WSJ 2015 WOSM TEAM Information Pack 1 Updated on 07-07-2015 INTRODUCTION “WA: a Spirit of Unity” is the theme for the Jamboree. The Kanji Character “�” (WA) embraces many meanings such as unity, harmony, cooperation, friendship and peace. WA also represents Japan and its culture. The World Scout Jamboree is a unique educational and life changing experience for thousands of young people from around the world and an amazing opportunity to rise the profile and increase the impact of World Scouting. The World Scout Bureau is heavily supporting the preparation and delivery of the Jamboree. The purpose of this document is to establish the mode of operation for the WOSM team supporting the successful delivery of the World Scout Jamboree 2015 in Japan.

1. WOSM TEAM STRUCTURE The WOSM Team will be divided into three groups: (a) Coordination, (b) WOSM Areas and (c) Scout Association of Japan (SAJ) Support.

a. The Coordination Team will be responsible for leading and coordinating the WOSM support for the World Scout Jamboree. This team will provide strategic support to the Scout Association of Japan, concretely working on the development and implementation of an action plan, and ensure proper institutional representation of WOSM throughout the event. This includes:

b. The team supporting the WOSM Areas will be responsible for everything related to the WOSM exhibition: the Better World Tent. An administration team will also support the logistics and operations of the overall WOSM Team. This includes:

3. OPERATIONAL GUIDELINES AND JOB DESCRIPTIONS The operational guidelines are meant ensure good management and consistency in terms of operational procedures. Overall guidelines:

• Every WOSM team member is allocated to a team during the entire duration of

their assignment at the Jamboree (24 July – 09 August) • From 25 and 27 July WOSM team members might be temporarily allocated to

support some other areas of work at the Jamboree (i.e. Check-in and reception; IST training)

• A team leader has been appointed for each team (check job descriptions below). She/he is responsible for the management of the team members and creating a schedule that considers the next bullet-point: • Management of the team members’ workload should be based on the principle

that every person will have 3 half-days off-duty to rest and enjoy the Jamboree • Jamboree induction training will provided to all WOSM team members • Job related training and support, specific to that particular team’s assignment, is

the responsibility of each team leader • Job descriptions are provided according to the different roles undertaken by

WOSM team members • Participation in overall WOSM team meetings is requested to all WOSM team

members attending the Jamboree • The hub of all operations will be the WOSM office, which will be connected to the

WOSM Better World Tent • Slack will be used as communication for the WOSM team. Please download the

The job descriptions provided below outline the expectations on the different roles and areas of work. 5. TRAVEL Travel from Airports to Jamboree Site Keep your Receipts It is not possible to purchase train tickets online in advance for train travel in Japan. If there is an agreement to cover your travel expenses, please keep your receipts and we will be reimbursing you in Japanese Yen for the amount on the receipt (x2, to cover your return trip) upon checking in on the WOSM Tent. Your final destination by train will be Ajisu Staiton. Ajisu Station is a 10-12 minute walk from the campsite.

There will also be shuttles running from Shin-Yamaguchi Station to the site. We are currently waiting for the dates and times for the schedule of these shuttles. From Tokyo or Osaka (Kansai) Airports Coming from the north (Tokyo or Osaka), you will want to take the Bullet Train to Shin-Yamaguchi station where you will switch trains and take the Ube Line to Ajisu Station (toward Ube Airport). If you are staying at one of the hotels in Shin-Yamaguchi, this would be a good opportunity to check into your hotel, and drop off some of your luggage/pack before continuing on to Ajisu Station. From Fukuoka Airport If your entry point is Fukuoka Airport, you will take the Bullet Train from the airport to Shin-Yamaguchi Station, where you will switch trains and take the Ube Line to Ajisu Station (toward Ube Airport). If you are staying at one of the hotels in Shin-Yamaguchi, this would be a good opportunity to check into your hotel, and drop off some of your luggage/pack before continuing on to Ajisu Station. From Ube Airport If your entry point is Ube Airport, you should take the Ube Line toward Shin-Yamaguchi Station and get off at Ajisu Station. The site is about a 10-12 minute walk from there. If you are staying at a hotel in Shin-Yamaguchi, and you would like to go check in first, and drop off some of your luggage/pack, stay on the train and continue on to Shin-Yamaguchi Station.

