Introduction v
Introduction
At Mayrath & Company there are 10 employees and multiple temps that come in and out during tax season and fall. Also there are 13 computers with 12 scanners, made by 4 different companies, using 5 different pieces of software. Needless to say, there is a lot of confusion when a temp (and even some employees!) needs to scan a document.
This manual is a simple booklet designed to help the user quickly gain knowledge on the basics of scanning with each scanner in the office.

Scanning Procedures for Adobe Acrobat X Pro
Scanning Documents
1. Place item to be scanned into the document feeder face down with the front of item faced towards the back of the scanner. If only one document use flatbed portion of scanner, as it provides a better quality.
2. Open Adobe Acrobat Pro
3. When opened go to Create PDF, select from scanner.
4. Select Custom Scan…
5. A pop-up window will come up with options for your document.
6. Select the appropriate scanner, check box if you are scanning more than one page.
7. If you want to edit the text make sure to check the box near the bottom “Make Searchable”
8. When options are chosen hit scan on the bottom-right side of the window.
9. Once scanned the document will come up for you to approve.
4 Firm Standards for Scanning10. Check scanned image for brightness and overall quality. If
it is a good copy you need to save it, so hit save and a pop-up window of your computer’s drive will open.
11. Choose appropriate file location.
12. Where it says file name enter client number, name, tax return and the year. (0000 Smith, John tax return 2002-2007)
13. Select Save.

Scanning Procedures for Canon MP Navigator
Scanning
1. Place item to be scanned into the document feeder face down with the front of item faced towards the back of the scanner. If only one document use flatbed portion of scanner (better quality)
2. Open Canon MP Navigator (If you need the software or an updated version, talk to Sean or James)
3. If scanning from flatbed chose top choice “Platen”; if scanning from document feeder choose second “ADF”(Automatic Document Feeder).
4. If options are correct on next screen select scan (the green button). If you need to edit the text, make sure to change the “document type to “Text”.
5. It then scans the document, when it is finished it will ask if there are any more documents, note
8 Firm Standards for Scanningif you insert more documents and select all pages scanned go into the same file, NOT different files.
6. When finished scanning your documents select exit.
7. To save PDF file on bottom left hand side of screen select “Save as PDF File”
8. Select a file name and then if Transfer to CSI is not in the “Save in” field select browse, go to My computer – Local Disk – Transfer to CSI and select OK; then select Save
9. If you would like to see the file select open saved location; if not, select close
10. Begin scanning next file by selecting Scan

Scanning
1. Place item to be scanned into the document feeder face down with the front of item faced towards the back of the scanner. If only one document use flatbed portion of scanner (better quality)
2. Open HP Solution Center
3. When opened go to Scan Document
4. Scanning Options will open, If you want editable text select Scan To: Microsoft Word and skip to step 9, for PDF select Scan To: Save to File and File Type: PDF
5. Then Select scan.(make sure all staples are removed and w-2 are taped to a piece of paper not the front of the 1040.)
6. The Save to file Save Options then open up (if you chose PDF, If OCR skip to step 11)
7. Select an appropriate name for the file

8. If Save Location is not Transfer to CSI\Scans select Browse to the right
9. My Computer – Local Disk – Transfer to CSI – Scans; highlight Scans folder and select OK
10. Select OK again if all fields are correct
11. Another HP Scanning box opens and previews the document if it looks good choose accept for a final scan of image
12. If you are using Flatbed and this is NOT the only page of document you need scanned then select yes, insert next page, to preview select New Scan, to Scan select Accept (Note: you do not have to preview in order to scan, only if you want to see quality of image)
13. If this is the only or last page then select no and your scan will be saved in the Transfer to CSI Folder on your Local Drive
Toshiba Copier
Scanning Instructions for Toshiba
Scanning Procedures
1. Place document into document feeder (like you would when coping it).
2. Push the BIG Scan Button above the Screen.
3. On the Display touch Scan To File.
4. Touch File Name then a key pad will come up, touch backspace until the automatic file name is removed.
5. The using the Key Pad and the number pad on the right Name enter the name of the document and touch enter when done.
6. Then touch the MFP (make sure it is not highlighted if it is it will not send the file to the correct place).
7. Touch Remote 1 (make sure that it is highlighted this places the document into the correct folder).
8. Then touch enter then touch scan.
9. The document will be scanned into the Scans Folder on the desktop of the Reception computer.
