EXECUTIVE SUMMARY
For this assignment, we have been ask to visit any established company in order to do
research regarding problem analysis, SWOT analysis and at the end we have to define the
problems solution for the chosen company. We are very lucky to be given the chance to visit the
OTSB private wings.
In this assignment, we will brief about the company backgrounds including what the
company deliver to costumer, the company management process, how the company organized
and last but not least the company vision and mission. The well – known 6W’s is define as what,
who, why, where, when, and way/how. Then we will have SWOT analysis which used to be one
of element to have good problems solution where a good solution will contribute to improve the
organization strength and opportunities beside to reduce or eliminate weakness and threats.
Then after analyzing the problem and connect them with the SWOT analysis, we have
recommendation on how to solve those problems and again 6W’s is apply.

Background Company
Ocean Triangle Sdn Bhd (OTSB) is an established company founded in October 2000. A
main business are Biomedical, Facility Engineering and Services, supply of equipment &
accessories, disposable and consumable and was one of Electrical contractors in Suruhanjaya
Tenaga. It's specialized in marketing, calibration and maintenance of laboratory equipments and
parts.
Was awarded Biomedical service contract at the initial inception of the company from
Jabatan Kesihatan Negeri (JKNS ) Selangor and since then enhanced our services (Biomedical &
Facilities) to JKN Negeri Sembilan, Melaka, Kelantan, Johor, Kedah, Perlis, Pahang,
Terengganu and Sabah (9 states ).
OTSB Expand their services to University Hospitals and Clinics such as Universiti Putra
Malaysia,Universiti Teknologi Mara,Hospital Universiti Sains Malaysia,Dewan Bandaraya
Kuala Lumpur,Kolej Jururawat and Universiti Kebangsaan Malaysia, for the government sector
and since year 2009 awarded services with private hospitals such as Wijaya International
Medical Centre.

hospitals and medical suppliers. Products like ECG electrodes, ECG recording chart papers,
Medical cables and Sp02 sensors, Video printer papers, Thermal papers, Thermometer sleeves
and etc.

PROBLEM ANALYSIS
Problems that occurred in the company organization were divided into two categories which
are technical problem and employee behavior.
TECHNICAL PROBLEM:
What is actually the problem? (Problem statement)
Since the company specialize in animation and graphic design, they are
responsible to take charge in their equipment of handling the server and all the IT session
which involving every detail of their work. As we know Les Copaque nowadays had built
their name as a big animation company in Malaysia but to reach it they have to facing a lot of
problem. One of it is about limitation on technology which the technology in our country did
not same like Europe or American country because technology in their country was more
advance than our country so this company should using a software or equipment that only
have in our country so they have limitation for their work. Besides, the server that they are
using are also have some error on it because of not enough memory to carry data and other
problem related to the server. On the other hand , the PC that they are using are also not
suitable with the operation working because they are not using standard PC for animation
design like some country so many thing cannot be done on it.
Who is the individuals / contributed / caused the problem?
IT department plays very important roles because they are the one who are facing
the server most frequently. When this problem happen among them so it will effect the other
department because they cannot perform their job nicely and every job will be late to be
finish. But if, the qualities of server are always maintain down and below the pas of
satisfaction, the company reputation will drop and this will lead the company.

Why this problem occurs?
There are many reasons why this problem occurs in this company and they must be
able to recognize every detail that contribute to this problem. First of all, why they have
limitation on technology are because this company doesn’t reach world global as a
competitor in animation design but they just represent Malaysia as the most successfully
animation company. So in this situation we can take note that they did not have enough
financial to buy all the equipment or technology that may help them to get their job more
easily and smoothly. Server and software that involve in animation design are also have their
standard and in this company the standard of that particular are still not reach into among the
best server or software and that’s why this problem occurs and they should facing some
limitation on their works.
Where that problem occurs?
The problem occurs in every department that using high quality of server and
software and most of it come from IT department which they are the one who run every
program on each department which have link among them.
When did the problem occur?
The problems usually occur when they are too many of software are running in the
same time and the server will get jammed.
How the problem occurs?
The problem occurs because of server cannot run smoothly and the main point how it
happen are because of window clash among the server.
HUMAN BEHAVIOR:
What is actually the problem?
As a biomedical services company specialist, Ocean Triangle has their own
strategy to take care of their equipment and client. Client satisfaction is a priority for them in

