Here’s the Keys, Master! It was a nice spring morning, and our shopper was looking forward to

completing his shopping evaluation. He realized it would mean a tour of

the community in the beautiful weather. As he approached the leasing office of what seemed to be a well-

maintained apartment community, his expectations of this leasing presentation were high. The initial first

impression of this property was very positive, and everything seemed to be in order.

As he entered the leasing office, a nicely dressed and well-groomed woman was sitting at a desk

in the nicely-appointed room. She looked up from her paperwork, smiled, and said hello. But

she didn’t stand to greet our shopper or offer him a seat. Yet as instructed, the shopper walked

up to this on-site professional and inquired about a one bedroom. At that point, the manager did

the unthinkable. She pulled a set of master keys from her desk drawer, handed them to the

shopper, and pointed in a general direction. “The only thing I have left is on the second floor,

Apartment 234. It’s right up the second set of stairs going that way. See what you think.”

The shopper was flabbergasted by this action of the apartment owner’s agent. For just a second

he considered taking the keys and driving off. Instead, he completed his assignment by viewing

the apartment, walking the grounds, and returning the master keys to the otherwise friendly onsite

representative. Interestingly, the apartment he saw on his own was in

C’mon Up, Big Boy! This shopping incident actually happened to my husband, Rick Ellis, one of my “best” shoppers.

This shop took place more than a few years ago in the west Texas town of Midland. Rick was

younger, had more hair, and fewer pounds back then. You’ll see why this is relevant in just a

moment.

The apartment community he was shopping was upscale and desirable. The leasing professional

was poised, friendly, and gave an incredible performance. Rick was thinking that this would

likely be a perfect shop that would earn the company’s highest report score.

Everything was going great until this otherwise outstanding leasing professional did something

very inappropriate. This young woman invited Rick up to her apartment! Can you believe that?

(And as his wife, I was a little bit perturbed.) But it was not quite as bad as it sounds. She was

having a party in her apartment that evening, and she was inviting him to that little celebration.

Unfortunately, it ruined what could have been an award-winning leasing presentation. And it

confirmed our client’s concern about why this particular leasing consultant seemed to only close

her male prospects!

A Funny Thing Happened on the Way to the Model: Shopping War Stories from the Apartment Industry

After 13 years of shopping apartment communities in almost every state

in this country, we still never say, “We’ve seen it all!” Why? Because

after tens of thousands of shopping reports, we continue to get the occa-

sional new “twist” on the standard apartment leasing presentation. Some

of these twists are often downright twisted. Most are entirely inappropri-

ate and represent huge leasing no-nos, and some things that happen when

we are out shopping are downright unforgivable. Yet they are often hi-

larious! Below are just a few of the more unusual shops we have done

through the years. Enjoy!

Other funny comments seem to have recurring themes.

Here are a few we hear quite often.

A leasing professional complains to our shopper about their

manager or management company. The onsite person who does or

says a “no-no” and then comments, “Gee, I’m glad you’re

not a shopper or I would be in big trouble!”

How about the leasing professional who had just returned from

McDonald’s when our shopper showed up. She asked the shopper,

“Do you mind if I finish my lunch before I show you the

apartment?”

Please understand the vast majority of our shops are good or very good. We are proud of the

overall professionalism and expertise of the thousands of on-site professionals in this great

industry! Lest you think I’m poking fun at our wonderful customers, let me tell you a few stories

on us -- on our shopping company. Hey, we all make mistakes sometimes, right? Well, don’t

tell anyone about these stories because they are downright embarrassing! And while these goofy

messes happened to EPMS, any shopping company has similar stories to tell.

We had a shopper in Houston who “fabricated” eight shopping reports and turned them in

to us for payment. Fortunately, some inconsistencies were noticed during our second

review. It seems the shopper’s experiences were very similar — too similar - at each

community. We had this shopper visited by our collection person, “Nick the Knife!”

“Let’s strike a deal,” said our shopper to the leasing consultant he was to shop. He called

her up by phone and offered to split his shopping fee if she would just help him fill the

report out and avoid a time-consuming trip to the property. (Ouch!) Fortunately, this

honest on-site professional reported our lazy shopper to her supervisor, who immediately

called EPMS. Boy, were we red faced!

And then there are the shoppers who decide to fill out the shopping report during the

leasing presentation, in full view of the person being shopped! Some shoppers just don’t

get the concept.

And, finally, there is the occasional male shopper who simply can’t resist the temptation

to ask a cute leasing professional for her home phone number. Hey, buddy, we’re not

running a dating service. This is a shopping company!

