The Payroll System should calculate the gross salary and the deductions and the net salary of anemployee. The SAP HR Payroll component must be implemented in cooperation with projectteams implementing other areas of SAP Human Resources (HR) in particular SAP HR PersonnelAdministration.

This component enables the running of the payroll for all employees in line with legal and business re!uirements.

This module component integrates with other SAP HR modules such as PersonnelAdministration and Personnel Time "anagement. #t has interface to $inancial Accounting for

posting the payroll results to the respecti%e &' Accounts.

The System calculates the gross and net pay which comprises the indi%idual payments anddeductions that are calculated during a payroll period and are recei%ed by an employee.

The component uses data from other areas of SAP HR for calculating all statutory and nonstatutory additions and deductions for your employees. SAP Payroll offers a number of standardreports used in payroll lea%e ad%ance payments and ta*ation. +ou can e*clude an employeefrom the payroll run if re!uired. Simulation of payroll and Simulation of posting to Accounting is

possible.

As an addition to regular payroll which carries out payroll at fi*ed regular inter%als SAPenables you to carry out specific off cycle payroll acti%ities for indi%idual employees on any day.

SAP Payroll supports retroacti%e accounting. This function automatically recalculates payroll inthe e%ent of changes to master data and time data in periods for which payroll has already beencompleted.

/hen you access Payroll the payroll dri%er calls the accompanying payroll schema whichconsists of a se!uence of functions. $or each acti%ity the indi%idual functions import data frominternal tables and payroll rele%ant files.

Payroll performed as follows:

,. The system updates the databases and imports the master data rele%ant to payroll.

-. #f 0ff 1ycle Payroll is to ta2e place the system deletes the internal table #T.

3. The system imports the last payroll result.

4. The system calculates the gross wage and considers the shift schedule shift changecompensation and %aluation bases. Any master data rele%ant to payroll is included in thecalculation at this point.

5. The system calculates the partial period factors lump sums and salary elements andcumulates the gross results.

6. The system calculates the net remuneration and performs retroacti%e accounting ifspecific master data has been changed in pre%ious payroll periods.

The status of the Payroll Control Record is automatically updated with e%ery step that is carriedout during payroll.

,. +ou release one or se%eral Payroll Areas for payroll.

The system increases the period number in the payroll control record of the respecti%e payroll area by ,. +ou cannot change the master for the personnel numbers belonging tothis payroll area if it affects the payroll past or present. 1hanges affecting the future arestill possible.

-. +ou run payroll.

The system calls up a country specific payroll program. #t determines the current payroll period from the payroll control record and performs payroll using the %alues you enteredin the payroll program.

#n general you do not carry out these steps on line but rather as a bac2ground job.

3. +ou chec2 whether payroll has run correctly or determine where errors ha%e occurred.

#f the payroll has run with errors the system displays error messages indicating where the

errors ha%e occurred. #f desired you can obtain a detailed payroll log. Howe%er werecommend that you only create a payroll log if you simulate the payroll run.

#f necessary you can set the status of the payroll to Check Payroll Results during this phase. This way you ma2e sure that no changes are made to payroll rele%ant data whichcould affect the payroll past or present. #n addition the payroll area in !uestion is loc2edfor payroll. Howe%er during this phase you can simulate the payroll for indi%idualemployees to understand e*actly how the errors originated by means of the payroll log.

#f you want to carry out a spot chec2 on the payroll results after a successful payroll runthere is a report a%ailable which reads the stored payroll results. The report allows eachemployee to see the contents of all internal tables containing payroll results. This allowsyou to chec2 all partial results for a payroll run. #n this way you can determine whetherthe system ran the payroll in accordance with your e*pectations for e*ample for anemployee for whom you made comple* changes to the master data.

4. +ou correct master or time data for personnel numbers which contain errors and whichthe payroll program could not process.

uring the payroll run the System flags the Payroll Correction field in the Payroll Statusinfotype (7773) for all rejected personnel numbers. /hen you correct master or time data

for a personnel number this field is also flagged. These personnel numbers are groupedtogether in a list under "atchcode / (Payroll Correction Run) . #n a payroll correctionrun that is a payroll run with matchcode / payroll only ta2es place for the corrected

personnel numbers.

5. +ou release payroll again.

The payroll period does not change.

6. +ou perform a payroll correction run.

#f there are a lot of employees stored in "atchcode / ( Payroll Correction Run ) youcarry out this step as a bac2ground job in the same way that you carried out the Start

Payroll step. #f you only ha%e to run payroll again for a few employees you can carry outthis step on line.

8. +ou simulate the posting to Accounting .

9nder certain circumstances errors can occur which mean you must change the payrollrele%ant master and time data again. #f for e*ample a cost center was entered for someemployees and it has been deleted in the interim the system will note this as an errorduring the posting simulation. Then set the payroll status to Release for Correction onceagain and correct the master data for the employees in !uestion. This will cause these

personnel numbers to be automatically stored in "atchcode / ( Payroll Correction Run ). :e*t carry out another payroll correction run and simulate the posting to Accounting again.

