RENAULT TRUCKS - Chief Information Office – IT Specification for Dealer Version 2012

PAGE 7 31-01-2012

This document outlines the technical recommendations for computer equipment (server,

PCs) used by distributors or repairers for working with the information systems supplied by

RENAULT TRUCKS.

It also provides recommendations for the interconnected network between the various sites of

a dealership (WAN) and for the set up of a dealership site's local area network (LAN).

Finally, it also contains general recommendations on information security management.

Comments:

• Regarding the WAN and LAN parts, the recommended bandwidth only applies to the

requirements for RENAULT TRUCKS. When designing the interconnection lines

between your sites and Renault Trucks, attention must also be paid to the specific

needs of your site or sites.

• You are strongly recommended to hire an IT subcontractor if there is no IT manager

on-site to carry out the design, installation and maintenance of the computing

infrastructures.

Basic diagram of the IT infrastructure:

1-3 Operating system. - The operating system approved by Renault Trucks and the Volvo group is Windows XP SP3. - Windows 7 Professional can be used if Windows XP becomes unavailable. It is necessary to keep one Windows XP work station for running applications incompatible with or not fully functional under Windows 7 and Internet Explorer 8. - Windows Vista is not recommended by Renault Trucks. Please note that Windows Vista is not approved by Renault Trucks in the following application environments: Renault Trucks DMS, Partner Proposition, Partner Distribution, & Renault Trucks Online. - Although not recommended, Windows TSE can be used and most Renault Trucks applications will run on it. There has been no formal study testing all the dealer applications on TSE. In the interests of helping dealers who nevertheless would like to use TSE, features and incompatibilities known through experience in the network are given below. In all cases, Renault Trucks cannot provide assistance with the implementation and configuration of Windows TSE in order to guarantee the running of applications made available to the network. This is the responsibility of the dealership that decides to invest in this system. All IT malfunctions on TSE architecture will be handled by the support team with no guarantees regarding resolution or response time.

1-4 E-mail - The e-mail clients recommended by Renault Trucks are: Microsoft Outlook and Microsoft

Outlook Express.

1-5 Security - An updated antivirus program must be operational on each site computer.

There is no antivirus publisher recommended in particular, but it is important to choose:

- a recognised publisher in the market (Symantec, Computer Associates, Trend Micro,

etc.).

- antivirus software able to detect malware (e.g. Trojans, spyware, key loggers).

Page 10: RENAULT TRUCKS TECHNICAL RECOMMENDATIONS FOR AUTHORISED ...itpanel.renault-trucks.com/Preconisations/IT_Technical... · renault trucks technical recommendations for authorised distributors

- The antivirus must be capable of scanning different types of traffic (e.g. internet, e-mail, etc.).

This antivirus must be automatically updated on every PC connected to your company network.

Updates must be done daily.

1-6 Internet browser

The Renault Trucks Online portal works with Internet Explorer 8.

The recommended browser is therefore Internet Explorer 8, with the exception of the Partner

terminal which is always installed with Internet Explorer 6 (for compatibility with Partner CRM).

2- Technical environment

2-1 Equipment room

2-1-1 Location There should be an equipment room as close as possible to the hub of the work areas it serves so that none of the cables between it and the work stations has a length exceeding 90 metres. In practice, the sometimes indirect routes of the cables to the terminal sockets mean that the most remote work stations are located within about 60 metres of the equipment room.

Equipment rooms housing splitters and sub-distributors should be located as far as possible from sources of interference. In particular, they should be located several metres away from powerful motors (lift machinery, etc.) and power rooms.

Furthermore, in most cases, it is well-advised to install equipment rooms within 90 metres of each other in order to have the option of exchanging high-speed applications between equipment rooms via a twisted pair cabling (as a backup for the fibre optic system, for example).

2-1-2 Environment The equipment room must be healthy, in accordance with the standards in use for premises accommodating personnel and in conformity with the specifications of the equipment located in it (humidity, temperature, dust). It must be free of any trace of water.

