Essential Information

Tokyo Tech YSEP (Young Scientist Exchange Program)

1 YSEP students must have student status at their home universities during the period of participation.2 Some courses may have prerequisite or attendance policies for undergraduate students, such as the completion of

basic subjects.3 Allocation of JASSO (Japan Student Services Organization) scholarship is limited. JASSO sets the criteria for scholarship recipients.

4 All application documents should be submitted through the YSEP online application system (https://form.gsic.titech.ac.jp/ryu/). Only the students nominated by Tokyo Tech partner universities are able to use this system. We will send nominated students a unique ID and password to access the YSEP online application system.

Tokyo Institute of Technology (Tokyo Tech) is the top national university for science and technology in Japan with a history spanning more than 130 years. Across its campuses in Ookayama, Suzukakedai and Tamachi, the university continues to cultivate global leaders in the fields of science and technology and contributes to the betterment of society through its research focusing on solutions to global issues. The Institute's long-term goal is to become the world's leading sci-tech university, also providing students with a balanced knowledge of the social sciences and humanities.

As of May 2016, the total number of staff is 1,740, including 378 professors and 349 associate professors; the number of undergraduate students is 4,780 and graduate students 5,052. Annually the Institute produces 370 PhD. holders on average. Dr. Shirakawa, who received the Nobel Prize in Chemistry for the invention of electrically conductive polymers, is a Tokyo Tech graduate and ex-fellow.

YSEP (Young Scientist Exchange Program), running since the year 2000 and one of Tokyo Tech’s flagship programs for facilitating exchange with partner universities, provides students with a unique opportunity to experience the Research Project as well as related subjects, a Japanese language course and hands-on experience of Japanese industries and culture.

Each term, YSEP accepts 35-45 overseas students from universities which have concluded Student Exchange Agreements with Tokyo Tech. Participants are registered as “International Exchange Students” during their stay at Tokyo Tech. In addition to Research Project, courses related to the research topic and to old/modern Japanese society and culture are offered in English. Japanese language courses at different levels are also available.

Since 2009, YSEP has been divided into two programs. The original one year course was renamed YSEP Focused on Research (YFR) and a new half year program was named “YSEP for Experiencing Japan (YEJ).” YEJ puts more emphasis on hands-on experiences, and the production of devices or internships at companies/research institutes can also be counted as part of the research project if the academic supervisor agrees.

Students admitted to YSEP are eligible to apply for a scholarship provided by the Japan Student Services Organization (JASSO), although the number of recipients is limited.

Beyond differences of race, religion and culture, YSEP students are expected to positively interact with the

In the Research Project, an appropriate academic supervisor is assigned to each participant who studies a selected research topic in the supervisor’s laboratory. The professor’s research field and the applicant's scientific interests are taken into consideration in deciding the research topic. Academic supervisors in almost all scientific and technological fields are available at Tokyo Tech.

Research Project thus offers an excellent opportunity for students to not only experience the Japanese research style but also to develop communication, problem solving and public speaking capabilities. In the laboratory, Japanese and international students, undergraduate (senior) and graduate students conduct research together, developing international friendships and mutual understanding.

 YSEP Focused on Research students (One year): September to the following August.  YSEP for Experiencing Japan students (Six months):                    March to August (Spring Semester), or                    September to next February (Autumn Semester)

Students who wish to participate in YSEP Focused on Research (YFR) must have completed three years of undergraduate study at their own university and have not yet completed a master level course when joining YSEP. Students who wish to participate in YSEP for Experiencing Japan (YEJ) must have completed two and a half years of undergraduate study at their own university and have not yet completed a master level course when joining YSEP. YSEP students need to belong to their home universities during the period of participation. Japanese language ability is not required to participate in YSEP if the applicant is a good speaker of English. Non-native speakers of English are requested to submit TOEFL, TOEIC or IELTS score or other equivalent documents to certify their English abilities.

Neither entrance fee nor tuition for Tokyo Tech is required for students from universities that have concluded a student exchange agreement (which includes mutual tuition waiver provision) with Tokyo Tech.

Step 1: Please consult with the academic advisor at your university about the application for YSEP.Step 2: Please contact the Student Exchange Office at your home university and obtain the necessary official

approval. Without the approval from your home university, you cannot start the online application process.

Notice: We must receive an email from your home university's student exchange office about the

approval of your application so that we can recognize your application as coming from one of our partner

universities.

YSEP Focused on Research: the end of FebruaryYSEP for Experiencing Japan Autumn Semester: the end of February.YSEP for Experiencing Japan Spring Semester: August 15 of the previous year.

Step 4: The result of your application will be reported to you through your university by April in the cases of YFR and YEJ in the autumn semester, and by October in the case of YEJ in the spring semester.

