Pay information - wages
• Pay-days - every second Friday• Increment date - annually, based on permanent hire date, until
step five is reached on your salary grid. Your increment date is listed in your offer letter
• Last increase for AESP was Feb. 1, 2019, which was a 1% increase
Pay information – vacation
• Vacation entitlements are listed in the AESP handbook• Vacation is accrued from Sept. 1 through Aug. 31 of each year• Increases in vacation entitlement are determined by the
schedule for your job classification• Refer to the handbook for details surrounding vacation and
approvals required for vacation
Public holidays (statutory holidays)
• New Year’s Day• Family Day• Good Friday• Easter Monday• Victoria Day• Canada Day• Civic Holiday• Labour Day
• Thanksgiving Day• Christmas Day• Boxing Day• Three floaters (to be designated by
the board to be taken during Christmas/New Year’s period)
Benefits• Pension
– Once you qualify, AESP permanent staff pay into the OMERS pension plan
– If at any time you, as an AESP member, receive your Ontario Teaching Certificate (OCT), you must notify they board as you will be required to pay into the Ontario Teachers’ Pension Plan (OTPP)
• Benefits– There is a handout available for AESP permanent staff outlining
benefit information. The benefits plan is not managed by the Simcoe County District School Board (SCDSB)
ProbationProbationary period• All AESP employees will serve a probationary period of six
months upon initial hire to an AESP position, during which time performance will be assessed
• Refer to the AESP handbook for full details about the probationary period
Terms and conditions of employment• The terms and conditions of employment for AESP permanent
employees are the AESP handbook• A full copy of the handbook was provided to you with your offer
package• The handbook can be referenced on the staff website under the
Human Resource Services (HRS) department page
Terms and conditions of employment• Regular attendance at work is very important for you, for the board
and for your fellow employees. Unnecessary absence may put additional strain on your co-workers as they attempt to cover your absence
• The board does, however, recognize that there may be times when you will be justifiably absent due to illness, family emergency, etc. Should that happen, you are required to notify your immediate supervisor as soon as possible. When reporting your absence, please state the reason and the expected length of time for the absence
• Check with your supervisor to verify the reporting procedure for your particular department
Leaves of absenceLeaves outlined in the AESP Handbook are:
• pregnancy and parental leave• adoption leave• bereavement leave• unpaid leaves of absence• secondments• self-funded leave plan• jury duty/subpoena• other leaves
Performance appraisalsThe board has an APM on Performance Appraisals titled – A4222 –Performance Appraisal – AESP, APSSP, CUPE, ETFO DECE, OPSEU, OSSTF Instructors.
• AESP staff will initially serve a six-month probationary period as outlined in your offer letter
• Upon hire, AESP employees will be assigned a cycle year for the normal performance appraisal process
• AESP staff will have their performance formally evaluated once every five years. In the year an employee is to be evaluated, your supervisor will notify you that it is an evaluation year
Performance appraisals• Annually, prior to October 31, employees will submit an annual
performance plan outlining their goals, along with training and development needs for the upcoming year
• Should there be required improvements in performance, the evaluation cycle could be sooner than five years
Job postings• Postings are posted for a minimum of five business days• Resumes are now accepted on the Apply to Education website,
www.applytoeducation.com• You are required to create a profile and then apply to each position
of interest
Miscellaneous – hours of workBusiness hours / hours of work
• The normal hours of operation for the Education Centre are 8:30 a.m. to 4:30 p.m.
• Depending on the job requirements and job description, the normal work week shall be 35 or 40 hours
• Some departments have varying arrival and departure times - check with your supervisor regarding the standard for your department
• Lunch – AESP staff are provided with a one-hour unpaid lunch period. Check with your supervisor regarding coverage for your department over the lunch period
Miscellaneous – hours of work• Individuals in the AESP group are a professional and salaried
group of employees performing key functions for the board. As such, it is understood that these employees may have to work additional hours in order to meet their job expectations, and for which overtime or lieu time is not payable
• The board may require employees who have regular, ongoing responsibilities that occur outside of the regular workday to flex their work schedule
• Check the AESP handbook for specifics on lieu time for your level
MiscellaneousExpenses
• All staff are required to follow APM – A2502 – Expense Claimswhen claiming expenses for board business
P-card (Purchasing Card)• Please refer to APM A2504 – Purchasing Card• If your position requires a purchasing card, please follow the
instructions in the APM
MiscellaneousBusiness cards• Please check with your supervisor/manager/superintendent to confirm
if your position requires business cards• Any business cards ordered will be charged to the budget for your
department• To order business cards, visit the staff website and search for
business cards:– Log onto the staff website, select ‘Explore’, then ‘Purchasing’ and
scroll down to ‘Direct Ordering – Online’ and follow the directions provided
MiscellaneousDress code• The Education Centre does not have a formal, defined dress code• Please ensure that you are dressed appropriately for the business that
you are conducting for the board (e.g. meeting with the media, meeting with outside vendors, etc.)
Casual Fridays• Periodically, the Education Centre will have a casual Friday. This
means staff are able to dress down in business casual attire• Typically on these days money and/or donations are accepted for a
pre-determined cause (e.g. food bank, women and children’s shelters, animal shelters, United Way, etc.)
MiscellaneousSummer Fridays• The Education Centre runs a summer Friday program each year • Staff work additional hours during the school year and in return receive
six Fridays off during the summer • The dates for summer Fridays are released via a numbered
memorandum each year • This program is voluntary• The numbered memorandum contains the information on how to
accumulate hours for summer Fridays, use vacation time or request unpaid time
• Please note that this program is reviewed annually
MiscellaneousSCDSB reporting structure• The Director of Education is Steve Blake• The Associate Director, Superintendent of Business and Facilities,
Superintendent of Program and Special Education and Chief Information Officer report directly to the Director
• The Associate Director is John Dance. The superintendents of education report directly to the Associate Director
• Principals and vice-principals report directly into their superintendent of education
• Managers (part of AESP) in the Education Centre typically report into the department superintendents.
• All other AESP staff report into either a supervisor, assistant manager, manager or principal
• Check with your supervisor on the reporting structure for your department

• School boards are required to follow the Ontario Education Statues and Regulations
Board policies• The SCDSB board policies govern the board’s operations. • Board policies can be located on the staff website:

• APMs flow from board policies, and provide the framework on how the board will operate in day to day operations

• This is one of the main methods that the board uses to communicate with staff members
• Staff are expected to keep up-to-date on numbered memoranda that are released to the system

MiscellaneousEducation Centre – Health and SafetyEmergency Procedures • All AESP staff are required to view the emergency procedures video for
the Education Centre. To access the video:– Log onto the staff website, select ‘Explore’, then ‘Health and Safety’,
then ‘Health and Safety Videos’– Select the ‘Education Centre Emergency Procedures’ video
MiscellaneousEducation Centre – Health and Safety• Each meeting room at the Education Centre has a health and safety
bulletin board which lists emergency proceduresHealth and Safety• All Health and Safety information for the board can be found on the
staff website by selecting select ‘Explore’, then ‘Health and Safety’
MiscellaneousStaff Association
• The Education Centre Staff Association plans special events for members. Events may include Thanksgiving lunch, Christmas lunch, St. Patrick’s Day lunch, end of year BBQ and recognition of special days (e.g. Valentine’s Day, birthdays)
• Members agree to a $2 deduction from each paycheque• To join please follow the instructions available in the welcome
package, available on the staff website
