Welcome to Kanata Academy Preschool. We are so excited you have chosen Kanata Academy to help enrich your child’s life. The following information will let you know what your preschooler will need for preschool and many frequently asked questions. If you have any further questions or concerns please feel free to contact the school for further information.

Program Statement

The mission of Kanata Academy is to allow children to develop a love of learning. Program Development Children develop at various paces and require different methods of teaching to maximize their potential. Kanata Academy believes that all children are competent, capable, curious and rich in potential. At Kanata Academy we view learning as a process that is achieved through child-initiated experiences and exploration in a positive learning environment. When this environment is in place children can achieve a sense of belonging, engagement, expression and well being, all of which are corner stones for our program. Our program incorporates indoor and outdoor play as well as active play, rest and quiet time to give our students a well-rounded schedule and ample time for inquiry and learning. Belonging At Kanata Academy we strive to make each child feel a sense of belonging and genuine connections to others. Teachers demonstrate and help to develop authentic, caring relationships between peers, teachers and the greater community. It is important that all of our students at Kanata Academy feel as if they are part of a family here. We strive to implement supportive, positive and responsive interactions among all of our students, parents and staff. Well-Being At Kanata Academy we encourage the healthy development of our students. We encourage healthy nutrition, self-regulation, and constantly support our students’ emerging sense of self. Engagement As teachers at Kanata Academy, it is our job to provide an environment and experiences that are engaging to our students. We strive to have our students involved in meaningful exploration that is active and inquiry based. All of our learning at Kanata Academy is play based, as children learn best through play. Expression Children express themselves in many different ways. Kanata Academy fosters communication and expression in all forms with our students. Our approaches are reviewed constantly and tailored to meet the needs of the

children in our classrooms, as Kanata Academy is an inquiry-based program. This is a documented process that encourages teachers to constantly learn and follow the lead of their students. An education log is made available to all teachers this is a log to record areas of the program that are working and areas that need improvement to better engage our students. At the monthly meeting these notes will be reviewed and necessary changes will be made to the programming always ensuring the four cornerstones of our program are being met. All staff members will sign off on any programming changes to ensure that they understand the changes and why they were made. Our teachers are encouraged and supported to constantly seek out professional development and further their understanding of early childhood education making for an engaged and current staff. At Kanata Academy we pride ourselves in having open lines of communication with our parents. Daily agendas help you to review your child’s day, monthly newsletters with pictures help you to see and understand what your child has been learning. You will also receive a report card to help track your child’s progress three times a year. Our teachers are always happy to answer phone calls and emails when they are not busy teaching. Twice a year we have a parent teacher meeting to review your child’s progress in the program and answer any questions you may have, additional parent teacher meetings can be arranged at the parent’s request. If you have any questions or concerns about the programming at Kanata Academy Preschool please feel free to speak with a teacher or contact the school directly at any time.

Specialized Services/ Individualized Support Plans

Kanata Academy is an inclusive environment. We are open to having outside support such as speech language pathologists, behavioral therapists, educational assistants, psychologists and physiotherapists provide on site services for your child. All outside support must go through our volunteer and outside support procedures before entering the classroom and be approved by the principal. Kanata Academy can help guide you if any of these services are deemed necessary for your child. If your child requires an individualized support plan, parents, teachers and outside professionals work together to create the most inclusive plan possible that helps the child to succeed. Once a plan is determined all individuals and professionals involved in the development of the plan must sign off on the document. All plans must include an outline of how the child will function and participate while in the care of KA; a description of any supports or modifications to the physical, social and learning environment, where applicable and the instructions on use of those support aids. These programs should be reviewed by all staff and signed off on under special requests. These plans are to be closely monitored by the Supervisor to ensure proper execution and success. The program will be fully reviewed on a monthly basis and staff will sign off on any alterations to the program.

Parent involvement

Opportunities to chat at arrival and departure time may be limited but please arrange a convenient time to meet with a teacher at a later date or leave a note for the teacher. The staff will be communicating with you on a regular basis via email, notes, newsletters, postings, daily agendas, the school website, blog and written reports.

