Executive Summary

Project Goal:

  Develop a student database in order to facilitate:   Improved student care

-Database allows teachers and managers to better know their students   Quick and easy access to key student information for teachers and managers   Smooth transitions for new teachers

-Imperative due to the high teacher turnover inherent in the industry -New teachers can more quickly get to know their students -Prior teacher’s notes and knowledge are institutionalized

  Program features:   Dynamic internationalization (User can switch between English and Japanese)   Password protected areas to control the dissemination of confidential information   Advanced search for all tables   All reports have the option to:

-View Report -Export to Excel -Export to .PDF

Database Architecture

Architecture Overview:

  A unique instance of the program will reside on each school’s local system to comply with the laws regarding the protection and confidentiality of student information

  No student information will leave the school server

Opening the Program – Main Window

This is the Main Window of the application. From here, the user can either access the Database to enter or edit information, or the user can access various Reports.

The program features dynamic internationalization; the user can switch between English and Japanese at any time from the Main Window.

Student Editor

The Student Editor is where the user can input, update and manage all of the student data

There are 6 separate editors associated with a student (2 shown here): Class Enrollment Editor Counseling Editor Level Editor (not shown) Purpose Editor (not shown) Self-Study Editor (not shown) TOEIC Test Editor (not shown)

The other 4 editors can be accessed using the scroll bar

Student Editor

The Class Enrollment Editor is where the user manages the student’s classes; which class(es) they signed up for as well as the contract length and starting date

The Level Editor allows the user to quickly input the student’s level across 11 different categories (Listening, Grammar, etc.) based on the AEON Step Scale (1 = KickOff to 11 = Talking Point +)

The Counseling Editor allows the user to track the student’s progress with notes as well as the type of counseling (i.e. Initial, Educational, Final)

Student Editor

The Purpose Editor is where the user inputs information regarding the student’s purpose for studying English

The TOEIC Test Editor allows the user to input the student’s TOEIC test results

The Self-Study Editor manages any Self-Study programs that the student participates in

Teacher Editor

The Teacher Editor is where the user can input, update and manage all of the teacher and manager data

Report – Current Students

The Current Students Report details the name, nickname, date of birth and gender of all the current students at your school

Report – Single Student

The Single Students Report details the complete history of a student including: -Class Enrollment -Counseling -Level Check -Purpose -TOEIC Test Scores -Self-Study

Report – All Students

The All Students Report details the name, nickname, date of birth and gender of all the current and past students at your school

Report – Self-Study

The Self-Study Report details all of the Self-Study programs a student has taken

The Self-Study Report will be extremely useful for teachers and managers as they prepare for the launch of a new Self-Study program and decide which Self-Study materials to recommend to their different students

The Monthly Financial Report is password protected

The Monthly Financial Report gives a breakdown of the monthly revenues and expenses of your school

Report – Summary Financial Report

The Summary Financial Report is password protected

The Summary Financial Report gives a breakdown of the annual revenues and expenses of your school as well as your school’s performance in regards to spirits both on a monthly basis as well as a cumulative basis.

The Current Teachers Report details the name, nickname, date of birth and gender of all the current teachers at your school

The All Teachers Report details the name, nickname, date of birth and gender of all the current and past teachers at your school

Report – Prospective

The Prospective Report details the name of the prospective, the date of visit, whether the prospective signed up or not, as well as any notes that the manager or teacher took

Report – Prospective (Date)

The Prospective (Date) Report is in the same format as the Prospective Report; however, it allows the user to choose a starting date for the data in the report (i.e. all prospectives that visited after December 1st, 2009)