The premises housing the operational equipment (routers, Switch), must be properly ventilated and if possible air-conditioned. The temperature of these premises should be maintained between 15 and 25°C.

Networking devices are sensitive to electrical power problems. It is recommended to connect them to a backup network (separated from the company's electrical network) if this is already available on-site.

The equipment room should have a surface area of between 10 and 20 square metres, depending on its function.

Page 11: RENAULT TRUCKS TECHNICAL RECOMMENDATIONS FOR AUTHORISED ...itpanel.renault-trucks.com/Preconisations/IT_Technical... · renault trucks technical recommendations for authorised distributors

Laurent GERAY STEERING

RENAULT TRUCKS - Chief Information Office – IT Specification for Dealer Version 2012

PAGE 11 31-01-2012

In all cases, the equipment room must provide enough space to allow a technician to move around freely.

It is important for the networking devices (Switch, routers) to be installed in a network rack. The size of this rack will depend essentially on the number of users on site and also the number of remote sites. Thus the more users there are, the more network/telephone sockets will be required in addition to the networking devices themselves.

All these recommendations are important to keep the computing and networking devices in good working order which will allow a good quality of IT service and long life.

2-2 Cabling

2-2-1 Standardisation of cables (Copper & Optical) The pre-cabling of the sites must comply with the specifications of this document, ISO standards IEC11801 1.2 Edition of 01-2000, EN 50173/A1 and EIA/TIA 568-A-5, as well as the European directives on the protection and emission of electromagnetic waves, and on the propagation of flames and the emission of toxic gases in case of fire (LSZH).

2-2-4 Cabling: labelling Labelling must be permanent. This is very important because it will avoid cross-connection

mistakes (router/server cable disconnected). In addition, labelling is practical for network/IT

support (Dylophane label, mechanical engraving or similar).

3- Networks

3-1 Speed for using the RENAULT TRUCKS applications These recommendations apply only to the use of the RENAULT TRUCKS applications. To these recommendations each site must add the speed required for their other activities, in particular for connection to other company sites and Internet access.

Two values are given below:

The first gives the recommended speed from RENAULT TRUCKS to the site.

The second is the recommended speed from the site to RENAULT TRUCKS including the associated reaction time.

*If the latency is equal to or higher than the recommendations, it will be necessary to look at your network infrastructure.

3-2 WAN interconnection networks WAN interconnection networks provide computers at secondary sites with access to the local resources at the main site (DMS server, file servers, internet access) as well as to the RENAULT TRUCKS applications.

General recommendations:

Installation of a backup solution is mandatory on sites with a DMS server (RT DMS, CREDEL, EUROPL, etc.) and in general, is strongly recommended.

An operational monthly follow-up of the lines is highly recommended. The information given by your provider should indicate the load on the links, the problems encountered in the past period, the latency, and also monitoring of the global service quality of your WAN interconnection network(s).

3-2-2 Recommended network typology for inter-dealer communications

It is highly recommended to interconnect your sites via VPN connections between sites over an operator's MPLS network. The GTR (guaranteed resumption of service) must be stated by the operator and must be a maximum of 6 hours.

3-2-2-1 Recommended network topology

Two multi-sites network typologies are possible: • A point-to-point network which links the different sites by centralising them in general to a

main site.

• RENAULT TRUCKS does not recommend setting up this kind of network.

Page 14: RENAULT TRUCKS TECHNICAL RECOMMENDATIONS FOR AUTHORISED ...itpanel.renault-trucks.com/Preconisations/IT_Technical... · renault trucks technical recommendations for authorised distributors

Laurent GERAY STEERING

RENAULT TRUCKS - Chief Information Office – IT Specification for Dealer Version 2012

PAGE 14 31-01-2012

• RENAULT TRUCKS recommends implementing an MPLS network. This type of network

allows all the sites to be connected to each other through a provider infrastructure.

