UNIWeb: Tools to improve CCV management
McGill UNIWeb
• A research productivity software available to the McGill community developed by a private company.
• Two main features1. Local academic network
• Greater visibility for McGill researchers internally and externally– Currently 880+ McGill users (mainly Professors)
• Can help to identify new collaborators based on identified research interests.
2. Academic workflow system
https://uniweb.mcgill.ca/
UNIWeb’s Academic Workflow System
• An intuitive CCV manager - user interface on CCV website is NOT user-friendly!
• Numerous advantagesa. Improved interface: access full CCV on one scrollable & searchable pageb. Seamless: import/export data directly between CCV and UNIWebc. Targeted: CV templates for specific funding agency competitionsd. Integrated: publication lists can be easily imported and modified based
on Agency requirements (such as identifying HQP with *)e. Accessible: account delegation to those who can assist with populating
your CCV (limited to those with McGill email accounts)
Altogether - significant time-savings for researchers who must submit the CCV as part of grant applications
Importing your existing CCV into UNIWeb
Save *.XML file on desktop
Ability to see the entire CCV in one scrollable page, easier to navigate among sections and to find sections of interest
Managing your publication list in UNIWeb
UNIWeb publication list tools
• Several UNIWeb automated tools – import publications, identify duplicates, delete selected articles
• Importable formats:• Google Scholar – BibTex• CiteULike - BibTex• Scopus - BibTex• Web of Science - BibTex• End Note - BibTex• PubMed – XML
• For NSERC researchers: HQP should always be identified with an asterisk (*) either manually or by find/replace in a text editor
Export your publication list from research database of your choice
Choose BibTeX format and save on computer
NSERC researchers: Identifying HQP with * • Open your BibTex file using your favorite text editor
(Notepad ++ is used in this example)
Identifying HQP with *
Find and replace HQP last names, save file and import publication list as usual
You can also import your publications list via PubMed.1. Generate PMID List
2. Copy PMIDs
3. Paste PMIDs.
Applying “Submit” checkmarks
“Submit” checkmark function
For sections that are time constrained according to call requirements, you can have UNIWeb apply checks starting from a particular date.
For NSERC researchers• May list contributions from the last 6 years only (starting from the first
month of the first allowable year)
For CIHR researchers • Time limitations on the contributions that can be listed vary from call to
call, making this function very valuable!
Exporting UNIWeb CV to CCV website
1) Save *.XML file on computer
2) Open CCV website and log in
Select the *.XML file and check “I’m not a robot”Follow instructions and then click Parse
Valuable & noteworthy:
You do not have to import all sections if only a few sections
were updated
It is not a perfect tool since different agencies may have different requirements
What to do with X’s
1. Manually correct with CCV website if there are not many entries mark with an “X”
2. Make use of UNIWeb!• Use “Apply “submit” check marks” tool• Select the agency specific CV template in UNIWeb – errors will be
identified in UNIWeb and can be corrected there • Delegate to assistant
Adding delegates
Delegate must have a McGill UNIWeb account before you may add them
Coming soon in 2017: researchers from other UNIWeb member institutions (such as University of Ottawa, University of Laval, Queen’s Medicine and Health Science, OCAD, etc.) can be added as account delegates
Delegate now has full access to your CV until you remove their access
Integration with CCV templates
Different templates available
Can export CV information in UNIWeb into different CV layouts, and format to agency or funding specific CCV templates.
UNIWeb will identify any errors if a specific template is selected. These errors can subsequently be corrected directly in UNIWeb.

Managing your CV in UNIWeb –best practices
Best practices
• Be consistent on where the master CV information is updated to avoid redundancy and confusion.
• Update regularly – take advantage of the delegate function.• UNIWeb is not perfect, you must always verify the imported
UNIWeb CV is correct in the CCV website before attaching to the application.
• And as always – start early!