Step 5: Application for your student visa: You must fill in the application form for the certificate of eligibi1ity and send it back to the Tokyo Tech

with a copy of your passport. Tokyo Tech will submit it to the Immigration Office on your behalf. It will take 4 to 8 weeks for it to be issued. After it is issued, Tokyo Tech will send it to you. You must then go to the Japanese Embassy or Consulate in your country with the certificate and your passport to apply for your student visa in Japan.

It costs about 100,000 - 150,000 yen per month to live in Tokyo, including rent of a private apartment although the amount varies according to your lifestyle. JASSO scholarship recipients can get the monthly stipend of 80,000 yen.

Tokyo Tech provides the following two kinds of student housing for YSEP students. YSEP students are expected to share a twin room with another YSEP student in principle. Since the number of dormitory rooms is limited, there are cases that we cannot provide accommodation to all the participating students.1. Shofu Ryugakusei Kaikan (about 15 minutes’ walk from Aobadai station of the Tokyu Den-en-toshi line. It is

located in Yokohama city, Kanagawa prefecture)2. Umegaoka Ryugakusei Kaikan (about 20 minutes’ walk from Fujigaoka station of the Tokyu Den-en-toshi line.

No matter how confident you may be about your health, you do not know when you may become sick or injured. The Japanese government has instituted a National Health Insurance System so that everybody can receive medical treatment at reasonable cost. All international students of Tokyo Tech are requested to join the National Health Insurance System. Entry procedures are carried out at the municipal office’s National Health Insurance Section of the region of your residence. After joining it, you will be requested to make the monthly payments. International students, upon declaration of their income, may receive a discount on these payments.

Upon joining the National Health Insurance you will obtain a National Health Insurance Certificate. By showing this at the hospitals where you receive medical treatment, you need to pay only 30% of the incurred medical costs. If there is any change in your name, address or householder resulting from a move or marriage, you must notify the National Health Insurance Section of your region within 14 days of the change. You will need to take your National Health Insurance Certificate and Residence Card with you.

Tokyo Tech considers it necessary for all students (Japanese & international) to join insurance schemes to cover illness, injury and personal liabilities in addition to the National Health Insurance, considering the fact that experiments and other related activities are conducted as part of educational program. It is strongly recommended for you to join these insurance schemes during your stay in Japan.

In the Japanese higher education system, one subject for 2 credits usually consists of 15 lectures per semester. One lecture is 90 minutes long. One Tokyo Tech credit is equivalent with two ECTS/UCTS credit points in principle. For evaluation, academic tests or report submission are usually required. At the end of each semester, Tokyo Tech will make a certificate of your academic results and send it to the office of international studies of your home university. You can also obtain a copy upon request to the International Student Exchange Division of Tokyo Tech.

The minimum requirement for completing YSEP is as follows:YSEP Focused on Research (YFR):

1. To make a presentation of your YFR Research Project at the end of the program2. To acquire at least 17 credits per year including all compulsory subjects

The compulsory subjects for YFR are the YFR Research Project (12 credits per year), Topics on Japan (2 credits per year), Fieldwork Skills (1 credits per year) and Study of Japanese Companies and Industries (2 credits per year).

In addition to these 17 credits, you can take courses in Tokyo Tech including the courses from the International Graduate Program* and Japanese language courses.

YSEP for Experiencing Japan (YEJ):1. To make a presentation of your research and experience at the end of the program2. To acquire at least 7 credits per semester including all compulsory subjects

The compulsory subjects for YEJ are the YEJ Research Project (4 credits per semester), Topics on Japan (1 credit per semester), Fieldwork Skills (1 credit per semester) and Study of Japanese Companies and Industries (1 credits per semester).

In addition to these 7 credits, you can take courses from the International Graduate Program* and Japanese language courses.

*Some courses may have prerequisite or attendance policies for undergraduate students, such as the completion of basic subjects.

YFR Research Project is the main pillar of YFR. This is an individual research project under the guidance of an academic supervisor. Each student selects a research subject after the consultation with the academic supervisor. The student should submit a report and make an oral presentation on the research at the end of the program. Please note that to complete one research project can be very time and energy consuming, much more than the requirement for a 6 credit course. Though challenging, the experience you gain through a research project will be rewarding in your future career.

In the YFR Research Project, each student will discuss and present his/her research progress and/or read technical books/papers, following the academic supervisor’s lead.

YEJ Research Project is the main pillar of YEJ. This is an individual research project under the guidance of an academic supervisor. Each student selects a research subject after the consultation with the academic supervisor. If your academic supervisor agrees, related activities (ex. making a robot, company internship etc.) will be counted as a part of the YEJ Research Project.