For an MPLS network, when defining the connection of each site, attention must be paid to the location of the central servers which are accessed by the different sites (e.g. the DMS server). The site hosting the servers has to be connected to the operator servers by a symmetric line (SDSL) to ensure adequate speed for secondary sites.

The recommended technologies for access to provider networks are: • ADSL (not recommended if using the product RENAULT TRUCKS DMS)

• SDSL (recommended if using RENAULT TRUCKS DMS)

• Leased lines if you are not eligible for xDSL

3-2-3 Additional services When choosing your operator, the following additional services must also be taken into consideration: remote access to site servers, DHCP (automatic allocation of IP addresses to site PCs), class of service (QoS) and IP telephony.

Page 15: RENAULT TRUCKS TECHNICAL RECOMMENDATIONS FOR AUTHORISED ...itpanel.renault-trucks.com/Preconisations/IT_Technical... · renault trucks technical recommendations for authorised distributors

3-2-4 Internet access Establishment of a secure access to the Internet at professional level is essential for Distributor and/or Authorised Repairer sites with a minimum speed of 512/128 Kbps (1024/256 Kbps is recommended) per site. As all Renault Trucks applications can now be accessed via the Internet (directly or via VPN over Internet), there should be Internet access:

‐ From each site (for availability and performance reasons, access via the main site should be avoided)

‐ Secure access (control of access rights, site filtering) ‐ Authorising the following network protocols: VPN SSL (https), VPN IPSEC (for CRM

synchronisation) and SISNAPI

Access rights to the operator's core network should be restricted

3-3 LAN

3-3-1 Architecture

The LAN architecture must be based on a reliable network core and available distribution. The most efficient Switches must be used in the network core and the distribution switches are to be connected in star topology to the network core. The interconnection lines must be correctly sized to carry the load to the network core. The rules below must be followed: Servers connected at 100 Mbits/s or 1 Gb/s for server and Switchrenewals. Switches interconnected at a minimum of 100 Mbits/s or Gigabit for new installations or renewals. Routers used to route local private networks should be connected at 100 M (if possible). The IP addressing plan should conform to RFC1918; the LAN IP addresses should be assigned within the following ranges: 10.0.0.0 - 10.255.255.255 (10/8 prefix) 172.16.0.0 - 172.31.255.255 (172.16/12 prefix) 192.168.0.0 - 192.168.255.255 (192.168/16 prefix) Note 1: The range 10.57.96.255 (10.57.96.0 / 24) is reserved for IRC use or Renault Trucks DMS. Note 2: The URL http://sccm-i01.it.volvo.com/ must be accessible from DIAG. This URL is accessible in http or https over ports 80 and 443. The server IP address is 153.112.162.23.

Routing between the different networks used for secondary sites must be performed by a dedicated routing system.

3-3-2 Choice of technologies

Obsolete technologies

10M Hubs, 100M Hubs, Switches with 10M capacity only, Ethernet 10b2. The use of hubs should be avoided as the bandwidth is shared among all the ports used. On a 24-port hub, the 24 users share the bandwidth of the hub.

You should opt for Switches that perform better (higher speed) and manage flows better.

Recommended technologies

The dealership servers (DMS server, print servers) should be connected to the network core component. This component should be a Switch with all three capacities: 10/100M/1000M. The servers connected to this Switch should have a configuration compatible with the Switch configuration.

It is recommended to keep a backup of the Switch configuration in order to carry out maintenance operations (provided that the Switch can be configured).

It is also recommended that the Switch be monitored by the service provider responsible for maintenance and IT support.

A service maintenance contract is recommended for all the network equipment, as in the event of a hardware problem downtime can quickly have consequences for the business activity. Otherwise, the dealer can keep a spare network device to substitute for a faulty device.

3-3-3 Response time or latency. On the LAN, response times should be less than 5 ms and preferably reach 1 ms.

