Love it, hate it or call it the gold at the end of your rainbow, email is here to

stay. Over the past two decades, it’s become deeply ingrained in our day-to-

day business communication. It’s basically a requirement. Despite a number

of software advances and changes in the online communication landscape,

email is more important than ever.

This was recently confirmed by a study conducted by Pew Research. They

found that email is indispensable among those who are Internet-connected at

work. These days, that covers a lot of people. In fact, 61% say it plays an

integral role in their job. Additionally, 46% say email access keeps them

more productive (while another 46% say email has no bearing on their

productivity one way or the other). Only 7% say email hurts their

productivity.

In 2014, social media analysts warned that email was on its last legs and that

it would soon be overtaken by other online services. However, as this study

seems to confirm, that is not the case. In fact, in the workplace, it’s very

much the opposite. The Pew study found that social media, including

Facebook, LinkedIn and Twitter, benefited only about 4% of those in a

connected workplace.

Even among the millennial generation, and those who regularly use social

media networks in their personal lives, it hasn’t been something fully

translatable to the professional environment as a productivity factor. This

doesn’t discount uses for social media in the workplace—as a marketing or

customer outreach tool—but no social media platform has come close to

replacing email as the go-to communication tool.

That doesn’t mean Silicon Valley start-ups aren’t trying. They are always at

work trying to find that next four-leaf clover in online communication,

hoping to develop that so-called “email killer.” So far, nothing has stepped

up that can achieve what email can, particularly for businesses.

For many businesses, it comes right back to the fact that email works. It’s a

proven platform and it remains the business communication “golden child.”

It’s the same reason phones and fax machines aren’t extinct. They serve a

purpose and they help us get things done. That doesn’t stop businesses from

always looking for ways to streamline that process.

Another reason email works: accessibility. Email is used on nearly a

universal level. Social media platforms, while many are incredibly popular,

can’t touch the truly global reach of email. Have you considered how email

We all have a number

of passwords for all

the online services we

use. You name it:

banking, online bill

payment, email, social

networks, shopping

and more. You know

it’s incredibly easy to lose track of them all—

unless you are committing one of the greatest

online security offenses by using one password

for everything. One of the best—and most

secure—ways to handle your passwords is with a

password manager.

It’s not uncommon for password managers to get

overlooked when it comes to online security.

There is a lingering—and false—concern that

keeping all of your passwords in one place can

potentially open up all your protected accounts to

intruders if they are able to break into the

password manager. It’s a legitimate concern but

password managers use powerful encryption to

Should I Replace My Company’s Phone System?

Conversations often start with how old is the current system in place. That is a good jumping

in point, but not always the best place to start. The place to start is by asking the following

questions:

1) Is my company moving?

2) Is there support for my current system?

3) How do my customers get in touch with my company?

4) Is my company growing?

5) Is my company consolidating?

6) Are there new phone features I need in my business?

7) How do my employees interface with my customers?

8) What are the company’s future plans?

9) What might my company lose by not making a change?

IS MY COMPANY MOVING? One of the best times to look at a new system is when you are moving. Moving allows you to

investigate a new telephone system and its features. Often, moving an older phone system

costs as much in downtime and labor to remove and then reinstall the current system. Always

look at a new telephone system when you move.

IS THERE SUPPORT FOR MY CURRENT SYSTEM? What if you purchased your phone system in 2003? The last update for my phone system was

2005 and is no longer supported by the manufacturer. It still works and when it occasionally

breaks, I call “Jim” to work on it. Jim retired in 2010 and will come work on the system

when we call. But what happens if Jim is not available? Are you comfortable with the risk

knowing that you might be without your telephones for days?

HOW DO MY CUSTOMERS GET IN TOUCH WITH MY COMPANY? Are your customers dialing one number to reach your main office and are then transferred to

you? You are not at your desk and they get your voice mail. They can now either leave a

voice mail or hang up and dial your cell phone. Or maybe they need customer service so they

hang up and dial yet another phone number. Maybe you have multiple locations, which

number should they call now? Do you really want your customers to have to jump through

this many hoops?

IS MY COMPANY GROWING? Growing companies often need to look at what helps them grow. Growth often demands new

features and services that new telephone systems provide.

IS MY COMPANY CONSOLIDATING? Consolidating offices mean fewer staff to handle your customers. Are calls from a closed

office now ringing at a different office? Do you have seasonal workers that require your

phone system to scale up and down? You need to make sure your office configuration will

work properly with these changes.

ARE THERE NEW PHONE FEATURES I NEED IN MY BUSINESS? Caller ID allows us to see who is calling your company. Do you use a screen pop program

works for one of your competitors. Do they send you a thank you card for publishing their

personal cell phone on your old business cards?

person that can help them? Can your customer dial direct to the telephone of your staff?

When your staff dials out, what number does your customers see? What if they make that

call from their cell phone? Are there different departments within your organization that dial

your customers? If a voice mail is left for a staff member, how do they retrieve that

message?

WHAT ARE THE COMPANY’S FUTURE PLANS? Are you planning on growing? Are you planning on staying the same size? Are you looking

at a new location? Are you expanding into a new state?

WHAT MIGHT MY COMPANY LOSE BY NOT MAKING A CHANGE? If you stay the same, you will begin to fall behind your competition. Are you losing

customers because they can’t navigate your telephone system or know what number to call
