The CompleteVISUALTM step-by-step computer training manual is specially developed and organized based on the Instructional Design concepts, to ensure the effectiveness of the learning process.

Most of the tasks in each chapter fit into a single page for easy reference. Most tasks are summarized to less than 10 key steps and accompanied by actual screen illustrations. Every step you go through is practical and relevant. All chapters are independent. No exercise files need to be installed prior to the training, so you can start training from the modules that best suit you or your trainees. However, the module sequence that we suggest is designed to optimize your computer learning process.

Chapter introduction. Each chapter begins with a presentation and illustration to prepare you for the concepts you will learn.

Creating And Managing ShortcutsA Shortcut is a quick way to start a program or open a file or folder without having to search for its exact location on your computer. It is a directional pointer where Windows XP finds the targeted file, folder or application. It allows immediate access to your favorite documents, files and applications.

You can create multiple shortcuts to the same file (perhaps one shortcut on your Desktop, another in a folder you often use). Creating a shortcut to the file doesn’t copy the file, so you can create shortcuts without wasting hard disk space.

You can modify a shortcut without affecting the file. This means that you can rename your shortcuts, change their display icons and set the targets to start in a minimized or maximized window.

You can delete a shortcut and the file or program it points to remains on your computer. However, if you delete the file or program itself, not only will it be gone for good but any existing shortcuts to that object will no longer work.

You can also use the Desktop Cleanup Wizard to remove shortcuts that you rarely use from your desktop. The wizard runs automatically every 60 days, or you can start it yourself whenever you want.

How To Create Shortcuts In A Folder

1.Open the folder in which you want to create the shortcut.

2.Right-click the blank space at the right pane.

3.Click New >> Shortcut in the shortcut menu.

4.In the Type the location of the item: box, type the file, folder or application location and name link to the shortcut.

5.Click the Next button.6.In the Type a name

for this shortcut: box, type the name for the new shortcut.

7.Click the Finish button.

To create a new shortcut, you can also click File >> New >> Shortcut from the menu.

You can also search for the file, folder or application location and name that you want to link to your shortcut by clicking the Browse… button on the right of the Type the location of the item: box.

1. Click Start >> My Documents and double-click the My Pictures folder from the list.The My Pictures folder is open. You will create a new Shortcut in this folder.

2. Right-click the blank space on the right pane. Click New >> Shortcut in the shortcut menu.A New Shortcut icon is created and the Create Shortcut dialog box is displayed.

3. In the Type the location of the item: box, type C:\windows\system32\mspaint.exe.The Shortcut will link to the Paint application located in C:\windows\system32.

4. Click the Next button.The Select a Title for the Program dialog box is displayed.

5. In the Type a name for this shortcut: box, type Paint. The name of the Shortcut to be created is “Paint” located in the My Pictures folder.

6. Click the Finish button.The Shortcut appears as shown below.

How To Create Shortcuts On The Desktop

1.Open the window containing the icon, for which you want to create the shortcut.

2.Drag and drop the icon onto the desktop.

Another ways to create a shortcut is to right drag and drop the icon onto the desktop and click Create Shortcuts Here in the shortcut menu.

1. Click Start >> My Computer.The My Computer window is open.

2. Position the pointer to the lower right corner or the border of the window. Click and drag the mouse to resize the window until the windows desktop is seen and release the mouse button.The pointer could be positioned at any edge of the window. It then changes to a double-headed arrow. While you are dragging, an outline appears indicating the new window size. The window is resized once the mouse button is released.

3. Drag and drop the 3½ Floppy (A:) drive icon onto the desktop.You will create the 3½ Floppy (A:) drive on the desktop.

4. A shortcut to the 3½ Floppy (A:) drive is created.The 3½ Floppy (A:) drive icon appears on the desktop.

How To Rename Shortcuts

1.Right-click the shortcut icon.

2.Click Rename in the shortcut menu.

3.Type the new shortcut name.

4.Press <Enter>.

You can also click the shortcut icon and press <F2> key to rename the shortcut.

1. Right-click the Shortcut to 3½ Floppy (A:) icon.A shortcut menu is displayed, as shown below.

2. Click Rename in the shortcut menu.The Shortcut to 3½ Floppy (A:) text is highlighted as shown below.

3. Type A-Drive as the new shortcut name.This replaces the highlighted text.

4. Press <Enter>.The new shortcut name is now renamed, as shown below.

How To Change Shortcut Icons

1.Right-click the shortcut icon.

