I am Mark Nash aka The Moving Doctor and I want to explain to you what's going to happen with your move and hopefully answer all you questions and concerns.

Obviously we cant explain all services and all details here but here are the main things to know.

Self Load Containers: Its going to come on the back of a trailer, most have tie hooks every couple feet on the bottom and the top of the side walls. The floors are wooden and you can nail into it if needed. 8ft 2x4 pieces of wood will hold your shipment in place and coupled with a mattress makes an excellent bulkhead. The driver is paid to wait for 2 hours and might not be able to back into your driveway. The container will have a security seal fitted before we return it to the port for shipping.

U Crates and Pallets. It can take up to 7 working days to UPS the U Crate or pallet and we will email you the UPS tracking number. If you need these faster we can send out express for an additional charge. Please email your coordinator 48 hours before you require collection. NOTE: U Crates and Pallets need to be loaded on concrete or tarmac level ground on a driveway or curbside so that a pallet jack can pick it up and put on the tail lift of the truck. A forklift will not be coming to your house (except U Crate280)

How It Works continued

Once loaded, your self load container will travel to the nearest port for loading onto a ship. It will travel, sometimes stopping at different ports along the waybefore arriving at the destination port. If you are paying for to door service, we will clear the container through customs, pay the port fees and truck to your residence where you will get 2 hours to unload it. Our local partner will be in touch to arrange this for you. Note in Australia and sometimes New Zealand, the container has to be unloaded for a quarantine inspection so your things will be loaded on a moving truck and delivered by a crew into your ground floor residence.

If your are shipping one of our U crates or pallets to our most popular destinations, it will be trucked to our main shipping terminal in Charleston SC to join other shipments and loaded into a shipping container. For other destinations and to terminal arrival only we will book the shipment direct out of the nearest port.Once it is shipped on a vessel and arrives at the destination if you are paying for delivery service, we will clear customs and our local office or partner will arrange delivery to you.

Instructions

Before loading, please watch the presentations that are relevant to you on our UPak TV Page. In order for your things to arrive safely at destination, you need to pack and load your items correctly as well as build the U Crate or Pallet as per our instructions.

Hercules is the name of our custom made interactive database. Hercules will automatically email you a booking confirmation with your personal booking number and instructions on how to use him. Your booking number is the only ref number you need for us and will appear on everything we send you and we would appreciate you referencing it on everything you send us.

Hercules will also email you instructions on how to upload your documents to him and add additional information such as a delivery address at a later date. He also sends you emails at different stages alerting you to updates, for example, its arrived at our shipping terminal or confirmed sailing information.

Be aware the first time Hercules emails you, it might go to your spam folder so always check your spam and make sure you add us to your safe senders list so you don’t miss any emails from us. Look for [email protected].

Like everything these days, there is paperwork to fill out, but nothing too complicated. For most destinations, this is what you will need.The Contract: this will be emailed to you and just needs to be read and signed so we are all on the same page as to what the service is and agree on the price we quoted. This needs to be uploaded into Hercules.The packing list: please use our online packing list creator to do this. This doesn’t need to be completed until you have finished all your packing but note you will have to number all your boxes and items and type a description next to the corresponding number on the packing list.The customs form: for most destinations we will email it to you.The shippers declaration: form that you have to sign agreeing that you packed everything yourself and there is nothing dangerous, illegal or hazardous in your shipment.We will also need a copy of your picture and visa page if applicable of your passport. (Just for the person who’s name we are shipping it in)

Obviously your passport….and yes we have had to turn around shipments to find them)Liquids, in case they leak.Food, herbs, pet food are all banned in most countries.Drugs, weapons, ammunition, hazardous items, explosive materials, chemicals, fuel or oil.Paperwork you might need to show at the destination for customs, residence permits etc like medical records, school transcripts, certificates etc.Medicine and prescriptions.Do not pack anything dirty or items that used to be living if moving to Australia or New Zealand.For more details on packing and what not to pack and what is allowed to Australia please look at our UPak TV page on our web site.

