INTRODUCTION TO SETON COLLEGE ICLT POLICY

The role of technology in education is well recognised. It is acknowledged that in order to be informed

and active participants in our changing society, learners, now and into the future, will need to be able

to effectively use a wide range of digital technologies. It is undeniable that students live in:

… an environment where the Internet and its associated services are accessible and immediate,

where people and businesses can communicate with each other instantly, and where machines are

equally interconnected with each other. This hyper connectivity is deeply redefining relationships

between individuals, consumers and enterprises, and citizens and governments…

The Global Information Technology Report 2012, World Economic Forum, Geneva

Use of Information and Communications Technology (ICT) at Seton College is identified as:

A tool for use in all study/work areas, this includes laptops, mobile phones and tablets

A communications tool within the College community

An essential element in the efficient and effective administration of the College

Information and Communications Technology will be supportive of the College climate where all are

valued for their unique gifts and served according to their individual needs. It will enhance the

opportunities for all members of the College community to achieve their full potential within a caring,

responsible community. This requires careful planning, allocation and management of resources,

including the security of data and observance of software copyright provisions.

Aims

To enable students to become competent, confident users of digital technology, appropriate

to their needs

To provide opportunities for students to pursue the formal study of Information Technology

To provide students with ongoing education in the area of cyber-safety and digital citizenship

to support students develop appropriate online behaviours

EDUCATIONAL OPPORTUNITIES OF A 1 TO 1 NOTEBOOK PROGRAM

Contemporary learning environments offer flexibility and opportunities for collaboration,

independence and connectivity to global resources. This sort of anytime, anywhere learning is

supported by access to portable technologies (e.g. notebooks).

The Brisbane Catholic Education approach, as instituted by Seton College, has developed out of the

following emerging issues related to the National Secondary School Computer Fund (NSSCF) program:

Learning and Teaching:

Learners and teachers create contemporary learning environments and quality learning

outcomes as they shape and enrich their own and others’ worlds.

Contemporary learning is personalised and provides anytime, anywhere access for students

to portable technologies.

Teachers’ access to the Australian Curriculum and supporting professional resources are

delivered online.

Brisbane Catholic Education is establishing access to teacher and student online learning and

teaching environments and content.

This is underpinned by the following assumptions:

The world of students within and beyond the school is connected by the use of contemporary

information processing, communication and collaboration tools.

Teachers engage in continuous learning to enhance their professional practice and the

practices of their students.

Schools create the conditions that enable the vision to be realised.

Parents are empowered to become actively involved in their child’s education by accessing

online communication, learning, reporting and monitoring systems.

Planning and resourcing is future focused and flexibly delivered within the learning context of

the school.

Accountability and improvement are reviewed through Seton College’s Cyclical Review

process, particularly in relation to the Priorities of Seton College’s Strategic Renewal

Framework.

OVERVIEW OF STUDENT AND PARENT RESPONSIBILITIES

Students and parents will be responsible for the overall care of the notebook.

Students will be responsible for its ongoing maintenance, battery charging and minor

software updates by students.

Students will be assisted within the curriculum to be competent users and maintainers of

their assigned notebook computer.

All notebooks will include all necessary software to assist with learning. Students will not be

permitted to install any other applications that do not have the proper licensing without the

permission of Seton College or delete any of these applications or any of the existing folders.

Students are not permitted to “re-image” the computer and if detected will be required to

return the computer to restore the original image - so that copyright certification may then

be restored.

Students are permitted to add additional folders to assist with organising their work.

Students have access to additional home-based printers, scanners and other peripheral

devices (e.g. CD/DVD Drive) if they wish.

Students will be required to have a USB device or an SD card for the backing up of data. In

the very near future they will also be supplied with access to the Brisbane Catholic Education

“sky drive” Network for the backing up of their data. All students will be responsible for the

regular backup of their data via the means recommended by Seton College.

Students will be required to recharge their notebook at home each night ready for the next

school day. The notebook can be connected to the student’s home internet at the parent’s

discretion. Parents are encouraged to supervise usage of notebooks at home.

Students may use Brisbane Catholic Education on-line storage (Student Dashboard – My

Site Docs) accessible from any computer with Internet access.

POLICY ON ACCEPTABLE USE OF INFORMATION &

COMMUNICATIONS TECHNOLOGY RESOURCES

Information & Communication Technology (ICT) has become critically important to schools in

facilitating and supporting learning, teaching and other administrative activities for teachers,

students, parents and administrators.

Seton College has established significant computing and communication resources to support these

activities. These resources include:

All network services (cable and wireless), computer equipment and software, owned, leased

or used under license by Brisbane Catholic Education Office and Seton College;

Computer facilities maintained by other bodies but available for use through an agreement

or agreements with Brisbane Catholic Education Office.

Seton College is bound by legislation and good stewardship of resources to ensure the appropriate

use and legal compliance of its ICT.

ICT resources are supplied in line with the following principles:

Access to ICT is provided subject to need and availability of resources.

Privacy, confidentiality and respect of the personal rights of others is maintained.

The importance of the cost-efficient use of the ICT is recognised.

Users engage in ethical, legal and responsible use of ICT.

The Conditions of Use of ICT Resources have been developed to inform users and their parents/carers

of their rights, responsibilities and obligations when using ICT resources, consistent with Brisbane

Catholic Education’s requirements that all such resources are used in an ethical, legal and responsible

manner.

