WVEIS PRINTING FOR BEGINNERS
A document to answer questions like:
Hello, Help Desk ‐‐ Where is my printout? Why doesn’t it print? Why is it printing on so‐and‐so’s printer or my printer in
another school? Can it really do that?

WVEIS Printing for Beginners
Mysterious Terms used in this Document ‐ User ID: Comprised of three alpha characters (usually user initials), followed by a 2‐digit
County Code, followed by your location code. Example PBS04201. The ID is not your email address. Example not to use: [email protected]
‐ Display Session:
‐ Printer Session:
(This Printer Session Screen is usually Blank)
Command Line: That blank line at the bottom of a display screen reading Option or Menu Item.
You must have a Printer Session When you log in to WVEIS, two tabs appear in your system tray – one for the Display session and one for the Printer session. Without the Printer session showing in the system tray, you will not print. It’s easy to inadvertently close the printer session, instead of minimizing it. This is a good item to check before calling for help. Not there? Log off of WVEIS and log on again.
Finding your WVEIS Report Printer Number If you click on the Printer session, that window comes to the foreground. On the Printer session, yet another (smaller) window appears. At the top of that window your Printer session is displayed. Think of the printer session as a phone number for your home. The number receives all your calls, and this printer session receives all the WVEIS print jobs for this computer. For the computer used here, the Printer ID is PI04001982 .

WVEIS Printing for Beginners
Do you really have a WVEIS Report Printer? Each WVEIS user has a specific login ID, which contains user initials, county code and location code. In most cases that user works at a fixed location and all report printing is done at that location. A report printer ID is then associated with that user each time they log on to WVEIS – regardless of where they access WVEIS.
Example: A secretary at Mountain Ridge Intermediate uses a login of SLL04220. Their report printer ID defaults to a printer at that location, using PI04220122. If that secretary, while at a training session at RESA, chooses to print a report, it still prints at Mountain Ridge, unless that job is re‐directed Example: A Psychologist based at Ramer uses a login of PSB04001. The reports default to QPRINT04 (a generic job queue) that never prints until re‐directed.
Where is my Report? Assuming you were successful in running a report, meaning a confirmation of job completed appeared on your screen, and nothing really ever prints, start here. First, look at your System Tray. You must have a TAB showing a PRINTER session. Second, click on that TAB. The smaller window showing READY‐ONLINE must be displayed. If the Ready and On‐Line indicators are not green, click on START. Third, find the Report Printer ID of the computer you are now using. Write it down. You may need it later. Next, look in MYREPORTS for the completed print job.

Accessing completed reports – MYREPORTS. Click on the DISPLAY TAB. On the WVEIS Command line, type MYREPORTS and press Enter.
These are reports spooled for printing. Under the STS (status) column look for RDY – print job ready to print. WTR means it’s Writing. HLD means it’s Held. SAV means it’s Saved. MSGW means a message that must be answered. More on each later.

If MYREPORTS shows RDY (Ready), Where is it? Congratulations – your report has been created. Look again at the MYREPORTS screen.
The report shows RDY but it won’t print? Which report printer ID is it using? Does that match the report printer ID of your Printer session? I told you to write it
down… Remember, the report printer ID is associated only with computer you are using. If you travel from school to school, or have logged on to someone else’s computer, your WVEIS ID directs all your jobs to the report printer ID it has on file for YOU, no matter where you are. There is hope! You can re‐direct the print job to another location, and get the report printed there. A couple of exceptions come to mind.
a. Suppose you are at school “A” Monday and Tuesday and School “B” on Wednesday through Friday. You share the use of the computer at School “A” with another teacher. Anyone logging on to WVEIS at School “A” effectively turns on the report printer session. If you construct a report while at School “B” , and your reports normally print at school A, as long as someone there is logged on, they get your printouts. You should try changing printer overrides as the report is created.
b. You have no report printer ID established. You must then redirect every print job to the report printer ID where you log in.

Changing your Print Jobs to another WVEIS Printer On this scenario, this print job is ready to print, but to the wrong printer. To Change this to another report printer ID, type “2” to change and press Enter.
The next screen brings the cursor directly to the Printer block. Type the full report printer ID you found earlier here. Overtype the *OUTQ with the report printer ID and press Enter.

Changing your Print Jobs to another WVEIS Printer (Continued) The job now reflects the item has been changed to a different printer. It may print without further intervention; if necessary, enter “6”, then ENTER, to release the report. Pressing function key F5 refreshes this screen. After pressing F5 and the print job clears from the screen, it has printed ‐‐ somewhere.
My Report Printed on the Wrong Printer!! And that’s my fault, how? YOU tell it where to print. You and Windows, that is. In the Display session, when you click on Print Screen, the Windows default printer gets tasked to print, just as it does for your MS Word documents. It’s the Printer session which controls where your reports print, and YOU choose which printer it uses.

