When you book the load, ask the broker or their Accounts Payable representative if they pay on copies of the BOL or do they require the original BOL in order to pay the carrier invoice. Beware that dispatchers and brokers are not the most qualified person to ask about payment requirements…but their Accounts Payable representative is! When filling out your Exhibit B, be sure to list in the Special Instructions area the name of the person you spoke to and whether they pay on copies or need the originals. Note: If the receiver gives you a copy of the BOL, be sure to get his original signature on the copy. If the broker/shipper pays on copies, the copies of the BOL must be legible. Not only should the signatures be legible, but all the text must be legible too. All documents must be legible. TBS has a state-of-the-art communications department – we have to, it’s our business. Unfortunately, the fax machines you use while on the road may be out-dated or in need of service. Don’t be surprised if you receive a TBS Alert that says your fax is too light or too dark. When/if this happens, you will need to either: make a lighter or darker copy of your document and fax it again. Do not trace over the information on the BOL to make it darker. If you alter the BOL in any way, it becomes null and void. Your best solution is to scan your documents and email to TBS at [email protected]. If the BOL is a three-part-carbonless type, these are very difficult to fax a legible copy. Your best bet is to either send the original or scan your documents and email to TBS at [email protected].
