B.D.K Engineering Industry Ltd., which is one of the units of B.D.K. Group of companies, is

situated in Gokul Road in Hubli. It commenced its commercial production in the year 1984.

B.D.K. Engineering Industry Ltd. Is a public limited company in the field of chemical fluid

valves and pumps under brand name B.D.K.Engineering Industry Ltd., are marketed by M/s.

B.D.K.marketing services and M/s. B.D.K. Equipments Inc.

It is housed in a lush green area of 5.25 acres currently employing 200 personnel (Appro).

nubs of major stored like chemical and fertilizer plants, oil refineries, thermal power plants,

nuclear power plants, etc. and exports its products to Australia, New Zealand, Malaysia,

Thailand, Middle East, Austria, Italy, etc.

NEED FOR THE STUDY:

As the company is labour intensive, the effects of absenteeism is more on its working so

management wants to know the level of absenteeism and their effects on its functioning. To

know the causes for absenteeism and its effect on organization’s functioning, this study is

undertaken.

SCOPE OF STUDY:This study will confine to BDK engineering industries only. Source of the information

collected by hr department as well as the surveys and the observation made there on. the

study is limited to the shop floor workers BDK engineering industries .

OBJECTIVES OF STUDY:1. To study the existing setup of the organization.

2. The main objectives of the project are to identify the reasons and causes for the

absenteeism.

3. To know the strategies adopted by management or a measures under taken to reduce or

controlling of a absenteeism.

4. To find out absenteeism.

RESEARCH METHODOLOGYResearch methodology focuses on hoe the research problem was investigated. Through the

sampling methods data gathering instruments and the statistical technique that were utilized

for the present study.

Research design provides the basic direction answers to research questions. And provides

relevant information on the research to be the job most efficiently.

To study done is exploratory to discover the concerned facts and casual to investigate

variables on non probability sampling technique of questionnaire design, where in data are

collected and analyzed.

Tools for collection of data:The main tool of data collection was structured questionnaire placed in annexure

Primary data:Data from primary source was collected through present questionnaire. It is personal

interview. Each interview took about 10 to 15 minutes.

Secondary data:The secondary data was collected from books, internet and internal sources of unit like,

company manual, department manuals, daily attendance records, and other topic related

records such as forms which are maintained for separation and addition of employees to

organization, etc.

Sample design: It’s random sampling method selecting about 100 employees of different grades, different

department, including the grass root level workers.

Sample size:100 respondents working in different dept. including blue-collar employees have been

answered to the questionnaire.

FINDINGS

The company has provided proper and healthy working conditions and employees are

happy with it.

It is found that social and religious ceremonies and other personnel causes are the

reading causes for the absence.

Most of the employees are satisfies with the present leave facility for some of them

feel that can be further liberalized.

CONCLUSION

The company has provided healthful and hygienic working conditions.

Adequate leave facilities are provided to employees.

The company also provided adequate medical facilities for minor injuries and

accident prevention and safety and health measures.

Absenteeism is failure of employees to report for work when they are scheduled to work.

Absenteeism is undesirable because of its costs and the operating problems that it causes. It is

an industrial difficulty affecting production, productivity, profits, investments and absentee of

workers themselves. Its consequences are alarming as a day cost is a resource cost, deprived

of investment.

Adequate importance has not yet been given to the problem of absenteeism in industry in

India; this is also due to abundance of manpower. Attention to this problem is very important.

Man days lost due to strikes and lockouts cause considerable disruption to production activity

and are highlighted whereas man days lost due to absenteeism are much higher but are lost

sight off.

The magnitude of production and capital losses due to absenteeism can be imagined with its

effects. Absenteeism is a cancer regarding industrial growth and above all adversely affects

the welfare of absent employees.

FEATURES OF ABSENTEEISM IN INDIA:1. Absenteeism is the lowest on pay day and is highest immediately after the pay day and the

day on which bonus is paid.

2. The absenteeism is high among workers of less than 25 years and over 40 years. The

reason of absenteeism amongst younger workers is due to careless attitude whereas old

people may not be able continue with strenuous work.

3. The percentage of absenteeism is generally higher in high shifts than in day shifts.

In India, absenteeism is highest in April – May and September – October months due to

harvesting and sowing reasons. Industrial workers temporarily shift to agricultural work

during these months.