achieving their goal to be the greatest biomedical services company. They must make sure
all their biomedical equipment in good condition because their client satisfaction is
depending on how good they can serve their client. Therefore, the company will assign their
employee to do equipment services at government clinic. At this moment, government clinic
is one of their biggest clients in biomedical services. The company assigned four persons to
handle the services and divided them into two teams which mean two persons in one team
and the company target is to complete services of 285 unit of biomedical machine per month.
However, the target always cannot be achieved as desired due to the employee behavior that
has been assigned to complete the task. The company commonly facing same problem which
is employee didn’t come to work and do their job because of some reason. In fact, Ocean
Triangle provides allowance to them including RM100 Hotel allowance if the place is far
away, car maintenance and diesel and meal allowance. If the time of services is delayed, the
company also has to enhance their expenses or budget.
Who is the individual/s who contributed /caused the problem?
The individuals that caused the problem are company’s employee that has been
assigned to make biomedical preventive services at government clinic.
Why problem occurs?38
Problem occurs because company assume that the employees that has been
assigned can do their job properly without provide any extra standby employee in case of
emergency. When one of the employees was on leave or on MC, they cannot assign or
replace with another employee to do the job because other employee doesn’t have enough
experience and qualification to do biomedical preventive services.
Where - which part/section/unit of the organization that problem occurs?
This problem occurs in Bio Medical Engineering Maintenance & Services
Department.
When did the problem occur?
Preventive or corrective services will be done every day. It means that the service is
running 12 month a year. The problem occurs several times in a year without predicted.
How the problem occurs?
For preventive or corrective services, the company has estimate the number of
employees, the number of equipment to make services, the company’s budget and the
suitable schedule. Therefore, if one person was on leave or on MC, it will affect to
company’s budget and time schedule.

SWOT ANALYSIS
STRENGTH
Strength in SWOT analysis is attributes of the organization that are helpful to
achieving the objective. Strength is the internal origin in the organization. The internal origin
that help company to achieve target or goal in the company organization and will help
company to stabilize based on work and tender.
Based on our analysis and research, this unit strength is based on the profit that they
produce from the project. This company has a good point of view. For every worker that
managed to get new project and have finished up their work, they will get benefits from the
company. The company will give them 3% incentive from the project profitability for every 3
months. The company will collect all the profits from each project for 3 months and give
them their incentives. Therefore, from this benefit, in every work that they have done they
have to do orderly and full of specification and the requirement from customer which mean
people who watch their product of animation and merchandise. Thus, this will help them to
produce high quality works and will get more profits from their project.
Besides that, they will get the belief from the company that they apply because of the
good record from previous project like movie and selling product. This kind of strength need
to be used to help company to build the strength and also can support the company in
achieving the mission and vision of the company. The benefits that are being offered by the
company will somehow motivate the workers to work harder and find more projects. The job
that they have done make a good job of prospect that help on finding profitable tender.

The other unit strength is this company has become as a benchmark for local
animation. Either than that, as we know also this company also gain some profit from selling
their product or merchandise. Besides that, they have a good relationship with their customer
especially children below 12 years old and they also have their own strategy which they make
some event in every state so that all they can be closed with people and easy to get direct
feedback.. The good communication can help them to get good relationship.

