The following pages are a partial list of the main features found in XC2 Software

XC2 Software is both “industrial strength” and easy to use.

• Several preferences are available which determine various behaviors and levels of data entry detail and retrieval.

• XC2 can handle Backflow Prevention Programs from very small utilities to very large utilities.

XC2 Installation And Maintenance

Embedded ODBC Compliant Engine: Fully Transparent to SQL calls

XC2 Software uses an embedded ODBC standards compliant engine.

Our “back-end” engine is not a separate installation from the XC2 program, it is completely integrated.

• Installation is accomplished by a single installer program and takes very few minutes.

• There is no “back-end” database engine or maintenance to become familiar with, apart from XC2 Server

software itself.

• XC2 is fully transparent to any SQL calls to the data using the freely available ODBC driver.

• Periodic updates to the XC2 program are a download from our website.

• Updates are only required on the server, not on the client(s).

• No server restart needed when updating.

• Time and human resources needed are an absolute minimum.

Based Test Entry enables testing contractors to enter tests remotely.

• Test Results are entered by specified and approved testing and/or contracting companies.

• Test Results are entered via a web browser.

• Specified Testing Contractors will be fully validated upon entry with a password access system.

• Access to the XC2 system is limited to entering test results only.

• Data entered must fit within given parameters prior to being accepted.

• Failed Test Entry can be automatically emailed to the administrator.

• Questions and concerns can be emailed to the administrator.

• Test Results can be verified and approved by your Backflow Program Manager (or other designated approval

person) prior to accepting the results.

• Ability to send an email message to the CCC/Backflow Manager.

Web-Based Customer Backflow Information (*Option)

Enables Utility personnel to view Facility and Backflow Information via the web

XC2 Backflow Prevention Management Software is available with a Web-Based Customer Backflow Information

(*Option).

Enables Utility personnel to view:

• Facility Information, including service address, account number

• Contact Information, including Contact Names, Phone numbers, Email Address

• Device Information, including Device size, make, model, type

Document Insert Feature

Append standard documents to letters and notices

Append a standard document when printing a letter or notice.

An example of a standard document would be a specification document regarding installing backflow preventers for

specific instances, such as Breweries, Boiler, Irrigation, etc.




XC2 Audit Trail / Modification History

Ability to record modifications at “field” level tables in system

For Example:

When a Phone Number and Contact Name (or other fields) are changed in a Facility record, there is the option to

view the Modification History for that change, which will show the old Phone Number and Contact Name and the new

Phone Number and Contact Name - includes the Use, Date and Time of modification.

Saved Searches Feature

Save a search using multiple criteria, and save that search for later use

Saved Searches allow the user to set and save search criteria (1000’s of search criteria to choose from) for later

recall.

Any search criteria that can be manually set up can be recalled quickly by using Saved Searches.

There can be many uses for Saved Searches:

• Monthly reports

• Route Sheets

• Personnel Lists

• Historical Data

• Any search that is performed repeatedly




XC2 DataSync Remote Entry (*Option)

Remotely enter data on a laptop or tablet PC

• Data Synchronization allows entry/editing of all information in the field

• For use with laptop/notebooks or table PCs

• DataSync is a full version of XC2 Software

• Synchronize with master system in main office

• Can be licensed for multiple remote systems

Export Editor Feature

Allows users to export data from any table and can be saved and reloaded

• User does not have to recreate an export format each time

• Users can utilize previously created formats

• Export to TEXT, EXCEL, MSWORD, or DBF

• Include headers, determine delimiters, default file name and path




Print Current List View Feature

Enables the user to print the current list they are viewing in report style format

For Example:

User has a list of Assemblies that are due next month and the list view contains Facility Name, Service address,

Protection Type, S/N, Type, Size, and Next Test Due Date. This list will print in a report style format with the above

information in columns and rows.




Apply Value to Selection Feature

Allows assignment of a single value, to a specific field, in a selection of records

(Super Admin ONLY)

Applied Value can be performed on up to 8,000 records at a time, making updating globally a very fast operation.