4. In coal and mica mining industry the absenteeism rate is high because of ordeal nature of

job.

5. Absenteeism is generally higher in the departments where supervisors are work oriented

and careless for employee welfare.

6. The rate of absenteeism is likely to be higher in days before and after a holiday.

7. Workers tend to be absent more frequently than supervisors and managers.

8. There is tremendous scope for reducing absenteeism through union leadership within an

organization.

CAUSES OF ABSENTEEISM:Some of the causes of absenteeism are discussed as follows.

1.Maladjustment at work place:

Workers, sometimes, do not adjust to the situation prevailing at work place. Workers coming

from rural to urban areas do not adjust at those places. The congestion, insanitation, fast life

at urban areas is not to the liking of village folk.

2. Unhealthy working conditions:

If working conditions are not good then workers frequently absent themselves from work.

Heat, moisture, noise, bad lighting, dust, over-crowding affect workers health causing them

to remain absent for longer periods.

3. Social and religious ceremonies:

These functions divert the attention of workers and they spend too much time on these

activities. Some studies have shown that rate of absenteeism has been higher during festival

periods as compared to other periods.

4.Industrial fatigue:

Fatigue is also an important cause of absenteeism. To earn more wages, workers may do

overtime start or may wok at a higher speed under incentive plans and start feeling tired for

the next day. Low wages compel rates also compel them to do some part time work after

working hours.

5.Absence or inadequate welfare facilities:

Inadequate welfare facilities also lead to absenteeism. There may be inadequate facilities for

drinking water, sanitation, canteen, rest rooms, crèches etc.

6. Alcoholism:

The habit of alcoholism is very common among workers. They want to forget their domestic

worries by drinking alcohol. Drinking becomes their habit and its hangover on the next day

compels them to absent form work.

7. Inadequate leave facilities:

The workers do not get proper facilities for attending to family work since they are entitled

for limited number of leaves, they do not go to work whenever they have to attend to family

needs.

8. Age:

Absenteeism is higher among teenagers and old persons. Teenagers are casual in their work

and old people exhaust after continuous work.

9.Absence of housing and transport facilities:

Housing is a major problem in cities and in the absence of company house, workers either

stay alone or at great distance. Quite often workers have to travel long distance to reach the

work place. Without company transport, they are often unable to reach in time. Thus, housing

and transport problems result in absenteeism.

10.Management systems:

When the manager treats works as mere tools, the rate of the absenteeism is likely to be high.

In the absence of proper management control, workloads, shifts managements and personnel

policies may be unbalanced causing absenteeism.

Most of the factory workers come from villages they leave behind their families and relatives

while coming to cities for employment. They go to their villages often for festivals, religious

and social ceremonies, sowings and harvesting of crops etc.

MEASURES TO CONTROL ABSENTEEISM:

Proper working condition:

Bad working conditions is the main cause of absenteeism. The workers feel fatigue for the

after the short period of work is the insanitation noise, dust, dampness. Etc.

Proper selection procedure.

Absenteeism may also result if there is no proper recruitment and selection. When the

workers are not well suited for the jobs then they will try to absent themselves. There should

be aptitude-training, intelligence tests for finding out the suitability of persons for the jobs

they are being selected.

Reasonable wage rates:

The wage rate should be fixed by taking into account the requirements of workers. The wages

should be sufficient to enable workers in maintaining reasonable standards of living.

Proper grievance settlement:

There should be proper grievance settlement machinery for the workers. Some times there is

feeling among workers that their problem are not properly looked into and out of frustration

they start absenting from duty.

Prevention of accidents:

There should be proper safety wages in the factory. There is direct relationship between

absenteeism and accidents. The workers should be educated for properly using machines

and precautions to be taken on the occurrence of some accidents. When workers are not

fearful of accidents then they will not be skip their duties.

When there are pressing needs for leaves and management is not responsive when the

workers will remain absent. They may also try to get E.S.I leaves or half pay where they are

entitled up to 56 days leaves in a year.

Maintaining discipline:

There should be well-defined rules and regulations for work. The employees should not be

allowed to violate various regulations.

Housing and transport facilities:

Provision of housing accommodation preferable near the factory and bus facility will ensure

regular attendance of workers.

