Arriving in Lisbon

Arriving & staying in Lisbon:Web Summit takes place in the MEO Arena and FIL Lisbon from November 8 to November 10, 2016.

We recommend arriving in Lisbon on or before November 7. The event will finish at 5pm on November 10.

Where should I stay? You can find all of our partner hotels, and book your stay here.

Visas If you’re travelling from outside Portugal, please be sure to check if you need a visa to enter Portugal. If you require a Schengen visa, we recommend applying as soon as you have secured your Web Summit ticket. Keep in mind that this process can take up to 8 weeks.

If needed, your Startup Mentor can provide a letter confirming your attendance. Remember that we are unable to refund any tickets on the basis of failure to secure a visa.

Preparing for Web Summit

Your Startup Mentor Shortly after registering, you will receive an email from your dedicated Startup Mentor. Your Mentor is your best point of contact in the run up to Web Summit and will send weekly email updates in the weeks leading up to the event.

Email updates For consistency, updates from your Startup Mentor will be sent to one person from each attending company only. Please ensure your contact details are correct and that the specific email account is checked regularly. In most cases, this email is the one provided at time of application, not the email on your ticket package.

Make sure your team are also signed up to receive our Web Summit newsletters and that your ticket details are fully complete.

Your Startup Profile Your Startup Mentor will issue you with a URL that grants access to your Startup Profile. Your profile URL is unique to your company and can be shared with as many of your colleagues as you like. There’s no need for logins or passwords. The information you submit will be used for printing the exhibition board for your stand at the event, as well as populating our Startup Search and blog. It is your responsibility to provide accurate information and meet set deadlines.

Exhibiting at Web Summit

Each startup exhibits for one day of the event. You will receive your own exhibition booth and custom print exhibition board. Stand specifications will be circulated to all confirmed exhibitors five weeks before the event. Your exhibition day will be circulated to you two weeks before the event. If you’re missing these specifications, please contact your Startup Mentor.

Exhibition Board The printed board will hang on the back wall of your exhibition stand and will display the following information about your company:

• Company name • Company logo • Industry category • Country of HQ • Elevator pitch (140 character limit including spaces)• Company website • Company Twitter handle

Unfortunately, failure to complete your profile by Friday, September 30 means that we will be unable to print your exhibition board or allocate you an exhibition booth at Web Summit. Startups who are accepted to exhibit at Web Summit after this date will be offered a deadline extension.

Uploading your logo Brandisty work with the Web Summit Startup Team to validate your logo file and ensure it is suitable for print.

In order to upload a logo, you will need to sign up for a free Brandisty account. All logos uploaded must be in EPS format.

Why do I need a vector or EPS format of my logo? .eps files allow for flexibility, particularly in terms of resizing images. We will need to resize your company logo in order to design your exhibition board. Non-vector files often appear pixelated or warped when resized. .eps allows us to use the best quality version of your logo. If your logo is predominantly white, or contains white text, please consider using an alternate version to help it stand out on your board. How do I know if I have an EPS version of my logo? You can easily test your logo here.

Choosing an industry category You can only select one industry category, even though you may find that you identify with more than one. If this happens, choose the category you identify with the most or wish to specifically target at the event. Companies from the same chosen industry will exhibit alongside each other.

Exhibiting at Web Summit

Elevator pitch This is a short 140 character limit (including spaces) description used to summarise your product or service offering. Make sure your message is clear, coherent and grammatically correct. We may use this profile to create content for our website, for searchable databases of event attendees and for circulating to investors, media and VIP attendees. These profiles are not copy-edited before use. Please make sure to check for typos and use of correct characters.

Your exhibition stand, exhibition day and location All exhibitors are allocated one of three exhibition days at Web Summit. Please note, apart from extreme circumstances we do not facilitate specific exhibition day requests. Your exhibition day, stand location, stand number and map of the venue will be circulated to you two weeks before the event.

Can I exhibit for more than one day? Your startup package entitles you to one day exhibiting at an exhibition stand. Over the years, we have found that the startup experience and ROI from the event is maximised by exhibiting for one day and being able to attend meetings, workshops, roundtables and watch content on the other days.

What do I need to bring? Your exhibition stand and printed exhibition board will be waiting for you on your assigned exhibition day. Aside from promotional material and business cards, you are welcome to bring freebies, prizes or company mascots.

What should I not bring? • Pop-up or pull-up banners and other large marketing items • Balloons • Furniture items • Food and drink for distribution

All exhibitors are required to abide by our Anti Harassment Policy.