2.Click Properties in the shortcut menu.

3.In the Comment: box, type the description for this shortcut.

4.Click the Change Icon… button.

5.In the Select an icon from the list below: box, choose a new icon for the shortcut and click the OK button.

6.Click the OK button again.

You can get a new list of icons by clicking the Browse… button beside the Look for icons in this file box.

1. Right-click the A-Drive shortcut icon. Click Properties

in the shortcut menu.The A-Drive Properties dialog box is displayed as shown below.

2. In the Comment: box, type This is a floppy drive.This is the description or comment for this shortcut.

3. Click the Change Icon… button.The Change Icon dialog box is displayed. Note that the current icon is highlighted.

4. In the Select an icon from the list below: box, choose any new icon for this shortcut and click the OK button.Here, the icon is chosen.

5. Click the OK button.The shortcut icon image is now updated and the new comment is displayed when the mouse pointer is positioned at the shortcut icon.

How To Change Shortcut Targets

1.Right-click the shortcut icon.

2.Click Properties in the shortcut menu.

3.In the Target: box, type the new target and location for the shortcut.

4.Click the OK button.

You can search for the target file for your shortcut by clicking the Find Target… button.

. If you want to control

the window size, select the appropriate option in the Run: box.

1. Right-click the A-Drive shortcut icon. Click Properties

in the shortcut menu.The A-Drive Properties dialog box is displayed.

2. In the Target: box, type C:\My documents.You will set the target to open the C:\My Documents folder instead of the A: drive. If you want the C:\My Documents folder to be displayed in full screen mode, click the Run drop-down arrow, and then click Maximized from the list.

3. Click the OK button.The A-Drive Properties dialog box is closed and the changes are updated.

4. Double-click the A-Drive shortcut icon.The Maximized My Documents window is opened. Note that the shortcut target is changed from A-Drive (floppy) to C:\My Documents.

How To Delete A Shortcut

1.Right-click the shortcut icon you want to delete.

2.Click Delete in the shortcut menu.

3.Click the Yes button.

You can also delete the shortcut by pressing <Delete> after you click the shortcut icon.

1. Right-click the A-Drive shortcut icon.You will delete this shortcut. The Shortcut menu is opened as shown below.

2. Click Delete in the shortcut menu.The Confirm File Delete dialog box is displayed.

3. Click the Yes button.The shortcut is now deleted.

How To Remove Rarely Used Shortcuts With The Desktop Cleanup Wizard

1.Right-click the blank area on the desktop.

2.Click Arrange Icons by >> Run Desktop Cleanup Wizard in the shortcut menu.

3.Click the Next button.4.In the Shortcut: list

box, click the shortcut check box for the shortcut to be removed.

5.Click the Next button.6.Click the Finished

button.

You can restore the changes by double-clicking the Unused Desktop Shortcuts folder. Then drag the moved shortcut file back to the desktop.

1. Right-click the blank area on the desktop. Click Arrange Icons by >> Run Desktop Cleanup Wizard.The Desktop Cleanup Wizard dialog is displayed.

2. Click the Next button. In the Shortcut: list box, click the shortcut check box for the item you want to remove.Here, you will remove the Microsoft Outlook shortcut on the desktop.

3. Click the Next button.The shortcut to be removed is displayed in this dialog box.

4. Click the Finish button.Note that the shortcut will not be deleted, but is placed in the Unused Desktop Shortcuts folder on the desktop.

Customizing The Start MenuThe Start menu in Windows XP provides easier access to all of your programs. It provides you with more customization options by automatically adding shortcuts to the most frequently used programs to the menu. You can also move any shortcut to the programs you want to the Start menu. Items such as the My Pictures and My Documents folders and the Control Panel are also now available from the menu lists.

The list of shortcuts on the Start menu is divided into two parts: the shortcuts displayed above the separator line (also known as the pinned items list) and the shortcuts displayed below the separator line (also known as the most frequently used programs list). The shortcuts on the pinned items list remain there and are always available. Shortcuts are added to the most frequently used programs list as and when you use them.

You can add and remove shortcuts for your favorite programs to and from the pinned items list in the Start menu. However, the names for the shortcuts created in the start menu should be kept short due to its space limitations.