WEAKNESS
Weakness in SWOT analysis affects the organization in order to achieve the
objectives of the company. Weakness is also the one of the internal origin that analyzes on
the weakness of the organization and how to overcome the weakness to become strength. The
relation of weakness and strength can effect on the organization. Therefore, to improve the
strengths we need to overcome the weaknesses.
Based on our analysis and observation, this company and unit is having problem on
the system. Most of the work cannot be done according to plan. The company is having
problem regarding delay in most of the works because of they does not have an advanced
system to make their job more easily and fast to be handle. Until now, they still facing this
problem and when server down many works cannot be done on that time and it will be delay..
So, this is causing to delay and in producing every work from each department to the other
department. Because of this old fashioned system, the company is having problem to do their
work in a couple of time.
The other problem they are facing is about the lack of workers in the company.
Because of that, the works are being delayed and thus cannot be completed in the period of
time planned. This brings problem to the workers, company and also the customers. The
company needs to hire new worker so that most of the job can be finished in the period of
time planned. Therefore, they need to add more workers in each unit. So the dividing of the
jobs can be done easily and the problem regarding lack of man power cannot be happened
again. If the unit does not hire new workers, the existence workers need to do two jobs at the
one time. This will be difficult for the workers to do lots of job and one time and to finish
their task according to the period of time given.

OPPORTUNITIES
After discussion about the internal environment, now we continue discussing on the
external environment. As we can see, opportunities are one example of external environment
which mean opportunities that help the company to achieve the main objective. According to
the researches that have been made, this company manage to get budget from the government
to produce new animation movie because their product had been sell to other country such
like Indonesia, Singapore, and some European country.. Lastly, one of the advantages of the
company is the CEO of the company, Haji Burhanuddin is master in marketing so this will
somehow add the company’s opportunity to get bigger projects.

THREATS
Threats are one of the examples of external environment. Based on the company that
we have visited, the main threat that they are facing is they facing a problem on developing
story which as the best animation company in Malaysia , they should maintain their good
product so that people are not getting bored on every movie that they produced. So they must
have a good story line and to make this situation more complicated , our local people are little
bit sensitive so the company always make their story line are related with the environment
but some people cannot accept what have they produce.
Another threat to this company is there was a group of worker that low in
communication skill in the organization and it can gives big impact to the company. From our
interview that we have made, this group of staff still cannot do a talk even in a 10 minutes of
presentation and this was not a good situation because as you reach to the working time , you
must be able to have a good communication skill.

RECOMMENDATIONS
The company should give bonuses to the best worker in terms of discipline,
achievement of working and so on. As a result, the workers of the company will
somehow feel motivated to work harder for the company. Thus the quality of works
will be maintained and so the company achievement will be greater.
To overcome their weakness, the company should create the own system. So that, the
work will be completed faster and there will be no delay. As a result, they manage to
produce new movie in a short time.
The company should increase the number of workers especially professional workers.
By doing this, dividing of the jobs can be made easily and the problem regarding lack
man power cannot be happened again. If the unit does not hire new workers, basically
the existence workers need to do more jobs at one time. This will be difficult for the
workers to do lots of job and one time and to finish their task according to the period
of time given.
In the future, we think that the company can manage to get new and big project
according to their experiences they had before. Based on our observation, their dream
to enlarge the branches until global and it can be true based on their high experience
on this field. This can somehow, add the profits to company and make the company to
be a well-known company throughout Malaysia.
To compete with their competitors, the company needs to have a good story line in
their movie so that people will be attract with their product and it will help them to be
a successful company.

SOLUTION
TECHNICAL:
For technical parts, the company will sends some of their workers to look after the
equipments. They will send higher skill workers to fix the equipment if the equipments
cannot be fixed by the normal workers. We think the operation team needs to hire high skill
workers that are expert to handle this kind of machine. The workers need to learn about the
installation of the machine and how to repair the machine when the machines need to be
troubleshot. But at the same time, the Ocean Triangle will do research to find a good and
suitable filter from other vendor in Malaysia. So they no need to find the vendor outside the
country. However, if the problem at the machine cannot be repaired by the workers, they will
send the equipment to the vendor which in China. Some of the machines are still under
warranty so that whenever the machine needs to be repaired, Ocean Triangle just needs to
contact the distributor to send their technicians to fix the machine back

In our opinion, the company should send some of their workers to China where the
machine is being made to improve their skill and knowledge.
How this solution can be implemented?
When the company takes a step in sending their employee to get better knowledge and
skill about biomedical product and equipment, they need to make a bond agreement between
them and employee. The purpose of making a bond agreement is to ensure the employee that
has been sent to learn something whether about product or technical skill is not quit from the
company once they have completed the training.
Why this solution is considered as the best solution?
This solution is the best solution because they can increase the quality of services.
Eventually, the problem can be solving faster and effectively.

