- get the right information at the right place

- integrate development of app early on in event planning process

- what is app for? what does it need to do?

- have internal user group, clients, anecdotal feedback for app brainstorming

- development of their website also has to integrate with app

- app store approval timing

- also plan together as a team whatever will go into mobile strategy

- hosted buyer sched in app gives everyone immediate info in their hands

- be mindful of culture differences: diary vs. schedule (naming app features)

- creates personalization = better sense of belonging onsite, draws them closer to the tradeshow

- it’s all about the individual

- networking and education are key

- app is important for connecting

- use it for Q&A onsite - attendee sends question to instructor and those questions can be aggregated

- polling engages audiences

- enables mid course corrections and attendees can give their input

HOW DOES MOBILE TECHNOLOGY:

CONNECT TO OTHEREVENT AND BUSINESS SYSTEMS?

CP:

- app is now a communication tool that covers both web and mobile

- have an IMEX container app

- used as a year-round communication tool

- content management system lets them generate event apps within container app

JP:

- deep integration between registration system and mobile app reduces staff time and increases accuracy

- when you register for a meeting, it automatically syncs with app

CP:

- integration means one system with less errors

- participants expect to have two-way sync between all your sources of information

- start with your current vendor (ex. reg system) to see if they already have an API component for mobile integration

JP:

- advertisers are always looking for new ways to get the word out

- people can engage with sponsors more through mobile

CP:

- what value does the app bring to our clients? And how do we integrate that into our business plan?

- Can’t afford to have an app is like saying I can’t afford to have a website

- primary driver is to increase value to participants

- give people positive experiences of any app - not just your event app

- do app demos, webinars and seminars

- next time they come, you have a better chance to get them to download and use app

JP:

- added engagement (polls, Q&A) gets attendees to utilize app more

- found that people are now downloading on multiple devices - huge win for PCMA

enhance your experience

DEFINING AND MEASURING SUCCESS

JP:

- look at how many people download the app

- but also look at how much people are using and engaging with the app (looking at sched,

connecting with others, participating in polls, etc)

- look at individual sessions to gauge how people are using it and how much they are engaging

with education

- strong analytics tool helps them do all this

CP:

- analytics important tool

- can see how many appointments are created and moved around

- adoption across lots of different people (by age, device, etc) is important

- audience is looking for a business enterprise tool and IMEX app reflects this

- other entertaining features can go in app as long as it isn’t distraction

- sponsorship: analytics proves ROI (value vs. cost)

WHAT ARE YOUR FAVORITE APP FEATURES?

JP:

- crowdsourcing: put everyone in a hall with different stations with industry experts tailoring the

education around questions being asked in the app

- likes Interactive Map, Location-based services (ex. iBeacon)

CP:

- Agenda: schedule keeps him on track, can make and show appointments with it

- What’s On Now: view of everything happening in next 60 mins (helpful for last-minute scheduling

or if you change your mind about a session)

WHAT WOULD YOU LIKE TO SEE NEXT?

CP:

- looking at more integration with registration systems and web database

- more transparency about data privacy and security

- adding health features to IMEX app to be more mindful of how you’re doing at event and while travelling

- way to show offsetting of waste

“IF I WERE YOU I WOULD...”

- start with these questions: what is the app for and what does it need to do? who is going to use it

and do they know how to?

- can’t just have an app, need to think about business and client needs first

- put user group of key stakeholders together

- work with a good company that can hand hold you through process and take care of technical details

- could bring in mobile tech consultant/specialist part-time or full-time
