President’s Musings

As a wise saying goes, be gentle with others but be stern with yourself.Disciplining oneself is easier said than done. We all set targets forourselves some methodically, others haphazardly as all of us want to reachsomewhere. The intention is not to become a super achiever; but to growspiritually, emotionally and intellectually. Why do some lag behind whileothers march ahead? Is it that the achievers are just plain lucky? Or is itthat they are born with talent while others were not? The truth liessomewhere else

The truth is that there is a thin line between success and failure. The firsttask is to consciously decide which side of this line you want to be. Oncedecided you must diligently tune the body, mind and intellect to work inconcert. Finally, you must apply the principle that small tasks doneconsistently and continuously go a long way towards success.

How is it that some of the brilliant speakers are able to come with dazzlingideas while we struggle to script our speeches? To be able to have anoutput in any sphere of life one needs to have an input. To become bodilyfit you have to exercise your body. If you set aside half an hour of your dayfor reading and do it consistently, the cumulative effect would be amazing.Those thirty minutes added on over months and years and you become averitable encyclopedia of information.

But then, human mind is so ingenious that it comes up with impossible excuses that prevent us fromachieving what we set out. Q: Tell us something about yourself. How did you come to knowabout Toastmasters & since when are you a member?A: I am Mubeen, software professional. I used to consider myself anexcellent communicator, till my General Manager asked me to look for aprogram to help my colleagues improve on oral communication.

I googled, and found Toastmasters. I attended a meeting of HyderabadToastmasters on 14th April 2008, and it showed what a goodcommunicator I really was. The following week I went to VisionToastmasters. What I saw was people like me, hesitating to speak, butgathering the courage because of the friendly atmosphere. Theorganization of the session, the different roles, hooked me on. The verynext meeting, in May 2008, I joined Vision Toastmasters.

In a couple of weeks, at the joint installation ceremony of HyderabadToastmasters and Vision Toastmasters, the person who was taking upthe role of Secretary had backed off, and I was asked to take up therole. My journey of leadership had started with no return tickets.

In early 2009, I chartered a club in my organization – DST WorldwideServices, becoming its founder president. Played almost all club officerroles in Vision and DST Toastmasters. Was an Area Governor in 2009-2010 and District 82 PRO in 2010-2011. The lessons in leadership andthe rich hands-on experience that I got with Toastmasters, have metotally addicted to this amazing movement.

Q: What is Oration 2013?A: Oration is the annual “kumbh mela” of the Toastmasters of District41. It is a time to make new friends, and cherish the old ones. It issomething every toastmaster looks forward to.

Oration 2013 is an amalgamation of the celebration of the:

Odyssey of District 41, which started from Pune in 2011, went to Delhi, and Kolkata, circling back toHyderabad.

Revelry and rejoicing our successes and achievements.

Adrenaline rush of the International Speech Contest.

Training programmes that have no match in the industry.

Inspirational Speeches from real life heroes.

Opera of dance drama and music – amazing performances and entertainment by our very owntoastmasters.

Networking opportunity with amazing people from across the country – people who have made a positiveimpact in their life and society.

Q: What are the highlights of Oration 2013?A: Oration 2013 is special in many ways

The host divisions: Divisions H and F (Happy Family as we like to call ourselves) – offspring’s of the bestdivision of 2011-2012, the fastest growing divisions in District 41.

The Star of the event: Darren Lacroix, 2001 World Champion of Public Speaking, one of the top notchtrainers in public speaking, humour, and leadership in the whole world, will be in India for the first timeever (www.darrenlacroix.com).

The Contests: Witnessing 10 contestants who have crossed multiple levels of battles to react the DistrictLevel International Speech Contest, where we will choose one of them as our hero to represent the nationat the World Championship of Public Speaking.

The Magnitude: Oration 2013 is shaping up to be the largest conference since the inception of District41.

The Venue: Hyderabad International Convention Centre, known as India’s Convention Capital, thewinner of the ‘Best Convention Centre’ National Tourism Award by Incredible India for three years in arow. (www.hicc.com)

The City: Hyderabad- ranked 3rd best place to visit in 2013 by “lonely planet”.

The Accessibility: Hyderabad is a location that is well connected and easily reachable from almost everypart of India.

The affordability: We are working hard to make sure the conference is affordable, so that everytoastmaster can attend it.

