IntroductionThe head office generally sends complete master records to its chain stores irrespective of the actual items that are available at the store to sell. If these master records are imported directly into the Shoper 9 POS database, the retrieval of the master record will be slow and it will impact the performance of Shoper 9 in general.

Shoper 9 therefore supports a ‘secondary’ database that will hold the information of all item masters, and selectively imports masters required by the chain store into the primary database.

ScenarioIn a retail chain, a specific store will hold masters relevant to the stock held by that store. If a customer approaches any store in the chain for an exchange and the store does not find the particular master in its primary database, the same can be imported from the secondary database. Only then, a Return/ Exchange bill can be issued.

Apart from this, when goods are transferred within chain stores, if the masters of the trans-ferred goods are not available in the primary database of the receiving store, such masters can be imported from the secondary database and then the goods can be accepted through Transfer In.

ProcessCreate Secondary Database in Shoper 9 POSGo to Setup > Create Secondary Database.

The Manage Secondary Database window is displayed.

The options available are

Create Secondary Database: To create a new secondary database and attach it to the current open company.

Attach Secondary Database: To attach an existing secondary database to the cur-rent open company.

Migrate Secondary Database: To migrate the existing database from an older ver-sion of Shoper and attach it to the current open company.

To proceed, select Create Secondary Database and click Next to continue.

Click Next to continue.

The server name used here is RANGANATHT.

In Shoper 9 Release 3.0, the database naming convention is:

Primary Database: SHOPR73xxx

Secondary Database: SHOPSDxxx

The secondary database is created and a confirmation message is displayed.

Click Finish to complete the process.

The corresponding sample VACOMPANY Table entry (in the Security DB) is as shown.

While creating a secondary database, the system first checks for SecondarySQL_001.ini where all the necessary SQL statements are stored. The system then checks for Retail.Sdbs where the primary key for the secondary database is defined.

Configuring Item Master Export for POS Secondary DatabaseIn Shoper 9 HO, the creation of a secondary database is defined when a new showroom is created. At HO, select the masters to be exported as secondary database to a particular showroom.

The Company Showroom Details screen is displayed as shown.

Extract Masters from HOTo extract and export the masters created in Shoper 9 HO to Shoper 9 POS,

At Shoper 9 POS,

Go to Data Sync > Export > Master Data to POS

The Data Transfer to Shoper POS window is displayed.

1. Select the date range

2. Select All or Range of location, zones, states, showrooms for export of masters to Shoper 9 POS

3. Select the masters for export from the table

4. Click Export to send the files

A message is displayed to confirm the completion of the process.

A secondary database can be attached to multiple primary databases (mul-tiple companies).

Create and Import Masters into Shoper 9 POSTo create the Masters in Shoper 9 POS, import masters from Shoper 9 HO using any one of the following modes of communication.

Flat File thru On-line: When the configured IP address is enabled for automatic syn-chronisation.

Flat File Transfer Through Mail: If the mail application is configured for manual syn-chronisation, the system checks for the file and imports the same to Shoper 9 POS.

Flat File Transfer Through FTP: Data is created and updated in the FTP folders in Shoper 9 HO and the same is imported into the corresponding folder in Shoper 9 POS during synchronisation.

Flat File Transfer Through Direct Copy: Mention the path from where the files are to be downloaded and the masters uploaded.

If we receive the file manually, save the zip file in an IN folder. Import the same using the Import into Secondary database option.

Example, save the Pricing Master file in an IN folder and import the required Pricing Master. The file name format of the Pricing Master file is SHFS02_001_CCC_00001.TXT

where:

SHFS02 is the File Name

001 is the Source Code ( from where the masters are imported )

CCC is the Destination Code (to where the masters are imported)

00001 is the Serial Number

A zip file is created in the Out folder of HO. This zip file contains the .txt, .ast and .seq files. The zip file is sent to POS, based on the mode of communication selected.

To set the mode of communication at Shoper 9 POS,

Go to Setup > General > System Parameters > Data Sync

The data is transferred based on the mode of communication set for each showroom.

Importing Masters into Secondary DatabaseIn Shoper 9 POS, the option, Housekeeping > Data Import > Import into Secondary Db. (s) is used for importing masters created in earlier version of Shoper or any other software.

To import the masters created in Shoper 9 HO Release 3.0 into Shoper 9 POS, select House-keeping > Synchronise with HO. The data synchronisation takes place between HO and POS based on the settings, i.e., either auto synchronise or manual.

The Manual Sync window is displayed as shown.

Click Manual sync to start the manual synchronisation.

The Day End processes include the data transfer between HO and POS, and are based on the settings during installation.

Importing Masters into Primary DatabaseAfter creating the secondary database, import the masters from Shoper 9 HO into the Shoper 9 POS secondary database. From the secondary database, the required master records can be selectively imported to the primary database of Shoper 9 POS.

In Shoper 9 POS,

Go to Housekeeping > Data Import > Import Items from Secondary to Primary Db.

This option helps to identify the required masters efficiently. Filter the masters in secondary database and import the same into primary database.

The Primary DataBase Updation window is displayed as shown.

General Selection:

Enter the relevant values in the respective parameter fields for the required Master search. Example, in an apparel store, the parameters are Stock No, Item Desc., Prod-uct, Brand, Style, Shade and Size.

Enter the code against any of the fields.

Click Show All Records to display all the records.

Enter the number of records to be displayed in Show Records. This option is deacti-vated if Show All Records is selected.

Select the sorting order from the option Sorting On.

Select the Order in Ascending to view the records in ascending order.

On clicking Search, based on the filter criteria, the data with the details is displayed. Alternatively, press F4.

Select individually or click Select All, as per the requirement, to import into the primary database.

Advanced: Click this option to display additional filter conditions to further refine the search.

Advanced Selection option can be selected by pressing F2 in Stock No. Example, in an apparel store, the parameters available are Rate, Department, Buyer, Fibre, Finish, Col-our Base, Styling, Usage and Service Item (for Service Billing).

Press Enter or double click on the masters to be selected.

Click Load to accept the selections and load the masters.

Backup of Secondary DatabaseThe backup of the secondary database is not taken every day, i.e., during Day End. The backup of the secondary database is not activated due to it’s large size. The backup is to be taken manually once in 15 days or once in a month, as required.

In Shoper 9 POS,

Go to Housekeeping > Backup

The Backup Database window is displayed as shown.

Select Secondary and click BackUp.

Database TuningIn Shoper 9 POS Release 3.0, options are available to re-index database masters and to truncate the Log file. This helps to reduce the size of the secondary database and save space on the hard disk.

Go to Housekeeping > Database Tuning Utility

The POS DB Tuning Tool window with the Secondary DB option is displayed as shown.

Select the type of operation and click Start to tune the database.
