SPEAKERGUIDE2013!

Version  1.4

Page 2: TEDxBeaconStreet Speaker Guide

TEDxBeaconStreetWelcome + Congratulations"We are thrilled that you and your ideas have been invited to be part of TEDxBeaconStreet’s annual

conference, which will be held at the Lincoln School in Brookline MA on Saturday, November 16 & Sunday, November 17, 2013." "TEDxBeaconStreet is presented by Ideas In Action, a Massachusetts nonprofit organization. Our mission is to create a platform and community for activating ideas and learning. We have a focus on bringing people of all ages and socioeconomic groups together from across the Boston metro area to hear fascinating speakers, discuss innovative ideas, experience captivating adventures, and use these experiences to learn, grow, change lives, and create community impact.""Preparing for TEDxBeaconStreet will be a significant commitment, and is not an opportunity to be taken lightly. Not only will you be presenting to a local audience, but your talk will be available live online the day of the conference and will be posted as a video on the TEDx and TEDxBeaconStreet websites. "

In addition, becoming part of our speaker community will afford you other opportunities. For example, you can put together a TEDxBeaconStreet Adventure or participate in an Escape Velocity Google Hangout Day. We can also help you explore the idea of writing a TED book, or work with you to explore making a TED Ed animated lesson. ""We will help you prepare to give the talk of your life and to get it viewed by the widest possible audience, but the key ingredient in this adventure is YOU, so we’d like to set the expectation right up front of an extensive collaboration between you and TEDxBeaconStreet. ""Please read this speaker guide carefully, note the checkboxes and deadlines, and consult with us often as you develop your ideas, your talk, and your slides." "

TEDxBeaconStreetBackground"The TED organization is based on making “ideas worth spreading” available to the world, for free. ""TEDxBeaconStreet aims to bring the experience of a TED conference to the greater Boston area, and to extend the “ideas worth spreading” concept to “ideas in action” – taking it up a power.""John Werner, Project Innovator & Research Scientist at MIT Media Lab, is the founder and head organizer, and we have a unique 150-person Braintrust and key Partners that serve as the organizing force for our activities. John has been to 8 TED conferences and was an Executive Curator for TEDxBoston. Before joining the Media Lab, John made a career of building community for 19 years at Citizen Schools. ""We have selected Beacon Street as our name to symbolize getting ideas out into the community – not just in auditorium halls. Beacon Street in Boston is a major artery that runs from the capitol through the city and into the suburbs. Hundreds of New England towns have a Beacon Street; there are 490 Beacon Streets in Massachusetts alone."!"

More than once a year…!Besides our TEDxBeaconStreet and TEDxYouth@BeaconStreet conferences, we have licenses to simulcast TED content at various times throughout the year, including the main TED conference, TED Global, TEDxDeExtinction, TEDxChange, and TEDxWomen. ""We have an active blog and social media presence throughout the year, and work long after the conference is over to distribute our talks broadly. Our goal is to reach millions of views. ""Every month of the year features organizing meetings, social events, and Adventures, with the goal of building an ongoing community that puts ideas in action.""We are one of a handful of Level 2 TEDx licensees, which means we are permitted to offer a longer conference and to broadcast our talks.""""""

""An innovative aspect of TEDxBeaconStreet is our Adventures, unique and intimate events presented throughout the year, designed to offer our community unparalleled, behind-the-scenes access to the people and places that make Boston so dynamic. ""Our adventures provide speakers the opportunity to present their ideas in a much wider range of formats, any time that is convenient for them, and offers participants the opportunity for up-close-and-personal contact with speakers and ideas, in a format that encourages in-depth discussions and deeper learning.""