Services Offered

Kanata Academy Preschool is a full day preschool program that runs September to June, Monday-Friday from 7:30am-5: 30pm. Kanata Academy also offers a summer camp program that runs in July and August, Monday-Friday 7:30am-5: 30pm. Kanata Academy Preschool program has been developed for children from 18 months-5 years of age. Preschool closures follow Kanata Academy School closures. There are no rebates or reductions for unused days of care for any reason including statutory holidays, family holidays or absence due to illness. Please see the Kanata Academy website calendar for all planned closures.

Fees for Services

Fees can be paid on a monthly or yearly basis. Total fees for the whole year including summer camp are $13,440, post-dated cheques are accepted for those parents that wish to pay on a month to month basis, or Personal Authorized Debit (PAD). Please contact the main office if you wish to sign up for automatic debit on the 1st of every month. Cheques will be cashed on the first of every month; each post-dated cheque should be made out for $1,120. A non-refundable enrollment fee of $150 is due upon enrollment into the program. A supply fee is also due upon enrollment at a cost of $80 for the year. Kanata Academy mails out child care tax receipts in February. Preschool tuition fees are tax deductible. For more information on this deduction please contact Canada Revenue Agency or a registered accountant.

Absences If your child is going to be absent from school we ask that you do your best to contact the school in advance. The monthly tuition fees are still paid in full when a

child becomes ill, the student is on family vacation, or Kanata Academy is closed due to an emergency.

Admission and Discharge Policies

Kanata Academy Private school works on a first come first serve basis. Due to the popularity of our program we often have a waitlist. To be put on our waitlist please contact the school and submit the registration forms required. When a spot becomes available an interview will be scheduled, prior to enrolment, to complete the necessary registration documentation which includes a registration form, emergency information, medical/immunization information and consent forms. Please bring your child's immunization papers, birth certificate as well as addresses and telephone numbers for your child's physician and emergency contacts. Parents are responsible for forwarding all immunization records to Ottawa Public Health. An orientation visit can be scheduled during your interview to visit the classroom with your child to help them adjust to their new surroundings. The staff have found it helpful to review each child's adjustment to the program after a one month probationary period. If a child is struggling to adjust, the head teacher will meet with the parents to discuss possible strategies and solutions to help the child. In extremely rare cases a notice of termination may be necessary if our environment is not right for your child. A minimum of four weeks written notice is required prior to withdrawal to allow sufficient time to fill the vacant space.

Attached you will find a “Getting to Know Me” information form. We ask all parents to fill this document out and return it on the first day of school. This form not only helps us to get to know your child, but is also an invaluable resource if a supply teacher is ever needed for your child’s class. Packing for School Nutrition: Wholesome, nutritious lunches and snacks (morning and afternoon) are provided for by Kanata Academy for the preschool program. Menus for the programs provided with lunch are posted on the Parent Information Board with the current week as well as a week in advance being posted for viewing. Special needs and allergies should be discussed with the Site Supervisor prior to enrollment. No outside food and drink are permitted. A labeled water bottle will be permitted. Indoor Shoes: Please send your child to school with Velcro, or easy buckle black dress shoes for indoors. These may be left in the child’s cubby area, and should be marked with your child’s name. Extra Clothes: Preschool is messy! Your child’s teachers will do their best to keep your child’s clothes clean, but accidents happen. Please leave the following items in a small SEALABLE bag hanging on your child’s hook:

2 pairs of underwear 1 pair of socks 2 weather appropriate shirts 2 weather appropriate pants or shorts

***Please note: extra clothes do not have to comply with our uniform**** If your child is prone to “accidents”, please keep an additional pair of underwear and a change of clothes at school, and allow bathroom time before starting the day at school. Supplies Parents must pay a $50 supply fee every September, payable to Kanata Academy; which will include:

2 packages of wet wipes If your child is in diapers or potty training:

o Pull ups or diapers o A change pad with your child’s name on it. o Roll of plastic bags for diaper disposal

Nap Time Blanket Kanata Academy sells a mandatory Sleep Time Blanket for $30. The blanket has an attached pillow and padding. The blankets come in a variety of warm vibrant colors and will keep your child snug and comfy. They roll up for easy transport home, and quick storage at school. No other blankets or pillows will be permitted for naptime. The blankets will be sent home every Friday for washing, and should be returned on the following Monday. Blankets can be purchased in the office during the last week of August. Toys and Personal Objects Kanata Academy Preschool asks that children do not bring personal items (toys, jewelry etc.) to school unless instructed to do so (i.e. Show and Tell.)