Policy Update

This policy will be updated as necessary by the Seton College Board. All attempts will be made to

adhere to the above policy, but particular circumstances (such as technological advancements) may

require the Principal to depart from the stated policy.

TERMS AND CONDITIONS OF USE OF SETON COLLEGE ICT

RESOURCES

General Conditions of Use of Resources

1. By accessing and using the ICT resources provided by Seton College, you are agreeing to

abide by these Terms and Conditions of Use of ICT Resources Statement.

2. These Terms and Conditions apply to all Seton College ICT resources, regardless of how they

are accessed. This includes access to all installed computers whether wired or wireless, or

remotely accessed over the internet.

3. Only devices issued or authorised by Seton College will be permitted to connect to the Seton

College network, via wired or wireless connection. Authorisation must be granted by a

member of the Seton College Administration Team – Principal, Deputy Principal, Assistant

Principal (Religious Education), Assistant Principal (Administration) or Curriculum

Coordinator. This includes all student personal computers and devices.

4. Notebook computers must be used in accordance with the warranty conditions so as not to

negate the vendor’s Warranty.

5. While staff and students (in particular, ICT staff) may be called upon in the course of their

duties to undertake activities beyond those permitted by the terms of this agreement, it is

expected that any such activities undertaken must be done in accordance with the spirit of

this statement.

Ethical, Legal and Responsible Use of ICT Resources

1. Seton College requires all users of its ICT resources to do so in an ethical, legal and

responsible manner.

2. Users of Seton College ICT resources must be aware that use of these resources are subject

to the full range of laws that apply to the internet, communications and to the use of

computers, and Seton College policies. Such laws and principles includes users' obligations

in relation to copyright, intellectual property, breach of confidence, defamation, privacy,

bullying/harassment, vilification and anti-discrimination legislation, the creation of

contractual obligations, and other civil and criminal laws.

3. Seton College’s ICT resources must not be used for unauthorised commercial activities or

unauthorised personal gain. Actions performed using Seton College’s ICT resources must

comply with the terms of any licence agreed to for the use of software programs and other

online resources.

Copyright and Intellectual Property Rights

1. Users must not, through the use of Seton College ICT resources, copy, download, store or

transmit material which infringes copyright or the intellectual property rights of others

without appropriate approval. Such material includes music files, movies, videos or any

other form of media.

2. Users should be aware that actions performed using computer and network resources,

regardless of any disclaimers that might be made, ultimately reflect on our educational

institution and community as a whole. This is particularly relevant where users post or

submit material in a way that makes it publicly available over the internet.

Security and Privacy

1. Users have a role to play in ensuring the security and privacy of information transmitted by

use of the ICT resources. Users are issued with unique usernames and passwords, which

should be kept strictly confidential at all times.

2. Users must protect systems, information and accounts by:

Choosing a secure password which is changed regularly (a secure password is one that is

difficult to guess, for example, containing a combination of letters, numbers and symbols

and not simply a name or date of birth).

Accessing ICT resources only as authorised.

Respecting the privacy and confidentiality of information that they may come across

through access to the resources.

Only downloading, installing or using authorised software.

Reporting any breach or prospective breach of network security to the appropriate

technical personnel.

3. Unacceptable conduct by users which could result in a breach of security or privacy includes:

Disclosing your username and password details to another person.

Disclosing other private or confidential information to unauthorised persons.

Gaining unauthorised access to any systems by any means.

Using Seton College’s ICT resources to attack or compromise another system or network.

Downloading, installing or using unauthorised software programs.

Deliberately installing computer viruses or other malicious programs.

Accessing or intercepting others’ electronic communications without permission.

[penalties, including loss of network privileges, will be applied in accordance with Seton

College’s Behaviour and ICT Acceptable Use policies]

4. Users should not, as a general rule, display personal information about themselves in a way

that is publicly available. Where such disclosure is made through authorised avenues (for

example, by the use of email or an official website), users should be aware that invasions of

privacy may sometimes occur and it is outside Seton College's control to prevent such

instances from occurring.

5. Users are reminded that email should not be used to send sensitive and confidential

information.

6. Users must, however, be aware that the operation and maintenance of ICT systems often

requires the backup and caching of data, the logging of activity and the monitoring of general

usage patterns and as such, complete confidentiality and privacy cannot be guaranteed.

Seton College may also be required to inspect or provide copies of electronic

communications where required to by law, or where the investigation of possible misuses of

ICT resources is required.

Additional Terms and Conditions Relating to Specific Resources

1. The usage of the following resources are subject to additional terms and conditions of use,

which must be read in conjunction with this document:

Breaches of these Terms and Conditions of Use

1. The breach of these Terms and Conditions of Use will be taken seriously and may result in

disciplinary action being taken in line with Seton Colleges Behaviour Management Policy.

2. Examples of possible consequences range from loss or restriction of access to ICT

resources, to formal disciplinary action for breach of Seton College’s Behaviour Policy

(students) or Code of Conduct (staff). Cases of serious, deliberate, and/or criminal breach

will be referred to external authorities and may result in civil or criminal proceedings.

SETON COLLEGE ICT Resources Access Consent Form - Students

This Consent Form must be signed and returned prior to students being granted access to

the internet and other information and communication technology resources.

Parents/Guardians/Carers are encouraged to review and discuss the contents of the Acceptable Use

of Information & Communications Technology Resources statement with the student and answer any

questions that they may have.

