Creating Classes

Via Classes tab

Click on Classes > Add New Class to begin. This will allow you to add an individual class by

completing the following form:

1. Please select IB Middle Years and the Year from the list.

2. If you cannot find your subject, please advise your MYP Coordinator to add the subject to the

selection of subjects offered at your school.

3. The Class ID can be any unique combination of letters and numbers as long as they do not

match any other class ID on ManageBac.

4. Description can be used to inform students of the class timetable, classroom, and other

information.

5. If you do not want students to register themselves for the class, select Lock class.

6. You can upload a file to be used as the class's image.

7. Select the rotation days on which the class will be offered.

Once all the steps are complete, click Create this class to add it to ManageBac.

Viewing Classes

Via Classes tab

You can access your classes by clicking the Classes tab on the top navigation bar. The page will

show you a list of classes that you have joined.

Selecting List View will simplify the screen by only showing the subject and the teacher

information.

Adding Students to a Class

Via Class > Students

After creating classes, you can add students to each class by clicking Add students under the

Students tab.

You can add students by checking their names on the list, and clicking Add selected students at

the end of the list.

• Students are listed by grade level. You can filter the students by grade level using the Year

menu on the right. Within the grade level, you can search for a student through the Quick

Search field.

• Once you have entered a student’s name, you will be able to select him/her from the list.

• If you do not find a student in the system, please contact your MYP Coordinator to ensure that

the student's account has been created.

• To save changes, click Add selected students.

Configuring Class Settings & Rotation Days

Via Classes > Overview tab

Configuring your class settings is essential to properly setting up your class.

You can access Edit Class Settings from the sidebar of the Overview tab of the class.

Edit Class Settings > General

Under the General tab, you will be able to confirm the Year (e.g. Year 5), Subject (e.g. Language

A - English), and your class Description, which will be visible to students and used when

generating report cards.

You can also upload a class photo, which will appear as a thumbnail in the sidebar.

You can also set your attendance Rotation days, including lesson periods. Be sure to click Save

Changes after making any changes.

After you have set your attendance rotations days, you can access your class attendance roster by

clicking on the Attendance tab. You will see that the dates shown correspond with the rotation

days you have set.

Edit Class Settings > Teachers tab

If the class is taught by more than one teacher, you can add a new teacher by clicking Add New

Teacher under the Teachers tab. Please select the teacher from the dropdown menu, and click

Save Changes to finish the process.

Edit Class Settings > Grades tab

If you wish to customize your class grades, click on the Grades tab. You can set both the

percentage and the IB scale. If you wish to add more grade ranges, click on Add New. If you wish

to reset it to the school default grade ranges, click on Set to School's Default in the right hand

menu.

Edit Class Settings > Task Categories tab

Under the Task Categories tab, you will be able to customize and color-code your task categories

(e.g. Project, Test, Investigation). Task categories can be used for either summative or formative

assessment tasks.

• To delete a category, click on the delete column of the category that you wish to delete

• To edit a category, type in the new name in the text field, and click on the color palette to select

a new color for the label.

• To add a new category, click Add New and type in the name, and select a color for the label.

Click Save Changes to apply the changes to your class.

Language B & Humanities Curriculum Changes

This tutorial will explain the practical steps required to ensure that your classes are fully up-to-date

for the recent curriculum changes in MYP: Language B and Humanities.

The first step is to ensure that your MYP Coordinator has set your subjects correctly. If you do not

see the phases available when you choose to Edit Class Settings, this is because the subjects &

phases have not been configured in the MYP Settings. Contact your school's MYP Coordinator to

adjust these settings.

Via Classes > Overview tab

Under the Overview tab of the class, navigate to Edit Class Settings, where you can define the

phases offered for your specific classes. Once you have chosen the phases offered, click Save

Changes.

Via Edit Class Settings > General tab

Via Classes > Students tab

If the class spans multiple phases (e.g. Phases 1-3), then you must make a judgment for each

student’s phase. This can be done under the Students tab by clicking on the most appropriate

phase for each student.

