ANNUAL GENERAL MEETING OF PTA
The AGM of PTA is an important event of an organisation. The AGM of an
organisation is about accountability, compliance and communication.PTA
exists to provide closer links between home and school and it is an excellentway to bring staff, parents and students together socially in support of the
school, working towards a common goal i.e. for the betterment of the school.
AGM is held at the beginning of the academic year and this is the opportunity
for all parents to come along and share their views.
It is also the occasion when we elect our new committee of parent
representatives from Class 1 to Class 12.
The work of putting on an AGM is made easier if we plan ahead. Date, time
and length of the AGM are set by the management and the principal. A circular
regarding AGM is to be prepared along with the acknowledgement slip and
nomination form. This should be sent to all parents from Class 1 to Class 12
and ask them to send acknowledgement slip back confirming their presence so
that proper seating arrangement could be made. It is to be made clear that the
nomination form should be completed by the interested parents and return in
advance.
Invitation of AGM of PTA is to be prepared on school letterheads, get it signed
by the principal and then to be sent to SMC members and trustees timely.
Duties to be allotted to the teachers to conduct AGM of PTA successfully.
On the day of AGM, after welcoming and lighting the lamp, minutes of all the
PTA meetings held in the previous year to be read out by the outgoing PTA
president.
This is followed by reading of a Brief School Report by the Principal. The
Principal will read out the By- Laws also.
Then there will be a session of queries and suggestions by parents. After this
session, the chairman will address the meeting and also answers to the
queries.

Next to it will be the election of Parent Representatives. A parent from each
section of each class i.e. from Class 1 to Class 12 had to volunteer to be a part
of the committee and if there is more than one nominee then a lottery is to bedrawn.
The names of the elected Parent Representatives to be noted down on the
board according to class and section. After completion of Election process,
Parent Representatives will introduce themselves and they will be welcomed
by the school management. After this Teacher Representatives of each class
will be announced. Teacher Representatives will also introduce themselves.
This will be followed by Vote of Thanks and National Anthem.
Follow up actions to be takenIf Parent Representative of a certain class are
not present then we have to follow up for the same.
Deciding on the further course of action to be taken for e.g. next PTA meeting
for election of PTA President and Vice-President.
Lessons learnt report and recommendations for the future to be submitted.