How To Add New Shortcuts To The Pinned Items List

1.Click Start >>All Programs >> Accessories.

2.Right-click the program you want to create a shortcut for.

3.Click Pin to Start menu from the shortcut menu.

You can also create this shortcut by right-clicking the program in Windows Explorer, My Computer or on the desktop and then clicking the Pin to Start menu in the shortcut menu

1. Click Start >> All Programs >> Accessories. Right-click the Calculator program.The Accessories folder and Calculator shortcut menu are displayed.

2. Click Pin to Start menu in the shortcut menu.You have created a shortcut to the Calculator program in the pinned items list.

How To Change The Number Of Programs In The Most Frequently Used Programs List

1.Right-click the Start button.

2.Click Properties in the shortcut menu.

3.Click the Customize button.

4.Click the General tab.5.Under the Programs

area, change the Number of programs on Start menu you want.

6.Click the OK button. 7.Click the OK button

again.

You can also clear all the existing programs in this list by clicking the Clear List button under the Programs area.

1. Right-click the Start button.A shortcut menu is displayed as shown below.

2. Click Properties in the shortcut menu.The Taskbar and Start Menu Properties dialog box is displayed.

3. Click the Customize... button. Click the General tab. Under the Programs area, click the down arrow button to reduce the Number of programs on Start menu to 2. The number of programs in the most frequently used programs list will be changed to two.

4. Click the OK button.The Customized Start Menu dialog box is closed.

Click the OK button.The Taskbar and Start Menu Properties dialog box is closed and the number of programs is now changed to two.

How To Add A New Submenu To The Start Menu

How To Add A New Submenu To The All Programs Menu

1.Right-click the Start button.

2.Click Explore in the shortcut menu.

3.Click the Programs folder on the left pane.

4.Right-click the blank area at the right pane.

5.Click New >> Folder in the shortcuts menu.

6.Type the new submenu name.

7.Press <Enter>.8.Close the Explorer

window.

You can also right-click the Start button, then click Explore All Users in the shortcut menu to open the Start Menu window. This option enables the submenu to be accessible to all users

1. Right-click the Start button. Click Explore in the shortcut menu.The Explorer window is displayed.

2. Click the Programs folder in the left pane.The right pane is updated to show the Program folder content.

Adding A Toolbar To The Windows TaskbarThe toolbars in Windows XP also provide faster access to all of your most frequently used applications, documents and programs. Installing New SoftwareThe Add or Remove Programs Wizard helps you to manage programs and components on your computer. It is divided into three categories: Change or Remove Programs, Add New Programs and Add or Remove Windows Components.

You can use the Change or Remove Programs option to delete or change a specific program in your system. The Add New Programs option is used to install a new application such as Microsoft Excel or Word from a CD-ROM, floppy disk, or a network. It also can be used to add Windows updates and new features from the Internet. The Add or Remove Windows Components option allows you to choose what to be included in the original installation (such as Networking Services) on your system.

You can also add a program or shortcut to the Startup folder located in the All Programs menu under the Start menu. You can delete unused files or programs to free some hard drive space by using Disk Cleanup.

When your system cannot find adequate space to store a new block of data in contiguous space, the file or folder is stored in pieces at various locations on the disk. A file or folder that is split in this way is said to be fragmented. It will take longer for the system to access all the pieces and assemble them. You can use Disk Defragmenter to consolidate fragmented files and folders into contiguous blocks. As a result, your files and system can be accessed more easily and efficiently.

When the RAM on your system is inadequate and more is required immediately, Windows utilizes the hard drive space to simulate system memory. This is called Virtual Memory. You can optimize the use of virtual memory by dividing space between multiple drives and removing it from the slower or heavily accessed drives.

How To Defragment Your Hard Disk

Managing Scheduled Tasks

You can open Windows programs from the Task Manager. The Task Manager provides information about programs and processes that are running on your computer. You can also end the programs by selecting End Task from the Task Manager. The Task Manager also provides information on the performance of the system.

You can schedule scripts, documents or programs to run at a time that is most convenient for you using Scheduled Tasks. Setting Power-Saving FeaturesWindows XP Power management scheme features enable you to conserve the energy consumption of your computer.

You can manually set your computer to hibernation or standby mode. You can also choose to automatically turn off your computer after being idle for a period of time to cut down energy consumption.