Our Talks and Adventures cover not only ideas from Technology, Entertainment and Design, but also the arts, sports, education, and many other arenas. ""Our speakers and Adventures encompass a wide age range, and we have invited Speakers who are renowned as experts and innovators in their fields, as well as lesser-known talents and up-and-coming stars. While many Speakers represent the great wealth of Boston talent, some speakers will be traveling great distances to participate.""Dozens of local companies, individuals, foundations, and groups have provided generous funding and in-kind support to enable us to present this conference. Additionally, scores of volunteers have contributed their time to bring TEDxBeaconStreet to life. """"

Our event will be held November 15–17 at the Lincoln School, 19 Kennard Road, Brookline MA, and will be simulcast on November 16 to Google in Cambridge and to the Brookline Teen Center, and on November 17 to the MIT Media Lab.""The Lincoln School is an award-winning, Graham Gund-designed K-8th grade public school with a beautifully appointed auditorium that seats 280 people. Bergmeyer Associates has agreed again to design the stage and we will have professional lighting and a 4-camera, high definition video crew shooting very high production value videos.""The TEDxYouth@BeaconStreet talks will be simulcast worldwide (last year, our simulcast was viewed by people from all 50 states and 103 countries).""After the conference, the talks will be edited and posted online – some of our 2012 talks garnered hundreds of thousands of views. We have the ambitious goal for our 2013 talks that in total, they will be viewed more than 10 million times! We will need your help to reach this objective.""Our audience will be diverse. It will include people of all ages, education levels, and socioeconomic groups, and will also include 100 TEDx Organizers and Translators from around the world, as well as a number of TED employees.""Note that one of the speaker blocks will be a “Solve for X” block, in cooperation with Google’s Solve for X program. After this block Googlers will facilitate groups to discuss and brainstorm around the proposals.""""!!!!!!!!!! ""

Draft Schedule !!Friday, November 15 "Adventure Catalyst Workshop"100 TEDx organizers from around the world have been sponsored to attend. On Friday we will have an exciting program for them which includes an Adventure Workshop @MIT Media Lab, participation in Adventures, and a social event."!Saturday, November 16 TEDxYouth@BeaconStreet and TEDxBeaconStreet"Saturday morning we will be one of only a dozen worldwide anchor sites for TEDxYouth. We are looking for talks that will be particularly engaging for multigenerational audiences that include youth. In the afternoon we will run a more traditional TEDx event and simulcast at Google. Afterword speakers and audience will network at the Escape Velocity Party at the newly opened Brookline Teen Center."  "Sunday, November 17 TEDxBeaconStreet"Conference continues. Simulcast at MIT Media Lab. An after party and networking @MassChallenge.""

“Imagine you're with your very best friend, in your favorite spot, with your favorite drink or food. They're enthralled with you and what you think. They know you well, and love you. You are totally relaxed and yourself. That's the energy of the best TED speakers: holding court.”!!!

“No matter how comfortable you are in your own environment, the TED experience is something unique. The time spent rehearsing is a wonderful investment that helps prepare you to give one of the best talks of your life.”!

“The rehearsals were indispensable because they provided needed practice and phenomenal feedback from the attendees in the room!”!!

“What a great experience, and such a diverse and inclusive event. It also gave me an opportunity to extend my TED-X theme of photography into an animated TED-Ed lesson about photography for students, which was a lot of fun!”!

“The rehearsal is absolutely invaluable, to get feedback, and to make sure about the critical aspect of the time run. I would recommend doing it not once but twice!”!

TEDxBeaconStreet 2012 Speaker Advice to 2013 Speakers"

14"

"

Ideas spread through unexpected alliances, as plants rely on wind and insects for the transmission of seed and pollen, yielding surprising and unintended fruits, including splendid beauty and fragrance, interspecies nourishment, all in the service of nature’s profit and fitness. We are all, in our work, in our play, in our families and friendships, in our communities and cities and in our global communications, translators translating translations of translations. How are we translating the futures we want to see into generative actions and relationships today? Together with the whole team, we look forward to working with you on your rehearsal and experience your Talk live.!

2012 TEDxBeaconStreet Speakers"

Putting Ideas in Action"

Page 15: TEDxBeaconStreet Speaker Guide

TEDxBeaconStreetPreparation"TED presenters might make their talks look effortless, but there are hours of thinking, preparing, practicing, revision, and memorization involved behind each spectacular talk. As you know, TED is “ideas worth spreading”, so the talks likely to get the most views center around a fresh, provocative, or an important idea or insight."!Importance of Structure"The structure of your talk is very important, and it must center around the idea. Your talk should take about 12 minutes (18 max - not negotiable!), so the talk has to primarily be about the idea itself and its implications – not about you, how you came up with the idea, how you’ve researched the idea, etc. What you want to be spending your precious time on is explaining the idea itself, why it’s important, and how it can change the world.""A structure that works well  !Start by making your audience care. Explain why a new idea, solution, or perspective is important to the world. What’s the problem your idea solves or contributes to?""Explain your idea, insight, new perspective, or knowledge clearly and with conviction. What will your audience find surprising or interesting?""How does your solution work or what does your perspective or knowledge add to the discussion. Why is your idea credible and how would it work?""How will this affect / change the world or at least some members of your audience?" "" ""