For Example:

Change a list of 200 Facilities to inactive status all at one time, instead of entering each Facility record and changing

them manually.

Test Results Entry via an External File(*Option)

Ability to Import Test Results via External File

Ability to import backflow test results from the testing contractors file into the water purveyor’s “master system” via

an external file.

For Example:

A testing contractor can send an export of their test results in specified format that can be imported into XC2.

• Import of test results can be from a system other than XC2.

• Can be imported from Excel, Access, or any other system files.

Annual Test Report Due Notices

Test Due Notices are easily sent with a simple click of a menu item

With a click of a pull down menu, users are able to view all and/or send up to six Notices all at once, or in sequence.




GIS Export Feature

Allows Access to XC2 Data as a GIS Data Source

There is a special Table set aside specifically for access to XC2 Data as a GIS Data Source.

• This table may be configured to have the desired fields only, so that when accessed via ODBC as a data source,

no JOINS will need to be made or complex navigation through the table structure.

• GIS Export table will be updated as records are updated within the XC2 Data Structure, so data will be up to

date.

• The administrator may select which fields from the various tables are pertinent, and those fields will be mapped

to the corresponding field in the GIS Export table.

• This allows for much easier and faster access to XC2 Data from external programs such as GIS.

Picts Feature

Enables the attachment of UNLIMITED documents of ANY type (Jpeg, PDF, TIF, GIF, Cad,

etc.) to be stored in a multitude of locations

Unlimited Digital photos, site maps, CAD documents or any other type of document may be stored in:

• Backflow Assembly Record • Tester Record

• Test Report • Test Kit Record

• Survey Record • Test History Record

• Facility Record

• Work Order Record

• Backflow History Record

Multiple images may be stored and recalled for any location.

A Site Map or any other document may be scanned and stored for review or printing.




Overdue Notice Response

This feature shows which notices are overdue so users can take the next action

Any item with a notice response date and which is overdue will show up in a list, where users can then take

appropriate action.

Update from Billing (Link to Billing System) (*Option)

Automatic Scheduling to Update customer mailing information from your billing

system (automatic scheduling on Server Version)

XC2 Update from Billing System (*Option) has been designed to update and keep current the customer contact and

mailing address data in XC2 from your utility billing system, and/or to add new services from your utility billing

system.

Interface is accomplished via "transfer files" (Ascii Text).

There is not a "direct connection" to the CIS/Billing System.

Manual Version

Each user may be granted access to preferences on a “User by User” basis

The “Super Administrator” may set up Users and Access Levels.

Password entry allows for multiple access levels determined by the “Super Administrator”.

“Super Administrator” may determine several aspects of a given user’s access to the system.

Numerous configurations may be preset for each user

For Example:

Users set up as “Entry” can have specific permissions turned on per “Entry” user.

Startup Preferences may be indicated to control certain aspects when the system first starts.

Each user may be granted access to the various licensed modules or not.

Maps Feature

Link to Google Maps, MS Maps or MapQuest

XC2 can link to Google Maps, MapQuest or MS Maps by simply clicking on a button next to the service address in a

Facility, or Assembly record.

It links user through the web to the exact location on one of the above map sites.

Special Operations Feature

Menu of items available to the “Super Administrator” that permits various tasks to be

implemented

There are several “Special Operations” available to the Super Admin that permit various tasks to be implemented, such

as data cleanup, formatting and numerous other otherwise time-consuming tasks that can be quickly automated.

User Defined Quick Reporting

XC2’s report editor allows for the creation of reports by any criteria

When a list of records has been chosen, a simple menu item takes the user to the XC2 Quick Reports feature.

Report formats can be saved and reused, or even shared with other users.

Format:

• Borders

• Headers/Footers

Reports can be printed to a printer, PDF printer, or as a tab-delimited TEXT document.

Cross Tab Reports can allow the user to display the report as a two-dimensional table.

Creating/Editing Merge Letters

User may edit any of the default notices to their needs, and/or create any number of

specialty notices or letters

Notice/Letter Features

• Notices may be sent one per backflow assembly, one per facility or one per mailing address,

with the ability of listing the backflow preventers due for testing on the letter.