YSEP students can also enroll in various courses from the Tokyo Tech International Graduate Program, which offers a wide range of courses in English. They can also take courses of the Tokyo Tech Undergraduate Program and Graduate Program.

The following are the common courses for YSEP students provided by the International Student Center at Tokyo Tech.

1. Topics on Japan 1 credit per semesterThrough this course, students deepen their understanding of Japanese society and culture through lectures,

discussions and visits to relevant places. They are also expected to make a group presentation on the situation in their own country or on some selected topic on Japan. Since this course is part of an undergraduate program, Japanese and other international students will also join the course.

2. Fieldwork Skills 1 credit per semester This course explores practical ways to discover and understand culture in Japan, based on the gathering

and analysis of qualitative data. Students taking the course learn techniques of observation and interviewing and practice applying these techniques in the real world in Tokyo. By the end of the course, students will have discovered some interesting aspects of culture in Japan and developed some skills that are beneficial across many study disciplines.

3. Study of Japanese Companies and Industries (SJCI) 1 credits per semesterThis course aims at deepening students’ understanding of the actual system of Japanese companies and

industries through a series of lectures and study tours given by company professionals and staff, including and the graduates of Tokyo Tech who work for Japanese companies.

4. Japanese Courses YSEP students are theoretically able to get credits/the necessary certificate for their credit transfer from

Japanese subjects. These Japanese classes are given at 7 different levels, from J1 (for beginners) to J7 (most advanced).

Tokyo Tech offers the 'International Graduate Program (IGP)' which provides a qualified international student with an opportunity to pursue a master's or doctoral degree without requiring Japanese proficiency at the time of entrance. Applicants to the IGP can apply for the government supported Monbukagakusho scholarship at the same time. An applicant must complete an undergraduate program at his/her home university and obtain a bachelor's degree before entering the IGP.

Hello! My name is Do Ngoc Hung. I came from Vietnam. Currently, I am working for Panasonic as a senior systems engineer. My work is to organize and innovate factory management processes in the oversea factories of Panasonic. There is a famous Japanese word “Kaizen” which means improvement. My main responsibility is to utilize IT systems to achieve ‘Kaizen’ in order to improve productivity, decrease loss, and warrant ‘Zero Defect’ in the whole production.

I joined the YSEP program at Tokyo Tech in 2003. One year in this program was a really short time because there were too many new and interesting things in Japan which I wanted to discover. “Not being satisfied with one year” is the main reason which made me decide to come back to Japan after

YSEP and study at a master course in Tokyo Tech. After graduation, I found a job in a Japanese company where I still work now.

Tokyo Tech is one of the world's outstanding universities, and the year I spent on the YSEP program was the perfect mix of experiences and opportunities that would not have been possible were I anywhere else. Under the auspices of my tutors and friends, I learnt a not only great deal about my academic interests, but a much more besides. These lessons are often described as "cultural" ones; ostensibly they are lessons about how one would learn to live in Japan, about how the Japanese think and behave, and about Japanese society. This is certainly the case, but the experiences I have had on the program and the people I have met and come to know have also taught me countless other things about life in general that continue to stand me in good stead even now.

The YSEP program was also a fantastic starting-point for a career in Japan. Opportunities abound in Tokyo Tech to speak with representatives from several companies - members in my laboratory included people who were working for or would go on to work for NTT, Japan Railways, and Yahoo! Japan. There were also organized events where Japanese firms would be invited to campus to introduce career opportunities to graduates. Numerous doors were opened that would have remained closed had I not been in Japan and on the program, which have culminated in me being able to pursue one of my dreams - a career in Japan.

There is a cliché that says that opportunities are what you make of them. YSEP for me was a great opportunity, one that I am glad I had reached out for and made something out of, and one that I would endorse without reservation.

Joining YSEP was one of the biggest leaps in my life so far. I had so many remarkable experiences during my one year YSEP program. The experiences came from those as basic as being independent to having the wonderful opportunity to be exposed to an international research environment. Since I want to pursue my future career in the academia, this early exposure ̶ as a fourth-year undergraduate student ̶ to an international research environment was crucial in shaping my perspective.

From YSEP, I learned to embrace differences. I had many friends from all over the world as well as Japanese friends. We experienced good and bad times together and also learned to understand each other’s different ways of thinking. My fondness for Japan also grew because YSEP provided us so many exciting cultural experiences.

Finally, YSEP brought me back again to Japan to pursue my graduate degree, and currently I am a first year doctoral student at Tokyo Tech. I am so grateful to have joined YSEP. YSEP has given me the foundation that shaped my personality and taught me to be more independent and confident. Through my YSEP experiences, I am now able to present my research results in international conferences, as well as serve as a teaching and research assistant in my laboratory. All these learning processes, I believe, are very influential as I shape my future career in academia.
