CAAR 2012: Did we see you there?
Anita, Dee and Pam jetsetted to Winnipeg in February to do some meeting and greeting with industry movers and shakers. Since we get to see some of our retailers only this one time a year, we sure hope you dropped by.
An inspector from Transport Canada spoke at length with Pam about the transportation of dangerous goods. Check out the tip on page 6 that she gave us.
Congratulations once again to our retailers whose efforts were recog-nized and received nominations for CAAR awards this year. It just can’t be a coincidence that year after year so many of those nominated are
using agrē.

If you’ve a ended an agrē Training Session, you’ll know that we encouraged you to link to a
WO instead of impor ng from one. This improved func onality has changed our minds.
Why has Tronia changed its recommendation to Import from Work Order instead of adding the product and linking back to one?
Prior to release 2.12.01, it was helpful to find the right product when you imported from a work order, but by default you got the entire quantity remaining from the location on the order and that didn’t always match what was really happening. It was just way too easy to
forget to edit the product row and change the quantity to what the customer was actually taking, or to forget to change the location to where they were actually taking it from. With this new functionality, you can configure the import to make it practically mistake-proof.
What’s so different that it’s now “practically mistake-proof”?
Right on the import window you have the opportunity to change the default quantity to what the customer is taking before you add the product to a LOT or invoice. You can even decide that the default quantity should be none, which would require users to manually type in an amount. This greatly reduces the chance of a data entry error.
Another plus is that now if the location on the LOT or invoice is different from the location on the WO, agrē will ask you which location is providing the product so that the correct location’s inventory levels are updated. That’s why we say it’s practically mistake-proof.

When you click Use Selected Rows, because the location on the source document (which in this case is a loadout ticket, but it could also be an invoice) is Edmonton, and the
location on the work order is Dog River, you’ll need to specify from which location to take the product.
You end up recording the correct quantity of the product from their plan, from the place where they actually got it, and it’s all been tied
back to a work order so their prepayment plan is completely current and your inventory commitments are right up to date.
How can I be extra-sure that the quantity is right?
By unchecking the company config option that says “default to quantity remaining”, users will have to use their keyboard to type in a value. Unless they type the wrong amount, the quantity will be correct.

agrē AR Business Process: Loadout Tickets
When the trucks are lined up in the yard, and you don’t have me to keep track of
more than ‘who took what’, Loadout Tickets might be just the cket.
Why use Loadout Tickets?
Loadout tickets are the fastest way to record “who took what and when”. No need to worry about whether it’s prepaid or not, or what the price is; you’ll worry about that later when you have the time. Right now all you care about is the customer name, the product they took and how much of it, and then it’s
on to the next one.
Loadout Tickets are also just the thing to use if you have temporary spring help that doesn’t need to see any customer pricing as pricing is not displayed on loadout tickets by default, and agrē can be configured to secure that information from curious eyes.
What happens on a Loadout Ticket?
When you use a Loadout Ticket, the only postings made are to record the movement of the inventory: this customer took this much of this product and the inventory levels are
reduced accordingly. There are no postings made to Accounts Receivable, nor to Sales or to COGS. That’s why it’s not a “real sale” until it’s on an invoice.
What about keeping prepayment plans and inventory commitments up to date?
Link To/Import From Work Orders
Associate the loadout ticket with the customer’s work order (importing is shown in the example on the previous page). Note that customer pricing will be visible to the user.
Invoice More Often
Import loadout tickets onto invoices and then AutoLink To Work Orders (which saves time) to keep everything up to date.
But I don’t have time to invoice more often—that’s why I’m using Loadout Tickets!
Here’s where AutoBilling comes in. Using AutoBill to invoice each loadout ticket automatically when it’s saved will check for remaining quantity on customer work orders, and use prepay dollars if the product was flagged as prepaid and the grower has prepay
funds remaining. With AutoBill, prepayment plans and inventory commitments are kept current “up to the minute” and the user entering the loadout ticket never has to see any pricing or know anything about the customer’s prepayment plan.

agrē Tip: Transport of Dangerous Goods Informa on
Having the right informa on on your TDGs keeps you trucking along.
Transport Canada must have the most pessimistic people in the country working for them because the TDG is all about worst case scenarios.
While transporting dangerous goods, what if …. the delivery vehicle gets into an accident? or rolls over? or catches on fire? Who do you call if there’s an emergency?
You call CANUTEC — the Canadian Transport Emergency Centre. They’ve setup a webpage that explains everything you need to know about transporting dangerous goods. agrē’s TDG prints most of the necessary information by default, but there are a few things that you need to fill in when you’re setting up your location information (File > Manage > Locations).
What goes in the 24 Hour Number field?
This is the text that Transport Canada recommends:
“In the event of an emergency
involving dangerous goods call
CANUTEC at 613‐996‐6666 or *666
on a cellular phone.”
Since there isn't quite enough room for that many characters, we suggest a slightly abbreviated version with a few less letters.
When does the ERP Contact Number print on a TDG? I never seem to see it.
This text prints only for products that have an ERP Number specified on the Dangerous Goods tab (Inventory > Manage > Products). If that field is blank, the text blurb won’t print.

Tronia Systems is proud to offer two $1,000 scholarships again this year to students in AgriBusiness.
The student must be enrolled in a minimum two-year agricultural or directly related program, volunteer within their community and agricultural society, and demonstrate exceptional leadership qualities. They must also have maintained an academic average of 80% or higher in the last semester or last school year attended. Part-time students are eligible for this scholarship, but the applicant must complete all first-year courses of the program before the funds are issued.
