Objectives
The objective of The Manor Academy venture to South Africa in 2021 is to take a selected group of pupils to the diverse
and rich biospheres of the KwaZulu Natal Province on the eastern seaboard of the country, with the aim of learning about
and contributing to wildlife conservation, experiencing new cultures, engaging with local Zulu school children, to
experience new environments and activities beyond what is possible here at home.
Understanding their capabilities, developing self-assurance, self-reliance, resilience and raising aspirations is a key
objective during this journey. Inspiring a desire to take some action with the knowledge they will gain during this
challenging international venture is also a key outcome for this once in a life time experience in southern Africa.
This will be an incredibly life enhancing and enriching experience for every single member of the venture.

Who are the Venture Leaders and Staff ?
AWT Venture Leader The Senior Venture Leader is an experienced youth leader in the region and medic, having led numerous
ventures to KwaZulu Natal over many years. AWT Senior Venture Leader will oversee all aspects of preparation,
training in the UK as well as the venture reconnaissance in 2020 and the venture delivery in 2021.
The Senior Venture Leader is responsible for all aspects of the in-country phases including delivering a
reconnaissance trip, assigning and checking all accommodation, transport, guides, drivers, instructors; as well as
ensuring appropriate kit and equipment is in place and all other logistics.
Venture Medics Africa Wild Trails leader teams have experienced first aiders and medics who every group member will have
access to 24 hours a day in South Africa. See Incident Management
Adventure Leaders The Adventure Leaders will be responsible for the safe delivery of all activities. They will be skilled and qualified
instructors, guides or venture leaders with experience of delivering outdoors activities for young people and
working on youth development programmes.
School Staff Leaders The MA Staff Leaders will all go through a selection process. During the venture, they will be responsible for
assisting in the delivery of the activities within each group and will offer support and guidance for participants
throughout the venture and after returning home.
Local Staff Camp assistants will help with the day to day running in camp and manage the catering throughout.

Accommodation Canvas two man dome tents will be used for the duration of the venture. Males and females will not
share tents and leaders will be in tents in the same area. Stretcher beds will be provided to ensure a
good night’s sleep.
Catering This is a fully catered venture and all dietary requirements will be catered for. Three meals per day
and snacks will be provided. Hot and cold breakfast options, packed lunch and a sit down evening
meal will be the norm.
Wildlife Some locations are within conservation areas. As such every group member will have the chance to
experience African wildlife close up. Regular briefings will be given on wildlife and our specific
behaviour when near them.
Fitness An average level of fitness is required. The terrain difficulty is group specific and discussed during
the planning phase. Group members are expected to take their UK training and preparation
seriously. We generally follow game trails where the animals have taken a path of least resistance.
Kit & Equipment Walking boots, sleeping bag, back pack or hold-all, day pack, head torch, water bottle and
appropriate clothing for warm and cool weather are the main requirements. The ability to protect
yourself from the hot African sun is essential. A good hydration system is very important.
Evenings
Night time is a one of the most wonderful experiences for anyone travelling to Africa. Evenings are
spent relaxing and talking around the camp fire and listening to the sounds of the African bush.
A strict night time procedure will be adhered to.

Travel Documents
Passport British passport holders do not require any visa documents to visit South Africa. However you must
ensure your passport is valid for 6 months after the trip is due to end and that there are at least 2 blank
pages left.
If you hold a passport of another nationality, please contact the Africa Wild Trails office as soon as
possible to discuss visa arrangements: angus@africawildtrails.com
You will be asked to send a photocopy of your passport to the British Exploring office prior to your
departure from the UK.
As of 08.11.19 Child Trafficking Regulations are no longer applicable but are
nevertheless noted here as we are only a few weeks into the new immigration process. When a person is travelling with a child who is not his or her biological child, he or she must
produce-
(i) a copy of the unabridged (original) birth certificate of the child which includes the names of the
parents;
(ii) an affidavit from the parents or legal guardian of the child confirming that he or she/has permission
to travel with the child;
(iii) copies of the identity documents or passports of the parents or legal guardian of the child;
(iv) the contact details of the parents or legal guardian of the child; where the parents of the child are
both deceased and the child is travelling with a relative or another person related to him or her or his or
her parents, this person must be approved to enter into or depart from South Africa with a child.
Exemption: In the case of school groups, the parental consent may be replaced with an affidavit from
the school principal confirming that all consent letters are held by the school. This special dispensation
applies to all schools registered with the Department of Basic Education and its equivalent abroad.