• User may indicate to print out a test report form for each backflow assembly after printing the

letter. Test forms are automatically collated with the letter.

• You may print notices to Testers, notifying them of certification expiration dates or test kit

calibrations due.

• You may print survey letters, notifying the customers of items in violation, requiring repair or

retrofit.

• You may record phone calls for later retrieval.

• You may create as many “Letter/Communication” types as needed.

• XC2 allows user to insert information automatically from the database via over 100 “merge

objects”.

Other Notice/Letter Features

• Ability to print or reprint a single letter.

• “Custom” merge letters allow user to have only a single merge template, but to enter specific

information regarding a given customer or backflow assembly. Letter and specific text can be

viewed at any time.

• Ability to initiate a letter to be sent, which can be printed at a later time via “Unprinted

• Ability to indicate a “letter sent date” in the future, so letters can be pre-printed for sending at

Additional XC2 Features

Deletions

Deletions can ONLY be performed by someone with Super Admin Access.

This is an important security feature.

Ample warning is given prior to finally performing a deletion operation.

Create/Recall Sets

Sets of Records can be created and used at a later time or date.

If complex searches are used to gather a group of records,

those records can be retrieved at a later date.

The “Set” can be updated at any time.

Set/Recall Selection

Create a selection of records using a query.

Ability to “Set” the selection, perform other queries and operations and then recall the “saved

selection” with a button click.

Data Entry Shortcuts (Full List at the end of this document)

Date entry is made very fast and easy with lots of shortcuts.

Examples:

“t” = current date

“y”= yesterday

“y-1” = day before yesterday

“tom” = tomorrow

Automatic formatting

Data Entry areas can be automatically formatted for “Upper/lower case” or just UPPER CASE at the

discretion of the super administrator.

Phone numbers can be set for automatic formatting: e.g. 5036505100 becomes (503) 650-5100.

Show Subset/Omit Subset

When working with selections of records in a list, sometimes it is necessary to reduce the list to view only

highlighted records.

Likewise, sometimes the user would like to eliminate the highlighted records.

“Inactive” Records

Inactive backflow or other records can be automatically filtered so they are not seen.

They can be retrieved for any reason at any time by unchecking the “Inactive Filter” checkbox.

Logos/Letterheads/Signatures

XC2 can store your logo, letterhead and signature images for use on reports, notices and letters.

Multiple Windows

It is possible to open multiple windows at the same time. This is useful if the entry person or

administrator is performing some operations and the phone rings from a person needing information.

The user may open another window to view/edit that person’s information without losing the area that

they were working on.

Backup Scheduling

Backups can be automatically scheduled with either XC2 Stand-Alone or XC2 Server (Multi-User).

XC2 Program Updates

XC2 can handle multiple water systems so that reporting can be done for each system

Multiple Water Districts (option) allows the Super Admin to assign access to the various systems for each user so that

only those systems can be viewed by a given user.

CTRL+A Highlights entire list of records in a list view

CRTL+B Omits selected records from a list view

CTRL+O Opens highlighted record in a List View

CTRL+H Isolates records highlighted in a subset

DATA ENTRY Clicking the TAB or ENTER or RETURN Key moves cursor to the next Data Entry Field or Button

CTRL+Z Allows user to undo last character(s) entered

SHIFT + (TAB or ENTER) Moves to previous Data Entry Field or Button

DATE & TIME

T+ (TAB, ENTER) Enters Current Date in a DATE Field

Y+ (TAB or ENTER) Enters the previous day’s Date in a DATE Field

T + TOM Enters the following day’s Date in a DATE field

T+(+/- number of days) Enters the number of days from the current date into the future (+), or past (-), in a

DATE Field. For Example: If today’s date were 6/11/09 and you needed to enter a

date 30 days previous you would enter (T – 30) in the DATE field.

(# of weeks) + W Enters advanced date by the number of weeks specified .e.g 3W

(# of months) + M Enters advanced date by the number of months specified e.g 2M