Moving to UK

If you are moving to the UK to enjoy the warm dry weather, you’re in for a big surprise! You will need you to complete a C3 customs form that we will email to you. Notes on the correct way to complete this customs form to obtain duty and tax free entry are available on the UPak TV web page under the “how to” heading, click here. Any other questions feel free to email or call us.In general all items must be declared at being over 6 months old and you have to declare that you have lived outside of the UK for a minimum of 12 months.There is no duty free allowance on tobacco products or alcohol like there is when you personally fly to the UK.

Moving to Europe

We ship all pallets and U Crates for delivery in Europe in a container to Rotterdam, we clear customs and then deliver throughout Europe. Self load containers normally get shipped direct to the nearest destination port in Europe.For all shipments routing through Rotterdam, you will need to complete a customs clearance request form that we will email to you and provide proof that you have resided outside the EU for the last 12 months. This can be by providing a lease or mortgage on a property you have been living in or utility bills or a letter from your employer.For self load containers going direct to the nearest port and shipments bound for Switzerland, we will put you in touch with our local partner to advise on customs formalities and requirements.

Moving to Australia

The most important think about moving your shipment to Australia is make sure everything is clean and do not ship anything that once was living for example, a wreath, a straw basket, or a deer head! Shoes, bike wheels, golf clubs, camping gear all need to be spotless. Absolutely no food products are allowed. You will have to complete a customs form B534 which we will email to you. For more information click here.In Australia your shipment has to pass through Quarantine as well as customs clearance. We do not include the quarantine charge in our prices as we are never exactly sure how much it will be, but we can advise an estimated cost. These charges will be advised to you by our local partner and will need to be paid before delivery.As all items have to go through quarantine inspection, it is not possible to deliver your shipment still in the container you loaded it in, but the local delivery crew will deliver the contents into your ground floor residence.

Moving to New Zealand

New Zealand customs rules are similar to Australia. Make sure everything is clean and do not ship any food or items that were once living. You will have to complete a customs form which we will email to you. You can also see the form by clicking here.Your shipment will probably undergo a quarantine inspection and any charges related to that inspection will be charged by our local partner before delivery. Sometimes due to an inspection, it is not possible to deliver your container to the residence and instead the delivery crew will deliver the contents into your residence.

PackingMake sure all boxes are packed full and tight and not so heavy that you cant lift it. You should be able to sit on your box once packed and taped without the top caving in. Tape up cartons on the bottom, top and the side seams so you see an H in tape on the bottom and top. Use plenty of packing paper and bubble wrap. For furniture items wrap in moving blankets or bubble wrap and secure with tape. Mattresses should at least be put in bags and if possible then the cardboard sleeves. There are no perfect size boxes to buy for the crates and pallets. They come in all different shapes and sizes so your best bet is tape out the crate or pallet dimensions on your floor and practice the best configuration for loading

Loading

If you are loading a pallet, keep everything within the size of the pallet, if items overlap the pallet size, then they might get bumped by other shipments.Whatever UPakWeShip product you are loading, make sure the heaviest items are loaded at the bottom and lightest on the top. Make sure each piece has our label on it saying your name and piece number on the side of it. If you are loading a container, keep the load level so nothing can fall down. On all shipments, keep everything tight so that nothing can move around or fall.

Loading is just an adult game of Tetris! But a little bit harder work!

LabelsCreate you labels on our web site. Each piece needs a label taped to it. That means every box, every chair, every bike etc. Tape the label on any side of the item or the top. Not the bottom as we will think the items upside down!Our online label creator prints 4 labels on a piece of paper in your printer. It doesn’t matter if they are black or color, just cut them out and tape them on. You can stick 2 labels on different sides of the item if you wish.

For the pallets and U Crates, once you are finished loading and securing please tape a label on the outside of the pallet or U Crate on at least 2 sides so we can clearly identify your shipment at all times.

Packing list

The packing list is submitted to Customs to check to see everything is allowed into the Country and that you have no prohibited items. We believe our list of items is pretty comprehensive but if you need an additional item added just email us. NOTE: If you have a box of mixed items just list one of the items or whatever the majority is.