How can I best stand out when exhibiting? Having a strong visual identity can make a big difference, so think about wearing matching t-shirts with your company logo and name clearly visible.

Lots of startups also choose to hand out promotional materials. These could be anything from leaflets detailing your product, to branded merchandise such as pens, USB keys or stickers.

In all cases, think about your target market and whether you want to focus on building the brand and connecting with everyone or focusing in on a particular type of attendee.

Exhibiting at Web Summit

How much marketing material, and what kind, should I bring? Stickers, branded pens, t-shirts - anything goes - the best are the ones that relate to your industry. Think about your target market! The number of brochures and branded materials needed can vary massively depending on you approach exhibiting (e.g. leaving leaflets on your stand for people to take versus having two or three people actively handing leaflets to people passing by).

What should I wear? Is there a dress code? There is no dress code for the conference but we do recommend smart casual attire. Startup t-shirts are great!

Will there be WiFi and power at my stand? WiFi access is provided. While we endeavour to run a WiFi network that is suitable for all attendees, network connectivity issues cannot be totally ruled out. We recommend that you have offline access to all of your material. Please be advised that WiFi hotspots and network tethering are not recommended as they interfere with the event WiFi network.

Can I bring a screen or display monitor for use at my stand? Of course – anything under 27 inches is fine. If you are travelling from abroad, our team will offera rental service. Your Startup Mentor will provide you with the screen rental details once they are available (screen availability depending).

What are the hours of exhibition? You will be able to access the exhibition halls from 8:30am to 5pm on your exhibition day. The full agenda – including a list of stages, stage times, speakers and Night Summit details – will be released two weeks before the event.

Can I set up my stand ahead of my exhibition day? Exhibitors will not have access to their stand before their exhibition day but will be allowed go to their stand at 8.30am on the morning of their assigned exhibition day.

Can I demo my product at my stand? Yes, provided it doesn’t impact on your stand neighbour. Please contact your Startup Mentor if you would like to bring a machine, hardware or IoT product.

Can I ship items to the venue before I arrive? The Web Summit team cannot accept responsibility for any items shipped to the venue ahead of or during the event. Instead, we recommend you contact your hotel or accommodation. Many will accept and store a shipment on your behalf until you check-in.

Tickets and Registration

How many tickets do I have? The number of tickets in your startup package can be seen in your ticket confirmation email. This was emailed to you when you purchased your startup package. If you would like to purchase additional tickets, please let your Mentor know.

Your ticket information A confirmation email will be sent to you when you register. This contains URLs for each of your tickets. If you don’t receive this email please contact us at [email protected]

Please bear in mind that you may have “snoozed” these tickets chosen to not receive email prompts from us upon registering.

Ticket names and details can be changed up to 14 days before the event. You can do this through the ticket link in your confirmation email.

Registration Attendees can pre-register onsite at the MEO Arena and FIL and at Lisbon Airport from November 7. We strongly recommend that you pre-register before arriving at Web Summit on November 8. If you can’t, just arrive at the venue on opening morning.

To register, you will need to download the official Web Summit app, which will launch early October. Attendees must collect their own accreditation. Please fill in your ticket details before registering.

Networking & Activities

Web Summit Agenda The full agenda, including a list of stages, stage times, speakers and Night Summit details, will be released two weeks before the event.

PITCH PITCH is the startup competition at Web Summit. PITCH is open to any exhibiting ALPHA or BETA startup that has received under $3 million in funding to date and has not had a discernible change in business model in the previous three years. The top 200 startups who apply will be chosen to present in front of distinguished investor panels, influential media and thousands of attendees at Web Summit. Applications are open now here, and will close on Friday, October 7.

All applications are recorded and passed to an independent panel of judges for assessment. Keep an eye on our blog as the shortlist of successful applicants will be announced on Friday, October 14.

Office Hours A number of our investor attendees will be holding Office Hours at Web Summit. These are 15-minute prearranged meetings between startups and investors. Meetings will be requested by investors on the basis of the information you provide in your Startup Profile. If you are contacted and confirm a meeting, there will be a designated area on site where Office Hours will take place.

Mentor Hours During Mentor Hours, speakers, investors and media give personal advice to startups. Invitations to participate in this series of 15-minute meetings where startups will learn how to start and run a successful business will be circulated in the coming weeks.

Startup Workshops Workshops are specially curated 1-hour interactive classroom sessions between major investments funds, partners and accelerators at Web Summit. Your Startup Mentor will circulate a link to sign-up in the weeks before the event.