By signing this Consent Form, both parents/guardians/Carers and students are agreeing to the terms

of access as set out in the Acceptable Use of Information & Communications Technology Resources

statement and acknowledge that they will be responsible in the event of any breach and that

appropriate disciplinary steps may result.

Any queries in relation to this material should be directed to Front Office Staff who will refer to a

Technician or Administration Staff member.

User Acceptance

I, the student named below hereby agree to comply with all requirements as set out in the Acceptable

Use of Information & Communications Technology Resources statement and all other relevant laws

and restrictions in my access to the various information and communication technology resources

through the Brisbane Catholic Education and school network.

ACCEPTABLE USE OF COMPUTER AND INTERNET

RESOURCES (OPTION 1)

Computer and Internet resources have become of critical importance to schools in facilitating and

supporting learning and teaching. Technology resources are provided to students for educational

purposes only.

Seton College has established significant computing and communication resources to support these

activities. This includes technology provided on school grounds and school owned

notebooks/computer that may be taken off the school grounds with permission from the school.

Seton College has specific guidelines relating to the use of notebooks/computers.

This document has been developed to inform users of their rights, responsibilities and obligations

when using Computer and Internet resources, consistent with Brisbane Catholic Education’s

requirements that all such resources are used in an ethical, legal and responsible manner.

The requirements and rules set out below, apply to all Seton College technology resources whether

they are accessed through computers owned by the school or through privately owned devices (for

example, accessing school internet through a personal notebook or telephone).

Please read this document carefully. Each student and his/her Parent/Guardian/Carer must sign the

acknowledgment to confirm that they understand the requirements of acceptable use and the

potential consequences of a breach of this policy.

Responsibilities of Users

Students must comply with the rules for accessing technology resources in this document.

Permitted use of technology resources

1. Students must only access Seton College technology resources for schoolwork.

Students must not:

a. Buy or sell items or services over the internet.

b. Access or enter chat rooms.

c. Access, post or send inappropriate internet or email content, especially content that is

illegal, dangerous, obscene or offensive.

d. Amend documents created by another student without that student's consent.

e. Download, install or use unauthorised computer programs.

f. Deliberately install computer viruses or other malicious programs.

g. Gain unauthorised access to any system by any means.

h. Use technology resources to attack or compromise another system or network.

i. Access or intercept emails sent to other persons.

Confidentiality and Cyber Safety

1. Students should be aware that material they post on Internet sites (including Facebook,

Twitter and other social media sites) is public. The content of public posts may have personal

implications for students if, for example, potential employers access that material. The

content of posts also reflects on our educational institution and community as a whole. Once

information is on the internet it may not be possible to remove it.

2. Students should not display personal information about themselves or others in a way which

is public. For example, students should not post their own or anyone else's address,

telephone number or other personal details on the Internet or communicate these details in

emails. Students should not distribute someone else's personal information without their

permission.

3. Where disclosure of personal information is made through authorised avenues (e.g. by the

use of email or an official website), users should be aware that invasions of privacy may

sometimes occur and it is outside Seton College's control to prevent such instances from

occurring.

4. Students should be aware that persons on the Internet might not be who they say they are.

Students must not arrange to meet persons who they have met on the Internet.

5. The operation and maintenance of technology resources often requires the backup and

caching of data, the logging of activity and the monitoring of general usage patterns and as

such, complete confidentiality and privacy cannot be guaranteed. Seton College may also be

required to inspect or provide copies of electronic communications where required to by

law, or where the investigation of possible misuses of technology resources is required.

Cyber Bullying and Defamation

1. Students must not use email or the Internet to say mean, rude or unkind things about other

people or send threatening, harassing or offensive messages. Improper use of technology

resources could amount to defamation.

Security

1. Students must perform a virus check on all attachments received by email and on all storage

devices (e.g. USB, Discs, music devices, etc.) before opening. Students must ask for

assistance if they are unsure as to how to perform a virus check or the virus check identifies

a problem with the attachment/disk.

2. Students must select a secure password and keep their username and password information

private. The password should be changed regularly and should be difficult for other people

to guess. Students must log off at the end of their computer session.

3. Students must not use another person's name and password to access resources.

4. Students must report a suspected breach of security to a teacher.

Copyright

1. Just because something is on the Internet it is not freely available - copying or downloading

material from the Internet may be a breach of copyright or other intellectual property rights.

Students must not use Seton College technology resources to copy, download, store or

transmit any such material that may include music files, movies, videos or any other form of

media.

Consequences following a breach of this policy

1. A breach of this policy will be taken seriously and may result in disciplinary action.

2. Examples of possible consequences range from loss or restriction of access to technology

resources, to formal disciplinary action for breach of the School Discipline policy. Students

and Parents/Guardian/Carers may be financially liable for damage caused to resources.

3. Cases of serious, deliberate, and/or criminal breach will be referred to external authorities

and may result in civil or criminal proceedings.

STUDENT AND PARENT NOTEBOOK COMPUTER GUIDELINES

1. Education Purposes

a. Students are to use their loaned notebook computer for educational purposes only. The

notebook remains the property of Seton College. Students will be given a new notebook at

the start of year 7 which they will use for 3 years from Year 7 to 9 and a another new

notebook will be issued at the start of Year 10 for a further 3 years. At the end of year 9

and 12, the students must return their loaned notebooks to the college.