HUMAN BEHAVIOR:
As we seek and ask about the human problem in this company, the solution that has
been made by Ocean Triangle Company was they hired some of the practical student as their
temporary workers. This is the best solution because normally the practical students are easy
to be controlled. Plus they like to try something new in the working environment as they are
new and fresh to this field. Rather than experience workers, some of them have ego
characteristics and this could lead to a problem for the manager to control the schedule of
work that has been given. In economical point of view, hired the practical students to
encounter the problem regarding lack of employees problem seems to be logic enough as it
can save on the company cost regarding payment of the wages for the staffs. Normally, the
basic pay for the technician would be RM 1000 and above. But for these practical students,
the company only needs to pay about RM 500 and below for their monthly allowance.
Besides that, some of these practical students that may have potential in their knowledge and
skill can be trained as permanent workers in the company. The supervisor that has been in-
charge of conducting these practical students may recommend them to the top manager so
that they can be absorbed as permanent worker. So it is so much easier for the process of
hiring new worker to solving the human problem

Hired some of the practical student especially from Institute Kemahiran Mara( IKM ),
Institute Latihan Perindustrian ( ILP ) and Politeknik as their temporary workers.
How this solution can be implemented?
Currently, Ocean Triangle has their own training centre. This solution can be
implemented by sending all practical students to the centre in certain period.
Why this solution is considered as the best solution?
This is considered as the best solution because student from IKM, ILP and Politeknik
has better skill in practical applying. Besides, their studies level and qualification is suitable
to be a technician and their scope of work was more on technical task. Compared to practical
degree student, their level and qualification is suitable to be an engineer that more focuses on
the research, implementation and management.

CONCLUSION
In organization, good management will influence company performance either to be
an extraordinary organization or just an average organization. Management has been
described as a social process involving responsibility for economical and effective planning
& regulation of operation of an enterprise in the fulfillment of given purposes. It is a dynamic
process consisting of various elements and activities. These activities are different from
operative functions like marketing, finance, purchase etc. Rather these activities are common
to each and every manager irrespective of his level or status. A great management is one with
the ability and the desire to realize a company's potential, much like expert card players make
the most of the hands they're dealt. Great managers recognize the power of competitive
advantage, and are fanatics in protecting and even improving their advantages.
Organization must consider that they are moving towards to more team-based
environment. If they have a group of people who work together as a team with passion, the
impossible outcome becomes possible, the team efficiency is pushed to the next level and the
team work with incredible enjoy. To build a great teamwork in organization, they need to
create a positive environment to encourage better relationship within their team members
who have different characters, experiences and expertise.
In the corporate world today, it is impossible for an individual employee to
accomplish the company organization goals alone. It needs a group of people who are willing
to work together to ensure the project or organization operates smoothly. If there is a worker
who is not committed to the group, the group performance may be affected. As consequence
the organization may probably not be able to achieve its fullest potential.

Even though Ocean Triangle must compete with other biomedical company such as
Radicare, Antah Sri Radin, Pantai Medivest and Faber Medi Serve, they still have their own
ability and strength in biomedical field. Their company’s CEO was master in marketing.
Therefore they always find out and grab any business opportunity for the company
advantages. They do not just expand their business in biomedical field but also in other field
especially in civil engineering, electrical engineering and mechanical engineering. They have
very responsible managers that are able to take an exam and license in other field like in
electrical engineering in order to be a contractor in that particular field.
Normally, in any organization, problem that related to employees attitude is more
complicated than technical problems. An effective solution and strategy must been taken by
management because employees attitude affected company’s performances. In career field,
we must knowledge in emotional intelligent because this is the best skill for handling our
emotion in any situation.
If we are involved in management team, we must understand and apply the key to
motivating a diverse workforce, understanding employee and be an innovative group to
achieve company vision and mission.
Last but not least, by doing this company visit assignment, we know what is the
problem they are facing and learn how they solve it as soon as possible. If not, the problem
will affect all the production line. We think that the visit to the company is worth the efforts
because we have managed to learn a lot from them.
