2020-2021 TSDS Data Collection Requirements Changes§48.009

TEA adopted rules to include pregnancy as a reason a student withdraws from or otherwise no longer attends public school.

Leaver Code 08 has been added to Code Table C162. Pregnancy- Student (female or male) withdrew from/left school because of pregnancy.

Students that leave within the 2019-2020 school year can be reported with these new lever reason codes as leavers in the 2020-2021 PEIMS Fall submission.

Two PEIMS indicator codes related to pregnant and parenting teens taking CTE courses:

SINGLEPAR- indicates whether the career and technical education student is unmarried or legally separated from a spouse and has a minor child(ren) for which the parent has either custody or joint custody.

PREGTEEN- indicates whether the career and technical education student is pregnant.

*A student might be a single parent and pregnant parent at the same time; however the districts are only able to report one of those conditions for each student. *

Having the required documentation is vital to your program.

• For your district to claim PRS eligible days present for funding,all required documentation supporting a student’s eligibilitymust be on file. Documentation requirements are listed in theSAAH Section 9.15.

• Documentation should be legible and easily reproducible. • Ensure all required dates and signatures are documented

For each period of prenatal confinement, documentation from a licensed medical practitioner stating a medical necessity for confinement that requires the student to remain at home or in the hospital and specifying the anticipated length of the prenatal confinement (see 9.8 CEHI during Prenatal Confinement)

8. When a special education student is served through the PRS program, both PRS and special education documentation (see 9.12 PRS and Special Education Services (SPED))

9. The teacher’s log of the actual amount of CEHI each student received for each week the student received CEHI (applies to both prenatal and postpartum periods)

The minimum documentation required in the logs maintained by a CEHI teacher is the following:

• the name of the teacher,• the student’s name and Texas Unique Student ID, • the date that the teacher visited the student, and• the specific time period that the student was served (for example, 10:00

a.m. until 12:00 p.m.)

CEHI On-Campus Waiver• Does your district have reasons that teachers are

unable to physically go to a student’s home?• Safety?• Parents will not allow teachers at the

home?• The on campus waiver allows PRS CEHI to be

offered on campus in a small group of four or less eligible students in a postpartum recovery that are transitioning back to school.

• Is it allowed for prenatal or extended?- No

• Dates – Check that all required PRS dates are documented.

• CTE Indicator- Double check that the career and tech indicator is turned off for PRS students while they are being served at home.

• Doctor’s Notes- Ensure all student’s receiving prenatal or extended CEHI have required doctors notes.

• Pregnancy End Date- This date starts the eligible six weeks of service; therefore very important.

• Return to class Date: A student may not always return to class the same date as they exit the PRS program, so this date needs to be recorded for attendance purposes.

• CEHI Logs- ensure there are logs for all home instruction students and the logs have all needed dates, times and are signed by the teacher.

• ARD Docs- Ensure that the coding in ARDs for SPED students properly reflect the homebound need.

• SPED Homebound logs- Ensure logs have all needed dates, times and are signed by the certified SPED teacher.

• Required Waivers- Ensure your district has all the required waivers for next school year or that the one you have is not expired.

Return to Campus

You may develop an excel spreadsheet to keep track of your PRS students. As long as the spreadsheet contains all of the required information then you may use it for documentation on your PRS students that did not have to receive CEHI. Students that may have delivered in the summer but were still in the PRS program that year. Meaning you would provide 1 sheet to cover all those students then you would need all the logs and the rest to cover only the students that received CEHI.