Important Information

Uniforms- Dress Code Kanata Academy students MUST wear their uniform daily. If your child is sent to school in non-uniform items they will be sent home immediately. Preschool uniforms CAN ONLY be purchased from Kanata Academy. No outside clothing will be permitted aside from navy dress pants that can be purchased at Children’s Place, Gap, and Old Navy. Gym Shorts Navy Gym Shorts navy Please send your child in appropriate seasonal outerwear. We will be outside daily and it is important your child stays warm and dry during our adventures. During the summer we require that you leave a labeled bottle of sunscreen for your child. Arrival & Dismissal: We ask that you arrive promptly, as it is very difficult to settle the children if the teachers have to answer the door once class has started. We also ask that all parents have left the classroom by 8:45am as we will be starting the day and parents leaving late can distract other students as well as your own child. If you are going to be late, please notify the office and drop your child off at the office door, where our office staff will bring them to our classroom. The following are our school hours: Before School: 7:30am Class Starts: 8:45am School Ends: 3:15pm After School Ends: 5:30pm If you are late in picking up your child (after 5:30pm) you will be charged a $20 late fee, as well as an additional charge of $1/minute. There is no warning or grace period. Please contact the school when you are running late. Bulletin Boards, Email Notices & Blog: Please check the boards at the classroom entrance as they hold information about what your child is doing that day. Important notices will be posted from day to day. The school blog and email are updated and sent out frequently which contain important information that will pertain to your child. Please check them frequently. Birthdays: Birthdays are an exciting time for children, if you are hosting a birthday party for your child outside of class and wish to invite classmates please give the invitations to your teacher to distribute discreetly in agendas so no child feels left out. Field Trips Kanata Academy embraces every opportunity to foster learning within our students. In order to help expand our students’ horizons, on occasion we will go on field trips or bring presenters into the classroom to help solidify concepts. Some field trips will require taking a bus while others will be within walking distance. All field trips and presenters are NOT covered by student’s tuition. Parents will be given ample notice of the event along with an invoice for your student. Release of Child

Kanata Academy will never release your child to anyone without your written consent. As such, please take the time to fill out the consent to release form outlining who can and cannot pick up your child. For security purposes a teacher will ask to see photo identification of anyone picking up your child that does not do so regularly. Daily Agenda To increase communication between teachers and parents we will provide you with an agenda, which will go home daily explaining how your child’s day was. The agenda will be enclosed in a plastic case where you will find artwork and important notes from teachers. Please check the agenda daily and read all notices. Report Cards In order to track your child’s progress as well as areas for improvement, Kanata Academy Teachers will be completing ongoing assessments for your child. You will receive three report cards (fall, winter & spring).

Policies and Procedures

Behavior Management Kanata Academy uses positive reinforcement to encourage positive behaviors and discourage negative behaviors. We strive to provide a warm and inviting environment for your child to excel and grow in. Our behavior management protocol is founded on principle that children need to have a clear understanding of classroom expectations. Occasionally issues do occur, and at this time we take the following steps to deescalate the situation and help the child understand the expectations:

Classroom expectations are outlined clearly. Reminder of the expectations is given. Redirection is used to distract the children and focus their energy on a more

positive activity. Challenging the child to make a positive choice may lead them to think about

their actions. If we have ongoing issues with any particular child the Head Teacher will contact parents for a meeting to discuss possible solutions to the behaviors. In accordance with the Child Care and Early Years Act, no child will be disciplined by physical means, harsh or degrading measures that would undermine self-respect or deprivation of basic needs.

