Payment Terms• On receipt of signed quote acceptance, a deposit invoice of 25% estimated cost will be issued.
• A booking is only confirmed once payment of our deposit invoice has been received. Payment of the deposit invoice is due within 7 days of the invoice being issued, or immediately if booked within 7 days of the event.
• If payment of the deposit invoice is not received within the specified time, we reserve the right to cancel the booking.
• Full payment of all expected costs is required 30 days prior to the event, or immediately if booked within 10 days of the event. Any additional costs and/or adjustments will be invoiced immediately after the event.
• Payment can be made by credit card, company cheque or by direct credit to our bank account (refer to quote for bank account details).
• Villa Maria reserves the right to charge interest if your account is unpaid 7 days after the date of the invoice. Interest will accrue on a daily basis, and will continue to accrue if we obtain a court judgement. The rate of interest will be 1.5% per calendar month.
Event Duration • Events that exceed the agreed set times will be charged extra on a pro rata basis for venue hire
and staffing.
Confirmation of Details • Details of food and beverage selections, meeting timetable, audio visual/room set-ups and
reconfirmation of estimated numbers attending, must be received no later than 30 days prior to the event. A change in these numbers will be accepted up to 7 days prior to your event. After this time your numbers as recorded will be confirmed final and the minimum charge will apply.
Wedding Package• Package applies for a minimum of 60 guests.
• Package does not include beverages. These can be charged on consumption – beverage packages are available.
• Additional items are priced as per your request.
• Surcharges will apply on public holidays.
Price Variations • Prices quoted for functions booked 12 months or more in advance may be subject to change at
Villa Maria’s discretion, to allow for additional costs incurred during the period from the time of booking to the date of the event.

Cancellations • All cancellations must be notified in writing. If more than 12 months notice is given, your
deposit will be refunded in full.
• Cancellation within 6 months of the event will incur a cancellation fee equivalent to the deposit payment.
• Cancellation within 3 months of the event will incur a cancellation fee equivalent to the total estimated event cost.
Duty manager • A Villa Maria Duty Manager will be present during all events.
• Intoxicated or under-age guests will not be served alcohol.
• Villa Maria reserves the right to remove intoxicated or abusive guests from the premises.
• Villa Maria’s Liquor Licence is valid until 12.00am daily.
Equipment • Villa Maria will take all reasonable care with equipment supplied by the client, however any loss
or damage to equipment will be the sole responsibility of the client.
• Clients are responsible for the removal of their own property and merchandise at the conclusion of their function.
• Clients are liable for any damage caused to the premises or equipment, either by the client or their guests.
Breakages • Breakages of glasses, crockery etc will be charged to the client at replacement cost.
Cleaning • General cleaning charges are included in the venue hire. Should the venue not be left in the
same condition in which it was hired, the venue will be cleaned and/or repaired at the client’s expense.
• As we are a working winery and vineyard we are unable to allow confetti or rice on the premises, fresh petals however are permitted.
Grounds• Please note, we are a working vineyard and events facility all year round, therefore changes to
the vineyard could result that are out of our control.
• Fireworks and drones are not permitted anywhere on the Villa Maria grounds.
