Open up the report: Employee List—Simple
From the eFinanceplus Main Menu →Click on eforms & tools→Click on COGNOS reporting→sign on
→Click on the Report Studio Icon to open up the report
→We will now save the report with a new name so we can keep this original as a backup before making any changes.
→Name the new report: Employee List—Grouping and Sorting→be sure you are in the correct folder→click save

→As you look at the top left of your screen, (may be in a tab) you will see that the report you are currently going to editis: Employee List—Grouping and Sorting
GROUP/UNGROUP
To improve readability of a report, you can group items by using the group/ungroup tool →For this exercise, we will click on Department
→Click on the group/ungroup tool

→run the report to the screen→As you can see below, the information is now sorted by Department, and within the department the employees are ina random last name order
→To make the report more readable, you can drag the Department column to the far left→notice the indicator which shows that the report will be grouped by the Department
→re-run the report

SORTING Although we now have the report grouped, we notice that the employees within each department are not sorted. In this exercise, we will sort them.
→Click on Last Name column→Click on the Sort tool icon; then click on Edit Layout Sorting
→on the left side of the screen; you will see all the data items→Department will already be on the right side of the screen because we are grouping by that data.→Click on the Detail Sort List folder to add the rest of the data we will sort→Double click on the following fields to add them to the sort:
Last Name First Name Middle Name Employee Number
→click ok to save

→run the report→notice that within each department, the names are now in alphabetical order
→exit the viewer→you can always change the sort order of the names or ID by going back to the Edit Layout Sorting→click on the Last Name data item on the right-hand side→click on the sort icon at the bottom→notice that the Last Name has been changed to descending→click on ok
→Exit the viewer
