You’re an important resource for your assigned clubs.

Understanding each club's needs and strengths is crucial to providing helpful guidance.

Because you interact with a number of clubs, you have the benefit of observing a wide range of approaches to common club issues. You can share insights and information that clubs can use to meet goals and overcome challenges.

You have to be available and approachable.

They have to feel free to contact you, whenever they need you.

And always expect they will contact you for information or advice.

Visit your clubs regularly

Consider at least Four to Six visits during the Rotary year.

Or of course, as needed.

Try to make them feel you are a part of this Club.

A VIBRANT CLUB is successful and engages its members, conducts meaningful projects, is flexible, tries new and fun ideas, and has a unique identity. It should reflect the diversity and personality of its members.

Plan ahead of timePlan ahead of time

Help them develop long-range goals and a strategic plan that addresses the elements of an effective club.

Shows where they want to be in the next 3 years.

Break them down into smaller annual goals that can be achieved in each of the years covered by the plan

Communicate openlyCommunicate openly

By sharing information and ideas of improvement among club members freely and communicate them to club leaders, and at times to district leaders.

Also by sharing the club activities, news, and events on social media sites and in District events.

Insist that all Club members should involved in activities that genuinely interest them..

Make sure they prepare their future Club Leaders.

Select leaders well in advance and involve them in planning so they have input on decisions that will affect their terms.

Ask them to keep members engaged and passionate by holding regular club assemblies.

All members can voice their ideas and interests.

Address club needs with the entire membership.

Channel enthusiasm and come up with an action plan.

Ask them to adopt regulations and bylaws to reflect our current club practices.

And to revise them regularly as club develops new practices.

It is very important to Consider testing new procedures before formally adopting them.

Strong relationships are crucial for member retention. Also, if new members are not welcomed properly or included in social circles at club meetings, disinterest or tension is likely to develop.

Make sure that the club members will keep coming back to meetings with enthusiasm. Vibrant clubs are fun and have enthusiastic members.

Encourage them to attend all District meetings, Conferences Seminars, new member orientations RLIs, ongoing educational opportunities, and leadership development programs.

And to ensure that new and current members receive training, ask them to appoint a club trainer .

Let them create the essential committees that are practical for our club’s needs. (Membership, PR, Service Projects, TRF and Admin).

Tailor your support to clubs based on the clubs’ strengths and needs.

Begin the year with a SWOT analysis.

There will be a special training course on all IT aspects during PETS.

Clear communication is vital to any successful organization, including Rotary. As the liaison between club and district leaders, you should share any information or concerns about a particular club with the district governor, the governor-elect, appropriate district committees, incoming club and district officers.

Discuss the following items with your assigned clubs:

Paying RI and district dues

Completing the ONLINE semiannual report for submission to RI

Paying club dues, updating club information, and viewing reports

Submitting the new club officer information to RI by 31 December to be included in the Official Directory

Discuss the following items with your assigned clubs:

Earning RI and Foundation awards

Attending the district conference, district training assembly, PETS, and other district events

Encourage club leaders to create an account on rotary.org and become familiar with the website’s features.

By signing in to rotary.org, club leaders can update membership lists, change contact information, pay online dues, and enter annual goals.

Visit each club regularly, quarterly if possible. If face-to-face meetings aren’t possible monthly, conduct an online meeting or a conference call to check in with each assigned club.

Rate Clubs is a feature in Rotary Club Central that replaces the Memo of Club Visit. It is used to report the club’s accomplishments, weaknesses, and challenges. It is also a tool for you to keep track of the clubs the governor visits

You and the District Governor should use Rate Clubs in Rotary Club Central to leave comments about a club after each visit.

While you can view ratings and leave comments for the clubs you are assigned, the district governor-elect and governor can view ratings and leave comments for all clubs in the district.

Rotary Club Central is a new online tool that clubs use to set goals and track their accomplishments. Rotary Club Central will help measure Rotary’s global impact in membership, community service, Rotary Foundation giving, and other areas.

A club assembly is typically held during the governor’s visit, and you are expected to attend it, too. Decide with club leaders which of the other club assemblies you’ll attend and what your role will be.
