Work-Study is a form of financial aid funded by the

Federal Government that allows for part-time student

employment.

Students who are eligible will see a Work-Study award

included in their financial aid package.

This part time work helps students with indirect costs of

attendance along with gaining professional skills and

experience to build a resume.

Work-Study students receive a paycheck for hours

worked in their work-study job.

What is Needed for My Work Application?

• Students awarded Work-Study, must have a complete Work Application on file with Student Financial Assistance.

• A complete Work Application consists of the Employment Eligibility Verification Form I-9 and copies of acceptable identification.

• You can access this I-9 Form online

• The I-9 form and ID’s are returned to Student Financial Assistance.

• Once Student Financial Assistance receives your

complete Work Application, you will receive a Referral

Form in your SHU email.

• The Referral Form indicates your award amount, the

hourly wage, and recommended hours per week.

• It is strongly suggested you work the recommended

hours so you can continue to earn your awarded

amount through the full academic year.

• You need to print out the Referral Form and take it with

you on your interviews.

• You can begin your job search!

• If you are having trouble finding a job that interests

you, please contact Student Financial Assistance and

someone will help.

• Once you are placed in a work-study job, the

Referral Form needs to be completed and

signed by you and your supervisor.

• Return the completed and signed Referral

Form to Student Financial Assistance .

• The Referral Form allows Student Financial

Assistance to activate you in Dayforce.

Dayforce is the University’s system for logging

in your hours and getting paid.

• Within 2 to 3 days of the student submitting a

complete Referral Form, Student Financial

Assistance will activate a Dayforce account for

the student.

• All students must immediately log into

Dayforce to complete the remaining

documents; Federal W-4, CT W-4 and direct

deposit.

• Instructions are available when you drop off

your Referral Form in the Student Financial

Assistance office or can be found on the

website.

How Do I Find a Work-Study Job?

• As soon as you receive your Referral Form, you can begin your search for a job.

• A complete list of available jobs is located online under Work-Study Job Listings.

• We recommend that you search for a job as soon as possible. You may want to contact more than one department based on your interests.

• Reminder: If your search is not going well, please immediately reach out to Student Financial Assistance.

How do I Log My Hours?

• Each day you work you need to log your hours into DayForce.

• If you are having difficulty accessing Dayforcewhen you start your job, notify your supervisor and keep track of your hours.

• If at any time you forget to log in or out or a correction needs to be made to your Dayforce hours your supervisor is the only person who can update your account.

How Are My Hours Approved?

• Supervisors have the responsibility to authorize the hours worked in Dayforce on Mondays by 1:00pm for you to be paid regularly.

• Students are paid every other week on a Friday schedule.

How Do I Get Paid?

• Direct Deposit is highly recommended. You can designate your Direct Deposit information in the Dayforce system.

• Paper checks are no longer distributed on campus by the Payroll Office. If you choose not to use direct deposit your paycheck will be mailed to your home address.

Frequently Asked Questions

Q: Why didn’t I receive my Referral Form?A: Your Work Study Application is not received or it is incomplete. You need to contact Student Financial Assistance.

Q: How many hours can I work?A: Your Referral Form shows the amount of hours you should work per week. This is a recommendation to ensure your work-study money lasts until the end of the academic year.

Q: Why can’t I access Dayforce?A: Make sure you dropped off your Referral form to Student Financial Assistance. Once the Referral Form is received it takes 2 to 3 days before you’ll have access.

Frequently Asked Questions Continued

Q: Why am I not getting paid?

A: If you’ve logged your hours in Dayforce, check with your supervisor to be sure they approved them. If they approved them, check with Patty Yacik in Payroll at 203-371-7931.

Q: What happens when I earn my full award amount?

A: If you have reached or exceeded your award amount, your work-study is finished, and you cannot continue working. You will receive emails every two weeks of what remains of your work-study award.

Q: What happens if the University must operate fully online?

A: Each job description has been updated to indicate if remote work is or is not available. Supervisors have noted the kinds of tasks that can be done remotely in the job descriptions. If necessary, you will need to coordinate your remote work assignments with your supervisor. If the position states that there is no remote work available, then this job will end if campus life is disrupted. There is no guarantee for an alternate job or any further work-study payment. It is a choice you are making in accepting that position.

Every Student Work Should be Aware of Maintaining Confidentiality in the Workplace!

The Family Educational Rights and Privacy Act (FERPA) is a federal law, enacted in 1974, that ensures the confidentiality of student records. Student employees should become familiar with some of the basic provisions of FERPA to make certain they do not violate this federal law. FERPA violations may result in disciplinary action including, but not limited to, the loss of their job.

Students must not, under any circumstances, release student information to anyone, unless their position specifically requires them to do so. Students must refer any requests for information about a student to their supervisor to ensure they do not violate FERPA.

Students must avoid acquiring any information they do not need to do their job and they cannot exchange student information they have learned while performing their job. Even a minor disclosure of information (e.g. telling another student of someone's class schedule) may be a FERPA violation and may result in disciplinary action. Any information obtained on the job regarding students must remain in the workplace.