4- Security

4-1 Security of internet connections The internet connection is secured with the internet access provider's firewall equipment. All other Internet connection solutions must be secure. It is mandatory to protect the networks via the most secure Internet access router firewalls. In addition, it is recommended to activate a personal firewall on each PC on site (Windows Firewall at minimum). In all cases, we recommend subscribing to the internet access provided by Orange Business Solution. Renault Trucks also recommends using a proxy service and internet filtering . Windows must be updated regularly (but be careful not to update Internet Explorer). If you are using external mailboxes, the antivirus filtering option and the anti-spam option must be enabled. Secure internet access to the mailboxes must be used for webmail (e.g. https). The same applies to PCs; any direct connection to the Internet that is not secure must be made from PCs NOT CONNECTED TO THE NETWORK of the establishment. "Free" access (without authentication and without proxy) to a list of sites must be possible and even mandatory for RT DMS When setting up a firewall at the repairer's site, the following points need to be checked in order to authorise correct operation of the DMS applications (RT DMS): The following IP address should remain available for use by IRC: 10.57.96.0 / 24 The firewall configuration must authorise the following traffic from the Renault Trucks DMS server to two Renault-trucks datacenter servers: table Firewall rules necessary for IRC or Renault Trucks DMS to run properly Other security pre-requisites required for correct operation of Renault Trucks DMS: • RT DMS Internet connection must not pass via a proxy. • The RT DMS server must be able to perform a DNS name resolution.

4-2 Antivirus Updated antivirus software must be installed on every workstation (PC). In addition, it is recommended to keep the OS and the applications updated on all PCs (Windows updates). In general, simple rules of good behaviour must be respected, such as not installing or running unknown applications (e.g. received by email).

4-3 Backups It is highly recommended to install a data backup solution. Backups should be made at night or during a quiet time of day, so as not to disturb work flows. For greater security, it is recommended to store the tapes off site.

PAGE 18 31-01-2012

4-4 Security for wireless connections (WiFi) There are several kinds of risks:

• unavailability of WIFI links • network intrusion into the site's network • identity theft (e.g. to access the internet) • confidentiality (intercepting data exchanges between a PC and the servers) • fines to be paid if radio frequencies prohibited in the public domain overflow out of the

dealership's private domain The following precautions should be taken:

• Comply with the legislative texts on frequency channels and transmission power • Restrict the area covered to the necessary geographical area (e.g. do not allow coverage

in the car park area without authentication). The location of the WIFI terminals and the setting of their minimum transmission power should only cover the use of the site itself (this will affect the choice and the configuration of the terminals as well as the choice of antenna types).

Note: There are easy-to-use freeware programs available on the Internet (for example: NETSTUMBLER), which give a good indication of the real coverage area of a site and can be used to limit it appropriately.

• Forbid any SSID WIFI broadcast • Secure the WIFI network access (authentication/authorisation) by enabling:

o WPA-PSK with a PSK (pre-shared key) containing at least 25 characters and mixing uppercase/ lowercase/ numbers/ punctuation.

• Secure data confidentiality in the WIFI network by enabling: o Either TKIP encryption (dynamic WEP key). o Or AES encryption.

• Use approved WPA-Personal equipment (if WPA-PSK is enabled) • Use WPA2-Personal or WPA2-Enterprise approved equipment if AES encryption is

enabled.

If logic virtual solutions are used (VmWare, etc.): the number of Oracle licences required relates to the physical number of server CPUs

If physical virtual solutions are used (Oracle VM, Xen, etc.): the number of Oracle licences required relates to the number of virtual CPUs used

In addition, the dealer remains fully responsible for his infrastructure (server and virtual solution) and undertakes to provide the IRC / Renault Trucks DMS application with a virtual server that meets the above recommendations.

Note: The RENAULT TRUCKS DMS application runs with ORACLE licences with an invoicing system based on the number of CPUs. RENAULT TRUCKS therefore recommends you respect the CPU recommendations precisely. A single Dual Core processor.