It is essential that this is done prior to assessment and term reporting as the criterion descriptors

will vary by phase. For example, if a student is shifted from Phase 1 to Phase 3, the criterion

descriptors will vary.

Why are old classes showing the old criteria?

Classes created prior to July 31, 2012 will continue to show the old assessment criteria and

objectives. The reason for this is because we cannot modify historical assessment data for the

2011-2012 year i.e. grades you have entered for your final term in June 2012 would permanently

remain based on the old subject guide.

While we implemented the curriculum changes on July 31, please keep in mind that the subject

guides were meant to be effective from September 2012 for May-session and January 2013 for

November-session schools.

What about my old unit plans and tasks?

Your old unit plans were automatically shifted forward into your new classes; however, as a group

you must select new Objectives and Criteria.

Your tasks can be transferred into your new class by clicking Add Resources under the Tasks

tab. This will allow you to update tasks with the new criteria.

Note: Unfortunately, any task-specific rubrics you created for old tasks in the prior subject guides

cannot be re-used. This is because the new criteria are different. For example, in Language B

there were previously five criteria (A-E), whereas now there are only four, so it was not possible for

us to carry them over.

Recording Homeroom & Class Attendance

Via Dashboard > Homeroom Tab

Via Classes > Attendance Tab

Under the Homeroom tab via Dashboard or Attendance tab within a class, teachers can mark

attendance for the current day by clicking Mark all as: and selecting the appropriate option (e.g.

Present, Absent, Late, Health, Field trip). Attendance information is automatically saved.

Historical attendance can also be adjusted by clicking the Calendar icon and selecting the specific

date.

Creating MYP Unit Plans

Via Classes > Units

Under the Classes tab, select the class in question. This will bring up the current Units page. To

add a new unit, click on Add Unit in the sidebar. If you wish to edit an already existing unit, click

the 'Unit Name'.

Create a title for your unit, select the start date and the length of the unit in weeks, and then click

Save Changes. This will create the unit. You can begin adding detail through the tabs on the right

hand side.

Edit Unit Plan

Once you have clicked on the 'Unit Name', click on Edit Unit Plan to edit the unit.

Click on the Summary tab. Here you can edit the title, subject, and duration. You can choose to

share the unit in grades that offer the same subject.

Under the Integration tab, you can add a Significant Concept, Area of Interaction, and MYP Unit

Question to sum up the unit.

Click on Assessment in the sidebar. Here you can create new tasks for the students by clicking

Add Task. You can also choose the criterion for the unit. At the end of the page, click Save

Changes.

In the Backward Planning tab, you can:

1) Add Knowledge or Skill requirements under Content.

2) Choose your approaches to learning through the ATL tab.

3) Create an exemplar Learner Profile for students under Learner Profile.

4) Explain how International Mindedness will be addressed under the I.M. tab.

Under Learning Experiences and Teaching Strategies, fill in the questions that follow.

Under Resources, you can add files, videos, and other data to help your students comprehend

the unit.

Under Reflections and Evaluation, you can reflect on the success of the unit.

Viewing the Vertical Planner

Via Classes > Units tab

The Vertical Planner allows you to see all your units in list and chart form. Go to the Classes tab

and select the class in question. In the sidebar of the Units tab, click on Vertical Planner.

This will take you to your units in chart form. You can generate a PDF of this if you wish to print

your unit plan. If you wish to go back to the other unit view, click on Back to Schedule at the top of

the page.

Viewing the Whole-School Curriculum

Dashboard > Planning

Under the Dashboard tab, select the Curriculum tab, which will lead you to the Whole School

Curriculum. Select a year under View.

At the bottom of the page, a timeline shows the months that units have been planned for. You can

filter desired units under Subjects.

Adding a Task

Via Classes > Tasks

You can access Add New Task under the Tasks tab after selecting the class in question from the

Classes tab.

After clicking Add New Task, you can link your task to a specific unit, enter the task name, and

select the assessment type (e.g. summative or formative):

• Formative Assessment Tasks are meant for practice to build competency and to provide

feedback. Common examples include homework and short quizzes.

