Hello and welcome to this edition of magazine. Managed print services (MPS), also sometimes referred to as managed document

services (MDS), is today the focus of much of the printer reseller industry worldwide as a new channel for accessing corporate clients in order to assist with services that alleviate current bottom-line pressures.

The print industry has come a long way over the years. Not to say that there are not a number of old-timers still about who were at the top of their game during the ‘80s, and who may remember the rah-rah sales conferences of old, where unit sales dominated and top sellers wore grey leather shoes and loud ties.

Today, we are fortunate to be surrounded by smart salespeople who are able to lead CFOs through the inclusive - and strategic - landscape of document management, which

that companies can’t deny (even if the stove pipe suit and black tie has seen a return to fashion). We invite you to take

a look at those companies on page 10 which are supporting the evolution of the print industry, and putting their own marketing spend and training initiatives behind the MPS engine.

For big business it is the cost of lost hours of productivity without a phone, fax,

For consumers, it is the cost of lives as trains derail; the cost of alternative means of transport required to reach work; and cost and safety issues when appliances are damaged by power surges.

According to Business Against Crime (BAC), the cable thieves usually work at night, armed with trucks, pulleys, industrial cutting tools and tractors used to

They are either part of organised crime syndicates, who tend to export their loot, or are subsistence thieves who steal only metres of cable at a time.

Frustrations are running high and Telkom has in certain instances refused to replace stolen cables.

Police Minister Nathi Mthethwa says the police are addressing the situation with increased security measures that include vehicle and daily foot patrols; observations; scrap yard visits; asset protection units; tactical response teams; accompanying repair technicians on callouts; and tasking the signal department to vandal-proof certain high-risk cable areas by cementing the cables to prevent theft and damage.

The South African Chamber of Commerce has termed cable theft “economic sabotage” and has called on the legal system to enforce more stringent punishments.

The Second-Hand Goods Act makes it a criminal offence to be in the possession of nonferrous cable with a burnt cover,

Despite this, cable theft has ensured that South Africa is one of the world’s leading exporters of copper to countries

I recently had an interesting experience when talking to a client. The talking was not the interesting part; neither was the insight into the client’s problems or the obvious solutions. The part that stuck with me was the client’s response to what was needed and the stubbornness that I witnessed.

There are many potential solutions to any one problem. The choices can be narrowed when there is more than one problem; and then exacerbated when the

problems are merely symptomatic of core issues with either the business or the culture.

Very often a challenge that lies at the centre of the business is the easiest to correct; however, business culture issues, despite being “soft” issues, can have their roots deep in the daily grind of the organisation.

Having to tackle both at the same time is akin to keeping a sinking ship

the least bit interested in rescuing either themselves or the vessel.

Time and again we see that the single most important element is leadership.

abandoning the craft is probably the most merciful path.

My suggestion was a combination of three interrelated concepts or paths that would have a positive impact.

conversations throughout the

about introducing accountability into the business at all levels.

Next was servant leadership. A tough one to instil if an organisation is highly hierarchical, divided and driven by ego - but one that pays off when all begin to realise that they are there for a greater purpose and that service to all those around them, as part of their daily roles and responsibilities, has a multiplier effect in the business, inside and out.

The last used the thought process behind Colin J Browne’s book, How to Build a Happy Sandpit.

“Employees in a business are like

a group of children who play well together, they will build sandcastles. They may build very elaborate ones. One will run off to the tap and fetch a bucket of water and they’ll build a moat. They’ll have such a good time doing it that they will want to do it again tomorrow.”

That sums up what we all want, whether we are the boss, the owner or the employee: a place where the chief bottle washer does what he says and says what he does.

within practically any business, but that is neither an excuse nor a reason to avoid doing them.

Of course, there is always the choice of irrelevance. T here is almost always a choice. n

Increasingly, companies are looking to cut back on overheads to improve their bottom line. We are also seeing an increase in the outsourcing of non-core services so that a business can focus on delivering optimum yield on the company’s primary functions.

Managed print services (MPS) is a relevant marketing opportunity that offers a current solution to the paring of costs and delivery of increased

productivity within an organisation.Companies with high volume print

requirements - where information is driving the business, such as law firms or creative and marketing companies with many satellite locations or departments - see the most benefit.