Choosing your WVEIS Printer Think of the scenario of the Phone in your home again. You may have multiple phones there (kitchen, bedroom, garage, made by Uniden, Motorola or AT&T. Similarly, your computer may have multiple printers it uses. To confirm which printer has been selected, (FROM THE PRINTER SESSION), as your report output printer, chose: FILE – PRINTER SETUP – (which opens another window.) Scroll up or down to highlight and click OK to select that printer as your report output printer,
and click OK.

Changing Printer Overrides Use this procedure to override the imbedded commands to print to a specific printer or change some of the job characteristics including spacing, lines per inch, paper size, number of copies, and of course the Printer. You can do this, in most cases, as the report is created.
Example: A General Report Writer report has just been requested. This is the confirmation screen prior to printing – the submittal. Note the last line on this screen – Change Printer Overrides. Change that to “Y”, and press Enter.

Changing Printer Overrides (continued)
Changing to the correct Report Printer ID here automatically directs your printing as the report is created. You overtype the information on both the Printer and Output Queue lines.
Another way is to HOLD this print job (so you can preview the results). Change to “Y” Hold Before Printing, then press Enter. After the print job completion screen, type MYREPORTS and press Enter. Find your report, select “2” to change, then overtype *OUTQ with the report printer ID. See Changing your Print Jobs to another WVEIS Printer

More Troubleshooting Printing Issues
Sometimes after you have submitted a print job nothing happens. DO NOT RE‐SUBMIT the job until after you have checked the status of the job. Type ALLJOB on an ‘Option or Menu Item’ line. ALLJOB is resident on the computer which the job was completed. It does not ‘follow’ the user.
Find your User ID on the ‘Work with Submitted Jobs’ screen. There are three types of ‘Status’ for a submitted job:
JOBQ – job is waiting to be processed ACTIVE – job is currently being processed OUTQ – job has been processed
However, if the status is OUTQ and nothing is printing then go to Work with All Spooled Files by typing MYREPORTS on the Option or Menu Item line, and press Enter.

Working with All Spooled Files If you have checked the status of your job and it is supposedly in the OUTQ we must check further to find the problem. Type MYREPORTS on an ‘Option or Menu Item’ line, and press Enter. Locate the printer number of the submitted job in the ‘Device or Queue’ column. What is the “STS” (status) of the job?? NOTE: This is a good time to mention that you will occasionally see system generated messages in your Work With All Spooled Files page. A good example is the first entry on this page. These are logs of all steps the program had to follow to complete the job. They are of no value to you or me but would be to
a programmer. QEZJOBLOG’s can be deleted. Enter “4” under the OPT column and press Enter to delete the QEZJOBLOG file.
STATUS This column displays the Printing Status of your file. The Status may include the following codes: WTR – job is “writing “ to printer HLD – job is on hold RDY – job is ready to print *RLS – Message released to print MSGW – message that must be answered

Working with All Spooled Files Options available on the Work with All Spooled Files Screen include:
1 – Send – Send this message to another user 2 – Change – Change the printer, or other parameters (FormSprint) 3 – Hold – Hold this file 4 – Delete – Delete the Report 5 – Display – Allows you to preview the file on the screen and save trees. 6 – Release – Print the file 7 – Messages – The type of report or document may require pin‐fed paper, alignment of
pre‐printed forms, labels, etc. 8 – Attributes – Attributes of the print job 9 – Work with Printing Status
If the “STS” is HLD choose option 6 (‘Release’) to release the job to the printer.

WVEIS Printing for Beginners
Working with All Spooled Files Status = RDY If the “STS” is RDY choose option 9 (‘Work with printing status’) to see why it may not be
printing. Many times the “STS”
is RDY but the job is not printing because the printer has not been ‘started’. This does not simply mean the printer is turned on. We will see how to ‘start’ a printer in WVEIS a little later. Sometimes there are other jobs ahead of yours on the printer and you have to wait in line.

Working with All Spooled Files Status = MSGW If the “STS” is MSGW choose option 7 (Messages).
On the lower part of the ‘Additional Message Information’ screen place a “G” on the ‘Reply’ line. Press ‘Enter to continue’

Working with All Spooled Files 4 = Delete If you want to delete the job select option 4 (‘Delete’), and Press Enter. This opens the following screen for confirmation of your request. Note: you can always press F12 to cancel this deletion; press Enter to continue the deletion process. Use this option to delete any entry listed under Device or Queue as QEZJOBLOG.
While on the ‘Work with All Spooled Files’ screen press F5 to take a new ‘picture’ of the screen whenever an option is chosen.

STARTING a WVEIS PRINTER
In order to print from WVEIS the printer must be on and the computer it is attached to MUST BE IN WVEIS!!!
To ‘start’ a WVEIS printer you must be on a screen with an ‘Option or Menu Item’ line. Press F24 (Shift+F12). This will take you to the ‘Job Control’ screen.
Press F17 (Shift+F5) – ‘Printer functions’ Check the ‘Printer’ and ‘Output Queue’ to make sure they are the correct Select option 1 (‘Start’). If you have authority the printer will be started within WVEIS.
If you do not have authority to start this particular printer you will have to call RESA (267‐3564) and ask that they start it for you.