Monitoring 1. Each year the Supervisor of Kanata Academy Preschool will review the Behavior Management Policy and Guidelines, making any necessary revisions. 2. At the beginning of each year the Behavior Management Policy and Guidelines will be reviewed with all staff, and staff will sign to confirm this review has occurred. This record must be kept on file for a minimum of 2 years. 3. The Assistant Supervisor will review the Behavior Management Policy and Guidelines with each Registered Early Childhood Educator (“RECE”), student and volunteer on an annual basis, recording their signatures on file, after the review. 4. The Supervisor will observe and monitor the behavior management techniques of each staff member including the Supervisor and Assistant Supervisor. One Behavior Management Confirmation must be signed for each staff member once per term. A minimum of one observational report is required per staff member each school year. A record of this monitoring will be kept in the Behavior Management file. If there should be any concern with the behavior management techniques of any staff member, monitoring will occur more frequently, and the Supervisor will provide guidance and the opportunity for workshops and courses for this staff member. Records of each monitoring will be kept on file. If methods contravene those outlined in the Behavior Management Policy and Guidelines appropriate action will be taken against the individual (see bellow policy). 5. The Supervisor will observe and record the behavior management techniques of any volunteers and students as outlined in point four. 6. All records will be kept on file for at least 2 years. Disciplinary Action for Contravention of Behavior Management Policy The following steps are to be used as guidelines in the event of disciplinary action: a) Identify the reasons for the alleged occurrence; b) Discuss the implications with respect to the child; c) Discuss positive behavior management techniques; d) Document the discussion and have all parties sign; and e) A copy of the signed transcript will be kept in the employee's file (or student or volunteer’s file, as applicable). f) A probation period will be set. If the individual does not improve or fails to meet set expectation they will be terminated from their positions. Prohibited Practices In accordance with the Child Care and Early Years Act, no child will be disciplined by physical means, harsh or degrading measures that would undermine self-respect or deprivation of basic needs. Prohibited practices further can be defined as corporal punishment of a child, harsh or degrading measures, child deprivation, locking exists and the use of lockable rooms for a child. Use of any of these practises is not tolerated at Kanata Academy Private School.

Health Policies: The City of Ottawa Health Department requires that each child be immunized as recommended by the Medical Officer of Health prior to admission to a child care program and also monitors the updating of immunizations. Please keep Kanata Academy Preschool informed when your child receives vaccinations in order to keep your child's file up to date. To safeguard the health of the children, any child with an infectious disease must observe the isolation period set out by the City of Ottawa Health Department and may return to the centre only with a signed doctor's certificate. A child who contracts chicken pox must be absent from the centre for five consecutive days or until the pox are completely dried up, whichever is shortest. Please inform the centre of any infectious diseases so that a Health Alert can be posted for the other parents. Parents and caregivers are urged to help us protect the school children from the spread of any flu or colds by keeping any child at home when sick. The Health Department requires children with the following symptoms to stay home:

Temperature over 38C (100F) Unknown Rashes Diarrhea Discharge from the ears Discharge or redness in the eyes Swollen neck glands Vomiting Severe cold symptoms A contagious condition diagnosed by a doctor

If your child is suffering from any of these symptoms, in order to return to school, they must be symptom free for 24 hours. We also ask you contact the school and make us aware of any health issues your child is suffering from in order to protect other children. If your child arrives with, or develops any of the previously mentioned symptoms, they will be sent home immediately. Administration of Medication If your child requires either prescribed or non-prescribed medication, Kanata Academy will administer the medication. To comply with provincial legislation parents must provide the Kanata Academy with the following information before medication will be administered:

Written and signed authorization (please include all details for administration of medication including dosage and number of times to be administered)

Medication must be in the original container, clearly labeled with the child’s name, name of drug, the dosage, the date of purchase and instructions for storage and administration.