The notebook computer comes pre-installed with all the necessary software for student

use. Only Seton College authorised software is to be stored on the notebook computer.

b. The Seton College reserves the right to carry out software, hardware and data inspections

of notebook computers at any time. If in breach of these conditions the notebook will be

reimaged and all saved material lost.

2. Student Responsibilities

a. Take reasonable care of the equipment to protect it from accidental damage and secure it

from theft. The student [parent] will bear the cost of replacing any intentionally defaced

or damaged notebook.

b. Never install commercial software that has not been purchased or authorised by the

school.

c. Never use peer-to-peer or torrent software to download illegal media.

[Non educational software or data should be stored on a student’s private home computer]

d. Never use the notebook to bully or tease others.

e. Never send inappropriate emails to others.

f. Never attempt to circumvent or disable any security or monitoring software installed by

Seton College.

g. The software loaded on the notebook computers is licensed to Seton College. Students are

not permitted to copy, transfer or delete software.

h. While travelling to and from school notebook computers are to be carried in the protective

sleeve and placed in the official Seton College bag which should be with the students at all

times and preferably locked in the student’s locker.

i. Students are not to remove any identification labels from their notebook computer.

Notebooks are to be kept clean and free from graffiti and stickers.

j. If notebook computers are used during recess and lunch, they should be carried in their

protective sleeve and returned to the sleeve when they are not in use. At all other times,

when not in use, they should be in their protective sleeve inside the student’s bag which

is locked in the locker.

k. It is the student’s responsibility to charge their notebook computer at home each evening.

l. Notebook computers should be operated in a safe working environment at all times.

3. Parent Responsibilities

a. Ensure students fulfil their responsibilities as outlined above.

b. Monitor student use of the computer when at home including their Internet use.

c. Ensure the student has their computer at school each day in a condition that will enable it

to be usable for any educational purpose.

d. Comply with the policy of the school in relation to the return of the device in the event of

the student leaving the school prior to the end of the loan period. [Essentially if the

notebook is not returned, a bill covering the cost at $400 per annum of remaining time will

be charged. Thus if 3 years remains on the notebook, the full cost of the notebook will be

billed].

e. Take reasonable care of the equipment to protect it from accidental damage and secure it

from theft.

4. Data Backup and Software Upgrading

a. Students are responsible for the backup of all data as recommended by Seton College.

b. Students are responsible to ensure that all software is kept up to date. (e.g. Operating

System and installed Virus Software).

5. Technical Support

a. Students will be assisted in maintaining their notebook computer.

b. In the event of a hardware/software malfunction students may contact Seton IT Support

Services for assistance.

6. Use of the Seton College Wireless Network and Internet Access

a. The use of the Seton College Wireless Network and all associated infrastructure are

available for educational use with student notebook computers.

b. The internet is only to be accessed through the Seton College Wireless Network.

c. Due to bandwidth restrictions, the downloading of large files is not permitted.

d. Students are not to remove the Antivirus software provided and replace it with another

type of Antivirus software.

e. Specific network settings are not to be removed or altered as this could affect the notebook

computer’s ability to connect to the Seton College Wireless Network.

7. Loss, Theft and Repairs

a. Student notebook computers are covered by a 3 year hardware and accidental damage

protection/warranty. This warranty does not cover malicious damage, loss or theft. In the

event of a hardware malfunction a report must be made to the ICT Support Services as

soon as possible for warranty repair to be organised. The form for submission is attached

at Appendix 6.

b. All instances of loss, damage or theft must be reported to ICT Support Services within

24hrs or the next school day. All issues in relation to loss, theft and repairs are managed in

accordance with Seton College’s Behaviour Management Policy and Brisbane Catholic

Education Resources and Property Policy. This states in essence that in the event of any

Seton College’s resource/property being lost or damaged the parent/guardian/carer will

be responsible for the replacement of the said property or resource. Seton College will

determine the contribution cost required to replace the item that has been lost or

damaged; this could include any administration or other charges incurred by Seton College.

A replacement notebook will not be issued until payment has been received by the Seton

College.

c. All instances where loss or damage is the result of negligence, carelessness, inattention or

apparent disregard for the notebook or accessories are not covered by insurance. If after

the investigation by the school it has been deemed that the notebook or accessories has

been intentionally damaged or that the student/parent/guardian/carer has been negligent

in caring for the notebook the parent/guardian/carer will need to cover any costs incurred

by the school for repair or replacement of the notebook. Cost of replacement will be on a

pro rata value determined by Seton College.

d. In the event of theft a detailed report, accompanied by a Queensland Police Reference

Number must be provided to Seton College by the parents of the student. (See Appendix

7). Theft is defined as the stealing through forceful entry of a locked vehicle where

equipment is out of sight or through the forceful entry of premises reasonably secured from

being accessible by the intruder or the public.

e. If after the investigation by the school it has been deemed that the notebook has been

stolen, Seton College will generally provide a replacement (as defined above).

8. Assessment and Homework

a. Students are encouraged to use their notebook computer for homework and assessment

tasks. The loss of data or hardware malfunction cannot be grounds for the appeal of any

assessment task or homework. It is imperative that students routinely “back up” their

files.