Culture & Community Climate & Fitness
Safety #1
Expect our average day time temps to be, on
average, as hot as our hottest summer day in
the UK and evenings to be relatively cool/cold.
During the period you will be travelling
temperatures could drop below zero.
The likelihood of rain is very low but it is
always sensible to ensure a light, waterproof
jacket is in your pack at all times. This is also a
good outer shell during the evenings which can
be cool/cold.
Participants will need to be healthy,
reasonably fit and robust enough to carry a
back pack containing water, food, clothing,
binoculars, camera etc over rough terrain on
hot days for a few hours at a time.
Regular walking with your back pack and
walking boots will be excellent preparation, and
you benefit hugely during the venture.
We cannot stress highly enough how good
preparation will help you when on the ground
in Africa.
Zulu People Of the many ethnic groups in South Africa, the Zulu
population is the largest at around 10 million.
They refer to themselves as 'the people of the
heavens' and most reside in KwaZulu-Natal.
isiZulu is the language of the Zulu people and most
that you will meet also speak English as it is taught
in their schools from an early age.
Take some time to research their culture, religion,
food and traditions during the months leading up to
departure and perhaps even a few words or
sentences to try out!

Code of Conduct
Throughout the venture you should 1. Be willing and enthusiastic in carrying out all duties necessary to the successful completion of the aims of the venture, both announced in advance and as
developed and amended during the venture itself.
2. Subscribe to the ethos of safety whereby the prevention of accidents is only achieved by constant vigilance on the part of everybody, and avoid intentionally
undertaking any activity that might bring yourself or other members of the venture into unnecessary and avoidable risk.
3. Avoid intentionally undertaking any activities which break either UK law or that of the host country.
4. Avoid intentionally undertaking any activities which offend against the customs of the host country, and endeavour to discover the kind of behaviour expected of
you in all situations.
5. Be environmentally conscious and avoid any actions which will lead to any form of pollution, fully following the venture ethos of minimum impact.
6. Carry out the reasonable requests of those placed in authority by the venture chain of command; in particular, such concurrence will be immediate and without
question in times of danger or apparent danger.
7. Respect the rights of other venture members to participate fully in the venture activities; there is to be no discrimination of any kind.
8. Be willing to have any dispute between members taken to a relevant and agreed member of the leader team, and abide by the resultant decision with good
grace.
9. Adhere to the stipulation that intimate sexual relations will not be tolerated on the venture, on the grounds that possible resultant problems will conspire
against the success of the venture.
10. Adhere to the stipulation that the use of illegal drugs, alcohol or any substance that detracts from the individual’s ability to function will not be tolerated on the
venture, on the grounds that the safety of the venture and its members may well be compromised by any impaired judgement and / or performance. Any
Participant found in possession of illegal drugs will be removed from the venture immediately.
11. Adhere to the stipulation that the smoking of cigarettes or the use of e-cigarettes will not be permitted and that there will be a zero tolerance policy adopted to
any participants found smoking. Participants who smoke should make themselves known to their Group Leaders who will offer support and guidance on giving up
prior to the venture.
12. In the interest of safety, adhere to the venture’s rules concerning independent movement and activities, and seek permission from a relevant member of the
leader team for any such activity. Normally, permission for such activities will be given, provided that the activities do not compromise either the venture’s safety
or the venture’s aims.

Disciplinary Procedure We will operate a card policy for inappropriate behaviour. If we feel that a participant has behaved in such a way that jeopardises the safety or enjoyment of other
members of the programme, we may issue a ‘Yellow or Red Card’ in the form of a verbal warning, and/or later as a formal letter.
The card policy is in place throughout the entire training programme and South Africa venture.
If a participant displays repeated disregard of any of the objectives of the Code of Conduct, and this continues after two verbal warnings, a Yellow Card will be
issued. This acts as a formal warning. A second Yellow Card warrants a Red Card and the participant will not be permitted to continue with either the training
programme or the venture itself for a full day or two days.
For serious incidents the venture member will not take part in the rest of the venture or could be sent home.
In the event of serious misconduct, participants will be immediately issued a Red Card and either be removed from the rest of the activities or sent home.
Participants should not commit to the venture until they are familiar with, and are happy to agree to, the Code of Conduct stated above.

The following provides a summary of the incident and emergency plan for the Manor Academy Venture 2021. A full version of the plan is
available on request and briefings will be offered to all members of the venture both during UK training and on arrival into South Africa.
In the case of an incident or emergency during the venture, the Senior Leader will assume the position of Incident Controller. If the Senior
Leader appoints another to be Incident Controller, this will be the appropriate in country Adventure Leader.
He will therefore take responsibility both for the actions taken by way of response to this incident and for communicating with Africa Wild Trails UK
Home Agent, local emergency services and any other key people or organisations.
A nominated person from the school leader team will assume responsibility for contacting and updating Next of Kin contacts where relevant.
Emergency Communications Each group will be supplied with two way radios to contact base camp and a mobile phone will be held by each team leader in order to ensure
provision of communications in the case of an emergency.
In addition to any emergency communications, groups will communicate with the Senior Leader daily to report on their status.
Staff Training and Medical Support There will be a fully qualified located at a medical centre near to ever camp location during all of the venture phases.
In addition, all Adventure Leaders are first aid trained as well as training in specific emergency plans for different scenarios.
Each group will carry a first aid kit.

