CSULA’s GET/Common Management System (CMS) gets an Upgrade on Dec. 21 Since August 2010, CSULA has been working on a major upgrade to enhance the functionality currently available in GET as well as to introduce some new enhancements to the system for students, faculty and staff. The upgrade will begin on December 15 at noon and end on December 21, 2011 at 5pm. During this period the system will NOT BE AVAILABLE, so mark your calendars for the fall quarter 2011 grade submission deadline, which is Midnight PST on Tuesday, December 13, 2011 (no exceptions). When the campus resumes its normal operations on Dec. 26, GET will be fully operational. Faculty, staff, and students will not only experience a “new look and feel” to the screens, they will also begin to have access to some of the exciting new tools that the upgrade will make available. The other good news is that the navigation route to access these tools is shorter, simpler, and more logical. Here’s a brief description of the upcoming changes: After logging in to GET, viewers will see the familiar home page with a menu on the left hand side that contains the same links that were previously available, such as CSULA Baseline, Self Service, Campus Community, and Records and Enrollment. There are a couple of new features, however. Once you select one of these links, on the next screen the navigation will change to a tab-based system, with the menu on the left hand side of the screen replaced by a set of tabs across the top of that screen for the links available on that page. These tabs are all drop-down menus that allow a simpler and less cluttered viewing screen. Additional enhancements can be found in the advisement pages. The Student Advisement Report under the old Academic Advising link is no longer being supported. Now, under the Self Service link, faculty will have a choice of Faculty Center or Advisor Center. While the Faculty Center will function much as it currently does to provide rosters and allow faculty to submit grades at the end of the quarter, the Advisor Center will be the place to access a student’s Academic Advisement Report. Users will quickly see that the navigation route to important advisement information in the Advisor Center is more direct and logical than what was previously available for the ADVIP and DPR. (The navigation route is presented below.) Another advantage is that advisors will see exactly the same screens that students will see. In the very near future there will also be new functionality for students, including the ability to plan what courses they will need to take in upcoming terms to meet their graduation requirements in a timely fashion. How to Access a Student Advisement Report in the new CMS 9.0

1. After logging in on the new CMS 9.0, on the Main Menu, select Self Service. 2. Under Self Service, select Advisee Student Center from the menu under Advisor Center. 3. On the Advisee Student Center page, enter the student’s CIN. 4. The student’s name and pertinent information will appear, with five headings: Academics;

Personal Information; Holds; To Do List; and Enrollment Dates.

5. Under the Academics heading, select “other academic…” in the drop down menu box and choose from

• Academic Requirements to access the Academic Advisement report; • CSU Campus Page to access program and plan information; • Course History to access completed courses and grades within a table that can be sorted; • Transfer Credit to access a summary of transfer units and a table of all incoming transfer

courses; • Unofficial Transcript to access a student’s Unofficial Transcript; • What-if to access completion of requirement in specific alternative majors and options.

After selecting your choice, you must click on the right-pointing arrows in the circle to prompt that selection.

The catalog references commonly used terms such as “major” and “option”; while terms such as these are used in day to day interactions with the campus community, it is imperative to know the equivalent terms referenced in GET.

• Century (1st digit) = 0 or 2 o 0 = 20thcentury (1947 – 1999) o 2 = 21st century (2000 - )

• Year (2nd & 3rd digits) = the last two numbers in a year. For example the year 2012 would be “12” in the term code.

Within the Advisee Student Center is a tool called Course History. This module lists all the courses taken, both transfer and CSULA. This can be a valuable tool during advisement since the table can be sorted by course, description, grade, status, term or units. If for example an advisor was helping a student with repeated course petitions, you can sort by course and find repeated courses.

Graduation Information

������ ����It is important to submit graduation applications within the filing periods indicated in the schedule of classes. There is a considerable amount of handling that goes along with each graduation application. Late request submissions double the handling time by staff. Also, late applications may prevent the student’s name from being pulled for commencement and other activities. As a rule, the graduation office does not accept late applications. Lastly, prior to submitting a graduation application, make sure the student has been accepted into your program and that the student matriculation is correct by checking the Student Program/Plan component. If the student has no matriculation for the Major being pursued, the graduation application will be returned.

����� ������������ ���������Make sure to prepare a Bachelor Degree Worksheet for every Bachelor graduation application. The revised form requires that you fill in a MAJOR CATALOG DATE. The graduation office will use that date as a catalog reference to evaluate the student’s major requirements.

� ������������� ����������������If a an adviser does not know how to process course substitution(s) or elective(s) electronically, they may submit the course substitution/elective form available in the major department. Once received, the graduation office will enter the substitution/elective into the proper component so that it is reflected in the CAAR. All substitutions/electives and other correspondence must reach the graduation office before the end of the quarter of the student’s anticipated graduation, otherwise the student may be ineligible for graduation. Paperwork received by graduation subsequent to a final audit causes delays in graduation processing. (2 for 1) or (1 for 2) (many for many) Course Substitutions Submit a course substitution/elective form. Once received, the graduation office will enter the substitution/elective into the proper component so that it is reflected in the CAAR

It is important to note that the report assumes IN PROGRESS work will be completed. If at the end of the term the student does not achieve a passing grade, credit will not be given.

• Academic objective and summary • General Information • Report Results

The icon displays next to a requirement that is not met. The default view of unmet requirements is expanded view so that requirement details are visable.

��$���� ���� �����)���$���� ���������������Codes are displayed after requirement titles. These codes assist with maintenance/troubleshooting as well as giving advisors the information needed when directing electives to a specific requirement line. The codes present on the report are:

• [RG ###] – Requirement Group number • [RQ ###] – Requirement number

Requirement Groups [RG] are typically displayed at the overall Major Program level. Sometimes Sub-Plan (options) are coded at the Requirement Group level.

Requirements [RQ] correspond to the individual requirements within a major such as Lower Division Core or Adviser Approved Electives. Within a Requirement are line(s) which hold the course detail. Below each Requirement are separate lines numbered 10, 20, 30, etc. Though requirement lines are not numbered on the report, they can be identified by the layout of the Advisement Report.

��$���� ���������Because many students transfer courses from other colleges, the unit values of those courses may not equate exactly to CSULA equivalents. Many courses from semester schools convert to a higher unit value. Therefore, most requirements are programmed to accept only a maximum number of units. This is so that excess transfer units will not be used toward a higher level requirement or requirement group. Courses are used chronologically and excess units beyond the requirement maximum automatically display in the free elective area.

If a student transfers in a series of high unit value courses from a semester community college that apply toward a requirement, the report may show the unit value as met even thought the specific course work is not yet met. In such a case, the requirement will continue to display as unmet until all the specific courses are completed.

If there is a formal course agreement between an external College and CSULA, we call that an articulation. This means that the transfer course is coded in CSULA’s transfer maintenance screen to equal a specific CSULA course. For example, SPCH 101 at Glendale Community College (GCC) articulates to COMM 150 at CSULA. The CSU Academic Advisement Report (CAAR) will read this rule and apply it accordingly. There is no need to process a course substitution.

When the phrase “electives with adviser approval” is seen on the CAAR, you may need to map the approved courses into the CAAR. You only have to set this up once for each requirement. Subsequent to the initial set up, one can easily add or delete courses to and from the elective area. To use the component, first identify the RG and RQ number Referenced on the CAAR.

Then identify the student’s major catalog year (Requirement Term) from the Program/Plan page.

Reference RG and RQ numbers from the CAAR

Reference the student’s major Requirement Term and know the calendar date for the beginning of that term. Write down the RG and RQ number and the Requirement Term calendar date to proceed.
