2. Logon

2.1. Put your card on the card reader

Standby button

Card reader

If the display is not illuminated, press the Standby button. The card must remain on the card reader whilst the device is being used.

2.2. Selecting and logging on to the cost centre

Cost centres

Personal credit Logon Button

To log on, first select a cost centre or “Private budget” and then press the Logon button. The costs of printing and copying are charged on the chosen cost centre or on the personal credit. Scanning is free-of-charge.

After successful logon, the main menu is displayed:

2.3. Functions on the main menu

Press this button to copy a document. See section 3: Copying

Press this button to print a document that has been sent from your Computer to the MFP. See section 4: Printing

Press this button to scan a document and send it to your e-mail address or save it on a predefined server drive. See section 5: Scanning

Press this button to scan a document and save it on an USB device (e.g. flash drive). See section 5: Scanning

Press this button to print a document that has been saved on a personal USB device (e.g. flash drive). See section 4: Printing

3. Copying

3.1. Selecting the menu

In the main menu (see figure 1), press the Copy button The following window appears:

3.2. Making the required settings

The range of different settings is described in the Useful copy functions brochure that is en-closed with each device. The MFP devices are equipped with a “finisher” that allows documents to be stapled and punched.

3.3. Starting the copying procedure

Define the number of copies needed and press the green Start button to start copying

Ensure that you log out before leaving the MFP. To logout you have three options: By removing the card from the card reader By pressing the ID button on the keypad By pressing the Logout button on the touchscreen Important: Do not forget the card and wallet!

4. Printing

4.1. Printing from a Computer

4.1.1. Selecting the menu

In the main menu (see figure 1), press the Secure print button

4.1.2. Selecting and printing the print job

Available credit Select the document (multiple selection is possible). Selected jobs are highlighted in light blue. Press Print + Delete to initiate the print job.

4.1.3. Logging out of the system

Ensure that you log out before leaving the MFP. To logout you have three options: By removing the card from the card reader By pressing the ID button on the keypad By pressing the Logout button on the touchscreen Important: Do not forget the card and wallet!

4.2. Printing from a USB device

4.2.1. Connecting the USB device to the MFP

Ensure that the USB device is connected to the corresponding port on the right side of the Canon MFP!

4.2.2. Selecting the menu

In the main menu (see figure 1), press the Access saved data button

After all required settings have been made, printing is started by pressing the Start printing but-ton.

Select the file to be printed on this display (multiple selection is possible).

Press this button after the selection has been made.

Select the paper tray and confirm with OK

4.2.7. Safely removing the USB device

Press the highlighted button to safely remove a connected USB device. IMPORTANT: Improper removal of the USB device can lead to a loss of data!

4.2.8. Logging out of the system

5. Scanning

5.1. Scanning and saving on the server drive

5.1.1. Inserting / positioning the document

Insert or position the original document (in-feed = text facing upwards; scanner bed = text facing downwards).

5.1.2. Selecting the menu

In the main menu (see figure 1), press the Scan and send button

5.1.3. Selecting the target directory

Employees should select the Scan to ADM folder option. Students should select the Scan to EDU folder option. Important: Do not change the Save and Edit options! These options are disabled by the system and lead to errors. Subsequent users can then no longer use the scan option.

5.1.4. Adjusting the settings

The document is scanned as a PDF with a resolution of 300x300 DPI as standard.

5.1.5. Starting the scanning procedure

Press the green Start button to transmit the scan to the server drive

The settings can be changed here (PDF / JPEG / TIFF / resolution / colour mode etc.). These settings are reset after a successful scan has been made.

5.1.6. Logging out of the system

5.1.7. Finding a scanned document

The folders for the different scanners used at FHNW can be found here: \\Fsemu11.edu.ds.fhnw.ch\e_11_data11$\E1113_Scanner Depending on your permissions, you will not see all the folders displayed in the next figure. Select the folder of your University: The document name is built out of the date and time of the scan, e.g. 20160504150559.pdf for a scanned document on Mai 4th 2016 at 15:05 PM:

The scans are deleted automatically after one day.

5.2. Scanning and sending to a personal e-mail address

In the main menu (see figure 1), press the Scan and save button

5.3.6. Adjusting the settings

Select the storage location and press the Scan button. Subdirectories can be cre-ated using the Folder func-tions button.

The settings can be adjusted in this window. These are reset after a successful scan has been made. If no file name has been assigned, then this is comprised of the date and time.