Casualty Evacuation If there is an injury we will use and escalate medical care as follows:
1) Utilise venture medics and first aiders
2) Request an ambulance to camp or meet on route
3) Fastest overland route to medical centre or hospital
The Senior Leader will take responsibility for instigating evacuation procedures as appropriate:
The Manor Academy will be required to show that they have comprehensive travel insurance to cover the costs of evacuations and repatriation to the
UK in the event of a medical emergency.
The nature and necessity of this evacuation will depend on the following factors:

Reconnaissance trip Despite the locations being well known to the Venture Senior Leader, a recce will be conducted this July to ensure everything is in place and will
be ready for the arrival of the group next year. Regular contact will be made between then and the departure date. Accommodation, catering,
guides and transport were checked during the reconnaissance trip as well as meetings with our key adventure leaders.
The Senior Leader will ensure a 2nd
recce visit takes place to all locations when he is in the region, in order to make the final logistical
preparations prior to the groups arrival.
Planning meetings Multiple planning meetings have been conducted between key staff at the Academy, Africa Wild Trails and related field experts in the UK and
South Africa to ensure the venture will be delivered exceptionally well.
Preparation & Training sessions A preparation process is in place and will ensure the group members have the correct kit, have experience in camping outside together, have
begun to work together as a team, are aware of the cultural differences, are aware of the activities and risks involved on venture.
Standard Operating Procedures AWT and our in country partners have specific Standard Operating Procedures for each location, activity, movement of people, leading, guiding
and catering.
These procedures extend to the wild animals and how we move around them when in vehicles and on foot, to ensure we do not startle wildlife
and for the safety of the group.
Dynamic Risk Assessment
A process of dynamic or ‘on the spot’ risk assessment takes place continually during each activity. As such, the Senior Leader and Adventure
Leaders may decide not to continue with an activity if he/she deems necessary. If this does happen, an alternative activity will be put in place.

as we are only a few weeks into the new immigration process.
CHILD TRAFFIKING REGULATIONS PLEASE NOTE THAT THE FOLLOWING IMMIGRATION RULES APPLY FOR YOUR FORTHCOMING TRIP TO OR VIA SOUTH AFRICA IF YOU ARE TRAVELLING WITH A CHILD UNDER 18 YEARS
OLD.
Failure to produce the appropriate
documentation will result in the airline’s refusal to permit boarding:
(1) When both parents are travelling with a child, they must produce an unabridged (original) birth
certificate of the child which must include the names of both parents of the child.
(2) When one parent is travelling with a child, he or she must produce an unabridged (original) birth
certificate which includes the name of that parent and one of the following-
(i) consent in the form of an affidavit from the other parent of the child authorising him or her to enter into or depart from South Africa; or
(ii) a court order granting full parental responsibilities and rights or legal guardianship; or
(iii) where applicable, a death certificate of the parent of the child; where the parents of the child are both deceased and the child is travelling with a relative or another person related
to him or her or his or her parents, this person must be approved to enter into or depart from South Africa with a child.
(3) When a person is travelling with a child who is not his or her biological child, he or she must
produce-
(i) a copy of the unabridged (original) birth certificate of the child which includes the names of the parents;
(ii) an affidavit from the parents or legal guardian of the child confirming that he or she/has permission to travel with the child;
(iii) copies of the identity documents or passports of the parents or legal guardian of the child;
(iv) the contact details of the parents or legal guardian of the child; where the parents of the child are both deceased and the child is travelling with a relative or another person related
to him or her or his or her parents, this person must be approved to enter into or depart from South Africa with a child.

(4) When an unaccompanied minor (under 18) is travelling, they shall produce to the immigration
officer-
(i) a copy of the unabridged (original) birth certificate of the child which includes the names of the parents;
(ii) proof of consent from one of or both his or her parents or legal guardian, in the form of a letter or affidavit for the child to travel into or depart from South Africa: Provided that in
the case where one parent provides proof of consent, that parent must also provide a copy of a court order issued to him or her which he or she has been granted full parental
responsibilities;
(iii) a letter from the person who is to receive the child in South Africa, containing his or her residential address and contact details in South Africa where the child will be residing;
(iv)a copy of the identity document or valid passport and visa or permanent residence permit of the
person who is to receive the child in South Africa; and
(v) the contact details of the parents or legal guardian of the child.
Exemption: In the case of school groups, the parental consent may be replaced with an affidavit from the school principal confirming that all consent letters are held by the school.
This special dispensation applies to all schools registered with the Department of Basic Education and its equivalent abroad.