;. +ou e*it payroll. The personnel numbers for the payroll area can be processed again.

+ou can only e*it payroll when the payroll has run successfully for all personnel numbersin the selected payroll area. This means that payroll is finished for all of the personnelnumbers in the payroll area including the rejected personnel numbers and the payroll

period is complete.

SAP HR Payroll supports retroacti%e accounting. This function automatically recalculates payrollin the e%ent of changes to master data and time data in periods for which payroll has already

been completed.

uring Payroll the master data for the personnel numbers to be included in the payroll run cannot be changed for the past or present for e*ample.

+ou should not perform payroll when master data is being processed for the personnel numbersfor which payroll should be run.

1.2.1.1 Compensation Structure

1ompensation structure of an employee is to be maintained in se%eral infotypes to figure out thecorrect calculation and disbursement of the salary and the benefits.The following infotypes will be used to achie%e the desired results.

Basic Pay (Infotype 0008)

#n the infotype <asic Pay (777;) we will store the employee=s basic pay.

Pay Scale Type

The pay scale type is the area of economic acti%ity li2e a line of business for which a pay scaleis %alid. The 0< may be determined at an enterprise or trades union le%el and often applies to awhole industry for e*ample the education and training or the software business.

0nly one Pay Scale Type will be defined

The pay scale area is the geographical area in which a pay scale or collecti%e agreement is

%alid. The combination of Pay scale types and Pay scale areas are used to create %arious

%alid combinations of pay scales. The following Pay Scale Areas ha%e been identified

Pay scale groups and pay scale le%els are the criteria used to classify data for job

e%aluations and indirect %aluations. Pay scale le%els are subdi%isions of pay scale groups.

Pay scale groups here will be used to map &rades which correspond to employee

subgroups

Ban% !etails (Infotype 000&)

#n the infotype <an2 etails (777?) we enter the payee of the net pay from the payroll and

the ban2 details. /hen we create a new record the >mployee=s name will be ta2en from

the infotype Personal ata (777-) for the payee=s name. The postal code and'or the city will be ta2en from the infotype Addresses (7776).

Recurrin' Payments and !eductions (Infotype 00 )

Recurring Payments and De uctions represent additional wage'salary elements that are not

always paid or deducted in e%ery payroll period but are paid and deducted at specified

inter%als unli2e those of Additional Payments.

The infotype Recurring Payments and eductions (77,4) is subdi%ided into different

subtypes. >ach subtype represents a wage type.

#n conjunction with the /age type we must either maintain the field Amount or the fields

:umber and 9nit. The system chec2s the combination that we ha%e entered.

#n the infotype A itional Payments (77,5) we will enter an amount and'or a %alue and a

unit of measurement for a wage type that are always paid or deducted in a specific period

during payroll accounting.

The infotype A itional Payments (77,5) is subdi%ided into different subtypes. >ach

subtype represents a wage type.

Cost !istribution (Infotype 00+,)

#n the infotype Cost Distri!ution (77-8) we will determine how costs for an employee are

to be distributed to different cost centers. At any one time we will e*ecute up to -5 different

cost centers with the appropriate percentage.

• Subtypes are used to differentiate between costs that ha%e been distributed

Company #oans (Infotype 00 *)

#n the infotype Company "oans (7745) we enter the master data for employer loans. This

infotype contains the data on the following@ oan conditions appro%al loan status. Payroll

uses the data from the infotype Company "oans to calculate the loan deductions and the

interest as well as the ta*. The infotype Company "oans (7745) is subdi%ided into loan

types. A subtype represents each loan type.

#n infotype 7,;5 we will enter data defining the details of the employee=s membership in"ratuity Trust . This is also used to capture the employees.

-ousin' (-R .C# .C/ ) (Infotype 0*8 )

This is used to determine

• /hether the employee a%ails of HRA lease or self lease depending on his eligibilityas per his pay scale grouping for allowances

• /hether the HRA is to be ta*ed or not based upon the submission of rent receipts

• /hether the employee stays in a metro or non metro city for the computation ofta*ability.

/hether any amount is due to or from the employee based on the difference in hiseligibility and the lease rent paid by the company

Car Con$eyance (Infotype 0*81)

This infotype is used to determine

• The type of con%eyance a%ailed by the employee• Additional data relating to %ehicle pro%ided to the employee or used by the employee• ri%ers pro%ided to estimate the per!uisite %alue for ta*ability.

Pro$ident 2und Contribution (Infotype 0*8,)

This infotype is used to capture the details relating to.

• The P$ trust that the employee belongs to.

The pension trust that the employee belongs to.• oluntary P$ contribution by the employee as a percentage of P$ wages or as a fi*ed

amount.

• >mployer=s contribution to P$ and its basis.