You can also choose different power schemes with basic power options predefined in Windows XP or use them to customize new power schemes.

Standby is a state in which your monitor and hard disks turn off, so that your computer uses less power. When you want to use the computer again, it comes out of standby quickly, and your desktop is restored exactly as you left it. Use standby to save power when you will be away from the computer for a short time while working.

Hibernation is a state in which your computer shuts down to save power but first saves everything in memory on your hard disk. When you restart the computer, your desktop is restored exactly as you left it.

ExercisesExercise – Managing Windows Shortcuts

1. Create a short cut of WordPad in the folder My Documents. Use the Browse… button to find the location of the program in the Local drive (C:).

2. Name the short cut as WordPad.3. Create a shortcut of Printers and Faxes in the Desktop.4. Rename the shortcut Printers and Faxes to Printer.5. Change the icon of the shortcut.6. Change the target of Printer to C:\My Computer.7. Delete the shortcuts, i.e. Printer and WordPad. 8. Create Notepad as a shortcut on the Desktop.9. Pin the Notepad shortcut to the Start menu.10. Rename the shortcut to Note11. Unpin the shortcut from the Start menu.12. Customize the Start Menu to have 3 programs on the menu.13. Add My Picture and display as a menu on the Start Menu.14. Remove Favorites menu from the Start Menu.15. Remove My Recent Documents from the Start Menu.16. Create a new submenu, to the All Programs Menu. 17. Name the submenu as Exercise 1.18. Add Desktop to the Taskbar23. Position the Notepad shortcut toolbar to the right of the Desktop toolbar.24. Enlarge the vertical size of the taskbar to display current time, date and day.25. Resize the taskbar to the original position.26. Remove Desktop toolbar from the Taskbar.27. Create a shortcut link to the Notepad in Quick Launch Toolbar.28. Remove Notepad shortcut from the Quick Launch Toolbar.29. Close the Quick Launch toolbar.

Exercise – Managing Hardware And Software

1. Open Control Panel window. Click Printers and Other Hardware.2. Add a new printer to your computer at the LPT1. Follow the Add Printer Wizard

to install the new printer. Do not select automatic detection of Plug and Play printer.

3. Choose a printer from the list of manufacturer and available models, e.g. :HP Color Laserjet.

4. Complete the installation without printing a Test Print.5. Open the Printers and Faxes window to view the new printer.6. Remove the new printer from Printers and Faxes window. 7. Open the Control Panel window.8. Select Add or Remove Programs. 9. Select Add New Programs10. Install the new program provided in the floppy disk or CD-Rom.11. Follow the instruction on Install New Program From Floppy Disk or CD-Rom

dialog box. 12. Test run the program when the installation has complete.13. Remove the program.

Exercise – Tuning And Maximizing Performance

1. Check Local Drive (C:) for file system error. Choose to automatically fix file system errors. This may take a few minutes to complete.

2. Scan your floppy disk (A:) for bad sectors.3. Analyze your hard disk using Disk Defragmenter. 4. Perform Disk Defragment on the local hard disk (C:)5. Save the Defragmentation report into My Document as VolumeC1.6. Run Disk Cleanup for your hard disk. Delete content of the Recycle bin to free

some space.7. Open the Virtual Memory dialog box. Write down the default settings of the

Initial and Maximum size. 8. Change the Initial size to 50 MB and the Maximum to 100 MB. 9. Restart your computer.10. Reset to the default settings.11. Open Task Manager, run Paint from within the Task Manager. Use the Browse

button to find the program name. 12. End the task in Task Manager.13. Open Scheduled Tasks window.14. Schedule Disk Cleanup for your computer at daily, 1.00PM. Set current date as

the Start date. 15. Name the scheduled task as Task 1. 16. Change the scheduled task to every Monday, 12.30PM.17. Rename the updated scheduled task as Cleanup C18. Delete Cleanup C.19. Create a new power scheme, named as Home/Office Desk 2.20. Set the idle time before the monitor turns off to 30 minutes. Turn off the hard

disk after 2 hours.21. Show the Power-saving icon on the task bar.22. Edit the Home/Office Desk 2 power scheme. Change the settings to turn off

monitor after 1 hour and never turn off the hard disk.23. Manually put your system into Hibernation.24. Restore your system from the power saving feature.25. Delete Home/Office Desk 2 power scheme.26. Set the power scheme to Home/Office Desk.