Incentives:

Special bonus, cash prizes and preference and promotion to regular employees encourage

workers to be regular in their attendance.

Effective supervision:

Supervisors can considerably reduce absenteeism by earning confidence and commitment of

workers. They should show sincere interest in workers and treat them as human beings.

Proper records:

Detailed and up to date records of absenteeism should be maintained. Absenteeism above the

predetermined level should be carefully analyzed age wise, sex wise, month wise and other

basis.

EFFECTS OF ABSENTEEISM:1. Regular flow of work in the factory is disturbed.

2. Production schedules are delayed, so the orders cannot be executed in time.

3. Overall production declines.

4. Overtime bill increases considerably.

5. Quality of work suffers because the casual workers employed to maintain work schedules

are not properly trained.

6. Work pressure on available and present employees increases.

7. Repairs and maintenance costs increases due t frequent breakdown of machinery by

inexperienced workers.

8. Incidence of industrial accidents increase.

9. Workers lose wages for unauthorized absence from duty.

10. Reduction in earnings increases indebtedness of workers, which is further a cause of

absenteeism.

11. Workers who are habitually absent may be removed from service causing hardships to

them and their family members.

THE COMMONLY OBSERVED CAUSES OF ABSENTEEISM:The reasons for absenteeism in various organizations differ from each other. Some of the

causes, which are common, are stated below.

Poor working condition.

Social and the religious ceremonies.

Poor welfare facilities.

Alcoholism.

Unsound personnel policies.

Maladjustments with the job demands.

Inadequate leave facilities.

Lower level of wages.

MINIMIZE LABOUR ABSENTEEISM Inquire:

The employee backs to the job and enquire the reason for his absence

Investigate

As repeated absence calls for a probe and incase the employees is not well he should be

referred to the doctor.

Counsel:

Discuss if unexcused absence continuous, review the absence record and make him aware

of company policy, etc.

Threaten: When position remains unchanged, with the prior permission of executive, final

warning should be issued to the employee.

is situated in Gokul Road in Hubli. It commenced its commercial production in the year

1980.

B.D.K process controls private Ltd. Is a private limited company in the field of chemical fluid

valves and pumps under brand name B.D.K. The products that are marketed by M/s. B.D.K.

Marketing services and M/s. B.D.K Equipments Inc.

It is housed in a lush green acres currently employing 200 personnel (Appro). B.D.K.P.C

design and manufactures diaphragm valves, Butterfly valves, plug valves, etc. to the nubs of

major stored like chemical and fertilizer plants, oil refineries, thermal power plants, nuclear

power plants, etc. And exports its products to Australia, New Zealand, Malaysia, Thailand,

Middle East, Austria, Italy, etc.

B.D.K.P.C has a documented quality system to meet the requirements of ISO- 9001/1994 and

net specification Q1 to ensure that is orders, processed, products produced and service

rendered meet the customer requirements. The unit is certified for ISO- 9001/1994 during

September 1995 and is rectified in October 1998 by M/s. RW-TUV, Germany.

2. Machine Shop:The shop has facilities for machining the required components. The machines include

conventional machines like center lathes, vertical Terrel lathers, milling machines, drilling

machines, surface grinding machine and welding equipments. There is a tool crib for

manufacturing activities also.

3. Machining:The machining of all components is established and carried out with our approved sub

contractors.

4. Assembly shop: Appropriate facilities like lapping machines have been installed for making sub-assemblies

and main-assemblies of valves. There are necessary testing facilities to test the valves to the

required specification.

5. Painting:Necessary painting facilities are available for painting assembled products or spares. And

also necessary packing and dispatch facilities are available for all the products.

6. Rubber Lining and Molding section:Facilities for various types of rubber linings for diaphragm valve, bodies, butterfly valves

discs and non-return check valves are provided. For molding of items like diaphragm, BFV

seats, BFV seals, non-return, valve discs, necessary equipments like steam boiler, mixing

mills, presses, vulcanizes are provided. Require facilities for hand molding and machine

molding of rubber extension joints are provided.

Stores has required facilities to store raw, semi finished and finished components. Castings

are stored in casting yard. Separate rejection and scrap yards have been preceded.

