AOS.995 – Update Attributes Using Student Lists

AOS.995 – Updating Attributes Using Student Lists This program allows the mass entry/change of student attributes. You may choose to change 1 or 2 attributes at a time.

Type your changes and hit enter. Notice that there is a + at the bottom right of the screen. You will need to page down to see the additional records.

AOS.950 – Mass Change Teacher IDs

This program allows you to change a teacher id. You probably will not want to change the teacher ids in the Special Education Services Record or the Student Discipline Record UNLESS the teacher has had a name change. This program is used when a teacher leaves after scheduling is complete and a new teacher replaces him/her.

AOS.515 – Print Cut-Sheet Student/Guardian Labels AOS.515 – Print Cut-Sheet Student/Guardian Labels This is the only program that will allow you to print student/guardian labels on a laser printer.

First, you must use an A to add a format, type a format name, and make sure your district and school is entered

Next, type a description for your format and choose the correct options on this screen

This is where you choose the actual format of your label. On each row, press F4 to get a list of items. Put your cursor in front of the item you want on each line and press enter. You should only use 5 rows; otherwise your alignment may be incorrect.

This format will print the guardian’s name and mailing address

On this screen, press F4 to get your list of options. Complete this screen as necessary for your needs.

Once you have completed your format, place an R on the Opt line to run the labels.

AOS.725 – Student Letters This program will allow you to write letters electronically. You must first create a format by putting an A on the Opt line to add the format.

Type a description on the Descr line. On the lines in the middle of the screen, you must enter a variable from the bottom of the screen.

This is an example of a header. This will print the Current date, skip a line, and then print the student’s name, address, and city, state and zip. This header will be on every letter.

This is where you type your letter, inserting information as required. Type your letter and insert variables for certain information, such as the student’s name.

This format would insert son/daughter for *09, the student’s first name for *01, and homeroom number for *10.

You can enter variables in the footer of each letter, if desired.

AOS.735 – Student Letter Processing This program allows you to print the format you created in AOS.725. Type an A to add a letter and hit enter

Type a description and then choose your correct format by hitting an F4 on the letter format field. You can enter a specific tag id if you wish to mail letters to a certain group of students, provided the students have been tagged.

Choose your sort by option by pressing F4 on the Sort by field. Enter additional information as necessary on this screen.

To print the letters, enter an R to Run

AOS.565 – Download a Report to PC ASCII File

This program allows you to run a report and download it into Excel. Make certain the output queue name is the correct number of your printer. You may want to change the last option to an N so that your report will not be deleted after downloading.

This will show you all of your spooled files. Place an X on the file you wish to download. Press enter.

Press Enter. No changes are necessary on this screen.

DO NOT HIT ENTER. This screen must be on your display in order to download the file. If you press enter before downloading the file, the system will not allow you to download it.

Click on the “Receives File From Host” button on your toolbar

Click on File and then Properties.

Make certain Convert CCSID 65535 is checked. If not, click on it, then click apply and then click OK.

Enter the File Name EXACTLY as it appears on your display screen. Enter a file name at the bottom of the screen. You can save the report to you’re A: or C: and can name it whatever you desire. When all information is entered, click on Transfer Data from AS/400.

This screen lets you know the download is complete. Click on OK. Now open Excel and open your file. You can make changes, deletions, or additions in Excel. NOTE: Any changes made in Excel ARE NOT made in WVEIS.

AOS.775 – Update Registration Data Using Student Lists This program will allow you to mass change/update certain registration information. Choose up to four fields to change and press Enter.

Make changes and press Enter. Be sure to page down to see all available records.

AOS.945 – Assign Counselors to Students This program allows you to assign counselors to students. You can either assign all students to one counselor, or you can assign specific students to a counselor based on either grade and/or an alphabetical range.

AOS.980 – Entry and Withdrawl Report This program will print an entry and withdrawal report. Enter a date range. You can also choose to omit or include specific entry and withdrawal codes.
