Please note – you cannot ADD jobs, quotes, clients, suppliers or products using SmartTrade Mobile. It has been designed for Field
staff to update jobs that have been added in the office. If you want the full functionality of SmartTrade Essential in the field, you
can access this directly using any Windows based tablet or laptop – OR – through RDP using an Ipad or Android device. Please

Quick guide to SmartTrade Mobile
Welcome to SmartTrade Mobile – here are a few quick tips to get you started.
1. Logging in
You will need to know your individual user name, password and company code to log in to SmartTrade Mobile
successfully. These should be provided by your office administrator.
In SmartTrade Essential they can be found on your Employee record and in the Mobile preferences:
Once logged in, you will stay logged in unless you specifically log out

2. The Dashboard
From here you can view your Calendar, Jobs list, Timesheets and Orders
2.1 The Calendar
Days highlighted in BLUE have current appointments
Days highlighted in PINK have past appointments
Scroll to view the appointment details for the selected day. Click on the required appointment to open the job.

2.2 The Jobs List
This lists the jobs that have been dispatched to you.
Return all dispatched jobs
Change the sort order of
your jobs
Enter anything to search for
the job (number, address
etc)
Click to see Active, Hidden or
Returning Jobs
Job Details:
Number and Appointment
Time entered
Client and Site
Last Order number
Indicates if Time, Notes or
Status change is required
(and done) before returning
the job
Site Contact – click to dial

2.2.1 The Action Menu
Click on the options available to perform the required action
2.3 Timesheets
This will display all timesheet entries available
You can see time entered, the ‘posted to job’ status and whether the timesheet has been ‘sent to Office’. Once a
timesheet has been sent to Office, you can no longer edit it on the device

2.4 Orders
Displays all the orders added (either on the device, or in the office) for the jobs in the job list.

3 The Job Card
When you tap to open a job from the jobs list the following details are displayed:
Click to see and update Client, Jobsheet, Notes
or Schedule entries for this job
Click to select new job status from list
Initial job notes – you can edit these by clicking
on Notes from the Top menu

3.1 The Jobsheet
Click on the JobSheet to see materials and labour on the job and add more….
3.1.1 Adding Materials
Click to delete a line or move
lines up and down
Scroll to the right to see all the
line details (note, this may vary
depending on security privileges)
Click Add to select from
materials lists. Click Heading to
add a heading.
Select by Category, Supplier, Code or
Description…
Use ‘Quick Add’ to add the line with
a quantity of 1, or ‘Add Item’ to
change the quantity before
adding:
Click to Return to the Jobsheet after
you have completed adding items

3.1.2 Requesting an Invoice
Once you have completed adding Materials, Notes
and Time to a job (and have the correct security
privileges) you can create an invoice for the job.
The invoice will be created in the Office system
automatically when the Job is returned. It can then
be printed or emailed from there.
Tap ‘Create Invoice’
The invoice value is displayed with the GST value
included
The checklist must be completed prior to the invoice
being created
Tap ‘Request Invoice’ to have the invoice created
when the job is returned

4. Returning a Job
There may be preferences set in the Office system that will prevent you returning a job until certain actions have
been performed:
Once you have completed the required actions, the Job will be put into a status of ‘Returning’
If you have internet coverage, the job will return immediately, if not – it will wait until internet access is next
established.
These indicators will be “lit” if the
actions have taken place
