The Members of the Camino Real Region

Conference which will meet in Glendale,
California at the Hilton Meeting Center on
April 5, 6, and 7, 2019.
Your Region Leaders and Spring Conference
Committee are diligently working to plan an
informative and memorable Spring
Conference. This weekend will be the
culmination of many months of dedicated
work and it is our sincere hope that every
member of the Region will plan to attend.
Spring Conference is our time to share what
we, as a Region, have been involved in for
the past year. It is our time to recognize our
programs, honor our members, conduct the
business of the Region, share best practices,
and fellowship with each other. It is our time
to rededicate ourselves to the Soroptimist
mission, to broaden our knowledge, and
understand the direction of our
organization.
Soroptimist are women making a positive
difference for women and girls in our
communities and around the world. Let’s
join together to celebrate our incredible
efforts that inspire women and girls to
Dream Big and Live Big.
What to Expect…
• Join me in welcoming our SIA Board of
Directors visitor, Sherry Pearson, who
comes to us from Los Banos and our
Friendship Grant Visitor, Nisha Ghosh
who visits us from India.
• Our Awards Banquet will take place
Friday evening and will set the stage for
a full Saturday of events.
• Saturday will include a Networking
Breakfast; followed by our Business
Meeting that will include a “Celebration
of Life”, election of our Nominating
Committee, and presentations from our
SIA visitor, Region and Federation Chairs.
Don’t miss our Dream It Be It luncheon;
followed by our Leadership Academy
which will have something for everyone
and a fun-filled Saturday evening dance
party.

with our Live Your Dream Brunch which
will recognize and honor ALL club level
winners as well as our Region Winners.

LEADERSHIP ACADEMY
Don’t miss this year’s Leadership Academy following the “Dream It, Be It” Luncheon on Saturday, April 6, 2019. Attendees will have the chance to choose a 90-minute workshop from 3:00 - 4:30 p.m.
Phoenix Rising Clubs Facilitator: Director Ari Larson and Region Membership Chair Marissa Vanderwyck This workshop will include discussion and best practices to help clubs struggling with membership, a difficult club culture, or simply find that CHANGE is HARD. This session will assist clubs in developing a strategy for success so they can become the next Phoenix Rising Club.
Fundraising and Public Awareness Facilitator: GEM Dora Zavala Fundraising and Public Awareness often go
hand in hand. Clubs have found that working
on their fundraising efforts gives them great
opportunities to maximize awareness of their
club’s work in the community. Best practices
on how to raise funds to support LYD Awards ,
DIBI Program and other club projects from
small, medium and large clubs will be
highlighted during this panel discussion.
Dream It, Be It! Best Practices Facilitators: Director Laura Lind and Region DIBI Committee Member Janice Kurihara Attend this workshop if your club is challenged by limited resources, has had difficulty finding the girls, if your club has yet to conduct a DIBI Program, or if you are interested in continuous improvement. Learn how to collaborate with local schools and organizations, maximize exposure and secure sponsors. This panel discussion will include speakers from small, medium and large sized clubs who have successfully implemented the program.
The International Connection Facilitator: Director Lola Abrahamian Speaker: Region International Advocacy Chair Dr. Nina Smart This workshop will include discussion and understanding of the Soroptimist role in International Advocacy and how local clubs connect and have impact around the world. Dr. Nina Smart will also share her recent experience at the United Nations CSW63 – Commission on the Status of Women.
A Presidents’ Round Table Facilitator: Governor-Elect Sharon Jones Speaker: SIA Board of Director’s Visitor Sherry Pearson This workshop is for current Presidents and President-elects. They will have the chance to discuss SIA’s vision for the organization, Camino Real Region’s progress, and the unique challenges facing our clubs’ leadership.
New Member Academy Facilitators: GEM Linda Haines and GEM Ginger Cole BY INVITATION ONLY. This highly interactive workshop will have new members networking with past Region Governors to discover the rich history of the organization, how to gain the most from the club experience, identify leadership opportunities, understand and learn what new members expect and need to be successful. Please be sure to complete and return the New Member Academy form.

It is an honor and a privilege to serve as a Delegate. Please exercise your responsibilities and duties with enthusiasm and sincerity. Most of all, enjoy seeing old friends, meeting new friends, and making the most of this Conference.
DEFINITION OF A DELEGATE ➢ A person elected and authorized to act
on her Club's behalf. ➢ The Delegate or Alternate has the voting
power of the Club’s membership. QUALIFICATIONS OF A DELEGATE ➢ Have a working knowledge of
Soroptimist By-Laws. ➢ Understand the objectives and ideals of
the organization. ➢ Be mindful of her Club’s opinion about
how she should cast her vote. ON ARRIVAL AT CONFERENCE ➢ Register promptly. ➢ Check in at Credentials desk to receive
voting card. REMINDER ➢ If, at any time, the Delegate is unable to
attend one of the voting sessions, the Club’s Alternate(s) may take the Delegate’s place by changing status at the Credentials Desk.
➢ Once this is done, the Delegate and the Alternate may not switch places again.

• All room reservations will be made directly with the hotel, either online, or by phone. Hotel reservations to be made No Later Than March 5, 2019 in order to receive group rate of $139 per night.
• Club Pre-Paid Room - Reserving online or by phone, give a credit card number when booking the room. Indicate on the registration form the person that will be using that room. That name will then be given to the hotel, and the credit card will not be charged at check in.