8. Inspection and Testing Facilities:

a. In- house facility: B.D.K.P.C have been equipped with various inspection, measuring and test equipments for

incoming, in process, final inspection and testing. The facilities include instruments and

gauger, test equipments for special tests like magnetic particle test, vacuum and helium leak

test, dye penetration test. Testing of rubber parameters like tensile, hardness, spark and

specific gravity.

b. Calibration Room: Well-equipped calibration room for B.D.K. Group of companies has been established to meet

most of the in house calibration requirements. The calibration room is certified for ISO-

9001/1994 quality system.

9. Personnel:Suitable qualified personnel are employed for performing the required job. However training

programs also organized to meet the training needs of personnel.

10.Verification Resources and personnel:B.D.K.P.C have been equipped with adequate verification resources for training of personnel,

involved in inspection, testing and monitoring of the design, procurement, production and

servicing processes at relevant functional areas. The required verification

equipments/documents procedures have been provided and the awareness of relevant

standards and code have been made known to the personnel for internal holding of quality

system.

STUDY OF VARIOUS DEPARTMENT STUDIES

TIME OFFICE DEPARTMENTThe time office plays and important role in B.D.K. Group of companies. It is more or less

similar to personnel department or HRD department. The time office mainly deals with:

Maintaining attendance records.

Preparation of salary slips.

Maintaining personal records.

Maintaining leave records, etc.

There are nearly 700 employees working in B.D.K Group.

Important functions of Time Office:Following are some of the important functions of time office.

1. Maintenance of attendance Record:In B.D.K, they use an electronic machine called “Punching machine”, to record workers and

staff attendance. An attendance slip/card is provided to all the employees every month, which

consists of Employees Ticket no., name and space for entering incoming and outgoing time.

Every employee should compulsorily punch the card at the time of entering the work spot as

well as leaving the work spot. By referring these cards the attendance of every employee is

recorded in the master roll everyday.

2. Preparation of Salary Slip:Another important responsibility or function of Time office is preparing the salary slip of

every employee of B.D.K. The salary slip consists of earnings and deductions.

1. Provident Fund: Both employer and employee contribute 12% of (BS+DA). The employer contribution is

divided into: 8.33% towards pension fund and 3.67% towards provident fund.

4. ESIC: The employees earning less than Rs. 6500/- salary have to contribute to ESI fund, for availing

the benefits from ESIC. The contribution is an follows:

Maintaining Personnel Records:The time office is mainly responsible for maintaining personnel records of individual

employees. The personnel records consist of name, address, qualification, experience,

reference, wage scale, achievements, grade, marital status, etc. These records are kept secret.

In B.D.K.group of companies the performance is the key factor considered by the directors in

promoting the employees to higher posts. The retirement is at the age of 55 years or 30 years

of continuous service whichever is early.

Working time:Working time of employees is divided into shifts.

PRODUCTION, PLANNING AND CONTROL DEPARTMENTThe Production Planning and Control (PPC) Department is known for clustering the customer

requirements depending upon the capacity of the firms production department.

Procedure of PPC Department: PPC department receives amendment or inter department memo from sales co-

ordination.

Detail study of work order is done specifications and requirements are studied.

Availability of raw materials, semi-finished goods, and finished goods is worked out.

If there is shortage then order for material is done.

Production plan, inspection plan and dispatch plan are drawn and issued to concerned

departments.

Requisition to stores for semi-finished and raw materials to send for processing to

sub-contractors.

Requisition to stores for assembling of materials.

After assembling production are offered for inspection and testing to the quality

The PPC department has the following sections:

Product planning:Production planning is the primary function of the ppc department. Production plan for the

month is prepared in the last week of the previous month in consultation with the sales co-

ordination plan.

Work order, which are over due as on last day of current month.

Work orders, which are due in the month for which the production is to be made.

Work orders, which are due in the next month.

Left over work orders from current month's plan.

However, while planning the production plan for the month, preference for processing the

work orders is given, considering the following points.

Work orders, due date.

Urgency from the sales co-ordination department.

Availability of materials of all the components.

Referring the above-mentioned points and considering the monthly production capacity, the

production plan is finalized.

Material planning:Material planning is another important suction of PPC department. Work orders /

amendments are received from sales co-ordination department. In some cases inter

departmental memo is received from SC department as an advance intimation for materials

procurement/ processing.