NOTE- PARENTS SHOULD NEVER SEND MEDICATION IN A CHILD’S BACKPACK. IT MUST BE GIVEN TO THE TEACHER DIRECTLY WITH PROPER FORMS.

Medication will be stored in a locked box at all times with the key in an inaccessible location to children. For refrigerated medication the medication will be kept in a lock box in the refrigerator. All medication will be managed and administered by the head preschool teacher. A written record of all administered medication will be kept in the office. Anaphylactic Policy

1. The parent/guardian of the child will inform the Child Care Centre of the child’s anaphylactic allergy when placing their child’s name on the Waiting List.

2. Prior to enrolment, the family will provide the Centre with an allergy information sheet from their allergist.

3. All anaphylactic children are identified to the Staff verbally and the anaphylactic child and their parent/guardian will meet with Centre Staff prior to the child’s first day to discuss what steps will be taken to maintain the child’s safety. This information will be signed by both the Centre Director and the parent/guardian.

4. Upon entry to the Child Care Program, the child’s parent/guardian will provide the Centre with a recent photo of their child. This photo and anaphylactic/allergy information will be posted on the allergy list. This identification method is used for all children having a serious allergy or medical condition.

5. The parents will also provide the Child Care Program with two Epi-Pens prior to enrolment. One Epi-Pen will be stored in the Medication Lock Box, while the other one will be in a fanny pack worn by the child or a staff member in the child’s room (this person will be determined by staff and the family).

6. If need be families in the Centre may be provided with information regarding specific allergies and what steps can be taken to support a safe program (i.e. nut free alternatives). This will be in conjunction with the Health Unit and the child's family. Program room staff will take reasonable steps to create a safe program room by monitoring food brought into centre, disinfecting of tables before & after eating, hand washing, not providing the allergic item and other measures as dictated by the allergy and the plan signed by the parents.

7. Families are asked to provide an ingredient list for any food items brought to the centre that will be shared with others.

8. Staff is required to be trained on Epi-Pen usage and anaphylactic reactions

during their annual CPR recertification. Please note that each child with an anaphylactic allergy will have an individual plan posted in each eating area and food preparation area. These individual plans are to be reviewed by staff upon hire and annually thereafter to ensure children’s safety. Accident Reports Although the children are supervised carefully at all times, the occasional accident may happen. In the event of a minor injury, first aid will be administered immediately. If the injury is significant but not serious the teaching staff will contact you to discuss the appropriate medical treatment after first aid is administered. If the injury is serious, the child will be sent to the hospital by ambulance for immediate medical attention and the parent will be notified. In all cases an Accident Report Form will be completed and presented to the parent or designated pick up person for a signature. Emergency Procedures All of our staff is fully trained to handle all emergencies. In the unlikely event of an emergency situation (weather conditions, loss of power, fire), parents will be notified immediately and required to pick up their children as soon as possible. Our designated emergency shelter for emergency evacuations is Lyon Family Law at 3 Beaverbrook road, Kanata. Confidentiality All information collected in your child's file is for the use of the teaching staff only. Information is kept in strict confidentiality and can only be released with the consent of the parent. Suspected Child Abuse Policy Kanata Academy staff is trained in the identification and reporting of suspected abuse, as outlined in the Child and Family Services Act. Staff has a legal responsibility to report suspected child abuse including physical, sexual, and emotional and neglect.

Criminal Record Check Policy Staff must provide a criminal reference check in accordance the CCEYA criminal reference check policy. Smoking Policy There is no smoking allowed on the grounds, including the Child Care Centre. Weather Guidelines for Outdoor Play Kanata Academy Preschool will not take its students outside in extreme weather conditions. This includes, but is not limited to, extreme amounts of rain, hail and snow. This is also the case during thunderstorms, tornado warnings, and smog advisories. In conjunction with Health Canada recommendations, teachers will not take students outside to play when temperatures are lower -10 degrees Celsius without the wind-chill. In the summer months, Kanata Academy Preschool teachers will limit outdoor playtime when heat advisories are issued by Health Canada. During these times, the children will do physical activities either in the classroom, or the school gym (subject to availability).