• Summative Assessment Tasks are meant to evaluate the level of achievement at the end of

the unit. Common examples include exams and projects.

When assessing a task with criteria, you will have the option of using the default criterion

descriptors, which are built-in from the MYP subject guides.

Or you can modify these criterion descriptors to make them task-specific by clicking the

Task-specific criteria option. This will expand the criteria to show each level and to allow for

custom editing of the descriptors.

Lastly you can also select a due date, enable the Dropbox option to collect coursework from your

students, or enable TurnItIn to automatically generate originality reports to filter submitted

coursework for plagiarism.

You can also Attach Files and notify students via e-mail, which will send an e-mail notification to

students.

If you would like to duplicate your task in another class section that you are teaching, you can

simply tick the checkbox besides the class name. This will allow you to customize the Due Date for

your second class section.

Click Add Task at the bottom of the page to finish the process of creating your task. Alternatively, if

you are planning to create multiple tasks, click Save and Add Another Task to save your current

task and open a new Add Task form in one step.

Once your assessment task has been created, it will be permanently saved in the Subject

Resources section of ManageBac, this will allow you to easily re-use the same task in future

academic years without having to recreate it.

It will also enhance collaboration by allowing your colleagues to share assessment tasks between

classes without having to manually create them one-by-one.

Marking a Task via the Gradebook

Via Classes > Tasks

Marking your tasks is quick and easy. Under your Tasks tab, you can click Gradebook, which will

allow you to access your grades.

On the top pane, you can select specific tasks. By clicking on a task, you can select each student's

achievement level for each criterion, which will automatically fill in the descriptors box.

After clicking on a selected task, you can also view charts offering a visual representation of how

each student has progressed by criterion and task over the course of the term.

Annotating an Assignment

We have partnered with the software provider Crocodoc to permit annotating student work directly

on ManageBac. If you enable Dropbox for an assignment, students can submit files directly on

ManageBac.

Teacher View

Click on a file name in the Annotate column to begin. The file will automatically load in the

Crocodoc viewer.

You can leave comments and highlight student work.

To delete or edit a comment, hover over it and your options will appear.

To delete a highlight, please right-click on it.

Once completed, you can click on the arrow icon to download the original file or a pdf with the

comments. The system will automatically save and store all comments, so you no longer have to

download and upload files to your computer.

Student View

Students will also have access to the annotations and can also use Crocodoc to annotate their

work.

A note on best practices

Please note certain best practices, especially if you are in a region with unreliable Internet access:

1. While annotations appear immediately, they will not save immediately. If you navigate away

from the page too quickly, you may lose some of your comments. Please make sure to wait a

few seconds in order to allow the system to save.

2. If a document fails to load in Crocodoc, please email it to [email protected] so we

can conduct an analysis. Even if you cannot view and annotate the file, you should still be

able to download and view the original. A small percentage of files will fail to convert on

Crocodoc, so please advise any affected students to upload in PDF.

Reviewing TurnItIn Originality Reports for Classes

Via your IB Group or Class

When creating a new deadline or assessment task ensure that TurnItIn has been enabled. This

will automatically submit student coursework to TurnItIn and allow you to review originality reports

directly on ManageBac.

Next, you can click the TurnItIn Similarity Index (e.g. 98%) to view the full originality report. This

will open TurnItIn in a new window (you won't have to log in separately).

Select the Originality button to compare the submission's originality against TurnItIn's database of

papers and sources.

Submitting Term Grades via the Gradebook

Via Classes > Tasks tab

Within your Gradebook, you can submit term grades by clicking Submit Term Grades. On the

lower pane, you will see how individual students have progressed over the course of the term.

By clicking on each student, you will be able to enter final criterion achievement levels (e.g. 7 for

Criterion A) along with comments. ManageBac will automatically sum and convert the criterion

marks into the final MYP 1-7 grade. This can then be optionally correlated to a particular local

grade (e.g. A, B+).