9. Classroom Usage

a. Student notebook computers are to be brought to school each day. The classroom teacher

will manage the use of the notebook computers in the classroom.

b. No student is to take out or use a notebook computer without the permission of the

classroom teacher.

c. When in use, the notebook should be placed on a table or desk, not on laps or soft

surfaces. The notebook should not be carried around whilst the screen is open.

10. Ownership

a. Students have use/loan of the notebook computer whilst they are enrolled at Seton

College. When leaving Seton College, students are to return the notebook computer and

accessories in good order. If this is not done, the loan notebook will be dealt with under

the Behaviour Management Policy and the Brisbane Catholic Education Resources and

Property Policy. The parent(s) or carer(s) may be financially responsible for the

replacement of the notebook.

b. At the end of the 3 year loan period, all software and data will be removed from the

computers. It is the student’s responsibility to ensure that any data they want to keep is

saved to an external USB device.

APPENDIX 1: 1:1 Notebook Operating Procedures

This documentation is intended to provide a series of operating processes for students to help ensure

the proper care of their notebooks. While this list is quite in depth, it cannot serve as a complete list.

In addition to following guidelines, students are expected to use common sense and best judgment to

protect all of the notebook computers on and off campus. Failure to follow these guidelines may

result in disciplinary action under the Behaviour Management Policy. This could result in financial

responsibility for loss or damage.

If in doubt – Ask!

If you ever are not sure about the best way to do something, or what is the right way to manage

your notebook, then ask a teacher or Seton College IT support person.

Although your loan notebook is owned by Seton College, it is your responsibility and you

must maintain it in good condition for the time that you are at Seton College. A protective

sleeve is provided with the notebook.

Please treat it with great care. When not being used it must be secured in its protective sleeve and in

your locker. When being transported it must be stored in your official Seton College bag.

Follow the Acceptable Use of ICT Resources Policy at all times and in all locations, inside or

outside Seton College.

Remember that you are not to lend your loan notebook to anyone e.g. family or friends.

Back up your data. At least once a week, you should copy your important work to the My

Site on the Student Dashboard. In addition, use your USB drive and /or SD card to back up

work in progress. Please be aware that USBs may introduce viruses.

At times it will be necessary for the Seton College ICT department to send announcements

to all notebook users via network monitoring services (AB Tutor)

Manufacturer Warranty, Insurance (Accidental damage), Theft/loss

The notebooks will have a comprehensive hardware warranty provided by Dell that will

fully cover hardware failure and repair over 3 years. Hardware failure is to be notified to

the IT support staff of Seton College within 24 hours or the next school day. The repair will

be organised by them and completed by Dell Services.

Seton College has sourced accidental insurance through Dell for non-warrantable damage

(Dell Complete Care). All accidental damage is to be notified to the IT support staff as soon

as possible (within 24 hours or the next school day). The repair will be organized by them.

Deliberate damage – e.g. engraving your name on the notebook is considered as deliberate

damage – is not covered by the policy. Any such damage is covered under the Behaviour

Management Policy and Brisbane Catholic Education Resources and Property Policy and,

as such, may incur a repayment to Seton College for replacement/repair to the notebook.

Loss or theft of a notebook is to be notified immediately to the IT support staff no later

than 24 hours after the event. A Queensland Police Reference Number should accompany

this. Replacement of notebooks after theft/loss is not covered where the notebook is

left in an unsecured position e.g. a notebook left on the bus. This will be dealt with under

the Behaviour Management Policy and Brisbane Catholic Education Resources and

Property Policy.

Service Life of Notebooks, Data Transfer and Data Ownership

The service life of the notebook is 3 years (though software and the operating system will

be updated more frequently through the school IT Support Services).

As part of the clearance process, it is necessary for notebooks to be returned to Seton

College when students leave. Students are responsible for the copying of any data they

wish to keep.

All software installed on the notebook by Seton College remains the property of Seton

College.

What if something goes wrong?

Do not try to fix any hardware problems yourself. Instead take it to the ICT Support Services

at Seton College as soon as possible no longer than 24 hours from the time the issue

becomes apparent. This time line is to satisfy warranty conditions if the issue is covered by

warranty.

If you are having software issues, you may try to fix them, but do not spend considerable

time with it. Take it to the ICT Support Services as soon as possible. Notebooks that are

deemed to have software faults will be reimaged back to the standard build. It is a

requirement that students have backed up all data before providing their notebook to the

ICT Support Services for software remediation as hard drives are wiped for reloading.

When necessary, plan to contact the IT Support Services during breaks or after school

unless it is an emergency. Attending to the notebook is not an excuse for being late to

class.

General Care

Each notebook and power pack has several identifying labels and the power cord has an

electrical test tag. Under no circumstance are you to modify damage, write on or destroy

these labels.

You are not allowed decorate your notebook to personalise it using removable stickers on

the top outside of the lid, markers, paint, pen or pencil, etc.

Under no circumstances are you to open the notebook case, adjust screws, or remove any

parts, as doing so will render the warranty void. This will be dealt with under the Behaviour

Management Policy and Brisbane Catholic Education Resources and Property Policy which

means that you could be financially responsible for any damage or loss of value.

Liquids and other debris can damage the notebook. As such you must avoid eating or

drinking while using the computer.

Notebook movable parts are smaller and more fragile than regular desktop computers and

need to be handled with great care.

