WHAT’S MAPPING Mapping   is  a  diagrammatic   representation  

of  the  sequence  of  work  and  the  nature  of  

events   in   a   process.   This   breaks   down   a  

process   into  a  series  of  steps  and  provides  

the  basis  for  visualizing  the  different  stages  

for   evaluation   and   possible   improvement.  

The  development  of  a  process  chart  is  also  

known   as   process   mapping.   Process  

mapping   is  a  valuable  tool  used   in  process  

management   and   business   process   re-­‐

engineering.  

Procedures  are  clearly  defined  processes   /  activities  of  the   particular   department   and   the   responsibilities   of  the   concerned   person   are   also   noted.     The   process   or  activity   that   needs   to   be   carried   out   is   clearly   defined  here   and  by  documenting   the   same  you   increase   your  chances   of   bringing   about   organizational   order   and  consistency.  This  also  allows  you  to  reduce  dependency  on  your  employees  in  case  of  high  attrition.  

PROCEDURES? FORMS? Forms   are   standard   formats   that   are  

designed   to   capture   specific   data.    

Forms   when   populated   then   become  

reports/records.   Such   records   carry  

valuable   data,   which   can   be   analyzed,  

and  help  improve  processes.

Work   instructions   are   detailed   step-­‐by-­‐step   guides   for   completing   particular   tasks.   Previously   in  procedures   we   learn   that   they   are   the   activities   that   need   to   be   carried   out,   however   in   work  instructions   we   give   details   on   “How   to   carry   out   the   tasks   to   complete   any   procedure”.   These  details  can  also  include  diagrams  and  images  depicting  the  way  the  tasks  need  to  be  executed.