Roundtables Roundtables are intimate discussions on specific topics between 15 attendees. They give attendees the chance to meet with our speakers in a less formal environment to talk about tech. These sessions are great way of facilitating open communication between speakers and attendees and last approximately 45 minutes. Topics and invitations to participate will be circulated in the coming weeks.

On-site networking & Web Summit mobile app In addition to our world famous networking events, you can make connections through our app. Through this, you will be able to explore the schedule, chat with other attendees and contact investors and media.

FAQ

How do I meet and connect with investors? In terms of active engagements, we encourage attending investors to give up a few hours of their time for Office Hours, Mentor Hours and Workshops. Please keep in mind, investors select startups they would like to meet during Office Hours. Our Investor team then facilitate each request on behalf of attending investors. However, Mentor Hours and Workshops you must sign up for the opportunity to participate. You can read more about Mentor Hours and Workshops in the Networking & Activities section of this Info Pack.

We will facilitate meetings in 15-minute slots for Office Hours, Mentor Hours, and 1 hour slots for specially curated Startup Workshops.

Our app, which will launch a couple of weeks before Web Summit, features a recommender system. It lets you connect with all attendee types prior to the event. Investors are also encouraged to walk the exhibition floor

How do I meet and connect with media? Similar to investor interactions, we circulate your information (including any press materials you provide in your Startup Profile) to our internal media team and attending media - journalists, broadcasters, etc. If your story or product is interesting to attending media, they will reach out to meet up at the event. We will also facilitate introductions where applicable.

What networking should we take part in? First, gather your team and figure out what you want to achieve by attending Web Summit. Are you interested in the content on the stages? Would you prefer more intimate discussions like Roundtables or Workshops? Make a plan. Consider dividing up your team and conquering talks, exhibition floor and general networking all in one go.

Can I have a list of all attendees? Who is attending Web Summit? Attendee lists are posted on our website until we release our app. You can see Featured Attendees details going to Web Summit here.

Can I still submit my startup profile even though it isn’t at 100%?The minimum requirement is 100%. If you do not reach 100%, you will not be allocated an exhibition stand at Web Summit.

Who is my Startup Mentor? You will be assigned your Startup Mentor from the Web Summit team in advance of the event. These guys are your best point of contact in the run-up to the event and can offer advice on how best to prepare for Web Summit. During event days, you’ll find them running PITCH, Mentor Hours, at the Startup Info Point and on the exhibition floor.

• End your release with a brief paragraph, summing up your company and what you do.

• Ensure that you have a spokesperson available who can provide more details if needs be. Include this person’s contact details

How do I submit my press release?Press releases can be submitted on your Startup Profile using the “Press Release” upload.

My logo will not upload to my Startup Profile. What do I do? Logos must be uploaded in vector/.eps format. We require a vector EPS version of your logo so that when we are printing your board the logo can be resized for printing without any effect on the quality of the image. Other file types like JPG, PNG, and GIF are pixel-based file formats and can not be scaled.EPS files can only be created in Adobe Illustrator. Keep in mind that logo colours must be outlined as “CMYK”. “Pantone” or “Spot” colours do not fit this requirement. If you are having trouble uploading your logo, upload the file to here. This will give you a detailed description of any errors that may exist in your logo file.

FAQ

What is a Press Release and who is it circulated to? A Press Release is a short document which gives an overview of your company, your story and your product. For journalists to cover you, you have to provide them with something newsworthy. If you have a new product, you are raising a fund/or have raised money, you are opening a new office, etc. - this could be news. Think carefully about how you package what you do, who you are and what you offer to the market for the media.

All press releases submitted are screened by the Web Summit media team and uploaded to a media portal, where they are available to all attending journalists.

Here are some tips for writing your press release: • Know your audience and keep in mind who you

are writing the release for. Be realistic about your expectations.

• Keep it factual - no commentary in the body of the release.

• Think carefully about the headline and standfirst. Most journalists do not read beyond the start of a press release.

• Introductions are essential, the most important news/facts should always go at the top.

• Keep it simple and short - one page maximum. • Avoid fancy words and jargon. • Reread it at least once and get someone else to

proof.

Investor Office Hours Office Hours are facilitated by our Investor Team. Investors are directed to our Startup Search feature, which details the exhibiting startups at Web Summit. Investors choose which companies they would like to meet and we also suggest startups based on mutual interests. Not all startups will be chosen for Office Hours. If you are, you will receive an email invitation from our Investor Team two weeks before Web Summit begins.

Mentor Hours Your Startup Mentor will circulate a link to sign-up.
