The Veggie Compass Whole Farm Profit Management system is the brainchild of Jim Munsch (WI). Working with staff from the University of Wisconsin, the first version of this system was developed. Working with staff from Southern SAWG, the original system has been edited to make this more user-friendly and dynamic 2013 Veggie Compass.
Veggie Compass Whole Farm Profit Management is a robust system for providing you a much fuller picture of your farm finances than regular recordkeeping systems provide. Six spreadsheets in this Excel file work together, as you input data, to provide you with a full picture of your farm finances. As you enter data in the first three spreadsheets, calculations automatically occur in the next 3 spreadsheets to provide you with critical information about your farm profits. The data you enter into this recordkeeping system is your year-end data. To accumulate the data needed for the Veggie Compass Whole Farm Profit Management system, you’ll need to keep records elsewhere throughout the year, perhaps on the basic forms we have provided on this Growing Farm Profits training CD, and/or in your accounting system (Quickbooks, Quicken, checkbook, etc).
Remember that, including this introduction page, there are 7 spreadsheets in this Veggie Compass Excel file. Use the tabs at the bottom of the screen and the arrow buttons on the bottom left of the screen, to reach all spreadsheets. When you open Veggie Compass, you will see only 3 of 4 tabs at the bottom of the page. So be sure to use the arrow buttoms at the bottom left of your screen to find all 7 sheets.
Veggie Compass is comprised of very large spreadsheets that will require much scrolling up and down and left to right to use the entire sheet. When you open a file, always remember that the Freeze Pane function may be on and that you may not be looking at the entire sheet. This Freeze Pane function allows you to see your headers, even if your spreadsheet is so big it doesn’t all fit on your screen at one time. Use the scroll bar at the bottom right of the screen to move left and right or use the scroll bar to the right of the screen to move up and down. To learn more about the Freeze Pane function, refer to the Excel Primer included on this Growing Farm Profits Training CD.
Comments have been inserted to help you better understand the contents of particular cells. A red triangle in the upper right corner of a cell indicates a comment has been inserted. Scroll over that cell and a note of explanation will pop up. To learn more about the Comments function, refer to the Excel Primer included on this Growing Farm Profits Training CD.
The Veggie Compass Sample is “read-only”. This means you can study the spreadsheets, but you cannot enter any information to change anything that is on the spreadsheet. It remains your unaltered sample, even if you do accidentally try to enter data.
With the Veggie Compass Template, you can record your own data, using the sample record as reference. Before entering your own data, first copy the template to your computer and save the file by a name that makes it recognizable to you, such as “Farm Expenses 2013” (the Excel primer included on this CD ROM will teach you how to do this if you do not know how). Do not plan to save your new file to this this Growing Farm Profits Training CD.
In the Veggie Compass template, there are certain cells” which have a predetermined formula in it. For example, in a “Total” cell you’ll notice that it has been predetermined what data will be included in the Total. As you enter data, you’ll see the Total change. You can click on that cell to see, in the dialog box at the top of your screen, the formula used to create the content of the cell– to see what data is being included in the total. The formulas are the meat of the files and are what makes it simple for you to get from your data the information you need to make smart decisions. Do not worry about deleting these important formulas. We have locked the cells that contain formulas so that you cannot accidentally change them.
In Veggie Compass, it is okay to change a cell with text content, but we urge caution. You do not want to change any cells that have formulas in them. If you do need to change the name of your market channels, change those on the Step 1- Expenses Input page ONLY and they will automatically be changed on the rest of the sheets. If you need to change text in an expense line item, first unprotect the sheet by finding “Tools” in your menu bar at top, click on “Protection”, click on “Unprotect Sheet”. The password is “ssawg”. If you must edit one of these text cells that we have locked, make your edit and then immediately protect the sheet again by going to “Tools” in your menu bar at top, click on “Protection”, click on “Protect Sheet”.
In Veggie Compass, we strongly recommend you do not change any cells with a formula in it. Since all of these sheets work together and data is drawn for many different sheets to make calculations, you may corrupt the system and cause it to provide incorrect information.

Use this sheet like you would a schedule F tax form. Enter the amount spent on each expense in the Total Cost column. But then allocate that cost to the appropriate farm activities. For example, under wages, the total cost for Clerical & Office labor may be $15,000 but that should be distributed over General Mgnt. & Admin, CSA, Farmer's Market, Wholesale, Restaurant, Resell as appropriate. All greenhouse, field growing and harvest & pack labor should be recorded in the Pink Production Labor column.