Now you see why I say that anything can happen during a shopping evaluation! I hope you

enjoyed this lighter side of the apartment shopping and employee evaluation business. Perhaps I

or one of my shoppers will see you at your property in the future. Happy leasing!

Landlords do all kinds of screening to determine whether someone will be a good tenant, pay the rent on time and treat the property well. Several

landlords in New York have a special tool: Their property manager is a psychic. In addition to pulling tenants' credit reports for the traditional

screening, Joan Baker subjects the tenants to "psychic credit checks."

"It’s more than just a hunch about somebody," she told The New York Times. "It’s a physical reaction you get, where you can almost see what’s

going to happen once they move in."

You may laugh, but Baruch Herzfeld, who contracts with Baker to manage buildings and screen tenants – particularly the artistic types -- finds her

services invaluable.

"I’ve never had a problem with anyone she’s checked into," Herzfeld said. "I don’t know what part is psychic, what part is luck and what part is

interpersonal skill. But I know she’s effective."

Choosing good tenants is the top challenge for most landlords, and they all wish they could see into the future when deciding which tenants to

accept (while adhering to federal anti-discrimination laws and local landlord-tenant ordinances). It's easy to run a credit check, but a high FICO

score doesn't always make someone a good tenant. Plus, particularly in these times, there is a difference between someone who has a low credit

score because he or she suffered a foreclosure and someone whose credit score is low because he never pays any of his bills on time.

If you're not psychic, be sure to go beyond the credit check and do a good screening interview plus check with former landlords. From the Times

article, it appears as if Baker has property-management skills beyond her psychic abilities, which may also account for her success – and is

something most landlords can emulate.

"If you don’t have credit and somebody gives you a positive evaluation, you’re more likely to pay rent on time to prove that person right," Herzfeld

told The Times "That, and you don’t want to disappoint a psychic. She might put a hex on you."

So how do you form that relationship with this “millennial” customer you’ve never met or are meeting for the first time?

Your reputation MUST precede you! You’ve got to get in the social

media game – interact with current customers, engage them in an

online format so they will tell their friends about you. Don’t fear

online ratings sites; research shows that 68% trust sites with mixed

reviews (rather than merely those with only good things to say). They

want to know they are getting both sides of the story!

Be the person you represent yourself as! It’s still about truth in adver-

tising. Your online listings must be truly representative of your

product and more importantly their real customer experience must

mirror what they have “heard” about you!

Remember, Generation Y wants what you’ve got if you can persuade

them you’ve got what they need. They need the latest and greatest in

products, services, and technology – whether that’s the newest gym

equipment, free Wi-Fi connectivity, a cool coffee lounge, or simply

the ease of communicating with you online 24/7.

Here are some bullet point tips to help you go green at your apartment community. These ideas only scratch the surface, but every little bit helps!

For Residents and Apartments

Offer online payment options for rent.

Send online/email notices to residents vs. paper notices.

Use “Green” products when available:

Change light bulbs to CFL’S (Compact Fluorescent Bulbs)

Use water saving fixtures like showerheads, commodes, kitchen and bath faucets

Use Energy Star appliances

If you can, replace old water heaters with tankless models – these save on energy,

and give you back up to 16 sq ft of storage space in a typical utility closet

Install programmable thermostats in apartments

Use Low VOC paints

Recycle Building Supplies and Household Items:

Carpet

Inkjet and laser printer cartridges and wireless phones

Electronics – you can direct residents to MyGreenElectronics.org for the “how to”

Plastic, glass, and paper products

Even large items like mattresses and furniture

Your Property Management Office

Turn off computers and unplug unnecessary electronics at night

Use online banking and teller scanners

Create a paperless office by using email to issue owner statements

Hold training sessions over the Web. (Saves gas in transit to/from the meeting too)

Create virtual Policy and Procedure Manuals

Replace light switches with occupancy sensors in all infrequently

used common spaces

The EPA’s ENERGY STAR Website can help you get started with a plan to improve your building’s energy performance. They also list products that are designed to cut costs and increase efficiency. The EPA Guiding Principles for Federal Leadership in High Performance and Sustainable Buildings, recently adopted by over 18 federal agencies, including EPA, provide a good model. The Guiding Principles call for integrated design, energy performance, water conservation, indoor environmental quality, and materials aimed at helping Federal agencies and organizations:

Reduce the total ownership cost of facilities

Improve energy efficiency and water conservation

Provide safe, healthy, and productive built environments