6. ARRIVALS AND CHECK-IN 24th July WOSM team members will arrive to the campsite on different dates. For those arriving on the 24th of July bear in mind that the campsite check-in is not going to be fully operational. Please go to the WOSM Better World Tent (WOSM office) to check-in or further support. The WOSM Better World Tent is located in the World Scout Centre area:

From 25th July onwards Check-in is usually the first procedure when you get to the campsite. As you can imagine check-in options and procedures will vary depending on different roles. The overall procedure can take quite some time, so please try to be clear about your role, area of work and any other personal data requested. In case you are not completely sure about it, request that to the WOSM team coordination before hand.

Generally, check-in after arrival at the campsite involves the following steps:

1. Confirmation of registration at the Welcome Centre 2. Receive ID 3. Confirmation of Safe from Harm training completion. Please bring a printed

copy of your certificate with you (in case you have not completed the training or you do not have the certificate you’ll be requested to do it again before finalising the check-in)

4. Confirmation of assignment (you should be directed to the WOSM Better World Tent)

After accomplishing this initial check-in process we kindly ask you to head to the WOSM Better World Tent (WOSM office) in order to complete your check-in procedure as a WOSM team member. This second stage will include:

1. Confirmation of registration data (arrival and departure dates; dietary requirements; and train tickets reimbursements)

2. Briefing on accommodation and transportation 3. Briefing on job assignment and schedule 4. Receive WOSM team polo shirt

After your WOSM team check-in you should then get settled-in. As described in the draft schedule the kick-off for the WOSM team will take place on the 25th of July at 9AM. Still, we recommend you to find your team leader and get acquainted with him/ her as soon as possible.

7. ACCOMMODATION

WOSM team members are using different types of accommodation. After check-in at the WOSM Better World Tent you will receive more information about your accommodation option.

JAMTEL Jamtel (specific for WOSM – do not confuse with the ISTs Jamtel) is a pitched tent with individually segmented rooms (about 2m x 3m) in marquee tent, available with camp bed, linen or sleeping bag, and simple table/ chair. Power outlets are available in the common area. SEMINAR PARK Seminar Park is a twin-room dormitory type of facility located 20-30 minutes from the campsite. It includes breakfast (it is not possible for people staying at Seminar Park to take breakfast at the staff restaurant located on the campsite). • Japanese type communal bathroom. • Curfew hours from 10PM-6AM: you cannot go in or out during this period. • Shuttles will be provided from the campsite (schedule to be confirmed)

Seminar Park will be operating from the 27th July onwards. WOSM team members arriving earlier will be accommodated in Shin-Yamaguchi (20-30 minutes from the campsite). Daily shuttles to the campsite will be provided. HOTEL Information will be provided in a case-by-case basis to the people staying in hotels located in the Yamaguchi Prefecture.

8. COMMUNICATION Slack - https://wsj2015wosmteam.slack.com Slack will allow us to keep all our team’s communication in one place, and it’s all searchable. The app can be used on a desktop; yet can be transitioned smoothly to mobile (iPhone, iPad, Android). Slack builds off services you already use every day, as it includes messages, files and comments, online images and video, and rich link summaries. Essentially it blends your favourite websites such as Twitter, Dropbox, Google Drive and many more. You will receive more details on Slack and how to use it together with the invitation to the team’s space on Slack. Scout.org – www.scout.org/wsj2015 As you might be aware we have recently launched an interactive space on scout.org dedicated to the Jamboree – scout.org/wsj2015. It will link up with our user generated content on scout.org in such way that everything that is posted on scout.org with “wsj2015” as the tag will appear on scout.org/wsj2015 site as well. You would be able to browse through the social media posts, watch the Jamboree TV, follow the live reporting from the main events, enjoy the virtual tour of the Jamboree site, see the posts from the some of the contingent's scout bloggers, take part in the Join in Jamboree Programme or make a wish to see something happening on Jamboree.

Many of the features that will be revealed prior the Jamboree should enable scouts around to world to connect and enjoy this amazing event even if they are on another part of the world.
