Introduction The WellSky/SAMS Aging & Disability database application is used to track activities conducted by Wisconsin's Aging and Disability Resource Center (ADRC) specialists, Tribal Aging and Disability Resource specialists (tribal ADRS), disability benefit specialists (DBS), elder benefit specialists (EBS), and dementia care specialists (DCS); as well as Older Americans Act (OAA) services recorded by providers throughout Wisconsin.

Account Access Access to WellSky/SAMS is restricted to account holders authorized by the Department of Health Services. Though the system is used statewide, users may only access data entered by staff within their local agency as restricted by program polices.

    A. System Requirements This document attempts to provide a comprehensive guide for configuring most computers to successfully access WellSky/SAMS. In order to complete many steps within this guide, you'll need administrative privileges on your own computer. If you do not have admin privileges or if you are uncomfortable performing all/any steps in the list, please request your local I.T. staff to assist you with this process. Please note that WellSky/SAMS will only work in a Microsoft environment. Specifically, it requires Microsoft Windows, Microsoft Internet Explorer, and Microsoft Silverlight. WellSky/SAMS is NOT supported on any web browser other than Internet Explorer (e.g., Firefox, Opera, Chrome, etc.). WellSky/SAMS should only be accessed via software which is still regularly updated by Microsoft. As of 2019, this includes the following:

    • Operating System(s): Windows 7 (until January 2020), Windows 8/8.1, Windows 10 • Web Browser: Microsoft Internet Explorer version 11

Please also note that Microsoft makes two completely different web browsers, known as Microsoft Internet Explorer and Microsoft Edge. Although both browsers have a blue letter 'E' as their icon, their feature sets are completely different. WellSky/SAMS will not work with Microsoft Edge, because Edge does not support Silverlight. (Note: The new Chromium-based Edge, when configured in Internet Explorer mode, might work with WellSky/SAMS. However, this option has not been tested and the new browser has not yet been widely adopted by most organizations.) If you don't know what version of Windows and/or Internet Explorer is on your computer, you can browse to the following web address to quickly find out: http://www.whatismybrowser.com Note: If you are using a default browser other than Internet Explorer (for example, if Firefox pops up when you click on the link above), you'll have to first run Internet Explorer and then manually copy the link into it.

    B. Browser Configuration 1. Configure Internet Options - Trusted Sites

    a. Open Internet Explorer. b. Go to the Tools menu and select Internet Options. (Tip: If you do not see a menu, you

can tap the [Alt] key on your keyboard to make it appear.) Alternately, you can click on the small gear icon in the upper-right-hand corner of the window and then access Internet Options.

    c. With Internet Options open, click the Security tab. d. Click the Trusted Sites green checkmark. e. Click the Sites button, as shown here:

  • 4

    f. When the Trusted Sites window is displayed, follow the steps below, in this exact order: 1. Un-check the Require server verification checkbox. 2. Type *.harmonyis.net into the box. (This starts with an asterisk and a period.) 3. Click the Add button to add it to the list. 4. Type *.agingnetwork.com into the box. 5. Click the Add button to add it to the list. 6. Type *.wellsky.com 7. Click the Add button to add it to the list. 8. Type harmonyis.cachefly.net into the box. 9. Click the Add button to add it to the list. 10. Re-check the Require server verification checkbox. 11. Click the Close button.

Note: The red numbers in the image above correspond to the previous steps.

    2. Configure Internet Options – Pop-up Blocker

    a. With your Internet Options window still open, click the Privacy tab. b. If the Turn on Pop-up Blocker option is enabled (as shown below), follow the

remaining instructions in this step to "white-list" the necessary domains. (WellSky/SAMS uses pop-up windows to display report previews.) 1. Click the Settings button.

  • 5

    2. Add the following domains to the white list in the same fashion as you added trusted sites in step B.1.f. above: *.harmonyis.net

*.agingnetwork.com *.wellsky.com harmonyis.cachefly.net (Note: These are the same domains from Step B.1.f. above)

    3. When done, click the Close button.

  • 6

    3. Configure Internet Options - Open Pop-Ups as New Tabs Note: This is an optional step; however, it is strongly recommend for ease of use. Whenever you preview a report, WellSky/SAMS will open the report preview in a separate pop-up window. Once you've displayed two or three of these windows on your screen at the same time, it quickly becomes impossible to tell them apart. To avoid this confusion, you can optionally configure Internet Explorer so that it always opens pop-up windows as separate tabs within the browser window. Changing this setting will also affect all/any other web sites that use pop-up windows.

    a. With your Internet Options window still open, click the General tab. b. Locate the Tabs section and click the Tabs button within that area.

    c. Select the option to Always open pop-ups in a new tab. d. Click OK.

  • 7

    e. After you return to the Internet Options pop-up window, click Apply then click OK. This will save all of your changes and will close the Internet Options window.

