Introduction
PMS- project management system is web application system that allows user to create, view
and analysis globalized projects in specific desired period. The system has been designed
and implemented using state of arts technology and framework which especially used for
enterprise or organization.
This guide describes how user (admin, manager, or salesman) with Internet connection to
use this PMS system on a desktop or laptop computer.
You can visit PMS in several ways:

Visit http://www.vbh.com.sg/ then click on ‘VBH PMS’ link shown left navigation bar
Visit http://pms.vbh.com.sg/welcome.action directly to home page
To begin understanding how to use PMS, it is best to start accessing http://pms.vbh.com if
possible.

Getting to know PMS
The following diagrams descript some of the main features available in PMS for different
types of user to use.

Any user could access this page and login link will redirect to next login page

User is able to tick “Don’t ask for my password for two weeks” checkbox so that who can
login next time without filling in the password within a period of two weeks.
Functionality for admin user
The two new links appeared in the menu bar which are search user and create user once
login as admin role. Singapore [SG] represents this login user belongs to.

Functionality for manager
The three main activities that the Manager can perform are:
- Search Project - View detail of a particular project - Search Report
Search Project
Within this function, Manager can perform the search depending on the following criteria:
- Searching the project within the selected year, for instance, all the projects conducted in 2008. The projects will be listed in months from Jan to Dec.
- Searching the project of the selected month based on the specified year - Manager can also narrow the search by selecting the specific location/country of the
project. - Manager can also perform the “partial search”, where he can insert only the portion
of the project title and perform the search. - Manager can also specify the scope of the search result based on the “status” of the
Project by using the “category tabs” shown below the “Search Project” title , namely
Tender/Quotations: Pending Won Lost Marketing Specs: Submitted Approved
For all the above mentioned the criteria, the results will be described as

In additions to these functions, Manager can also view the details of the particular project by
clicking the project number.
At this stage, the “Review Project” page will appear and the project detail will be displayed in
three categories
- Project Essential Info for Marketing Executive Use - Probability Factors for Marketing Executive Use - Attachment to view the attached files
Manager can also check the date the specified project is created and the date which is
modified.
Furthermore, Manager can also view the different versions of the project by clicking the
version numbers and can trace the changes done on a particular project.
To view the attached file, the manager can click on the file name where he/she can either
open or save the file.
*The purpose of this page is to show the project information details to Manager and the
contents described on this page cannot be modified.
Search Report
Under this category, Reports can be searched on the yearly, Quarterly and monthly basis.
Reports can also be downloaded as a summary report or detailed report.

Summary Report can be viewed from three different aspects:
- by Countries and Sales Staff - by Countries and Vendors - by Vendors and Countries
Detailed Report
Detailed Reports can be viewed either for all countries and all sales staff or for a particular
country and sales staff.
In this case, the reports can also be viewed from three different angles:
- by Sales Staff and Vendors (Marketing Spec) - by Sales Staff and Vendors (Tender/Quotation Spec) - Personal Track Reports
Based on different requirements to retrieve the report, the report is in PDF format.

Manager is able to search project or search report, view particular project, and so on.

5. To search project in key words (It is partial search, therefore user need not fill the
exactly keywords)

By clicking on the Project No hyperlink to view more details for this project, but the
manager couldn’t modify the project contents.

1. Generate report for selected year
2. Generate report for selected Quarter
3. Generate report for selected Month
4. Generate summary report by selecting any one of its below items
5. Generate Detail report by selecting any one of its below items
6. Generate Detail report by selecting country and staff
Based on different requirements to retrieve the report, the report is in PDF format. The
yearly, quarterly, monthly summary and detailed report can be produced.

Functionality for salesman
The main functions that a Salesman can perform are
- Search Project - Create Project - Search Report
Search Project
A Salesman can conduct the search using the different criteria, similar to those of the
Manager, such as:
- Projects within a specified year or month - Projects based on the status
The salesman also performs the “partial search”.
However, the salesman can only search the projects created by him/her.
Create Project
- A salesman can create the project by filling up the project details in the “Create New Project” form.
- This form includes two parts with a view to be used for two differently purposes, precisely: Marketing Spec (for Marketing Executive Use) and Tender/Quotation (for Sales Executive Use).
- For Marketing Spec, the salesman has to fill up the information such as Architects, Consultants, Main Contractor, Product Value etc. and System will automatically generate Project Total value.
- For Tender/Quotation spec, the salesman has to input the information such as status, estimated success rate and estimated Award Date etc. which reflects the possibility factors of the project.

- Salesman can edit or update the information of the project by clicking the “Update the latest version” link.
Uploading the files
- After submitting the project, Salesman can upload the support documents. This can be done by clicking the “Upload files” link.
- The Upload files windows will appear and the “Browse” button will allow the user to choose the file that he/she wants to upload.
- “Back to the Project” button will redirect to the previous page.
Note: The upload file size should below 1M, and the format is office 97-2003.
Search Report
The salesman can search his/her reports on “Time range search” such as Yearly, Quarterly
and monthly.
Salesman can also download his/her Personal Track Report. The report will be in PDF
format.

Salesman is able to search project, create project or search report, view project created by
him/her, and so on.
Search Project
Search the projects created by salesman himself/herself, enter project title to start searching.

Create Project
Filling details for the new project creation.
There are two portions in which user may fill for different purpose. First portion is marketing
specification for marketing executive use, followed by Tender/Quotation for sales executive
use.

User may update project information by clicking the link of “Update the Latest Version”
Update existing project
Click on the Update The Latest Version link to edit the project

After summiting, the new version for this project is created.
After the project is submitted, salesman can upload supported documents for the newly
created project. Click the Upload files hyperlink to open a new file upload page.

Proceed to file uploading, Browse to the file in your PC then click Upload button to start
uploading.
Search Report
Years, quarterly and monthly detailed report can be produced. The report is in PDF format.