Notebooks contain many easily broken parts, and sudden shocks, bumps, tapping on them,

hitting the table, etc can all cause internal damage that will not be covered by the Dell

Accidental Insurance policy or warranty – you may be liable for the cost of the repairs under

the Behaviour Management Policy and Brisbane Catholic Education Resources and

Property Policy.

Carrying the Computer

You should never transport your notebook with the lid up. Always close the lid before

moving and make sure that nothing is trapped between the screen and the keyboard.

Closing the lid turns the screen off but does not shut down the computer. To prevent

permanent damage to the hard drive, you should wait for your system to shut down before

moving it. For prolonged periods of inactivity, you should shut down completely before

closing the lid. This will help to conserve the battery.

Always make sure the notebook is fully shut down before putting it in its sleeve – otherwise

it may overheat and be damaged.

You have an approved sleeve for your notebook. To prevent damage, you must use it for

transporting the notebook at all times. In addition, you may not place any other items in

the sleeve. Doing so may cause damage to the notebook.

Make sure you don’t lean on your notebook, drop it, crush it or put pressure on it.

In Class

When instructed by your teacher to do so, unpack your loan notebook carefully and set up

your work area so that it will be safe and secure.

If you need to use a power point in class, see your teacher before the class starts, and be

first into the room to get set up. If no power point is available and your notebook is flat,

you will need to complete your work on paper, and catch up on digital work in your own

time.

Shut down your notebook at the end of class, and give it time to complete this. Pack up

your loan notebook carefully in its sleeve.

If you used your charger, make sure you pack it!

Taking Care of the Screen

Take particular care with the screen. Notebook screens are very susceptible to damage

from excessive pressure and bending. In particular never hold or move the notebook by

the screen.

Always open the notebook screen from the centre, or both corners at once – never lift one

corner to open the lid as this bends the screen and can crack it. This would be negligent

damage which is not covered as an accident or warranty.

Be certain to never touch the screen with a finger or pen – doing so can scratch or mark

the screen permanently, and this will not be regarded as accidental damage.

You may clean the screen as you would a camera lens or a good pair of glasses. In particular,

you may use anti‐static cloths or lens cleaners designed specifically for camera lenses and

glasses often sold as moist towelettes. You must never clean the screen any other way than

described in the care instructions. . If you are unsure of how to clean the screen and

keyboard take the notebook to ICT Services.

Maintaining your Battery

You are expected to come to school with a fully charged battery. Each night when you go

to sleep, your loan notebook should be shut down completely (don’t just close the lid). Plug

it in for a good night’s rest and recharge, and it will be ready for work in the morning!

The cost for a replacement damaged battery will be the responsibility of parents. Keep

your loan notebook and battery cool, both in storage and when in use or charging. Never

leave it in the sun or a hot car, near a window at home, etc.

If you need to charge your loan notebook at school, be careful not to cause a tripping

hazard with the cord.

A full discharge puts more strain on your battery than several partial discharges. Get into

the habit of recharging the battery when it reaches 10‐20% or before. You may not get a

chance later. Do not allow your battery to frequently discharge to 0% – this can render

your battery useless and will shorten its life and reduce its capacity. However, calibrate

your battery’s fuel gauge by doing a full discharge every 30 cycles (about once every two

months). Run the battery to the cut‐off point in your notebook to keep the battery’s fuel

gauge accurate.

If you will be on AC power for an extended period of time (e.g. all day on a weekend), you

can prolong your battery’s lifespan by removing it and putting it into prolonged storage (a

week or more). This should be done in a cool, dry place and at a 40% charge‐level.

Remember the better care you take of your battery – the more power it will store and the

longer your notebook will run!

Adjust the power settings on your notebook to minimise power drain – reduce the screen

brightness, let it go to sleep mode whenever possible.

Daily Organisation

You are to bring your loan notebook in its approved case and in the official school bag to

school every day.

You are to take your loan notebook home and charge and store it safely every night.

When the computer is not in your immediate vicinity, it should be secured in its sleeve,

locked in a classroom with the teacher’s permission or other secure area e.g. lockers

During after‐school activities [e.g. using the gym], you are still expected to maintain the

security of your notebook. When possible you should leave it with a teacher in a secure

room, or lock it in your locker. Never leave it exposed to direct sunlight.

Avoid using your notebook in areas which may lead to damage or theft e.g. train stations

or bus stops.

Do not use your loan notebook around sporting activities where it might be knocked over.

Never leave your loan notebook in a public space, especially after school.

Notebooks are not allowed on overnight trips or field trips without the explicit approval of

the teacher in charge.

ICT Support Services

ICT Support services are located in Room 10 during lunch breaks and/or in the IT Support

Office, next to Room 10 during class time.

The ICT Support Services provides students and teachers with the following services;

o Warranty support – logging of faults with Dell Support for the remediation of warranty

claims.

o Insurance support – logging of insurance claims with Dell CompleteCare.

o Assisting with reimaging of computers that are deemed to be faulty.

o Reloading of school certificates for access to the schools 1:1 network.

o Provision of spare pool notebooks for staff and students as required during fault

remediation periods.

As noted previously it is the student’s responsibility to backup their data and the IT

Support Services takes no responsibility for any loss of student data.

For the notebook program to be a success at Seton College, we all need to be conscious of and

conscientious about our surroundings. If you see an “unattended” notebook, take it the office or to the

IT Support Services. Avoid rough behaviour, “mucking around” or other actions, as this may lead to

someone’s notebook being damaged.