Event Contests: We have come up with contests to make sure all toastmasters feel involved with thepreparation of Oration 2013. (Last date for submission – End of Feb 2013)

Recorded Speech Contest: Deliver a speech, promoting Oration2013; record a video and share it withus, along with the names of peoplewho registered as a result of yourspeech. (All toastmasters eligible)

Logo Story Contest: The logo of Oration 2013 tells a story.Let’s see what your story is. Write abrief article describing what you see inevery aspect, angle, color, element ofthe logo. (All toastmasters eligible)

Q: How attending Oration 2013 would benefit any individual? Veteran Toastmasters know thebenefits of attending such conferences, but how it would benefit specifically to people who arenew in Toastmasters, or people who are still not Toastmasters?A: Toastmasters is not just about giving speeches and getting feedback. It is a massive movement with aplethora of benefits. It is synonymous to a huge hypermarket, where you walk in with a large trolley. Themore you involve, the more you participate, the more your trolley gets filled. It is absolutely up to you ifyou want to do window shopping, or fill your trolley to the brim – all at a nominal price of 6$ per month.

Oration 2013 is like a sale – a shopping festival – an annual exhibition, where people from all walks of life– newbie’s and veterans alike, come together to learn together, share their experiences, exhibit theirachievements, celebrate their successes, make plans for future endeavours, and return home with somuch to take back – new friends, experiences, and memories to cherish.

This is an opportunity that can never compare to long periods of learning in a regular Toastmasters setup.

Q: How are you promoting Oration 2013? Have you initiated any marketing campaigns?A: The veterans, who understand the value of these semi-annual events, don’t need any marketingcampaign. However, to make the newer genres of toastmasters aware, we have various means:

We do have campaigns planned for the next 3 months, which will be announced at the right time.

Q: How many people are expected to participate in Oration 2013?A: We are expecting at least 700 delegates from across India, which is more than double the number ofattendees at any of the past 3 conferences of District 41.

Q: What are the roles & responsibilities of a Conference Chair?A: My role as Conference Chair is to oversee all preparations related to the event. Something of thismagnitude with little or no financial help is a huge project to manage. With the help of a large number oftoastmasters working on different aspects of the conference, my job reduces to make sure everything isgoing in tandem.

Q: Organizing such an event is herculean task. Please brief us about your team & itsorganization.A: Having served at a smaller level – Division level Conference Chair twice, in the past, I understand thedynamics of organizing such an event.

However, planning an event of the scale of Oration 2013, is definitely a herculean task, especially whenyou are planning an event more than double the size in terms of number of delegates of any past event ofthe district.

I have a large team working with me, with the following toastmasters heading each team.

All these committee chairs are assisted by a number of volunteers. In addition to volunteers from theHappy Family, we have toastmasters directly helping us from other divisions as well.

With around 100 volunteers, my job as conference chair is both easy and difficult. Easy because there aremany people to execute the tasks. And difficult because maintaining coordination and proper inter-dependencies and communication among all these teams is a big challenge!

Just like any other task in Toastmasters, where the learning is equally proportionate to how much youenjoy doing it, my team and I are making it a point to enjoy every bit of the next 100 or so days.

The biggest challenge I am facing today, where I would seek help from every toastmaster of District 41, isto help us with sponsorships. That is the only way we can continue to maintain the registration price lowand affordable for everyone.

Q: Whether playing the role of TMoD at club level or Conference chair of such a big event, howhas Toastmasters helped you hone your event management skills?A: The basic funda of organizing any event is the same – be it the TMoD at the club level, or ConferenceChair of Oration 2013.

“Hope for the best; Prepare for the worst”.

From my experiences as conference chair – at Division level in the past and District level today, I havelearnt the art of keeping a team motivated at all times; looking beyond the targets and deadlines andstatus reports; understanding priorities; dealing with different kinds and classes of people; focusing on thehuman side of the event.

Managing an event with very limited funds, and self-motivated volunteers, sometimes becomeschallenging.

All this has helped me a lot in my professional life, giving a boost to my career, as well as acceptabilityand love of my colleagues.

A Trainer's Journey in Toastmasters

On the other day, I received a call from CC Umesh Agashe. He did askme a question “As a trainer, did it help being a toastmaster”. “Veryinteresting question”, I thought.

I just tried to recall my own journey. I was a Project Managementtrainer, working in Mumbai. It is not easy to take trainees through 400odd slides, which just talk about various processes and not so interestingtopics like quality, standards, risk assessment, performance matrix.

I had been to ‘Train the trainer' workshop, a public program conductedby some firm. I understood that story telling is an important skill and atrainer has to master the same. However, we could not use that duringthat workshop. Neither we had time nor the emphasis on the same.

I did attend a speech modulation training too. Almost at the same time, Igot associated with Toastmasters too. Subsequently, I did shift to Pune. Icontinued doing projects from my Competent Communicator Manual. Ifound that doing projects from your CC manual will definitely help toimprove your skills in voice modulation, using body language etc.