This is due to the high value put on print functions and the sharing of knowledge. According to Gartner, as much as 1% to 3% of a company’s revenue is spent on print activities.

Often, companies which see print as an essential component of their

infrastructures; have no internal controls or purchasing policies in place; and view printing as a low-level administrative function. When left to departmental responsibility, costs are high and often unseen due to ad hoc purchasing, crisis management and repair.

MPS allows a corporate overview of a company’s needs and the scope of their work, to deliver an effective print strategy that sees immediate savings and budget controls put in place.

Costs are cut by consolidating and rightsizing the company’s hardware. Printers, fax machines, scanners and

and budgets, and simply goes undocumented. Often consumables lie unused in storerooms as an unutilised expense. With the managed ordering of ink and cartridges, costs are streamlined. Usually based on a monthly fee which is linked to a per-page rate, a company is better able to predict costs, make strategic orders on consumables and benefit from savings.

As workflows are streamlined and print outputs are managed, a company’s document security is automatically developed. Environmental impacts are also mitigated.

Suppliers should not ignore the MPS opportunity, which will enable them to offer their client base a solution that delivers on so many levels, benefiting suppliers and clients alike.

Around the start of the new year, many people set resolutions, focusing on self-improvement or breaking old habits.

But how often do business leaders or sales professionals assess and set resolutions for their businesses? For many, the start of the year is also a new

has been, and will continue to be, an essential infrastructure tool. But as we all know, successful MPS programmes require more than remote monitoring tools. At the same time, dealers should not overlook additional ways to maximise any of their chosen software tools. Challenge your software provider(s) to provide additional value.

Examples of this include dedicated support personnel who can assist with installations, troubleshoot reporting issues, set up reports and recommend best practices for sales proposals

addition, make sure you are looking to your software providers for integration features that can streamline price quotes and more.

WHAT TO LOOK FOR IN A CALL CENTRE

With customers increasingly demanding faster response times, companies are forced either to employ more staff or to upgrade to a dedicated call centre, in order to maintain the productivity of their core staff.

For an expanding business, companies will need to consider either a centralised calling unit or service department, or a customised call centre in order to make communications more convenient and efficient.

Call centres traditionally facilitate two requirements: that of customer service, and that of sales. When outsourcing the service, remember that it will be the primary point of contact for your business as well as being representative of your identity, so proper research is required in order to find the right service provider.

Apart from state-of-the-art communications technology, your service provider will need to have database and product information about your company in order to service the client and fulfil requests properly.

Fraud, like other dishonest acts perpetrated by employees, is now a bigger source of danger for an employer than ever before. This is because the culture of dishonesty has

had 10 years in which to entrench itself. The state’s consistent failure to deter dishonesty has emboldened criminals, and it is often the employer who loses out through the crimes of robbery, theft, pilfering, hijacking and fraud.

However, out of all these brands of commercial crime, fraud holds the biggest danger. This is because fraud is the easiest of crimes to hide. Due to the inherent nature of fraud, which often involves trickery and deception, large amounts of money can be spirited away without the employer ever becoming aware of it.

fraud, employers need to get to grips with what it means in a legal sense.

representation, by words or conduct or by withholding facts where there is a duty to disclose them, in order to obtain a material advantage.

“To prove fraud it is necessary to show that a false representation was made (1) knowingly, (2) without belief in its truth, or (3) recklessly, without concern whether it was true or not.

“A contract based on fraud may be declared void at the option of the

for employers. Firstly, the meaning of fraud is broader than many people think. For example, even where an employee was not sure that their statement was untrue, this could be fraudulent if the employer can show that the employee made the untrue statement recklessly, without regard for its truthfulness.

For instance, where a salesperson tells their boss that a product is defective in order to be able to buy it more cheaply, this could be seen as fraud even if the salesperson was not sure that the item was defective.

Secondly, in order to prove fraud, the employer must show that the employee committed the act for gain. However, such

For example, claiming false

applicant would be gaining employment based on a lie.

The danger is that the employee could avoid dismissal for fraud on the grounds that the fraud occurred during the pre-employment stage. That is, because the fraudster perpetrated the misrepresentation before the employment contract took effect, they could argue that they cannot be disciplined for an act carried out when they were not an employee. There is a potential danger here for employers because the courts have been willing to see employment contracts and employment relationships as separate entities.