APPENDIX 2: TERMS AND CONDITIONS RELATING TO EMAIL

These terms and conditions apply to any email service provided as part of access to the ICT resources

provided by Brisbane Catholic Education and Seton College.

Students may be provided with access to an email account.

Students should use email for learning or administrative activities only. Seton College, as a matter of

discretion, permits minimal use of email facilities to send and receive personal messages, provided

that such use is minimal and kept to a reasonable level and does not adversely impact on personal

work productivity.

Seton College reserves the right to monitor all digital activity and to intercept and remove content,

messages and attachments that do not comply with this policy. Additionally, Seton College reserves

the right to remove a student’s email/Computer Management System (Life)/ Wi-Fi access, Microsoft

digital tools’ access at its discretion.

Students need the BCE account for Life and other online services access.

Students will, upon an email account being established, be allocated a data quota which will represent

the maximum space a user is permitted to use to store emails on the Seton College/ Brisbane Catholic

Education ICT network. Users should not exceed this quota.

Students must not use email to:

Create or send email under another’s name.

Create, send or forward messages/content containing junk mail, chain letters,

advertisements, jokes, executable files or malicious code.

Send unsolicited bulk messages to any internal/external email accounts.

Subscribe to mailing lists, newsgroups, electronic magazines/newsletters, without

permission from their classroom teacher.

Create, send or forward obscene, abusive, fraudulent, threatening or repetitive messages

or those containing foul language (swearing).

Harass, threaten, defame, vilify or discriminate against any person or group.

Intentionally or irresponsibly damage or disable Brisbane Catholic Education Office or

school ICT resources.

Use email for the purposes of transferring excessively large files.

Intentionally introduce computer viruses or other malicious programs to hardware or

software or physically damaging systems.

Cause interference with or disruption to any computer, computer network, information

service, equipment or any user.

Engage in any activity for personal monetary gain or commercial purposes.

Send copies of electronic works in contravention of copyright or other intellectual property

laws.

Disseminate personal contact or other confidential information without appropriate

authorisation or consent.

Disguise, or attempt to disguise their identity when sending messages.

Engage in any other activity that is prohibited by the Conditions of Use of local, state or

Commonwealth law.

Staff members who are involved in the administration or monitoring of the Content Management

System (CMS) /digital tools will endeavour to ensure that all content and messages are of an

appropriate, educational nature, and remove any material deemed as inappropriate as expeditiously

as possible. In the event that links to external sites are provided to students via email/ Content

Management System (CMS) /digital tools, every endeavour is made to filter inappropriate material

from student access, however, Seton College is not responsible for material viewed/downloaded, or

emails received, external to the Seton College network.

It is the expectation of Seton College that, in the event students contact staff for assistance or

communication via email/messaging, staff reserve the right to only respond to such contact during

school hours, unless individual staff members have made previous arrangements with

students/classes.

APPENDIX 3: ADDITIONAL TERMS AND CONDITIONS RELATING TO

WORLD WIDE WEB

As part of access to the ICT resources provided by Brisbane Catholic Education and Seton College,

users may be provided with access to the World Wide Web.

Users should use the World Wide Web for learning or administrative activities only. Brisbane Catholic

Education and Seton College, as a matter of discretion, permits minimal use of the World Wide Web

facilities for personal use under these Terms and Conditions of Use, provided that such use is minimal

and kept to a reasonable level and does not adversely impact on personal work productivity. Brisbane

Catholic Education and Seton College may cease personal use at any time.

Users' access to the World Wide Web is subject to reasonable download restrictions. Users should

not use Brisbane Catholic Education and Seton College ICT resources to download large numbers of

unnecessary files or files that are excessive in size.

Users must not use the World Wide Web to:

(a) Access illegal, inappropriate or immoral content.

(b) Download excessive amounts of data.

(c) Download or install unauthorised programs or other material.

(d) Create, display, or transmit threatening, racist, sexist, or harassing language and/or

materials.

(e) Access or author unauthorised "blogs" or other personal webpages.

(f) Access or administer unauthorised discussion forums.

(g) Disseminate personal contact or other confidential information without appropriate

authorisation or consent.

(h) Attempt to guess, capture, “hack”, or decrypt any security details of any other person or

user.

(i) Access any internal or external server with the use of any stolen, guessed or hacked

security details or other private data obtained without consent.

(j) Engage in any activity for personal monetary gain or commercial purposes.

(k) Engage in any activity that is prohibited by the Terms and Conditions of Use for ICT

Resources or local, state or Commonwealth law.

Seton College is aware that definitions of ‘offensive’ and ‘inappropriate’ will vary considerably

between cultures and individuals.

Therefore, if students are concerned about the nature of their actions, they must check with a teacher

before conducting any activities. However, any activities involving material/activities of the following

nature will not be allowed on Seton College computers (and it is advised against using personal

computers for the same):

Nudity, obscene language, or sexual discussion or images intended to provoke a sexual

response.

Violence.

Information on, or encouragement to, committing any criminal or civil offence.

Racism, sexism, or religious/cultural prejudice.

Information on making or using weapons, booby traps, dangerous practical jokes, or

‘revenge’ methods.

Any other material that the student’s teachers, parents or caregivers have forbidden

them from accessing.

