrity programOffi cers Involved: VP of Community Service, VP of PR/Social Media, EVP (VP of Events)

• Review the Integrity Resources on the member portal: This covers the various types of Integrity event opportunities, graphics and other sharable items, and much more.

• Talk to your ME Manager: S/he will serve as a helpful resource to navigate the type of Integrity Week events that make the most sense for you.

• Display your Integrity Banner during Integrity Week: Whatever else you choose to create or host for Integrity Week, displaying your banner on campus (or virtually if your chapter is online) is a great way to draw attention to this important pillar. Your chapter will receive an Integrity Banner in your Induction Boxes this fall.

The National Leadership Council

The National Leadership Council (NLC) is a special opportunity for a select number of members to serve as an advisory board to the NSCS national staff and Board of Directors.

NLC members are chosen based on their dedication, service, and commitment to NSCS. Ideal candidates also exhibit leadership, academic excellence, and community involvement throughout their academic career and continue to demonstrate these skills throughout their term on the NLC.

Two members of the Council are selected as President and Executive Vice President (EVP) of the Council and serve a one-year term on the NSCS Board of Directors.

The NLC collects feedback from their campuses to improve the NSCS experience for all members, and its members speak at their chapter’s New Member Induction Ceremony in the fall.

NLC members serve as peer resources to chapter offi cers and the national offi ce’s Member Engagement Team. The council also engages members through the NLC’s Facebook page, creates fun videos to help promote national initiatives, participates in monthly conference calls with fellow NLC members and the national offi ce advisor, and provides general feedback regarding best practices for connecting with NSCS members.

Serving on this prestigious advisory board gives each member valuable experience working with a national program and an incredible chance to contribute to the mission and overall success of NSCS.

NLC Applications open in the spring, and members serve on a June-June term.
