JW Marriott Wedding GuidelinesThe JW Marriott Denver Cherry Creek is the only licensee authorized to sell, serve or distribute any food and beverages on property. No food or beverages of any kind will be permitted to be brought into the hotel by any guest.
Due to the Hotel’s health code policy, banquet food & beverage is not permitted to leave the premises.
Guarantees~ The final guarantee for every event must be specified and communicated to us by 12:00pm a minimum of 10 working days prior to the event. This number will be considered a guarantee not subject to reduction and charges will be made accordingly. ~ If a guarantee is not given to the hotel when due, the expected number(s) indicated on the banquet event order will become the guarantee. ~ The hotel will not be responsible for identical service to more than 5% over the guarantee. ~ The final bill will reflect either the guaranteed number of the actual number of guests in attendance, whichever is greater.
SetupSpace is blocked with a 2 hour setup time prior to the event. Should additional setup time be required, additional fees may apply to hold the space for longer. The JW Marriott cannot guarantee that the space will be available all day and that there will not be other events taking place during the day of your event, unless it is contracted in advance by your catering sales manager.
Menu Selection and Prices Our creative staff will assist you in
planning special menus.
~ Your final menu selections must be made no later than 30 business days prior to your arrival.
~ Please be advised that menu prices are subject to change and cannot be confirmed until 30 days prior to the event.
~ If multiple plated entrées are requested the following stipulations will apply:
Normal guarantee procedure is requested, indicating the number of each entrée and escort cards are to be provided.
If you choose not to hire a Wedding Coordinator for the day of your Wedding, your event manager can handle your basic setup needs. The following page is an overview of how your
JW Marriott Event PlanningCeremonyWe will set your programs on a table or place them on individual chairs. We recommend that they go in a basket or some other container if on a table. Your event manager will also place your ceremony items on the table in the front of the room. The couple is responsible for providing all items necessary for the setup including a lighting device for a unity candle. The couple cannot bring in a store bought aisle runner, but it may either be provided by a florist/ décor company or ordered by your event manager to ensure that it is safe and easily fastened to the ground. The rental price for an aisle runner begins at $150.
Gift TableWe will setup your gift table and recommend that you provide a box of some sort to collect cards so they are safe. A bellman will take all gifts to the couple’s suite after the cocktail hour is completed unless otherwise specified by the couple.
Guest Book Table We will setup your guest book table and provide either a tall cocktail table, a low cocktail table, an easel or a low rectangular table, determined based on the nature of your guest book. Everything required for the guest book table must be provided by the couple including pens for signing.
Escort Card TableAn escort card is a card that the guests pickup during the cocktail hour to identify which table they are sitting. We will setup your escort card table so long as all cards are provided on easy to read cards in alphabetic order. If the event is outside, the cards should be fastened or weighed down so that they do not blow away. If there is a pre-selected food choice for the guest, it must be indicated in some way on each guest's escort card. Your event manager can suggest different ways of accomplishing this successfully.
Table Names/NumbersWe will place the table names or numbers provided by the couple on each table. The JW Marriott does offer silver stands and white and black table numbers, should the couple wish to use them. Please provide us with a diagram indicating the correct table numbers and a list of how many chairs go at each table. Identification of what tables the wedding party and family tables is appreciated as well as identification of what tables kids and special meal requests will be sitting.
FavorsWe will setup your favors either on a table as guests are leaving the event, or on each individual place setting.
JW Marriott Event Planning…Page 2Place cardsA place card is a card put at each place setting to identify what seat each guest should be seated. We will be able to setup place cards if the reception site is different from the ceremony site and a large diagram is provided indicating each individual name listed on each chair. The cards should be pre-sorted by individual table to match the diagram provided. However, if you are having your ceremony in the same space as your reception, we will not have sufficient time to ensure the proper placement of your place cards. In this case, we recommend only assigning seats if you have an approved wedding planner to place cards.
LinensThe JW Marriott includes a selection of linens, chair covers, sashes and napkins in each evening package. Specifically, the package will cover the cost of linens for your Dining Tables (One Linen per 10 Guests), One Chair Cover with One Sash per chair, One Napkin per guest, Six Highboy Linens and installation. Should your setup require more than one linen for every 10 guests, these linens will be an additional cost and will be billed to you separately. You may order additional or specialty linens not included in your package to be charged to you separately as well.

Menu CardsThe JW Marriott does not create menu cards for events, though should the couple wish to provide them, we will place them on each individual place setting.
Service and Labor FeesA taxable 24% service charge and the applicable state sales tax will be applied to all food and beverage charges. Buffet service is available as listed on the menus – a 25% surcharge per person will apply for each additional 30 minutes.
Charges for specialized services such as carvers, chefs, and bartenders are noted on the banquet menus.
Approved PartnersIf a partner is being used that is not on our suggested services list, please let us know so that we may approve them. The vendor will need to provide proof of insurance and show that the JW Marriott has been added to their insurance for the day of your Wedding. If you use vendors from our suggested services list, none of this paperwork is required. Vendors must be respectful of JW Marriott setup times and must be able to accommodate the timing we request for their setup. If a space is being used for both ceremony and reception, all vendors must be available during the time of the flip. DJs may be required to move their setup to a different location and florists/Décor Companies must be available.