    4. Install Microsoft Silverlight (if necessary)

    a. If you do not already have Silverlight installed - or if you are unsure whether you have the most current version - browse to the following web address to find out: http://www.microsoft.com/getsilverlight/

    b. If Silverlight is installed, you should see something similar to this:

    http://www.microsoft.com/getsilverlight/

  • 8

    c. If you do not yet have Silverlight installed or if you need a newer version, continue with the installation steps as directed in the installation instructions: Note: When Internet Explorer asks if you want to save or run the file, click Run:

    C. Logging Into WellSky/SAMS 1. Initial Login to WellSky’s web portal

    a. Go to: https://cusportal.harmonyis.net b. Login to the portal using your portal username and password

    c. After logging into the portal, bookmark this page by clicking on the icon in the

screenshot below. This can be found in the top middle section of the portal page.

    d. In the Add a Favorite pop-up box, click Add.

    https://cusportal.harmonyis.net/

    e. Immediately after entering the username and password you were provided, you will be prompted to change your password. Enter and confirm your new password as instructed and click Sign In.

    • Password specifications: Must be at least 10 characters in length. Cannot contain any significant portion of your name or user ID

Example: If your user ID is 'mary1234', then your password could not be 'marigold#9876'.

Cannot use a password that you previously used. Cannot contain multiple repeating characters (aaaaaa, 8888888, etc.) Must include at least three out of the four following character types:

    o lower-case letters (a, b, c, ... x, y, z) o upper-case letters (A, B, C, ... X, Y, Z) o numbers (0, 1, 2, .... 9) o symbols (#, &, %, :, ?, etc.)

    f. Next, a pop up window will appear in which you will need to select and answer three personalized security questions. Click on the dropdown arrow to the right of each question field to see the list of available questions.

    g. Select, from the dropdown list, questions you will remember and which will be difficult for someone else to look up or guess.

    h. Enter your answers in the space provided.

    2. Initial WellSky/SAMS Application Login

    a. After your initial portal configuration is complete, you'll reach the main portal web page. From here, click on the appropriate WellSky/SAMS link. Note: Some users might see the link displayed below, others might see the link displayed as SAMS 3 (without “– Harmony IR”).

NOTE: If this is your first time accessing WellSky/SAMS, it may take a few minutes to initialize. WellSky/SAMS downloads a large amount of reference data (zip codes, provider names, etc.); this allows it to operate more efficiently. Your very first WellSky/SAMS start-up may require up to 5 minutes - so be patient. (Subsequent loads should only take a few seconds.) When WellSky/SAMS finishes downloading its reference data, it will display the WellSky/SAMS application login window on a second tab of your web browser.

    b. Input the WellSky/SAMS credentials (User Name and Password) you have been given for the "second login screen".

    c. Anyone with benefit specialist database access may see multiple database options from which to select. If applicable, click on the dropdown arrow in the Database field to view options.

    • Benefit specialists should select the SAMS 3 – Harmony IR - BENSPEC database. • All others should select the SAMS 3 – Harmony IR database. (Note: For some

users the database name may appear as simply SAMS 3.)

  • 11

    d. After entering your User Name, Password and (if applicable) selecting the appropriate database, click SIGN IN.

    e. At some point during your first WellSky/SAMS login you might be asked to increase the application storage space for Silverlight and WellSky/SAMS. When you see this prompt, be sure to allow Silverlight to increase its storage space, as the additional drive space is needed for storing the previously-mentioned reference data.

    3. Change Your Password in WellSky/SAMS Application

Note: Changing your password for the WellSky/SAMS application is a process separate from changing your password on the portal. (Changing your password on one login screen will not automatically change it on the other.) a. In the database application (second login), click on the circular icon found in the upper

right corner of your screen. A menu of options will display.

  • 12

    b. From the menu display, select Change Password: c. Complete the pop-up box fields as instructed.

    d. Congratulations! You’re now ready to use WellSky/SAMS!

    D. Additional Technical Information Adobe Acrobat Reader: This software (or any PDF reader) is required for previewing WellSky/SAMS reports generated using the PDF preview option. (This software is probably already installed on your computer.) Screen Resolution: The minimum viable screen resolution for using WellSky/SAMS is 1024x768. The optimal screen resolution is 1280 x 1024. Readability: WellSky/SAMS currently provides limited capability for increasing font size and enhancing readability. If you are having difficulty viewing certain screens within WellSky/SAMS, we recommend that you use the built-in zoom feature within Internet Explorer. From the MSIE menu, select View -> Zoom -> Zoom In.

    E. Network Configuration Information for Information Technology Personnel

If you have followed all other steps in this document and WellSky/SAMS still does not work properly, it is possible that your local network configuration is to blame. A typical indicator of a network-based problem is that it affects all of your organization's WellSky/SAMS users in exactly the same way. Some organizations use either a local proxy server(s) or an online proxy service(s), through which some or all internet traffic is routed. This allows a network administrator to increase efficiency and reduce bandwidth (and thus costs) through various means, e.g., content filtering. Other organizations control internet access even more tightly, only permitting access to web sites which have been previously and explicitly authorized for access by the network administrator. In both cases, these network-based filters may interfere with WellSky/SAMS usage unless the network administrator has specifically configured the system so that all WellSky/SAMS-related traffic is permitted to pass. If you or your information technology personnel suspect that a network configuration may be causing problems with WellSky/SAMS, please refer your network administrator(s) to the following information. Below is a list of all currently-known domains and IP addresses related to the WellSky/SAMS application. For network configurations which permit only whitelisted internet traffic, we recommend that - if possible - your white list is based on domain name / URL rather than IP address. Here's why: In the event that WellSky decides to move their data center again, the IP addresses will likely all change - but the domains and subdomains should generally remain the same.