However, RENAULT TRUCKS stresses that a dealership with more than one hundred users (100) should adapt and resize the IRC 2000 or Renault Trucks DMS server technical specifications in order to suit its own operational requirements.

5-2 Server Maintenance The server should be covered by a suitable maintenance contract which must be regularly renewed.

A maintenance contract for Linux RED HAT distribution must also be arranged

The following equipment is required for remote assistance:

• An asynchronous V90 modem with an RS232 interface connected to the server

• A direct analogue phone line, dedicated to technical support.

5-3 Technical requirements An uninterruptible power supply (UPS) must be installed to provide power for at least 30 minutes to the remote assistance modem and to the server.

It is strongly recommended to install an air-conditioning system.

5-4 Workstation specifications for IRC2000 or RENAULT TRUCKS DMS and for the networks.

5-4-1 IRC 2000 workstation. IRC2000 runs on the standard PC defined in appendix 7.1. For more information about the standard PC configuration, please refer to appendix 7.1 at the end of this document.

IRC2000 & RT DMS are compatible with Windows 7.

5-4-2 RENAULT TRUCKS DMS workstation The RENAULT TRUCKS DMS application (available in January 2011) runs on the standard PC defined in appendix 7.1. For more details about the standard PC configuration, please refer to appendix 7.1 at the end of this document. Note: RENAULT TRUCKS DMS does not require Acrobat Reader to view or print documents.

5-5 WAN and LAN network requirements for IRC2000 or Renault Trucks DMS. The WAN and LAN network specifications as well as the flow and latency recommendations for accessing the IRC 2000 and RENAULT TRUCKS DMS applications are identical to those specified in chapter 3 of this document. SDSL technology IS HIGHLY RECOMMENDED for guaranteed latency and thus response time for IRC2000 or RENAULT TRUCKS DMS.

Renault Trucks strongly advises its dealers to plan a monthly meeting with their access suppliers in order to monitor their network with quality indicators (network load and latency). Such indicators are available for all Optinet customers.

Renault Trucks has observed that latency has a significant effect on the performances of both the IRC2000 and Renault Trucks DMS applications. For your information, you will find below the response times given by the main functionalities as simulated on a bench test in order to highlight the effect of latency on response times.

Latency time < 1ms Between 30 & 60 Ms

Between 60 & 80 Ms >> 80 ms

Response time IRC2000

or RT DMS Very good Good Acceptable * Poor *

* Your network infrastructure needs to be looked at carefully for improvement.

6- Diagnostic tools The Renault Trucks diagnostic tools can be used in WiFi mode. To avoid malicious intrusions into your private network, Renault Trucks recommends that you implement the security devices and means described in paragraph 4.4 of this document.

6-3 Use of Renault Trucks DIAG The Renault Trucks DIAG diagnostic tool comprises a Panasonic laptop PC and a Movimento communication interface (VCI). To be used in WiFi mode, both components must be connected to the dealership's wireless network through the workshop terminal in secure mode. Any terminal compatible with this secure mode is acceptable and Renault Trucks does not impose any particular model. However, as part of the deployment of Renault Trucks DIAG, technical support will be provided by IT Line Support for CISCO Small Business Pro AP541N models. IT Line Support is unable to provide technical support for the configuration of other models.

6-6 Host Name (or Computer Name) The "Hostname" (or computer name) of a Renault Trucks DIAG is used for monitoring software updates. It is also needed by the support team to help with handling requests for assistance. If this has been modified, please contact IT Line Support as soon as possible to provide the new Host Name.

6-7 Authorised software The DIAG must only be used for the purposes of vehicle fault-finding. Software authorised by Renault Trucks is available on the Renault Trucks Online portal.

6-8 Modification of date and time Modification of the DIAG date and time may falsify the authenticity of the administrative documents edited by the tool. It is therefore recommended to check these settings.
