• Reservation– Most common method– Via work order (preferred), email, telephone– Conference scheduled on video bridge, automatically

connects endpoints

• Self-Initiated– Dial directly from one endpoint to another– Requires knowing IP address of other unit

• Check Web Calendar for available times

Setting Up A Video ConferenceReservation

• In the Question field, include date, start time, stop time or length, and the sites involved. Purpose helps when questions arise.

• Don’t assume we know where a doctor or service provider is located• Unit should be turned on a minimum of 15 minutes prior to

conference start

doesn’t, double-click on Meeting Point icon• Boot up for Meeting Point takes 1-2 minutes;

longer if it has to download anti-virus files

• Room should be well lit– Normal overhead lighting works– Lamps may not be sufficient

• Camera should not be pointed at window– Inconsistent outdoor lighting– Blinds cause difficulties mostly due to

shimmering

playing at normal volume in background– Turn off radio when conference begins

Common Problems and Fixes

• Most problems are caused by the users– All of the equipment works well– Unless directed by IS staff, don’t ‘play’ with cables or settings– If you change something, put it back when you’re done. – If you’re not sure what you did, call IS. Don’t wait until a

conference is supposed to start

• Common Problems– They Can’t Hear Me– I Can’t Hear Them– We’re Not Connected– The Lips Don’t Match The Sound– Can Hear But Can’t See– Picture Is Frozen

Common Problems and FixesThey Can’t Hear Me

• Check location of microphone

• Look for microphone mute symbol on screen– Falcon - Microphone with

red slashed circle – Meeting Point – red x on

microphone in Local window

– Windows – Line-In muted

• Have other end check volume control on TV

Common Problems and FixesI Can’t Hear Them

• Check volume on TV– Make sure you see green

bar on screen– Level should be about

halfway

• Check volume for Falcon – Make sure you see blue

bar on screen– Volume should be halfway

• Check volume for Meeting Point– Check MP speaker symbol– Volume should be halfway

• Check volume – Windows– Double-click on

speaker icon– Look for Mute being

checked

• Have other site check for a muted microphone (see They Can’t Hear Me)

Common Problems and FixesWe’re Not Connected

• Happens when conference start time has passed and unit wasn’t ready

• Only picture you see is your location• Causes

– Late in turning on or logging onto unit– Network cable not attached to both unit and wall jack

• Resolution– Turn on video unit and logon if necessary– Verify network cable is attached– Call IS to get connected to conference

Common Problems and FixesThe Lips Don’t Match The Sound

• Sometimes the audio and video get out of sync

• Result of network traffic congestion

• Normally only happens during long conferences after several hours

• Only known solution is to call IS and have sites reconnected. Takes only seconds.

Common Problems and FixesCan Hear But Can’t See

• Presence of sound indicates units are functioning and connected

• Most likely cause is – Camera on Meeting Point unit not turned on– Video cable not plugged in securely– Video cable plugged into wrong port– Wrong camera selected– Meeting Point in Energy-Saving mode. Move mouse

to activate screen– High voltage has died on TV

Common Problems and FixesPicture Is Frozen

• Video may be muted– Camera icon with red slash

on it will be on screen

• To unmute Falcon– Slide cover back on remote– Push Mute Video button

• To unmute Meeting Point– Click on Camera icon in

Local Window

Common Problems and Fixes

• Telemedicine is very important to IS Staff– Top three priority

• If you have a problem with a video conference and can’t resolve it, call 830-792-3300

• Tell whoever answers that you have a video conference problem and need to talk to IS staff member

• Do NOTNOT leave a voice message or send email!– No guarantee when it will be heard/read
