Welcome to this course on Managing Tax School Leads. Tax School is an important component of the tax business. You need a quick, efficient way to manage the process of people inquiring, enrolling and completing tax school classes. The Employee Education eService assists you in the enrollment of tax school leads and the monitoring of tax school students and their progress. When you use this eService and all of its features, you ease the rollout of this important business function. To begin, let’s discuss how tax schools really benefit the business…

Tax Schools are important to the tax business in many ways. First, our schools introduce Jackson Hewitt to the general public as a leader in tax preparation. For those not familiar with the Jackson Hewitt brand, tax schools let people know that we prepare tax returns! Tax schools also demonstrate our commitment to quality tax preparation. Through our efforts to educate ourselves and others about taxes, we show our communities that we place a high value on quality and accuracy in preparing tax returns. Tax schools also provide learning opportunities to people who want to learn more about taxes. For many people, preparing their annual tax return is a daunting task. Even those who use a paid preparer may want to enhance their knowledge in the process of preparing and filing their tax return. Our tax schools offer excellent learning opportunities for those who seek to improve their tax knowledge for personal or job-related reasons. Though completion of tax school programs is neither an offer nor guarantee of employment, some people who learn about Jackson Hewitt through our schools become candidates for employment at various office locations. So now that we know how important tax schools are to the business, let’s begin to learn about the tools and resources that ease the rollout of this important business function.

From the eServices tab on JHnet you’ll find Employee Education. The purpose of this application is to create and maintain tax education classes and employee seasonal training sessions, it will help you Using this eService you can: Create courses Track and enter leads Enroll students Track and monitor attendance Evaluate students Hire a student This module focuses on the process of tracking and entering leads. The number of students actually enrolled in each class depends on the way you handle potential students or leads. It’s important to have a consistent, reliable method for tracking those who inquire about tax school classes so that they receive the right information and are then encouraged to enroll in the class. Think of the Employee Education eService as your contact management system. When information is entered into the system accurately, it serves as a powerful tool to help you track, manage and even analyze your leads (remove leads and change to tax school). So use it to make your job easier from the start! Let’s review the specific learning objectives of this module…

Enter Leads into Employee Education

Here’s a quick view of the steps required to enter a lead into employee education. Remember, a lead is anyone who expresses an interest in a Jackson Hewitt tax school class or course. Let’s quickly review the steps as listed here, and then on the next screens, we’ll discuss each step in detail. To begin, access employee education from the eServices tab. Select Find a lead or employee. You’ll need to enter the last name and the type… meaning whether you want to enter or find a lead or student. Then, select Find. Now let’s look at each step in detail…

Here’s the main menu of Employee Education. Notice the drop-down menu from Find at the top of the screen. Here’s where you choose Lead or employee. Now you’ll get this next screen. Here’s where you enter the lead’s last name and type – for our example that would be lead. Now click find. This process allows you to assure you are entering a brand new lead. IT’S IMPORTANT TO SHOW UPDATING AN EXISTING LEAD. ALSO, WE SHOULD STRESS THAT EMPLOYEES (EITHER ACTIVE OR INACTIVE) ARE NOT CONSIDERED LEADS.

If a record for that person already exists, you should update the existing record. If a new lead is entered when the lead that has the same name and phone number, you will receive a message indicating that the same name already exists in the system. When you click on OK, you update the existing record. If you are sure you are adding a new lead, you may click on cancel to proceed with entering a new lead, but please remember that this causes duplicates in the system which causes problems with your usernames, call campaign, and mail campaign. We’ll learn more about duplicate leads in just a bit. For now, let’s continue with adding our new lead or person inquiring about a tax school.

At this point, we know for sure that we’re adding a brand new lead. So, we continue by adding personal, regulatory, contact information, communication and inquiry information into this new record. Let’s take a look at the record and see how we’ll add this new information.

Here’s the file of a new lead, Annie Smith. Note where we add each piece of information… Personal – This is where we capture basic information about the Annie Smith. Regulatory – Here is where we record any available information, like the lead’s registration number or agency affiliation. Here is where you indicate the lead has an affiliation with CTEC. Contact Information – Enter here the best ways to contact your new lead. Try to capture the lead’s email address in addition to phone numbers, so that you have more than one possible avenue to get in touch with your lead. Communication – Indicate the lead’s preferences for methods of contact. Inquiry – Finally, capture how this person came to know of Jackson Hewitt’s tax school, and reasons of interest. Capturing this information will help you access the effectiveness of the various marketing programs that you have implemented. Once this basic information is entered, you may select to save and add another, or if this is the only lead you have to enter right now, just click save. To assure all leads receive ample contact and information about Jackson Hewitt’s tax schools, be sure you enter any new leads into this eService every day. Now, let’s take a closer look at duplicate leads…… Please direct them for more detail to the captivate and/or sessions.