CLUB AWARDS AND RECOGNITIONS
The following awards and recognitions acknowledge Clubs and individuals who are
participating in Soroptimist goals to increase our collective impact through programs of
service, strengthening our Region (increased), working together (collective) and by
providing women and girls with access to education and training to make a difference in
their lives (impact). Many awards will be presented to Club Presidents at the Spring
Conference Awards Banquet on Friday, April 5th. Please make sure you attend or send
a representative from your Club. The following are the categories for which a Club or
individual may receive an award or recognition. (Forms are available on the Camino Real
Region website, Resources page)
GOVERNOR’S CLUB AWARD Recognition is given to Club Presidents, by the Governor, for their participation in the four areas of the SIA Club Roadmap to Success and Club Commitment Area. Presidents must return the completed award form to Governor Ana Marie by March 20th. DISTINGUISHED SOROPTIMIST RECOGNITION A Distinguished Soroptimist is a member who has made a personal commitment to developing her Club and enhancing her own Soroptimist experience by recruiting a new member and accomplishing at least five additional Club activities during the 2018-2019 Club year. Submit completed forms to Region membership Chair, Marissa Vanderwyck by March 15th. VICTORY AWARD This award is given each year at Spring Conference to the Club with the greater percentage of NEW members since July.
Eligible clubs must have chartered by July 1st of the current club year. (Be sure to send in a 5008 form each time you induct a new member. Your Club’s membership figures are based on these forms.) If there is a tie, one Club will keep the trophy until Fall Workshop and the other Club will keep the trophy until the following Spring Conference. The time period used is from July 1, 2018 through March 15, 2019. CELEBRATING SUCCESS RECOGNITION AND AWARDS Clubs will be recognized for their submission of outstanding Club projects that improve the lives of women and girls through programs leading to social and economic empowerment or promote Soroptimist as an organization that improves the lives of women and girls. These awards recognize the best practices of Soroptimist Clubs in each of the four pillar areas supporting the SIA roadmap to success.

YEARS OF SERVICE Recognition will be given to those members who have been active and financial for 5+ years as of December 31, 2017. Recognition will be given to those who have completed their 5, 10, 15, 20, 25, 30, and more years of service (in 5-year increments). FIRST TIME ATTENDEE RECOGNITION Recognition will be given at the Business Session on Saturday, April 6th to all members attending Camino Real Region Spring Conference for the first time. (See Registration Form) LIVE YOUR DREAM AWARD Region Winners, Club Winners - The Live Your Dream Award program is SIA’s signature award program. It assists women who provide the primary source of financial support for their families by giving them the resources they need to improve their education, skills and employment prospects. Awards will be given on Sunday, April 7th .
ACHIEVED YOUR DREAM AWARD This award recognizes Region members who have attained their dreams: educational degrees, new business ventures, retirement, etc. Members will be acknowledged at the Friday, April 5th Awards Dinner. (Form herein) HIGHEST CONFERENCE ATTENDANCE CONTEST Win RESERVED seating for your club. The club with the highest percentage of members attending all three days will receive RESERVED DINNER SEATING for Friday and Saturday. Registration for Spring Conference must be received by date due. Participants who register after March 11th will not be counted toward the percentage.

NOMINATING COMMITTEE ELECTIONS
One of the most important events at Spring Conference is the annual Camino Real Region business meeting that will take place on Saturday morning, April 6, 2019. At the business session we will be electing the Camino Real Region Nominating Committee for 2019-2020 who will be tasked with developing a nomination slate for the 2020-2022 Region Board. As usual we will be asking for nominations from the floor as part of the process.
If you are considering nominating a candidate at the business session for the incoming Nominating Committee, there is an official Candidate Resume form which needs to be completed and enough copies provided to give one form to each member of the current Region Board and to each delegate who will be voting for the position. Proposed Bylaw Change for consideration during the Business Meeting, Spring Conference 2019
CURRENT Section 9.7 Review
The Treasurer's books shall be reviewed by a certified public accountant at the close of each biennium and at such other times as the Region Board may authorize upon recommendation of the Treasurer or the Finance Committee. A summary of the biennial review shall be available to clubs.
PROPOSED Section 9.7 Review The Treasurer's books shall be reviewed each biennium and at such other times as the Region Board may authorize, upon recommendation of the Treasurer or the Finance Committee. The review may be performed by a Certified Public Accountant, Certified Public Accounting firm, or Audit Committee. An Audit Committee will consist of Region Board members and/or Region members appointed by the Governor. If the review is to be performed by an Audit Committee, a professionally developed audit tool must be used. A summary of the biennial review shall be available to clubs. RATIONALE In recent bienniums, the Region has experienced significant difficulty in its efforts to secure a Certified Public Accountant(CPA)/Certified Public Accounting firm to perform only a compilation or review of the treasurer's records. At the conclusion of the last biennium, all efforts to secure a review by a CPA/CPA firm failed. CPA/CPA firms contacted would only perform a formal audit at costs far exceeding the Region's budget To increase the budget in future years to finance a formal audit has significant income and allocation implications. The Region contacted SIA headquarters and conferred with Sue Murray, Chief Financial
Officer for SIA. Ms Murray concurred with the Region's proposed bylaw change. In
addition Ms. Murray advised that a professionally developed audit tool for audit
committees has been placed on the SIA website under "Federation ~ Region
Leadership ~ Region Treasurer".