Types of TED Talks! "The big idea. There is one very strong, important idea or insight at the heart of these talks.""The tech demo or some other dazzler. Very visual demonstration of something cool, including how dazzling the world is.""A fresh and interesting take on a familiar topic. Give your audience a new way of looking at something.!"Performance, photo-show, or art talk. What my art is and why I do it.""The personal story. Rare on TED unless it connects to an important idea or insight." " " "

15"

2012 Stage Design by Bergmeyer"Final Talks"

Page 16: TEDxBeaconStreet Speaker Guide

Connect with the audience. TEDx attendees are a smart, wide-ranging, influential community. They come from many different fields, so it’s important that you find a way of communicating what’s amazing about your ideas to this general audience. Make the complex plain. Give examples, tell stories, show your passion, connect emotionally. " "Do it your way. Every TEDx talk is unique -- by subject matter, by style, by personality, by delivery. By seeing who you are and why you are passionate about your ideas and work, the audience will be inspired. If you haven't yet done so, watch a few TED talks to get a good sense of the format and space. But then, make that space yours. " "Be frank and truthful. Your talk will be videotaped and posted, and will likely be seen by thousands of people. This includes other specialists in your field, people who know you, and maybe even your most committed competitor. So, don't yield to the temptation of "adjusting" the truth or tucking some spin into your talk. Also, be candid: share your successes, but also your mistakes or failures." "

This is about ideas. Don't waste time introducing yourself: that's the role of the host (and our website). Start strong, jump straight into your topic, capture the attention of the audience immediately. And remember: TEDx Talks are about an "idea worth spreading", not about promoting your book, product, art, technology, political party or spiritual inclination. No pitches, no boasting, no soliciting funding (and no book covers or corporate logos in your slides). " "Rehearse. It's really too bad when you listen to a talk, and know that the speaker had a better talk in them. The difference is often just practice. Even if you are an experienced speaker and you spend your time in front of an audience, the TEDx stage is not a place where you can "wing it". We ask you to commit to seriously rehearse ahead of the conference. Rehearsing will allow you to fine-tune for flow, clarity, impact and timing. ""Humor & Humility. Can be really effective to communicate your ideas. """

Stick to the time limit. TEDx talks range from 3 to 18 minutes. Let us be clear: 18 minutes is not a goal: it is a ceiling. A shorter talk is not a lesser talk – in fact, it is likely to receive more views. ""Please target for less than 12 minutes – you will need explicit agreement from TEDxBeaconStreet to give a talk longer than 12 minutes. In rehearsal, try to stay at least one minute under the allotted time. ""Focus on the key ideas you want to share, and design your talk around those. The toughest task for a speaker when preparing is to decide what to leave out, but the key to a great talk very often is in what was not included. " "Dress code. Here too, be yourself. Too-formal clothing is discouraged on the TEDx stage, and so is an excess of informality. Also, consider that solid colors (except white) work better than strange patterns on camera. Speakers should choose jewelry, in particular earrings and necklaces, in a prudent way: long earrings, for example,  may hit the microphone and create unwanted noise during your talk."""

Rehearsals in Action "

Page 17: TEDxBeaconStreet Speaker Guide

TED Commandments for Talks"Dream big. Strive to create the best talk you have ever given." "Show us the real you. Share your passions, your dreams… and also your fears. Be vulnerable. Speak of failure as well as success." "Make the complex plain. Don’t try to dazzle intellectually. Don’t speak in abstractions. Explain! Give examples. Tell stories. Be specific.""Connect with people’s emotions. Make us laugh, make us cry.""Don’t flaunt your ego. Don’t boast. It’s the surest way to switch everyone off." "No selling from the stage! Unless we have specifically asked you to, do not talk about your company or organization. And don’t even think about pitching your products or services or asking for funding."" "

