Room AssignmentsFunction Rooms are assigned according to the anticipated number of guests and set up requirements at the time of booking. Should these factors change, the hotel reserves the right to transfer the function to a more appropriate room contingent on space availability.
MeetingsPlease advise your Catering/Conference Services Planner of your exact room requirements, audio-visual requests and menu selections at least three weeks prior to your event. A complete inventory of audio-visual equipment and pricing is available upon request. In the event that you will be shipping materials to the hotel, please label all packages with the name of your Catering or Conference Service Planner, the name of your meeting, the on-site contact for your organization and the date of the meeting. Notify your Catering or Conference Services Representative of the Shipper’s name, the arrival date and number of packages sent. Packages will only be accepted up to three business days prior to your event. Unless otherwise instructed, the hotel will post your program daily in the lobby. Food Services Although the Omni Hotel has printed menu suggestions, we welcome the opportunity to design a custom menu for your occasion. Our Executive Chef and Catering Team would be pleased to make recommendations to accommodate special preferences, dietary restrictions or other requests.
Seating Rooms will be set according to your instructions. If round tables are specified, 8, 10 or 12 guests will be seated at each table, unless otherwise instructed by the host or recommended by the hotel.

Menus, Place Cards and SignsThe Omni Houston Galleria can prepare individual menu cards, name cards and signs at a nominal charge. Please allow 7 days for processing. The charges will be applied to your final bill.
Music, Entertainment and Photographers We will be happy to arrange entertainment and photographers for your event or provide you with a list of agencies with which arrangements can be made.
Overnight Accommodations If hotel sleeping rooms are required for your social or business event, please ask your Catering/Conference Planner for rate information.
Charges
Billing A deposit equal to 25% of the program contract is required to reserve banquet space. Ninety percent (90%) of the estimated total billing will be due thirty (30) days prior to the event and the estimated balance will be due one week prior to the event. Corporate accounts may be billed for all banquet charges with the approval of a credit application. Credit Application must be received at least 30 days prior to the event.
Guarantees The Omni Houston Galleria requires a guarantee for the number of guests anticipated for your function by 10:00 a.m., three business days prior to the event. This number is considered a final guarantee and is not subject to reduction. The Omni Houston Hotel will prepare food and beverage for five percent (5%) above the original guarantee.
Damage The Omni Houston Hotel is not responsible for any damage or loss to merchandise, articles or valuables belonging to the host or their guests located in the hotel prior to, during or after an event. The host is responsible for any damages incurred in the hotel, including those involved in the use of an independent contractor/vendor arranged by the host or their representative(s). All contractors / vendors secured by the host of an event must submit current insurance credentials.