Once all the grades have been completed your Term Grades will have been submitted

automatically. These will be used by your MYP Coordinator to generate reports.

Adding an Event

Via Classes > Calendar tab

You can add an Event (e.g. Meeting or Field Trip) to the class’s calendar by accessing Add a New

Event under the Calendar tab.

Please fill in the form to create an Event. You can edit Event categories by clicking Manage

Categories on the right-hand side.

Posting a Message

Via Classes > Messages tab

You can access Post New Message under the Messages tab of your class.

Uploading a File to a Class

Via Classes > Files tab

You can upload files such as class slides or the syllabus under the Files tab.

You can upload a file for your class by clicking Upload a File in the sidebar.

You can add a brief description of the file and assign a category.

Note: Only teachers can upload files for the whole class to view. Students can only view and

download the files by accessing the Files tab.

Via the Files Tab

Under Class > Files, you can easily add existing files by clicking Add Resources on the sidebar.

This allows you to choose from previously uploaded files. Tick the checkboxes next to the files you

want to add. They will be added to your class after you click Add Resources at the bottom of the

page.

Again, you can filter which files you view by category, author, and grade level.

Approving a Proposed Personal Project

Via the Projects Tab

Personal Project worksheets allow students to keep a portfolio of their Personal Project

documents, deadlines, and notes. These can be accessed under the Projects tab of the

Dashboard.

New changes will appear in the sidebar whenever there are changes to a student's Personal

Project. Selecting a student will lead you to his or her Personal Project page. You can approve the

proposal by checking it off next to the Status headline.

Under Notes & Interviews, you'll be able to leave messages and interview notes for your

students. This is ideal for posting comments and scheduling meetings.

Reviewing Progress & Deadlines

Via the Projects tab > Personal Projects Roster

As a Personal Project Coordinator or Supervisor, you can review the status of your students from

the Projects tab. The default view displays a list of the students assigned by supervisor with their

project proposal and status (Needs Approval, Approved, and Complete).

To view progress against a specific deadline, you can switch to the Deadlines view.

The Deadlines view allows you to see where each of your students stand relative to the global

deadlines that have been set (e.g. submitting an outline, meeting with supervisors, etc.). In this

case, we will want to follow-up with Jessica, who has fallen behind her peers.

Via the Personal Project Worksheet

By clicking on a particular student, you can view her full Personal Project Worksheet. This is

where you'll be able to review the proposal, check off completed to-dos, and record comments.

In the Notes & Interviews, you can leave notes for your student. If you tick 'Yes, record this note

as an interview.' students will not be able to view your note. This is a convenient way to store

private notes from your meeting.

Recording Personal Project Interview Notes

Via a Student's Personal Project Worksheet

After selecting your student under the Projects tab, scroll to the bottom of the Personal Project

worksheet to record an interview note.

Tick the Interview Note checkbox and you will be prompted to provide a date. Interview notes can

thus be used to record progress on a given date. Interview notes are not visible to students and

can only be viewed by faculty, including the Personal Project Coordinator.

Personal Project Assessment

Via IB Manager > Projects tab

Under the Projects tab in your IB year group, you can access Personal Project worksheets.

The Assessment tab builds in the IB guidelines across criterion A-G to allow teachers to complete

the Personal Project assessment.

Note: Each criterion is personalized with student's name.

At the bottom of the page, there is a Comments: textbox to include any commentary in addition to

the IB guidelines. Remember to click Save Changes.

Note: To comment individually on each assessment criterion, we recommend using subheadings

within the single textbox. Refer to above screenshot.

Personal Project Report

Once assessement is complete and changes saved, a Personal Project Report can be produce by

selecting Export to PDF on the righthand side.

Add to Term-Report

To display in Term-Report, tick the checkbox for Personal Project in the Overview tab and Save

Changes at the bottom of the page.

The Personal Project section will display the project details together with achievement levels and

their corresponding descriptors. The final 1-7 grade will also be shown together with the latest

Personal Project grade boundaries provided in the MYP Coordinator's handbook.