Feel free to comment on other speakers, to praise or to criticize. Controversy energizes, enthusiastic endorsement is powerful.""If possible, don’t read your talk. Notes are fine. But if the choice is between reading or rambling, then read.""You must end your talk on time. Doing otherwise is to steal time from the people that follow you. We won’t allow it. Furthermore, shorter talks are likely to get more views." "Rehearse your talk in front of a trusted friend…for timing, for clarity, for impact.!" " " "

Technical Specifications Things to keep in mind when formulating slides"Slides are NOT required for a TEDx talk, but if you decide to use them, please keep the following guidelines in mind." "Please provide your slides in Powerpoint, or check with us beforehand if you wish to use any other format. Your presentation will be run off OUR laptop and projected onto a screen behind you, unless you require something different for your presentation. We must have the final copy of your slides no later than November 1." " "

Image size"Please design your presentation to fit within any of the following specifications:"WIDESCREEN HD (16:9 aspect ratio): 1920x1080 (hi res) (preferred)"WIDESCREEN HD (16:9 aspect ratio): 1280x720 (low res)"SQUARESCREEN (4:3 aspect ratio): 1024x768 (hi res)"SQUARESCREEN (4:3 aspect ratio): 800x600 (low res)"

!

Title Safe"Please keep a 10%-20% margin around your text, much as you would when typing on a piece of paper. This ensures that everyone will be able to read your slides." "

Text Size"You rarely need more than six lines of text on a slide. Often, only a line or two will do. Think of text as an image." "

Slide image size Min. font size"1024 x 768 " " "28 pts"800 x 600 " " " "24 pts"1920 x 1080 (wide) " " "40 pts"1280 x 720 (wide) " " "28 pts""

Text Clarity"Sans-serif fonts (like Helvetica) are easier to read at a distance than serif fonts (like Times New Roman). To avoid last-minute glitches with your presentation, font files should be embedded in your presentation file."""

" " "

Background"A simple, elegant background behind your text should be used to complement and enhance the readability of your words. Dark backgrounds work better for the videotaped talk. If using a dark or black background, you may want to make the text bold."

!

Graphs, Graphics and Photos"Use high-resolution pictures and graphics. Full-quality photos from a digital camera will look better than images pulled off the web. "

"IMPORTANT: You MUST properly license all images for TED’s use in worldwide video and web distribution. Don’t grab images from the web unless they are clearly licensed under Creative Commons for use." "For data graphs or charts, be sure to follow the minimum font size guidelines on the previous page for all text, including labels on x- and y-axes and data points."

TEDxBeaconStreet Speaker Agreement"Speaking at a TEDxBeaconStreet & TEDxYouth conference can be fun -- especially when you take the time to adequately prepare for all that the event entails. To help you better understand what is expected of you as a Speaker, we have created a 'Speaker Agreement'  that outlines your responsibilities as a speaker." "o Responsibility.  I understand that speaking at TEDxBeaconStreet is both a special opportunity and an important responsibility. If I decide that I do not have the appropriate time and energy to devote to this responsibility, I will notify TEDxBeaconStreet promptly." "o Preparation. I understand that I am expected to spend a significant amount of time preparing for my speaking slot before the event. I understand that my talk will be videotaped by multiple cameras and will be posted on YouTube and the TEDxBeaconStreet website essentially the way I delivered it – any editing that is carried out will strictly be at TEDxBeaconStreet’s discretion.""o Views. I understand that TEDxBeaconStreet will work to get my talk viewed as widely as possible, but that I am key to the success of this plan. I will work with TEDxBeaconStreet to develop a plan to share with my networks, and will share contacts, blogs, reporters, and communities that might have interest in my topic.""o Adventures. I will consider helping to organize an Adventure, a unique and intimate event over the next 18 months pre or during or post conference designed to offer our community unparalleled, behind-the-scenes access to elements of my Talk. TEDxBeaconStreet will support the logistics and audience building."

TEDxBeaconStreet will be recording all the presentations at the TEDxBeaconStreet event to be held November 16 – 17, 2013 (the “Event”). TEDxBeaconStreet is operated under license of TED Conferences LLC (“TED”).