More important from a trainer's perspective are advanced manuals. Twointeresting manuals I found were 'Entertaining Speeches' and 'Storytelling'.

As a trainer, you have to tell stories. This may be to tell a moral or sharing a personal experience.Storytelling used to be the most common way of teaching others, particularly in oral tradition basedcultures (like India). It still is a valuable learning and training tool. Here you will find help with usingstories and fables for learning purposes in seminars, presentations, and training.

Storytelling can be a great tool for maximizing learning. Every time we understand a new set of data,learn a new skill, change an attitude, or share a part of ourselves with others, we do it through creatingsome sort of story. By using the storytelling process consciously, we can increase the effectiveness,appeal, and enjoyment of our training sessions.

The other manual which, I did complete was 'Entertaining Speeches'. It will help us to add humor, in ourtraining session. More important is that we manage to have a clean fun, because we may have to deliverthese programs to a larger audience (with different genders and age groups). At toastmasters, though wehave a lot of humor, we do not talk about religion, sex, and politics. That does help during trainingsessions too.

A trainer finds it difficult to manage the audience in post lunch sessions. And guess what? In toastmasterswe have an entertaining speech to be delivered after dinner!

I found advanced manuals definitely reinforce some skills you already learnt during your journey to CCand help you in your profession. When I say profession, it is not limited to training. Perhaps my fellowtoastmasters from sales, media etc. would not agree more.

I understood that story telling is an importantskill and a trainer has to master the same. As atrainer, you have to tell stories.Storytelling used to be the most common wayof teaching others, particularly in oral traditionbased cultures (like India).

A Toast to My Tryst with Toastmasters!

The word 'Toastmasters' brings to mind images of toasted bread, masters(experts/teachers), and fine wine! For those in the know, however, the realityis very similar and yet very different – we do have masters but in speaking,we have bread but at dinner sessions, and we drink fine wine at every specialoccasion when we come together!

None of these was known to me, though, when I first heard of Toastmastersnearly four years ago. My uncle in the US, himself a Distinguished Toastmaster, had been telling me for many months about Toastmasters. He triedselling me the idea of learning how to speak in public, write speeches ondifferent topics with various objectives, and meet and network with a diverseset of people from many different backgrounds. I however was a stubbornand lazy fellow who just wouldn't buy it!

In late 2009, though, I did join Pune's only community Toastmasters Club (atleast then it was the only one, and currently it is the oldest and largestcommunity club), the Toastmasters Club of Pune or TMCP. In nearly 40months since then, I have successfully delivered 20 prepared speeches that Inever imagined I would be able to deliver, and taken on leadership roles andresponsibilities I would have thought were far beyond my capabilities andinterest.

Toastmasters talks of two tracks on which a person can develop – theCommunication Track and the Leadership Track. On the Communicationtrack, we begin by learning how to first speak on the stage on a topic assimple as our own selves, and later move on to more challenging themessuch as a well organized speech, a speech with a message, a speech basedon research and/or using visual aids, and persuasive and inspirationalspeeches. At advanced levels, we give different speeches under the umbrellathemes of entertainment, information, special occasions, humor andentertainment, management, and others.

On the Leadership track, we perform many roles at Toastmasters meetings and special events. At basiclevels, these include masters of ceremonies, meeting organizers, speech evaluators, grammarians, andmany others. At more advanced levels, we train other Toastmasters on different skill sets and we alsotake up senior positions within the Toastmasters community at the Club/Area/Division/District Levels.

Toastmasters has been a great boon for me. I was always good with the English language, both verbal &written. What I learnt here though was how to do it even better. I did always have some amount of stagefright, but after the first 4-5 speeches I erased that from my dictionary! I have earned two educationaltitles in my stint at TMCP, and have delivered many speeches that were appreciated for theirentertainment, information, and organization.

This has helped me outside of Toastmasters as well – I work as a correspondent for a leading car and bikemagazine, and the many articles that I write daily have only benefited from my experience atToastmasters. I appreciate how to write a balanced article without offending anyone but also notcompromising on facts and how to organize it well for maximum impact.

In terms of people skills, the contribution has been even more. In the course of playing roles andconducting training sessions at the meetings and special events, I have improved my people skillsimmeasurably. I feel I am more confident and self-assured in my interactions than I was before, and I canput my point across and ensure I am taken seriously because I know what I am talking about (or at leastappear to!).

I am not fazed by the “bigness” or significance of the occasion and can talk to anyone anywhere aboutmost things. This is not just at Toastmasters but also in day-to-day life, be it sweet-talking a cop out offining me for a traffic violation, talking to my seniors at work, or blasting incompetent customer carepersonnel – it may not work for the last of the above, but for sure they get the message even if they donothing about it later!