You need to number all your boxes (use our labels) and then list the contents of that piece or box on the packing list. Our online customs friendly version is the best! You can walk around your house with your phone or tablet creating your packing list. You need to create one packing list for the whole shipment.

Tip: the item that you write #1 on the label = item #1 on the packing list.

Customs docs

Every Country has its own regulations and customs entry forms that need to be completed. We have all the most popular forms and will be emailing these to you. For other countries we will put you in touch with our local partner to obtain the correct documentation. Use the Customs Docs link on our web site to find out more information on your destination Countries regulations.

If we email you a customs form, please make sure to complete it and upload into your file in Hercules.

TrackingYou can always see the latest status of your shipment in your personal portal in Hercules but once you have the sailing information, its fun for all the family to track the ship with an online app like this one in the picture called Marine Traffic or Vessel Finder is another popular app. You can see details about the vessel that your shipment is loaded on as well as track the progress from port to port. It can be a great geography lesson for the kids too!

Remember though that once you see the ship has arrived at your destination port, your shipment still has to pass though customs and delivery scheduled by truck so don’t automatically think it will be delivered next day!

InsuranceWe recommend that you take out an insurance policy for your belongings. In most cases you will never need it but you will kick yourself if something happens and you have no insurance and therefore no one to make a claim to and get some money back.If you are packing yourself you have a choice of our Bronze policy which covers you only for total loss like in the rare case of a ship sinking or a container is lost at sea in a storm. You wont get your shipment but you will have some money for replacements. The Silver policy covers the above plus partial loss or damage caused by external forces such as weather related or forklift or crane loading damage.When completing you application for insurance you need to decide a value per box /item so it will look like your packing list but this one will have $ values next to each piece. You can insure for any value per piece. Note the policy has a $250 deductible.Latest rates and more information can be found on our insurance page at www.upakweship.com

PayingEveryone has to pay $400 deposit online (except per box shippers) there are no credit card handling fees added to this.The remainder needs to be paid before shipping and an invoice for the remainder will be invoiced to you asap. With self load containers that means the day before loading. On other services its after collection or drop off at the terminal.You can pay the remaining balance by emailing an ACH form or mailing us a check with no additional fees or you can pay the rest online by credit card but there will be an additional 5% handling fee. If you wire the payment please make sure the bank references your invoice number on the wire and email us the confirmation so we can match the wire transfer to your invoice.You might get a second invoice for the insurance premium one you have completed the insurance paperwork and payment can be made as above.

Any extras 99% of the time the answer is noBut…. here are some possibilities that are not covered in your quote:Inspections or X Ray by USA or foreign government agencies and the relating port or storage charges whilst this occurs.Taxes and duties on new itemsBad access problemsAbove ground floor deliveriesIf you require the u crate or pallet you ordered faster than a weekAustralia and New Zealand have quarantine inspection charges.If you go over your 2 hour free loading or unloading time on a self load container.If you don’t have the correct documentation at destination and shipment has to be stored beyond the free time allocated to clear customs.Insurance.Storage if requested.

Don’t schedule your collection or drop off the day before or the day you are leaving.Do not pack passports, meds, birth certificates, marriage certificates, medical records, ss cards, proof of residency, items you need for your job when you get there or wedding dresses in your shipment. There could be a delay out of our control.If you need help loading try movinghelp.com Measure and tape the inside dims of your container / crate on the floor and wall and practice a load plan and making sure everything will fit.All paperwork needs to be uploaded into HerculesOnly the truck bill which we will email to you needs to be given to the truck driver when collecting U Crates and Pallets from your residence.Start packing early, do a few boxes every night, do not procrastinate!Open your U crate or pallet when it arrives and check everything is there that you need and familiarize yourself with the set up

If you have booked a to door service, our local office or partner will be contacting you if there is anything else they need for the customs entry and once cleared by customs, they will contact you to schedule delivery.Make sure someone is available to accept delivery after the eta at the port and customs clear and collect from the terminal as soon as you can. Storage charges at destination can be expensive if you are not available.

If you have booked to arrival terminal the shipping agent should send you an arrival notice and advising you of the port fees and handling charges that are due. You will need to arrange customs clearance and then pay the fees before being allowed to collect your shipment.