In using the Inter/Intranet outside of Seton College, it is important that students are aware as students

of Seton College, it is expected that they will behave in way that is in line with Seton College’s Mission

Statement and Behaviour Management Policy. Additionally, in order to avoid the breach of privacy

laws and for the safety of all at Seton College, whilst using the Internet, students must not:

Disclose their identity, or that of other students, as being enrolled at Seton College.

Post images of themselves or other students that would allow anyone to identify them as

students at Seton College.

Make derogatory or defamatory comments about Seton College or any of its

staff/students.

Participate in any activity that is deemed to invade the privacy of any Seton College

member.

If a user accidentally comes across material in breach of the Terms and Conditions of Use, the

window should be closed and the appropriate Seton College staff or the ICT Support Services

Personnel should be notified immediately.

Internet filtering and security

Students are not, at any time, to use (or attempt to use) proxy websites or browsers in an attempt to

bypass the school’s internet security and filtering measures.

Copyright and Intellectual Property Rights

Copyright is a complex issue that is not fully resolved as far as the Internet is concerned. It is customary

to acknowledge sources of material quoted/copied directly, and it is a breach of copyright to transmit

another user’s work (including text, images, and multimedia) without the creator’s knowledge or

permission. For this reason, students are required to acknowledge all Internet sources used.

Users must not, through the use of Seton College ICT resources, copy, download, store or transmit

material which infringes copyright or the intellectual property rights of others without appropriate

approval. Such material includes music files, movies, videos or any other form of media.

Users should be aware that actions performed using computer and network resources, regardless of

any disclaimers that might be made, ultimately reflect on our educational institution and community

as a whole. This is particularly relevant where users post or submit material in a way that makes it

publicly available over the internet.

APPENDIX 4: ADDITIONAL TERMS AND CONDITIONS RELATING TO

WEB PUBLISHING TOOLS

Through the access of ICT resources, users may be granted access to products and technologies that

enable users to publish and share material over the intra/internet ("web publishing tools"). Users

should ensure that web publishing tools are used for learning or administrative activities only.

Personal or commercial use of the web publishing tools through the Brisbane Catholic Education and

Seton College ICT network is not permitted.

Users' access to the web publishing tools is subject to reasonable download restrictions. Users should

not use Brisbane Catholic Education and Seton College ICT resources to upload or download large

numbers of unnecessary files or files that are excessive in size.

Users must not use web publishing tools to:

(a) Post or distribute illegal, inappropriate or immoral content.

(b) Upload excessive amounts of data.

(c) Post or distribute obscene, abusive, fraudulent or threatening material.

(d) Harass, threaten, defame, vilify or discriminate against any person or group.

(e) Engage in personal attacks upon any user or person.

(f) Post material or content involving foul language (swearing).

(g) Engage in any activity that is prohibited by the Terms and Conditions of Use for ICT Resources or local, state or Commonwealth law.

Users must also ensure that they do not use web publishing tools in a manner that would breach, or

would cause Brisbane Catholic Education or Seton College to breach the terms and conditions of any

applicable software licenses.

If a user comes across material in breach of the Terms and Conditions of Use, the window should be

closed and the appropriate Seton College Staff should be notified immediately.

Supervision and Moderation

Given the unique nature of the resources web publishing tools provide, as well as the responsibilities

of users to ensure compliance with the Terms and Conditions of Use, teachers and other supervisors

have a responsibility to ensure the resources are being used in a safe and appropriate manner by both

themselves and all students.

Prior to access being provided to students and other users, teachers and supervisors should be aware

of the technological capabilities of web publishing tools and provided with appropriate moderation

authority.

Teachers and supervisors should actively browse and scrutinise material being posted and submitted

by users through web publishing tools to ensure compliance with these Terms and Conditions of Use.

Any material a teacher suspects to be in breach of this Policy or the Code should be either removed

or if appropriate, quarantined and suitable, other parties notified.

Dear Parent/Guardian

Students at Seton College may have access to the Internet. This ensures that students enjoy its educational

benefit. At the same time, it is necessary to establish guidelines for the way the internet is to be used. The

Internet will be made available to our students to facilitate educational research, to enable students to

retrieve information and to communicate with other students both in Australia and around the world.

Although the Internet offers Seton students many opportunities to benefit educationally, there are a number

of ethical and legal issues that we must consider.

While every reasonable effort has been made to block access to sites containing inappropriate material, there

is no guaranteed means of preventing student exposure to such sites, especially where a student deliberately

seeks out this type of material. If a student unwittingly encounters material that is inappropriate, offensive,

inaccurate or illegal, they should report this to their teacher.

The Acceptable Use Contract can be found in the student diary and must be signed by the student and

counter-signed by the parent/guardian at the start of each year.

In summary, the contract states that if you use the internet or email for inappropriate purposes you will lose

access i.e. “Abuse it and lose it”.

Use my account for business purposes or for financial gain

Use my account for political purposes

Attempt to change system settings or installed programs in any way

Attempt to bypass security

Attempt to copy or distribute games, movies, music or any copyright material

Disclose my home address, telephone number, credit card or pin number over the internet

I also agree that I will:

Use my account solely for educational purposes

Observe all copyright laws including those relating to computer software

Respect the rights and privacy of other users

Report any obscene and offensive materials I encounter

Report any security lapses that I may discover

Report any accidental damage or hardware issues so repairs can be completed

I realize that if I do not abide by the above rules penalties such as confiscation of notebook/ computer for a set

time or loss of Internet access may apply.