I have met a number of people – Toastmasters and guests included – from many different backgrounds,ranging from 18-year old college students to 70+-year old grandfathers. Along the way, some droppedout of the club but many continued on, and lots of new people also came in. Interacting with this ever-changing set of people has helped my ability to handle differing temperaments and sensibilities and earntheir tolerance, respect, and often friendship too!

The value of Toastmasters cannot be measured, only treasured! This is not just a clichéd statement but isa fact that has held me in good stead thus far, and I hope this continues forever.

How to select “Topic and Title” for your Speech

Many a times, when I discuss with my fellows Toastmasters about givingspeeches in the Toastmasters, a typical question being asked is what Ishould speak about in my next speech and how to give the title.

Though Toastmasters manual explains about the objectives and how weshould present the speech, what to speak about and how to give a title isleft to the individual Toastmasters.

However, any new Toastmasters may need some guidance in this regardand this article contains the relevant input shared by a few seasonedToastmasters based on their experience.

ACB Jose.PR

ACB Jose.PR is the eldest Toastmasters in Pune and he is well known forhis energy, enthusiasm & proactive participation in the Toastmastersmeetings. When I asked him that how he decides subject & title for thespeech, he shared his strategy.

1. First read the objectives of a project multiple times & understand them very well.2. Get into Alpha-Meditation (follow below steps)

a. Go to a calm place and close your eyesb. Count from 50 down to 1c. Now you are in Alpha-Meditation state.

3. Remain in the state for some time & try to locate the speech idea from your personal experiences,based on the objectives you have read.

4. After finding an appropriate topic, write your speech, rehearse it number of times and deliver thesame.

5. To determine title of the speech, read the speech once and try to come-up with one-liner or one-phrase summary of the speech & that can be title of your speech.

CC Sameer Naik is member of TMCP-Central. He has made a record in completing the CompetentCommunicator title in just about 3 months. He has been delivering the best, winning speeches one afteranother. When I asked him to share his strategy for selecting topic & title for the speech, he shared hisinsights as follows.

1. For the first-four speeches, it will be more appropriate to speak from your personal experience.2. You can even take-up some story like Panchatantra and narrate that in your own words or you can

speak based on your hobby.3. When it comes to 5th and 6th Speech, you need to exhibit the body-language and vocal variety. So

this time select some stories having multiple-characters, so that you can show vocal variety withthat.

4. For 7th Speech you need to Research the Topic, you can take-up something you are morecomfortable with. If you take-up something on which you have a good knowledge, you will be ableto speak with more confidence.

5. From this speech onwards you can speak on some topics related to Management.6. For 8th Speech, you need to use Visual Aid, and for this you can come-up with some topic which

you can explain with PowerPoint. Also you can use any of the Props (materials) to explain thespeech.

7. For 9th and 10th Speech you will be making a Persuasive-speech & Inspirational-speechrespectively. Take-up something which the audience can get Persuaded or Inspired with. For e.g.,if the topic is about India, then the audience will get connected easily with the topic.

8. You can refer to mediums like Newspaper where you can get good idea for the speech.

TM Azharuddin Khadri is fast approaching to his Competent Communicator Title and he is known for hisinnovative speech topics, titles & use of English language in his speeches.

According to him, we can follow below four steps to come up with excellent topic & title for our speeches.

1. Read the objectives of a particular project to understand what you should deliver.2. Try to relate the same to your life; something you have noticed in the past, or something which

you can connect with the audience.3. Once the topic is decided, write the speech and then choose the title from the topic of your speech.4. Always select the title in the last.

The first TMCP Membership Contest:

We are happy to announce the first TMCP membership contest. As you know, from time to time, some ofus bring in friends/relatives/acquaintances to the club meetings, and a small part of those guestsultimately enroll as members. So we have decided to inject some excitement into this!

Please find below details of the contest.

Duration of contest 21st January 2013 to 20th February 2013Eligibility for Participation

Any current member OR someone who enrolls during this period, can participatein the contest. You do not need to register your names with anyone - everymember is considered a contestant!

Contest rules:

• The guest must pay his/her complete fees (one-time fee + monthlymembership fee) up to March 2013 or September 2013 BY 20th February 2013• The member who brought in the guest must inform ACB Gaurav Nagpal([email protected]) about o The name of the guest o The amount of fees paid and month till when fees are paid o The date when the fees were paid• The winner will be the person who converts (to members) the largest numberof guests during this period.

Currently he heads the TalentAcquisition function for L&T Infotech at Pune Centre.

His journey in Toastmasters started about 2 years back.