The ordering for materials (Indent / PO / Letter of indent) is done

considering following points:1. Stock of components.

2. Pending purchase orders and indents as on date.

3. Monthly average materials requirements as required.

4. Requirement for a particular month.

Based on the above points the working sheet is prepared for the total requirement and total

shortages considering all pending orders.

The orders quantity is decided based upon the following points.

1. Procurement time.

2. Feasibility to procure the given quantity.

3. Stock, which facilitates speedy execution of work, orders.

Painting, packing and dispatch:The production department activity comes to and at this section as all the major parts of the

process of production are completed and only some of the formalities like painting,

dispatching, inspecting and packing are left out.

Painting: The valves are cleared with wire brushed paper made totally free from scales, dust etc., the

products are thoroughly wiped with solvents lie thinner, petrol, kerosene, etc., to remove

grease and oil from surface.

DESIGN AND DEVELOPMENT DEPARTMENT

An organization needs to have and authoritative design and development department to meet

the changing needs of the market. B.D.K. Group has a well- established design and

development with well-qualified and experienced personnel's to design and develop quality

products that are reliable, economical and satisfying customer needs.

The Design and development department will comprise of the following sections based

upon the products.

1. Butterfly valve section.

2. Diaphragm valve section.

3. Plug valve section.

4. Gate valve and globe valve section.

5. Check valve section.

All these sections will address all the functions and activities connected with design and

development of respective product. They are also responsible for the design and development

of any other new product assigned. The department performs the design and development

activities using the established systems and procedure. These activities are carried out in the

following phases.

1.Design and Development planning:The planning activities are assigned to qualified personnel with sufficient resources. After

studying the requirements detailed plan is prepared in the prescribed format. The plans are

reviewed periodically. It may be prepared for

requirements and give clear specifications for procurement and product shall be procurable

and verifiable. The designs out puts are in the form of drawings, material list and technical

specifications.

5. Design Review: This is a method of tackling problems. The aim of design review is to identification the

problem areas, inadequacies and takes corrective actions to assure that the final design and

meet the specific customer requirements.

6. Design Verification:It is performed so as to ensure that the design output meets the design-input requirements.

Inspecting and Testing:The inspection and testing is conducted in the following phases:

Incoming Material Inspection.

Incoming Material Inspection:The objective of IMI is to ensure that all the incoming materials meet goods receipts,

inspection report and purchase order requirements.

The incoming material inspection starts when the raw material viz. Sand casting, investment

casting, graphical set, etc. are received from the vendors, the materials so received are

checked against the purchase order placed by planning and purchase department. If the

materials comply with the purchase order only then, the goods receipt rate (GRR) is prepared.

B. Visual Inspection:Under visual inspection the surface defects such as sand inclusion, rough surfaces, blow

holes, etc are detected visually.

2.In process inspection:The in process inspection is carried out before assembling the product. Its objective is to

ensure that in process inspection in catted out as pet the drawings and given specification.

The IP procedure is as follows.

a) Product under process is verified as per job card and drawings.

b) After completion of each operation dimensional inspection is done as per the respective

drawings and special instruction.

c) Visual inspection is done for surface defects.

d) Inspection status is put on the components for each operation and results are recorded in

the job card.

e) Products that are non-conforming to specified requirements are identified with respective

status and conformance report is prepared.

f) Non-Conformance Review Committee (NCRC) reviews non-conforming products.

g) Products, which are reworked, are re-inspected and re-tested.

h) All components are verified for completion of all the operations as per the job card and

drawings before credited to stores and stamped as B.D.K.

The final inspection and testing is carried out after assembling the product. There are three

important tests carried out in final inspection and testing, they are

a) Hydro seat.

b) Hydro shell.

c) Pneumatic shell.

Under these tests the final product is subjected to water pressure and air pressure for testing

the leakage defects. After accomplishing the testing jobs the respective confirmed products

are segregated and co lour coded. The rejected products by NCRC are returned to vendors.

The confirmed product is proceeding to stores.

4.Packing and Dispatch:Before being packed, the product shall be inspected for proper painting, usage of proper

packing materials, usage/application of proper preservation of material, making as per the

requirements and verify that the contents being packed are as per the packing slip and

authorized. No product shall be dispatched until all these activities are completed

satisfactorily as per the documented procedure.

