Message from the State Director: How to Make Effective Use

of Emails and Conference Calls

As someone who is admittedly not a phone person, Ive come to rely on email as a primary method of

communication in both my professional and Zeta life. However, just like any other mode of communication, email

can be misused and overused, and can decrease efficiency. Below are some email etiquette tips that should

be implemented into your communications for Zeta at all levels whenever possible, keeping in mind that sometimes, a

phone conference or face-to-face meeting works best.

1. Be concise. Attempt to keep emails to one paragraph or less.If the information you need to provide requires multipleparagraphs, this is a sign it is better to discuss the issue in person or by phone, or to attach a document to the email.

2. Note the topic of your email in the subject line. The subject line should tell the recipient what the topic is, andwhether you are providing information or requesting an action. For example, an appropriate subject entry is Request

for approval of new charter. Or, if the email is only providing information, use FYI in the subject line. When replyingto an email, be sure to amend the subject line if your reply is in reference to another topic. In other words, pleasedont respond to an email to address a different topic without changing the subject line.

3. Communicate action steps first, not last. Bring attention action items by listing them in the beginning of the email.4. Number your questions. Itemize multiple points or questions as numbered items in all email correspondence.5. Include deadlines. By respectfully proposing deadlines, you assist the reader in prioritizing their many tasks.6. Explain if you are unable to meet a deadline. If someone sends you an urgent email that you cant get to by the

proposed deadline, reply with a quick note to let them know when you will be address the request. This will reduce

the senders anxiety, and prevent a future reminder email from them.

7. Dont send Thanks! emails. In a business setting, the general rule is, if you dont have anything substantive and/oractionable to say, dont send the email. Refraining from sending the one-word Thanks! email is tough, because it

can feel ungrateful. However, the sender will probably be grateful for one less email.

8. Never send an angry or contentious email. Email is a severely limited medium when it comes to conveying tone.Angry emails are never a good idea. More often than not, they just create more anxiety and more email.

Occasionally, writing an angry email can be therapeutic. If this is the case, get it off your chest, and then delete the

email. Emails leave too much room for misunderstanding. Also, remember that the recipient can forward your email,

which can create further misunderstandings. Please remember that emails are discoverable in litigation.9. Avoid using reply all. If youve received an email sent to a large group of people, do your best to avoid replying to

all when you respond. Generally, only the sender needs your response. If using the reply all feature really seems

necessary, you are probably having a conversation that would be better (and more efficiently) had face-to-face.10. Do not send confidential information by email. Once you hit send, you cannot control how or to whom the

confidential information is sent.

As discussed with respect to emails, it is often more appropriate to use a conference call. Conference

calls are also great for Committee meetings, as they eliminate travel time and time away from home.

Below are guidelines to make your calls more effective.

1. For a major undertaking and/or the initial meeting, have at least one in-person meeting.

2. Group conference calls are for issues of general consumption when participating on a group conference

call, refrain from raising issues that are particular only to you. Raise those issues in a one-on-one call.

3. Provide/Review the agenda and handouts for a group call or meeting, the leader should provide an

agenda and handouts one week in advance. All participants should print and review the materials in advance.

TIP FOR CALL ORGANIZER: Send a Sisterly reminder email one or two days in advance of the call, and

provide the agenda, call in # and handouts again.

4. Follow up with Minutes/To-Do list Everyone is very busy, so providing a listing of tasks after the call

(along with the date of the next call) is a great practice. This also allows the participants to listen during thecall instead of taking notes. Be sure to identify the note taker in advance of the call.

5. Distinguish the call in time from the start time how annoying is it to begin the call, only to hear the

entry of those that call in late? It is equally bothersome to start the call late to allow people to call in. The

leader should ask everyone to call in at least 5 minutes before the call so that it can begin on time.

Participants, if you call in late, please refrain from announcing yourself.

6. Provide ground rules for the call Sample ground rules/instructions are below:

If possible, please call from a landline.

Please call from a quiet area.

If possible, please mute your line to minimize background noise. There will be an opportunity toun-mute your phone if you have questions.

Please ask questions applicable to the group. Please save questions specific to your chapter to a

call or email with the State Director.

Minutes from the call will be provided.

The call will begin promptly at 8:00 p.m. Eastern. Please call in no later than 7:55 p.m.

Zeta Amicae of Plainfield Stretch It Out

The Zeta Amicae of Plainfield, in partnership with the Senior Ministry of St.Johns Baptist Church in Scotch Plains sponsored Stretch It Out: Living withArthritic Pain. On Wednesday, April 17, 25 seniors participated in various

types of exercises to help alleviate joint pain.

The Amicae invited Charmaine Trott-Walker, a local fitness instructor, to

provide this interesting program designed for seniors. The seniors left the ses-

sion with helpful information and exercises for arthritis and joint pain. This was

part of the Amicaes senior Z-HOPE initiative.

Charter of Upsilon Tau Chapter Expanded

at 2013 New Jersey State Executive Board Meeting

I

n 2011, Upsilon Tau Chapter was char-

tered, establishing a chapter at New

Jersey City University (NJCU). NJCU is

located down the street from Saint Peters

University. While students from Saint Pe-

ter's have expressed interest in Zeta, the

Sorority has been unable to establish a

chapter there because the University

does not allow Greek-lettered organiza-

tions.

However, Saint Peters does allow its

students to pursue membership in Greek-

lettered organizations as permitted by the

national body of the fraternity or soror-

ity. The National First-Anti Basileus, SororScarlet Black approved the MIP packets of

2 St. Peters students for induction into Up-

silon Tau! The expanded chapter was ac-

knowledged during the 2013 State Execu-

tive Board Meeting. Congrats Sorors!


Amicettes of Omicron Omicron Zeta Hold A Daughters Lunch

The Amicettes of Omicron Omicron Zeta Chapter held A

Daughters Brunch on Saturday, May 11 in West Deptford.

The event was a tribute to the girls parents and supporters.

Each girl showcased her talent by singing, dancing, reciting

a poem or playing an instrument. The State Youth Coordinator-

South, Soror Michelle Baynes, presented the winners of the State

Youth Essay Contest to Amicette Justice Livingstone and Myaya

Morton. All the girls received certificates for completing CAP

program activities and gifts from the chapter Basileus for com-

pleting seven Z-HOPE Projects.

The Amicettes Advisor, Soror Irene Richardson stated that

the parents, Zetas and Amicae who attended this affair were

impressed and proud of the young ladies of Omicron Omicron

Zeta Chapter.