The employer’s strategy for combating employee fraud needs to be based on two broad approaches, namely prevention and reaction. Prevention

involves the principle of trusting nobody, and the implementation of comprehensive safeguards. These could include measures such as video cameras and telephone conversation recordings, authority levels and procedures, access controls and auditing procedures.

all reports or hints of irregularities, responding to them swiftly and in a way that makes it clear that fraud will not be tolerated under any circumstances.

Turning a blind eye to irregular acts of employees encourages dishonesty. Failure to discipline and dismiss the perpetrator will perpetuate the culture of dishonesty but failure to investigate and manage the incident properly can result in the dismissed employee being

compensation for an unfair dismissal. That would mean that an employee

who defrauded the employer of millions of rand could win hundreds of thousands more from the employer, simply because the employer failed to prove the employee’s guilt at the CCMA.

Following the new Companies Act of 2008, not all companies are required to complete an annual report; however, they are required to prepare

statements. Even as a sole proprietor, a business report can be a fundamental tool allowing an owner to document and track the progress of the company.

Whether a company is producing an annual report as part of their obligation

agencies, or as a tool for their own analysis of their business model, it is an easily accessible central point of information. The report can also double as a marketing package for promotion of the company, and is valuable for introducing the company to new clients.

Business owners are advised to incorporate reporting as a regular practice for data collection within the business in order to document progress, control expenditure, help formulate budget and marketing plans, and pinpoint which are the company’s most successful products or services.

With regular review, a business is better able to make quick decisions on

disruptive issues, as well as predict

areas of business that need further management.

Ultimately, the company report acts as a barometer of company health to shareholders, stakeholders, the media, the industry as a whole, the owner or management.

Annual reports do not have to be dry and boring, although far too many are. By outsourcing annual reports to professional branding agencies,

marketing mind-sets, and enhanced graphics, design and layout skills that will put a “face” on the business. They can also assist in producing the report in a variety of formats, such as an electronic report.

or titles need to be included in the range to offer the customer a choice, but not create confusion or excessive stock and management headaches.

Finally, retailers need to label products with a retail price that is alluring to the customer, yet in line with the retailer’s brand offering and core product characteristics.

Chain bookstores often use best-seller lists as part of their selection process, enabling them to deliver popular books to

They rely on the fact that almost everyone has heard of the New York Times Bestseller List - and even if they haven’t, it sounds like an impressive list to select a book from.

The New York Times list is a survey based on a number of accounts polled weekly for sales, monitored from a Sunday to Sunday. While it works as a benchmark of success for authors, it

sales - especially when retailers use the themes, branding and titles for further in-store promotion.

The risk lies in a retailer focusing too much on bestsellers, which could end up affecting product variety and causing sales to be concentrated on those products only - leaving other products sitting on the shelf.

For example, Christian Book Discounters (CBD) is a retailer and wholesaler

discounted prices, selling them directly to the public via an online store. CBD also services theological colleges.

Our prime objective is to offer good quality Christian literature to the man on the street at a price they can afford, and to promote a culture of reading amongst Christians.

Today CBD helps churches in South Africa to achieve this goal by supplying them with literature for their book tables, as well as by running bookshops in six churches around the country.

Their extensive range of theological literature enables Bible Colleges to source all required textbooks from them. Once or twice a year CBD brings out guest speakers who travel to churches around the country and speak on a wide range of topics.

A familiar name to many, especially in law, education and academic publishing, is Juta and Company - one of the oldest publishing houses of student textbooks in South Africa.

Juta’s retail bookshop division was sold to Protea Bookstores in December 2013, but it has remained relevant by embracing technological innovation and diversifying into training, e-learning and technology-driven information solutions.

Despite the current hi-tech era we live in, and the increasing competition from large super stores and e-tailers selling toy-related items, traditional toys can still

have an advantage in the niche retail sector and add value to a gifting service.

Children make up a large sector of the current marketplace - there will always be children and they will always want toys. Undoubtedly, times are tough in the toy sector as markets have shifted focus away from traditional toys and board games to handheld electronic devices. However, the toy market has shown a level of adaption, producing interactive and controllable toys which demonstrate a market crossover.

For example, Lego has added interactive components and integration with smartphones in order to offer new gaming experiences. Lego Mindstorms is a programmable robotics construction set which gives children the power to create and command their own Lego robots. They walk, talk and follow commands through its intuitive software program.