5.Record:Inspection and test records shall be prepared, verified and maintained at all stages of

manufacturing as per documentary procedure.

and procures materials and stores in a scientific manner.

materials. The list of approved subcontractors is prepared on the basis of previous

The material department shall furnish the periodic performance rating, once in 4

months to the subcontractor based on quality performance data complied by material

Handling, Storage, Preservation:The stores department identifies and designates suitable areas for receipts and storage of

materials so as to avoid damages scratches and dent marks. Further they are applied with rust

preventive solutions so as to avoid rusting. Thereafter the components along with the

identification tags are sent to inspection review.

Identification:Raw materials such as castings, bar stocks and rubber components are identified with a

material co lour code. Machined components are identified with a material co lour code or

The objective of sales co-ordination department in contract review is to ensure that customer

needs are clearly identified, understood, documented and activities are co- ordinate for

effective execution of contract.

The products covered in product drawing and price lists are termed as standard products

drawings ans price lists are called special products. M/s. B.D.KMS on behalf of B.D.K.E.I

handles all standard products. Sales co-ordination in consultation with concerned departments

shall ensure that for each contract.

Control of Customer Supplied Product:The objective is to ensure that customer-supplied product is controlled regarding verification,

storage, maintenance and incorporation into the product and notification to the customer on

observed non-conformities.

Whenever customer requires incorporating his supplied product in final scope of supply, sales

co-ordination shall maintain the record of such item and inform concerned departments about

the receipt. Customer supplied products are verified upon receipt as per “incoming material

inspection and testing procedure”, such products duly identified are stored separately and

maintained to avoid damage deterioration.

Servicing:The objective is to organize for providing for service support and where contractually agreed

to provide installation and commissioning service to customer.

Design and development department prepares installation, operation and maintenance manual

(IOM) and update. This IOM have all necessary instructions for installation, operation, and

maintenance. It will contain safety precautions and list of recommended spares. Io M's

dispatched with each consignment. If contractually, agreed, the installation and

commissioning services will be provided to the customer. Beyond the guarantee period

service may be provided as per the agreed terms.

The sales co-ordination department keeps service registers of the customer complaints, study

the complaints and reports to the concerned HOD for further action and attends to customer

complaints analyze it and takes corrective and prevention action. A monthly report for

customer complaints is prepared and submitted to HOD and MR.

Working of Sales Co-ordination Department:Sales co-ordination department receives order from its zonal offices or directly from the

customers. These inquiries or orders may be for standard products or special orders to be

made as per the client specifications.

The Sales co-ordination department after receiving inquiry, it analysis and suggest the type of

valve that might wait the customer requirement. The details are sent to the zonal offices, in

case of special orders, Sales co-ordination department before preparing the contract review

consults design and development department and costing department.

A contract review is prepared which contains all necessary details of purchase order placed

by the client, such as type of valve, quantity, price due date, commercial terms such as

freight, insurance, taxed, mode of payment and all other information. Sales co-ordination

department in co-ordination with production planning and control department finalizes the

due date in contract review.

Once the contract review is done then order acceptance is prepared and the copies of it are

distributed to the concerned department soon after these work orders are issued to execute the

order. The goods manufactured are inspected as per contract and dispatched to client.

In case, if the goods are not delivered to the customers as per the due date in contract review,

then customer may claim a penalty of 0.5% - 5% per week on the value of the goods.

Products marketed by B.D.K holds a guarantee period ranging from 12-18 months.

Twice in a year, sales conference is held. All the zonal managers are called upon for the

The company has provided proper and healthy working conditions and employees are

happy with it.

Employees are even happy with the general welfare facilities provided by the

company.

It is found that percentage of young employees is high in the organization.

It is confirmed that company offers increment towards regularity in attendance. But

some workers are not aware of it.

It is found that social and religious sermanies and other personnel causes are the

reading causes for the absence.

Most of the employees are satisfies with the present leave facility for some of them

feel that can be further liberalized.

Few of employees feel that travel distance from residents to job cause them remain

absent as time scheduled can not be maintained.

Improving the pay structures, based on the organizational financial position.

CONCLUSION

The company has provided healthful and hygienic working conditions. The company also

provided adequate medical facilities for minor injuries and accident prevention and safety and

health measures.
